SWISS VALLEY FARMS DAIRYMAN
SCHOOL MILK NEWS
it’s all in the paper!
a message from Ron Schroder director of marketing
In a recent issue of the Dairyman
(May 2005), it was reported that
Swiss Valley Farms is testing plastic
half pints of school milk. While
that test is successfully continuing
in six school districts this year, we
have not lost sight of our large paper
carton business in schools. The vast
majority of our schools remain in
represents about 50% of milk packages
sold.
School milk is a particularly important
source of nutrients for kids.
Government studies have shown
that 90% of teenage girls and 70%
of teenage boys do not meet the recommended
daily allowance for Calcium.
Just one container of school
milk helps then get 30% of the
Calcium they need every day.
Our paper half pints packaging
has been updated with a
dynamic new design, as shown
here. The graphics have been
simplified and our new brand
logo has been added. Studies
conducted by the dairy industry
have shown that contemporary
packaging on paper cartons can
significantly increase milk sales.
These exciting new cartons began
appearing on all of our half pints in
schools in November after the old
packaging was completely run out.
We can look forward to continued
success with school milk.
The Glen old & look Melissa of the are pictured here with
Swiss Valley two daughters, School Milk. XX, 1 and Savanna
paper cartons, and we want to make
sure that we keep the packaging contemporary
for our next generation of
consumers.
Swiss Valley Farms school milk
program is an important part of our
business. For the current school year,
we are providing milk to 178 school
districts, which include over 500,000
students. We sell about 6 million half
pints to schools every month, which
adds up to 54 million cartons per
year. Even though school milk makes
up only about 6% of milk volume
sold across the country, school milk
Customer Service
HELP IS A FRIENDLY CALL AWAY
by Nancy Feeney
Everyone enjoys “service with a
smile!” Even though it’s over
the phone, this is exactly what
the Swiss Valley Farms customer service
department delivers. Our customers
can tell there is a smile behind
that helpful voice on the other end of
the phone line.
While these retail customers can
envision the smile behind the voice,
they probably never think about the
four, square, connected cubicles that
the customer service representatives
call home in the Davenport, Iowa,
corporate office. Besides their computers
and file folders, family photos
and memorabilia, candy dishes and
an occasional small doll can be seen.
The women in the Swiss Valley Farms
customer service department spend a
lot of time in these gray cloth cubicles
and they make them as homey as possible.
Another constant for these women
is the ever present remote telephone
head sets, a sure sign they are
always on the phone.
Customer service manager Sarah
Clark is proud of her department.
“We truly do represent the customers’
needs to the cooperative,” Sarah
says. “We serve the customers and the
customers are truly Number One.”
The customer service department
was reorganized and established in
the cooperative’s corporate headquarters
in Davenport, Iowa a year ago.
The department consists of Sherene
Pitts, customer service specialist, and
customer service representatives Jennifer
Serrano, Iesha Jones and Brenda
Baustian. These women ‘man’ the
phones six days a week, Monday
through Friday from 7 a.m. to 5 p.m.
and Saturdays from 7 a.m. to noon.
Peak calling times are 10 a.m. to noon
and 1 to 3 p.m.
The women were all assigned regular
customers and have made friends
with these retail contacts. “Our goal
is to deliver the best customer service
we possibly can and in a timely fashion,”
Sherene says.
“As competitive as the dairy industry
is, you need to have a personalized
link for the customer,” Sarah
says. “Pricing is so competitive and
margins are tight. You have to offer
superior customer service.”
The customer service phone number
is on every Swiss Valley Farms
product. “But we want our customers
to see us as a friendly face, not just a
phone number,” she says.
“Each representative gets to know
her customers. They develop a rapport
with them.”
“I call on the stores and I like
the interaction with my contacts,”
Swiss Valley Farms ‘ Customer Service Department proudly poses for a quick ‘beverage’ break. From left
to right Jenny Serrano, Iesha Jones, Brenda Baustian, Sherene Pitts and Sarah Clark.
page 4
SWISS VALLEY FARMS DAIRYMAN
says Brenda Baustian. “I’ve gotten to
know some of them quite well.”
Iesha Jones says she enjoys working
with the other women on the customer
service team as well as talking
to her customers. “I enjoy building
relationships with my customers,”
says Jenny Serrano. “Some of them
are really nice.”
The common calls received involve
customers placing orders, which
the women type into their computers
using special software. Some customers
request “specials”, which are extra
products beyond what is normally
ordered. The reps also place reminder
calls to their customers if they haven’t
heard from them regarding their regular
weekly orders.
Customer questions and concerns
are addressed over the phone. The
customer service reps can also keep
track of “special” delivery trucks, noting
when they arrive at their destination.
They may call a customer back
to make certain the delivery did arrive
and everything is in order.
Since the Dubuque plant gets
products from other plants and acts
as a centralized warehouse for Swiss
Valley Farms products, all the orders
keyed by customer service reps are
sent there. The customer service software
enables plant workers to log into
the system and add their input to any
customer issues concerning them.
Besides taking orders from retail
customers, the customer service reps
receive phone calls regarding our
products directly from consumers.
Some of these questions seem rather
humorous to someone who works in
the dairy business.
“One hot, summer day, a woman
called and said she left 5 gallons of
our milk in the hot car for two hours,”
Sherene said. “She wanted to know if
it would still be good to drink. I had
to break the news to her that, unfortunately,
it wouldn’t be.”
One popular question is, “Can I
freeze milk?” The answer, of course,
is no.
Recently, Sarah mailed out a survey
to all the Swiss Valley Farms retail
customers who have come in contact
with this department. The survey
yielded some encouraging comments.
“People on the phone at customer
service are always ready to help.”
“I receive impeccable service from
the top down.”
“Everyone is very friendly, all the
time.”
“I am very satisfied with Swiss
Valley Farms. Anytime something
is cut or a special is needed, I feel
the Swiss Valley team sees that my
needs are met at every circumstance.
Thanks!”
“All customer service representatives
are very helpful. We forget to order
milk and they always call for our
order. That is very helpful. We appreciate
the girls calling us. Our driver is
also friendly.”
“I have done business with Swiss
Valley Farms at my current job for
20 years. Your customer relationships
keep improving as you grow.”
Comments like these are music to
everyone’s ears at Swiss Valley Farms.
Jenny Serrano proudly wears her head-set. This alows her
to easily work while being on the phone.
