Welcome<br />

Rev3 Adventure and <strong>Willowsford</strong> welcome you to the beautiful<br />

Greens community in Loudoun County, Virginia!<br />

We have teamed up with <strong>Willowsford</strong>–a 4000-acre naturally planned<br />

community in Loudoun County–to bring you a fun and exci.ng .me for the<br />

whole family. Get ready for a weekend of adventure racing, camping under<br />

the stars, mountain biking, and trail running. The adventure will kick off with<br />

the series finale of the Fall Foliage trail series, where trail runners and<br />

mountain bikers hit the single track. Keep the day’s outdoor theme rolling by<br />

joining in the family camp out on Saturday night. Roll out from under canvas<br />

on Sunday morning and take to the woods on both marked and unmarked<br />

paths as you tackle either the Family Adventure Race or the Frozen Foot<br />

Adventure Race.<br />

The Adventure Weekend takes place in The Greens, the largest of <strong>Willowsford</strong>’s<br />

four villages and a pris.ne des.na.on for outdoor recrea.on and racing<br />

Hello, racers! We are excited to have you as par.cipants for the <strong>2014</strong> <strong>Willowsford</strong> Adventure Weekend. Following<br />

is informa.on for all the events offered over the course of the weekend. This includes the Family AR,<br />

Frozen Foot AR, Family Camp Out, and the Fall Foliage Trail Run and Mountain Bike races. Please carefully<br />

Timing<br />

The MTB race and trail run will be .med using the MyLaps<br />

BibChip system. Timing chips are disposable, so feel free to<br />

keep it as a memento or toss it in the trash.<br />

The MyLaps tracking .ming chip will be aFached to your<br />

race bib. Runners should aFach the bib to your front so it is<br />

clearly visible. Please make sure the bib is posi.oned below<br />

chest height so that the chip can be scanned correctly for an<br />

accurate finish .me. Bikers should aFach the bib to your<br />

handlebars. Race .mes are based on gun start. If you are<br />

doing the run and the bike, you will get a separate bib and<br />

chip for each event.<br />

Classes<br />

No race-day class changes are permiFed. If you fail to finish the<br />

route you signed up for, you will receive a DNF.<br />

Aid Sta1ons<br />

There will be water and Gatorade on the course.<br />

Gear<br />

For the Fall Foliage 5K and 10K trail runs, you will need a pair<br />

of running shoes and your normal running aGre. For all<br />

mountain bikes races you’ll need a bike and a helmet (CPSC,<br />

ANSI, or SNELL cer.fied). A water boFle or CamelBak-type<br />

device is highly recommended.<br />

Food<br />

From 11:00 onward, we'll have <strong>Willowsford</strong>’s culinary expert,<br />

Chef Bonnie, serving up chicken stew in apple cider and cornbread.<br />

For post-race rehydra.on, we’ll offer an Old Busthead<br />

Brewery beer on tap.<br />

Parking<br />

On race day please follow parking direc.ons. Parking will be<br />

along Grassland Grove Drive. DO NOT park at the Boathouse<br />

or the Lodge.<br />

Check In<br />

When you arrive, please check in with a Rev3 staff member.<br />

They will show you where you can pitch your tents<br />

or park your trailer.<br />

Food<br />

We will provide charcoal for the grills on site. You will<br />

need to bring your own food to cook. Feel free to bring<br />

your own camp stove and cooking gear, too.<br />

Cooking and fires are only permiFed in the designated<br />

areas around the charcoal grills.<br />

On Sunday morning we will provide donuts and coffee<br />

to help you get your day started.<br />

Parking<br />

When you arrive, please follow parking signs. Parking will be in the field<br />

at the end of Grassland Grove Drive. We will have a flag out on Braddock<br />

Road, so look out for that. DO NOT park at the Boathouse or the<br />

Lodge.<br />

Gear<br />

Bring a tent and any of your other camping gear you might need for an<br />

overnight camp out. It looks like the weather may be chilly, so be sure to<br />

bring extra layers and blankets. We do have room for a few small popup<br />

trailers and RVs. Please email mark@rev3adventure.com if you plan<br />

on bringing a trailer so that we make sure we have enough room. There<br />

are no hookups and the camping areas are on grass.<br />

Frozen Foot AR Race Packet Pickup and Pre-Race Briefing<br />

Packet pickup is from 7:30am to 8:30am on Sunday, November 2nd. During<br />

packet pickup the team captain must be present and all forms must be<br />

completed for every team member. If you do not have all the forms for all<br />

team members, we will not give you your race packet un.l we have them<br />

During packet pickup you will receive T-shirts, sponsor giveaways, maps,<br />

rules of travel, and race numbers. At 8:45am at the packet pickup loca.on<br />

we will hold a pre-race brief that is mandatory for all team captains. Other<br />

team members do not have to aFend but are free to aFend if they wish.<br />

Mandatory Gear<br />

Mandatory gear will not be checked during check in. Random checks on gear will be performed during the race. Penalty points will<br />

be deducted for any missing items. These items are not all inclusive of items you will need to complete the race. You will be out in<br />

the elements for 2-4 hours. Bring other equipment as appropriate to get through the event.<br />

At all 1mes during the race each racer must have in their possession the following equipment unless otherwise stated in the<br />

rules of travel:<br />

• Pack to carry gear<br />

• Enough food for replenishment<br />

• Hydra.on system (Camelbak or equivalent or water boFle, etc. with capacity to carry at least 2 liters)<br />

• Closed-toe shoes must be worn during the en.re race (no bare feet or open-toe sandals)<br />

While biking each racer addi1onally must have:<br />

• Mountain bike (mandatory for Frozen Foot) or any bike that has two (or three) wheels for our Family Adventure. The<br />

terrain will not be paved so just make sure your bike can go on hard-packed dirt trails and gravel roads.<br />

• Helmet (CPSC, ANSI, or SNELL cer.fied)<br />

While doing water challenges each racer addi1onally must have:<br />

• PFD Class III (provided by Rev3 Adventure)<br />

• ePunch (Provided by Rev3 Adventure)<br />

• Race maps (Provided by Rev3 Adventure)<br />

• Rules of Travel (Provided by Rev3 Adventure)<br />

• General Race Rules (Provided by Rev3 Adventure)<br />

• Fully charged smart phone in water.ght bag (you may<br />

need to use this during the race)<br />

• Dry bag or method of keeping equipment (e.g., smart<br />

phone) dry in the event of bad weather.<br />

• Bike tool kit and at least one spare bike tube<br />

Biking Sec1on<br />

Road bikes are not permiFed. Racers must use the same bike throughout the en.re race. In the event of mechanical failures, replacement<br />

parts can be used but they must be provided by the team, other racers, or an event official. No outside assistance is<br />

allowed. Bikes will not be checked for mechanical worthiness, but we recommend your bike be in good working order.<br />

Maps<br />

Teams will be provided with maps to complete the course. All mandatory and op.onal checkpoints will be pre-ploFed. Addi.onal<br />

maps can be used at racer’s discre.on.<br />

Cancella1on<br />

The race will be held rain or shine. In the event of severe weather, the<br />

race start may be postponed or the course may be shortened.<br />

FAMILY Adventure Race:<br />

FROZEN FOOT Adventure Race:<br />

• Solo—Male, Female<br />

USARA Adventure Racing Series<br />

The Frozen Foot Adventure Race is part of the USARA na.onal ranking system. Adventure racing is a growing sport and over the<br />

past few years different race series that .e together different events across the country and world have been formed. USARA is the<br />

longest-running series. To register your team to be part of the series you can do so online at www.usara.com. The Frozen Foot will<br />

allow teams to earn points toward their ranking. Finishing teams will also earn points toward the ranking in the series.<br />

Rev3 Adventure’s refund, transfer, and<br />

cancella1on policies<br />

Refund policy: No refunds under any circumstances. Registered teams/soloists cancelling 30 days prior to race date will receive<br />

100% credit minus $25 administra.on fee for any future event. Cancella.ons less than 30 days prior to race date will receive a 50%<br />

credit minus a $25 administra.on fee for any future races. Credits are good for one year from the race date.<br />

Credits can be used for any single future race. Any difference in price must be paid and no refunds or addi.onal credits will be<br />

made if the credit exceeds the deferred fee.<br />

Transfer policy: Entrant’s changing class (solo to team, three person to two person, etc.) must no.fy Rev3 Adventure 14 days prior<br />

to race date. Entry swag (T-shirt, etc.) cannot be guaranteed in the event extra team members are added. Addi.onal fees must be<br />

paid at the current registra.on rate. No refunds or credits will be given in the event of transfers or changes to team.<br />

Event change and cancella1on policy: Rev3 Adventure reserves the right to alter, postpone, or cancel any race for safety concerns.<br />

In the event the race is cancelled, no refunds or credits will be provided. In the event a par.cipant cannot aFend a rescheduled<br />

date, no refunds or credits will be provided.<br />

• Penalties for rule infractions will be assigned in the form of time penalties, point penalties (deductions), or disqualification. Penalties will be assigning on<br />

the course if possible and will be determined by the race director and Rev3 Adventure race committee.<br />

• Any rules outlined in the rules of travel supersede these general race rules.<br />

• Teams must punch passports or digital punches at both manned and unmanned checkpoints (CP).<br />

• Some checkpoints may require that the passport also be signed by a Rev3 race official. This will be prescribed on the passport. Unsigned passports will<br />

result in the checkpoint not being counted.<br />

• Both mandatory and optional points are located on the course.<br />

• Each checkpoint must be acquired by using the prescribed method of travel as outlined in the rules of travel.<br />

• To remain official team must collect all mandatory checkpoints on the course within the specified times.<br />

• Checkpoints may have different point values as outlined on the passport.<br />

• Ranking is determined by the highest accumulated points (minus penalties) and the fastest time (including time penalties).<br />

• Teams may not travel on private property unless specified in the rules of travel.<br />

• Teams must obey all traffic laws.<br />

• Only racers, volunteers, and race officials are allowed in marked transition areas (TA) or staging areas.<br />

• PFDs must be worn at all times while doing the water challenge.<br />

• Racers must use the same bike throughout the entire race. In the event of mechanical failures replacement parts can be used but they must be provided by<br />

the team, other racers, or an event official. No outside assistance is allowed.<br />

• All racers are expected to be examples of good sportsmanship. Racers must treat fellow racers and race staff with courtesy and respect.<br />

• Teams must assist fellow teams in need of medical attention. For minor injuries contact the race director or nearest volunteer. In the event of a serious, life<br />

threatening emergency, call 911, then contact race director.<br />

• Teams must always remain within 100 feet of teammates and within visual contact (unless otherwise specified).<br />

• All team members must check in together at each CP and TA. If one member must leave the course, they must do so at a CP or TA and notify race management.<br />

If a team leaves a teammate out on the course, that team will be immediately disqualified and not allowed to continue unofficially. Incomplete<br />

teams may continue unranked. A single person must join with another team who commits to staying with that new racer. Incomplete teams must carry the<br />

mandatory team gear.<br />

• Passports, maps, digital punches, and race rules must be carried the entire race.<br />

• If using manual punches, teams must punch passport in correct space at each CP.<br />

• All CPs must be obtained in order unless specified. If a team misses a CP, they will be allowed to go back and get the CP. Penalties will be assessed for<br />

CPs punched out of order.<br />

• Teams that miss a CP will be ranked after teams that obtain all CPs provided that all CPs are in the correct spot. Missing a CP is defined as not going to a<br />

CP. Being short coursed is the same as missing a CP for the CPs that team does not acquire due to short coursing. Teams will not be penalized for missing<br />

a CP if the missed CP is more than 250 feet from the correct location of the CP.<br />

• Race officials reserve the right to alter time cut-offs or the course itself to accommodate changing conditions and to ensure that teams finish on time.<br />

• Mandatory gear must be carried at all times and will be checked on the course.<br />

• No GPS devices of any type are allowed.<br />

• Bicycle helmets are required at all times during the bicycle portion and when specifically directed by race officials. Racers riding bikes during the race<br />

without a helmet will be disqualified.<br />

• Racers must follow Rules of Travel as outlined. Where no specific path is designated, teams select their path between CPs. When instructions designate a<br />

specific route, teams must follow that path. Sections of the course may be determined as out of bounds or restricted for travel. Failure to follow these rules<br />

will result in penalties.<br />

• Rev3 Adventure may provide water at some TAs. There is no food or gear drop unless specified by the race director. Racers may not receive outside assistance<br />

except from race officials and other registered teams. Teams are responsible for providing all their own food and drink while on the course.<br />

• No littering. Please practice leave no trace!<br />

• Areas of the course maybe open to the public. Use proper trail etiquette. Bikes yield to hikers, and everyone yields to horses.<br />

• Any time penalties will be added to the team’s finishing time; where possible, time penalties will be served on the course.<br />

• Race officials reserve the right to remove a team from the course for health, safety, or other reasons at the discretion of race officials and medical personnel.<br />

• Any team withdrawing from the race must notify a “live” person by checking in with a CP or TA volunteer or by calling the race director. Failing to notify<br />

race officials will result in that team being responsible for all search and rescue expenses.<br />

• Any protest must be filed in writing or verbally to the race director within 1 hour of the team’s finish and will be reviewed by the race committee.<br />
