DLSU Library Personnel Observe 

“One-Team-Building” 

April 19, 2012 was a red-letter 

day for the whole DLSU Library 

staff. The said day was the 

day for the group’s planning and teambuilding. 

Armed with cheers and different 

strategies, wearing T-shirts in Red, Yellow 

or Purple, 75 members of the De La 

Salle University Library staff headed to 

Loreland Farm Resort, Antipolo City for 

their annual planning and team-building. 

The whole Library staff was divided into 

three teams, namely the Red, Yellow and 

Purple. Rolando Masindo and Yogusto 

Balbas, both from Circulation were the 

respective team captain and assistant 

team captain of the Red Team; Wilfredo 

Frias, Jr. (Acquisitions) headed the 

Yellow Team, assisted by Vivian Soriente 

(Circulation); while the Purple team was 

led by team captain Reynaldo Jimenez, Jr. 

(IMS) and assistant team captain Avelino 

“Bing” Dancalan (Systems Services). 

These three teams vied for the championship 

crown by going through Survivor-like 

ordeals, namely: a) balancing log, b) tight 

rope, c) mud crawl, d) Tarzan jump, e) 

amazing race (low ropes), and, f) mud slide. 

The mighty Yellow Team grabbed the most 

coveted crown, followed by the Purple 

“One Team Building”...see Page 3

“One Team Building”...from Page 1 

Team and the Red Team, respectively. 

The experience made each one of the 

staff members proud that they were able 

to hurdle the hardship of balancing self 

while walking on a log and walking on a 

tight rope, and the gory deed of crawling 

and sliding through the mud. The tasks 

made the whole Library team closer and 

appreciative of each other – the precise 

reason why the activity was planned. 

The activities after the contest were 

equally enjoyable ones, like swimming, 

videoke singing, and bonding by chitchatting, 

not to mention the meals 

that were taken by the whole group. 

Everybody left with smiles on their faces, 

the real proof that they all cherished the 

experience, and are looking forward to 

another set of experiences next year. 

The team-building activity was made possible 

by the careful and meticulous planning 

by the Committee members Jorge Rada 

(Cataloging), Joanna Siapno (Acquisitions), 

Janice Peňaflor (Collection Development), 

Donna Lyn Labangon (Information- 

Reference), and Augusto Gallo, Jr. (EDC).

Assessment of the DLSU Philippine Literary Works 

Index Database : a basis in proposing guide for the 

indexers

Introduction 

The De La Salle University Library began 

its computerization of indexing processes 

using the CDS-ISIS software in 1989. The 

library came out with the 1st edition of the 

Philippine Literary Works Index (LINDEX) 

to DLSU holdings in 1990. It covers literary 

works such as poetry, short story, drama and 

biographies of Filipino writers taken from 

45 titles of Filipiniana books. It contains 

1,423 entries and consists of only three (3) 

parts namely, author index, title index and 

biography index. The computerized printed 

format came out using CDS-ISIS software 

in 1993. The Filipiniana section was able to 

compile and encode again the 2nd edition 

in 1994. Other types of literary works like 

essay, novel and criticisms were included 

in the first edition. The said section hired 

a contractual clerk to encode the 4,405 

records. The LINDEX is intended as a guide 

to Philippine literary works for the use of 

faculty, students and other researches. The 

proponent of this project was Ms. Lilia 

Abad-Simonton, then the Head of the 

Readers Services Unit. 

In 2008, Annabelle Aliwalas undertook an 

assessment of the LINDEX database that 

was uploaded in the Millennium Integrated 

Library System in 2005. The study used the 

stratified sampling method wherein every 

70th record of the total 28,424 entries from 

918 titles of Filipiniana literary books had 

been included in the sample. To obtain the 

sample size which is 400, the researcher 

used the Sloven’s formula. The Sloven’s 

formula is written as: n = N / (1+Ne^2); n = 

Number of samples; N = Total population; 

e = Error tolerance. On the whole, the study 

found out that the “quality of the LINDEX 

database is poor since most of the entries 

do not meet MARC21 (Machine-Readable 

Cataloging) and AACR2 (Anglo-American 

Cataloging Rules) standards.” The study 

recommended the editing of the entire 

database and the creation of a written guide 

which the indexers “can consult from time 

to time.” 

Between 2008 and 2010, there had been 

no systematic effort to edit the database 

of Philippine Literary Works. There were 

attempts on the part of the Filipiniana 

Librarian Bob Cauilan and Associate 

Librarian Jojie Gonda to undertake editing 

work. But these efforts were not sustained, 

due to the rotation of librarians from one 

section to another, which included both 

Cauilan and Gonda. When the author 

assumed the post of Filipiniana Librarian 

in January 2010, she embarked on the task 

of indexing the Rizaliana and Filipiniana 

rare collection. 

When Gonda was re-assigned to the 

Technical Services last May 25, 2011, the 

author, took over the indexing and editing 

of the LINDEX. She conducted a thorough 

checking of entries in the database with 

deficiencies in the encoding of the entries. 

Assisted by her staff, she embarked on an 

editing work from August 1, 2011 until 

February 29, 2012. 

Since indexing of Philippine Literary Works 

is an on-going project of the Filipiniana 

section, it deems necessary to conduct 

a follow-up assessment of the LINDEX 

database if only to appraise the quality of 

the database, that is, to eliminate errors 

and to ensure the accuracy of the entries 

in the database. 

Statement of the Problem 

This study assessed the Philippine Literary 

Works Index (LINDEX) Database in the 

Filipiniana section covering the period 

August 1, 2011 to February 29, 2012. 

Specifically, this study sought to answer 

the following questions: 

1) What is the quality of LINDEX 

database in terms of data elments? 

2) What is the total number of entries 

that are: a) not indexed by the indexer; 

b) deleted and suppressed in the 

database; and c) checked without errors 

or corrections? 

3) What problems are encountered by the 

indexer in the editing and indexing of 

the LINDEX database? 

4) What appropriate plans of action may 

be recommended in order to address 

problems that may have occurred 

while indexing literary works? 

Scope and Limitation of the Study 

This study focuses on the assessment 

of the quality of the Philippine Literary

Barsaga, Peňaflor Obtain Master’s Degree 

Agnes 

Barsaga 

Agnes Barsaga, one of the dependable 

catalogers of the DLSU Library, and 

Janice Peňaflor, one of the busiest 

librarians of the Library, juggling duties 

of a Collection Development Librarian and 

the job of an associate American Corner 

librarian, obtained their master’s degree 

in Education, major in Library Science 

on March 23, 2012 at the Philippine 

Normal University (PNU), Manila. 

Barsaga graduated after successfully 

completing her thesis entitled Comparative 

analysis of the old and new cataloging 

process at the De La Salle University 

Library, where she cited the differences and 

the similarities of the old and new processes 

in the Cataloging Section of the Library, 

and recommend several ways in further 

developing the present (new) process. 

As she graduated, Agnes says, “ [I am] 

just too grateful for being able to finally 

completing it [the degree] after so long. 

[I am] thankful for the support and 

assistance from our dear Institution, 

DLSU, colleagues in the library world, 

my advisers from PNU, as well as critics, 

friends, relatives, family. I am also very 

thankful for my sources of inspiration, 

my only son, Josh and husband, Web.” 

On the other hand, Janice patiently worked 

on An evaluation of DLSU library’s 

Filipiniana book collection vis-à-vis 

the Philippine National Bibliography: 

a basis for collection development plan 

for her thesis, one of the requirements 

in completing her master’s degree. 

Both are now entitles for reclassification 

t o A c a d e m i c S e r v i c e F a c u l t y 

Level II, where monetary and other 

benefits are higher and heftier. 

The whole DLSU Library personnel

greetings to the two librarians.

Abrigo’s Paper Gets Published 

In a community where research publication 

is one of the goals of each citizen, Christine 

Abrigo, Assistant Director for Operations 

of the DLSU Library, fulfilled this most 

coveted goal this academic year. 

Together with good friend and former 

DLSU Library assistant librarian, Ms. 

Marian Ramos, Abrigo came up with a 

paper entitled Reference 2.0 in Action: an 

evaluation of the digital reference services 

in selected Philippine academic libraries. 

The paper was presented by Ms. Ramos at 

77th IFLA Conference in San Juan, Puerto 

Rico. Because the said paper was highly 

relevant in the field, Emerald Publishing 

published the paper at Library Hi Tech 

News, 2012, vol.29, issue # 1. 

The paper presented the current status 

of the digital reference services (DRS), 

specifically the use of Instant Messaging 

(IM) and the social networking sites of 

the Internet, by some selected academic 

libraries in the country. These libraries are 

the University of the Philippines Diliman,

Ateneo De Manila Rizal Library, and the 

De La Salle University Library. The study 

used the survey method in gathering the 

nature, practice and impact of the selected 

library’s DRS. The study revealed that 

these new reference services are not yet 

maximized by the users, although most 

users now-a-days prefer to use the online 

reference services like Ask-a-Librarian, 

web forms, e-mails and facebook. The 

paper recommends beefing up of reference 

services by integrating web 2.0 applications 

to the current system being offered. 

Christine may file for research incentive 

for the publication of this paper, once her 

employment status becomes permanent. 

Jojie Gonda and May Cajes Become Permanent 

Jojie Gonda (Technical Services) and 

May Cajes (Systems Services) became 

permanent effective 3rd Term of AY 2011- 

2012. Both were first hired as assistant 

librarians of the DLSU Library, and in 

order to comply with one of PAASCU’s 

recommendations, which is to turn all 

professional librarians to faculty position, 

both were reclassified to Academic 

Service Faculty. Being reclassified 

to new positions, both underwent 

the same probationary employment. 

Jojie Gonda, coordinator of the Technical 

Services which houses the Acquisitions, 

Collection Development and the 

Cataloging sections of the Library, got 

permanent after 3 years of probationary 

work as a cataloger and Filipiniana 

associate librarian. On her third year of 

probation, she was again transferred back 

to Cataloging and eventually got her 

current position. A full-fledge cataloger, 

Jojie aims to further improve the cataloging 

output in terms of quantity and quality. A 

graduate of University of the Philippines 

School of Library and Information 

Science (UP-SLIS), Jojie is an Academic 

Service Faculty (ASF) with rank 2-7. 

May Laureno Cajes, was first assigned as an 

assistant librarian at the Instructional Media 

Services. Having experienced working 

with instructional media, she became the 

very first fulltime systems librarian of 

the Library. She diligently worked with 

uplifting the status of the audiovisual 

collection by building contacts with the 

movie world, as well as those in connection 

to producing short films and educational 

films. May is currently on the thesis-writing 

stage for the degree of Master of Library 

and Information Science, also at UP-SLIS. 

She is currently having an ASF rank of I-2.

Filipiniana Section such as: a) author 

entries; b) title entries; c) series; d) genre; 

e) source entries; f) citation (i.e. call 

number and pagination); g) language; h) 

capitalization; i) punctuation; j) spelling; 

k) spacing; l) MARC tags; and m) MARC 

indicators. The literary works taken from 

the Filipiniana books were those with 

classification numbers GR (Folklore), (LG) 

Education General in Asia, (PL) Language 

& Literature, (PN) Literary History & 

Collection (General), (PQ) Romance 

Literatures and (PS) Philippine Literature. 

The only basis for this study were the 514 

titles equivalent to 18,470 entries that were 

checked and edited/corrected by the author 

himself from August 1, 2011 until February 

29, 2012. 

Purpose and Significance of the Study 

The results of the study may serve as a 

guide for the improvement of the Philippine 

Literary Works Index (LINDEX) database 

in the Filipiniana section of the De La Salle 

University Library in order to ensure an 

accurate and reliable database. 

The study is a follow-up assessment of 

the quality of the LINDEX database. It 

provides valuable insights into the problems 

encountered in the editing and indexing of 

the database. 

The research is a valuable contribution 

to the scanty literature on indexing of 

materials in the academic libraries. 

Methodology 

The study employed the qualitative and 

quantitative research design. As regards the 

qualitative research design, the author made 

use of the descriptive-analytical method 

to determine the quality of the database 

and to identify the erroneous entries. The 

quantitative research design was deemed 

appropriate since the author utilized 

descriptive statistics to count and tally the 

number of errors that were corrected, the 

number of entries that were not indexed, 

the number of entries that were deleted and 

suppressed in the database, and the number 

of entries that were checked without errors 

or corrections. The records included in 

this study were the 514 titles equivalent to 

18,470 entries that were already checked 

and edited/corrected by the author. 

An assessment of the quality of the database 

entailed the following procedures:

Books were pulled out individually 

from the shelves alphabetically by 

title. 

Title entries in the books were matched 

one-by-one with the title entries 

from the book database to determine 

whether they were indexed or not. 

For entries found with errors or 

corrections, entries were edited and 

corrected. 

For entries not yet indexed, records of 

entries were created. 

For entries that were only titles of 

chapters, entries were deleted. 

For entries of titles taken from 

photocopied books, record of entries 

were suppressed. 

For entries checked without errors or 

corrections, entries were marked with 

a check after the first line of entry in 

the master list. 

Entries for all items were tallied and 

counted. 

Presentation of Statistical Data and 

Analysis of Findings 

The LINDEX database in the Filipiniana 

section covers literary works in all forms 

such as biography, criticism, drama, essay, 

letters, novel, poetry, portraits, short story 

and speech. 

As of February 29, 2012, the total number 

of titles that were already edited and 

corrected was 514 titles equivalent to 

18,470 entries. Title entries in the books 

were matched one-by-one with the title 

entries from the book database to determine 

whether they were indexed or not. For 

entries found with errors or corrections, 

entries were edited and corrected. Records 

of entries were created for those entries 

not yet indexed. For entries that were only 

titles of chapters, entries were deleted 

while record of entries of titles taken from 

photocopied books were suppressed. The 

quality of the LINDEX database in terms 

of data elements such as: author and title 

entries, series, series, source, citation i.e. 

call number and pagination, language, 

capitalization, punctuation, spelling, 

MARC tags and MARC indicators was 

measured based on the number of errors 

edited and corrected. 

Out of 18,470 entries, 8,156 or 44.2% 

records were edited /corrected and these 

were: 

a) Author entries - out of 8,156 entries, 

3,770 or 46.2% were edited due to wrong 

entries in author’s name (i.e. author’s name 

not inverted, no middle initial, no birth/ 

death dates). Also, some entries of authors 

did not match with the established entries 

in the database. 

b) Title entries - 1,270 or 15.6% of 8,156 

entries did not match with title entries in the 

database especially if it has subtitle; parallel 

and added title. 

c) Series - 30 or 0.4% of 8,156 records 

were either edited or filled-up. 

d) Genre - out of 8,156 entries, 46 or 0.6% 

were edited due to incorrect use of genre 

such as biography, criticism, drama, essay, 

letters, novels, poetry, portraits, short story 

and speech. 

e) Source entries - For the source, 230 

(2.8%) out of 8,156 records had been 

edited/corrected because the source did 

not match with the title entries in the book 

database. 

f) Citation - For call number, only 10 

(0.1%) out of 8,156 records had been 

edited/corrected due to wrong call numbers. 

For pagination, 110 or 1.3% out of 8,156 

records entries had been edited/corrected. 

g) Language, Skip and Catalog Date 

- out of 8,156 records, 1,375 or 16.9% 

had been edited or filled-up because the 

indexer forgot to provide information on 

these items. 

h) Capitalization, Punctuation, Spelling 

and Spacing – out of 8,156 records, 

there were 220 (2.7%) errors in terms of 

capitalization. For punctuation, 160 or 

1.9% had been edited/corrected while 49 

or 0.6% records had been edited/corrected 

due to wrong spelling. For spacing, only 55 

or 0.7% records had been edited. 

i) MARC Tags and MARC Indicators 

- 334 or 4.1% out of 8,156 records were 

edited due to wrong MARC tags while 

497 or 6.1% had been edited/corrected for 

MARC indicators. (see Table 1).

There were entries that were not indexed 

by the indexer during the time of indexing. 

Maybe, the indexer did not have any way or 

system of checking titles that were already 

indexed. As mentioned earlier, the 1st and 

2nd edition of the Philippine Literary Works 

Index that came out did not cover all types 

of genre in literature. For those titles that 

were not yet indexed, records were created 

to complete the entries in the database. The 

table below shows that 679 entries or 3.7% 

of 18,470 entries were not indexed by the 

indexer. (see Table 2).

There were entries of some titles that should 

not be indexed because entries were only 

titles of chapters. The table below indicates 

that out of 18,470 entries of Filipiniana 

literary books, 1,062 entries or 5.7% were 

deleted in the database. (see Table 3).

There were entries cited from the photocopied 

books. Owing to the strict implementation 

of the policies governing the University’s 

intellectual property rights (IPR) policies, 

which necessitated the massive withdrawal 

of photocopied materials, records were 

suppressed in the database. The figures 

below shows that 588 entries or 3.2% out 

of 18,470 records were suppressed in the 

database. (see Table 4).

There were records in the database without 

errors or corrections. The indexer who 

created records for these particular items 

was very careful and familiar with the 

MARC 21 and AACR2 standards. The table 

below revealed that 7,985 entries or 43.2% 

out of 18,470 entries were records without 

errors or corrections. (see Table 5).

Problems that were encountered in the 

editing of the LINDEX database were: 

1. The fix field located above the 

bibliographic record particularly the 

language, skip and catalog date were 

not properly filled-up by the indexer. 

2. There was inconsistency in terms of 

author’s name wherein entries did 

not match with the established form 

of a name. 

3. Title entries did not match with title 

entries in the database. 

4. Series entries were not properly 

filled-up by the indexer if there is any 

information in the book. 

5. Genre for some entries were incorrectly 

used. 

6. Source entry did not match with the 

title entries in the database. 

7. The call number had insufficient 

spacing. 

8. Entries contained incomplete 

pagination. 

9. The indexer sometimes forget to 

include the co-authors. 

10. The indexer failed to index the 

biography of the author if it is given 

in the book. 

Creating and generating a good LINDEX 

database usually involves a lot of hard work 

and careful attention to details. A process 

of quality assurance should be developed 

and implemented right away to support the 

indexing process of the Philippine Literary 

Works Index and to ensure that a particular 

source of entries will always be represented 

in the same way it is given in the book 

database of the Filipiniana section. 

S u m m a r y , C o n c l u s i o n a n d 

Recommendation 

Summary of Findings 

The following are the findings of the 

study: 

1. The LINDEX database in the 

Filipiniana section covers literary 

works in all forms such as biography, 

criticism, drama, essay, letter, novel, 

poetry, portraits, short story, and 

speech. 

2. The 1st edition of Philippine Literary 

Works Index covers only poetry, short 

story, drama and biography while the 

2nd edition cover other types such as 

essay, novel and criticism in addition 

to the first edition. 

3. 8,156 entries or 44.2% of 18,470 

records were found erroneous. 

4. 679 entries or 3.7% of 18,470 records 

were not indexed by the indexer. 

5. 1,062 or 5.7 % of 18,470 records were 

deleted in the database. 

6. 588 entries or 3.2% of 18,470 records 

were suppressed in the database. 

7. 7,985 entries or 43.2% of 18,470 

records were checked without errors 

or corrections. 

8. Not all types of genre in literature had 

been covered in the 1st and 2nd edition 

of the Philippine Literary Works Index 

that came out in 1990 and in 1994. This 

is maybe the reason why a lot of entries 

for the previous literary books were not 

indexed by the indexer. 

Conclusion 

Based on the number of errors that were 

edited and corrected, it seems that the indexer 

lacks knowledge and familiarity with the 

MARC 21 and AACR2 standards. 

Recommendation 

Based on the conclusions presented, the 

following recommendations were made: 

1. The entire Philippine Literary Works 

Index (LINDEX) database should be 

thoroughly checked against the book

to ensure that no entries have been 

missed out from the index. 

Below are the recommended plans 

of action in improving the LINDEX 

database: 

2.1) The LINDEX database must 

undergo editing and proofreading 

of entries to ensure production 

of accurate and reliable database. 

2.2) The indexers need to attend 

more training on indexing to be 

familiarized with the MARC 21 

and AACR2 standards. This will 

help them in establishing correct 

entries in terms of data elements 

and this includes the following: 

author and title entries, series entry, 

genre, source, citation, language, 

capitalization, punctuation, spelling, 

MARC tags and MARC indicators. 

2.3) There should be a written guide 

in the indexing of the Philippine 

Literary Works Index wherein the 

indexer can consult from time to time 

to ensure consistency and quality 

of outputs.
