Interns <strong>and</strong> volunteers working on temporary projects<br />

STAR National Office, London N7<br />

21 hours per week<br />

(Hours to be agreed during our core hours of<br />

Monday to Friday, 9 am to 6 pm)<br />

£26,000 per annum pro rata plus up to 7% contributory pension<br />

28 days per annum pro rata plus the days between Christmas Day<br />

<strong>and</strong> New Year’s Day<br />

Role description<br />

The post-holder will be responsible <strong>for</strong> overseeing the efficient administration of the STAR<br />

office. This will include supporting the STAR team to organise events <strong>and</strong> arranging travel<br />

<strong>and</strong> accommodation <strong>and</strong> maintaining the accounting systems. They will work closely with<br />

the Chief Executive, Treasurer <strong>and</strong> accountants.<br />

Main Tasks<br />

Travel <strong>and</strong> Events Organisation<br />

Work with the STAR team to arrange training events including identifying <strong>and</strong><br />

booking training venues, organising catering, taking bookings <strong>and</strong> producing<br />

materials.<br />

Book travel tickets <strong>and</strong> overnight accommodation <strong>for</strong> STAR staff <strong>and</strong> volunteers in<br />

accordance with the STAR travel policy<br />

Lead on organising STAR’s annual conference in November<br />

Work closely with other team members to, plan, deliver <strong>and</strong> evaluate national<br />

events such as student groups committee training <strong>and</strong> campaign action week<br />

Administration of the National Office<br />

Arrange <strong>and</strong> service meetings including minute taking<br />

Answer the general telephone enquiry line<br />

Ensure the smooth running of the office by ensuring stationery <strong>and</strong> office supplies<br />

are in stock, the office equipment is in good working order <strong>and</strong> liaising with the<br />

l<strong>and</strong>lords to resolve premises issues<br />

Finance<br />

Ensure STAR’s financial record keeping is up to date by inputting all financial<br />

transactions into the computer based finance system <strong>and</strong> filing all paperwork<br />

Process income <strong>and</strong> expenditure including making payments, securing payments<br />

<strong>and</strong> issuing receipts<br />

Work with STAR’s payroll service to administer the monthly staff payroll<br />

Work with the Treasurer to produce management accounts<br />

Work with STAR’s accountants to produce STARs Annual Accounts


Work with the Chief Executive to produce budgets <strong>for</strong> projects <strong>and</strong> funders<br />

Maintain the funder reporting <strong>and</strong> payment calendar <strong>and</strong> ensure these are all<br />

delivered on time.<br />

Undertake other tasks identified by STAR as relevant <strong>and</strong> commensurate with the<br />

Essential<br />

Excellent knowledge of Excel<br />

Highly numerate<br />

Good in<strong>for</strong>mation technology skills including word processing <strong>and</strong> email<br />

Excellent administrative skills including maintaining filing systems<br />

Ability to organise meetings <strong>and</strong> take minutes<br />

Excellent oral <strong>and</strong> written English communication skills<br />

Ability to manage a project from the beginning <strong>and</strong> deliver it on time<br />

Ability to work flexibly, assist other staff <strong>and</strong> respond to changing priorities<br />

Underst<strong>and</strong>ing of <strong>and</strong> commitment to STAR’s aims <strong>and</strong> values<br />

Ability to work occasional evenings <strong>and</strong> weekends by prior arrangement<br />

Desirable<br />

Experience of managing paid staff or volunteers<br />

Experience of managing finance systems <strong>and</strong> finance record-keeping<br />

Experience of organising events<br />
