“One-Team-Building”<br />
<strong>April</strong> 19, 2012 was a red-letter<br />
day for the whole DLSU Library<br />
staff. The said day was the<br />
day for the group’s planning and teambuilding.<br />
Armed with cheers and different<br />
strategies, wearing T-shirts in Red, Yellow<br />
or Purple, 75 members of the <strong>De</strong> <strong>La</strong><br />
<strong>Salle</strong> <strong>University</strong> Library staff headed to<br />
Loreland Farm Resort, Antipolo City for<br />
their annual planning and team-building.<br />
The whole Library staff was divided into<br />
three teams, namely the Red, Yellow and<br />
Purple. Rolando Masindo and Yogusto<br />
Balbas, both from Circulation were the<br />
respective team captain and assistant<br />
team captain of the Red Team; Wilfredo<br />
Frias, Jr. (Acquisitions) headed the<br />
Yellow Team, assisted by Vivian Soriente<br />
(Circulation); while the Purple team was<br />
led by team captain Reynaldo Jimenez, Jr.<br />
(IMS) and assistant team captain Avelino<br />
“Bing” Dancalan (Systems Services).<br />
These three teams vied for the championship<br />
crown by going through Survivor-like<br />
ordeals, namely: a) balancing log, b) tight<br />
rope, c) mud crawl, d) Tarzan jump, e)<br />
amazing race (low ropes), and, f) mud slide.<br />
The mighty Yellow Team grabbed the most<br />
coveted crown, followed by the Purple<br />
“One Team Building”...see Page 3

“One Team Building”...from Page 1<br />
Team and the Red Team, respectively.<br />
The experience made each one of the<br />
staff members proud that they were able<br />
to hurdle the hardship of balancing self<br />
while walking on a log and walking on a<br />
tight rope, and the gory deed of crawling<br />
and sliding through the mud. The tasks<br />
made the whole Library team closer and<br />
appreciative of each other – the precise<br />
reason why the activity was planned.<br />
The activities after the contest were<br />
equally enjoyable ones, like swimming,<br />
videoke singing, and bonding by chitchatting,<br />
not to mention the meals<br />
that were taken by the whole group.<br />
Everybody left with smiles on their faces,<br />
the real proof that they all cherished the<br />
experience, and are looking forward to<br />
another set of experiences next year.<br />
The team-building activity was made possible<br />
by the careful and meticulous planning<br />
by the Committee members Jorge Rada<br />
(Cataloging), Joanna Siapno (Acquisitions),<br />
Janice Peňaflor (Collection <strong>De</strong>velopment),<br />
Donna Lyn <strong>La</strong>bangon (Information-<br />

Assessment of the DLSU Philippine Literary Works<br />
Index Database : a basis in proposing guide for the<br />
indexers<br />

Introduction<br />
The <strong>De</strong> <strong>La</strong> <strong>Salle</strong> <strong>University</strong> Library began<br />
its computerization of indexing processes<br />
using the CDS-ISIS software in 1989. The<br />
library came out with the 1st edition of the<br />
Philippine Literary Works Index (LINDEX)<br />
to DLSU holdings in 1990. It covers literary<br />
works such as poetry, short story, drama and<br />
biographies of Filipino writers taken from<br />
45 titles of Filipiniana books. It contains<br />
1,423 entries and consists of only three (3)<br />
parts namely, author index, title index and<br />
biography index. The computerized printed<br />
format came out using CDS-ISIS software<br />
in 1993. The Filipiniana section was able to<br />
compile and encode again the 2nd edition<br />
in 1994. Other types of literary works like<br />
essay, novel and criticisms were included<br />
in the first edition. The said section hired<br />
a contractual clerk to encode the 4,405<br />
records. The LINDEX is intended as a guide<br />
to Philippine literary works for the use of<br />
faculty, students and other researches. The<br />
proponent of this project was Ms. Lilia<br />
Abad-Simonton, then the Head of the<br />
Readers Services Unit.<br />
In 2008, Annabelle Aliwalas undertook an<br />
assessment of the LINDEX database that<br />
was uploaded in the Millennium Integrated<br />
Library System in 2005. The study used the<br />
stratified sampling method wherein every<br />
70th record of the total 28,424 entries from<br />
918 titles of Filipiniana literary books had<br />
been included in the sample. To obtain the<br />
sample size which is 400, the researcher<br />
used the Sloven’s formula. The Sloven’s<br />
formula is written as: n = N / (1+Ne^2); n =<br />
Number of samples; N = Total population;<br />
e = Error tolerance. On the whole, the study<br />
found out that the “quality of the LINDEX<br />
database is poor since most of the entries<br />
do not meet MARC21 (Machine-Readable<br />
Cataloging) and AACR2 (Anglo-American<br />
Cataloging Rules) standards.” The study<br />
recommended the editing of the entire<br />
database and the creation of a written guide<br />
which the indexers “can consult from time<br />
to time.”<br />
Between 2008 and 2010, there had been<br />
no systematic effort to edit the database<br />
of Philippine Literary Works. There were<br />
attempts on the part of the Filipiniana<br />
Librarian Bob Cauilan and Associate<br />
Librarian Jojie Gonda to undertake editing<br />
work. But these efforts were not sustained,<br />
due to the rotation of librarians from one<br />
section to another, which included both<br />
Cauilan and Gonda. When the author<br />
assumed the post of Filipiniana Librarian<br />
in January 2010, she embarked on the task<br />
of indexing the Rizaliana and Filipiniana<br />
rare collection.<br />
When Gonda was re-assigned to the<br />
Technical Services last May 25, 2011, the<br />
author, took over the indexing and editing<br />
of the LINDEX. She conducted a thorough<br />
checking of entries in the database with<br />
deficiencies in the encoding of the entries.<br />
Assisted by her staff, she embarked on an<br />
editing work from August 1, 2011 until<br />
February 29, 2012.<br />
Since indexing of Philippine Literary Works<br />
is an on-going project of the Filipiniana<br />
section, it deems necessary to conduct<br />
a follow-up assessment of the LINDEX<br />
database if only to appraise the quality of<br />
the database, that is, to eliminate errors<br />
and to ensure the accuracy of the entries<br />
in the database.<br />
Statement of the Problem<br />
This study assessed the Philippine Literary<br />
Works Index (LINDEX) Database in the<br />
Filipiniana section covering the period<br />
August 1, 2011 to February 29, 2012.<br />
Specifically, this study sought to answer<br />
the following questions:<br />
1) What is the quality of LINDEX<br />
database in terms of data elments?<br />
2) What is the total number of entries<br />
that are: a) not indexed by the indexer;<br />
b) deleted and suppressed in the<br />
database; and c) checked without errors<br />
or corrections?<br />
3) What problems are encountered by the<br />
indexer in the editing and indexing of<br />
the LINDEX database?<br />
4) What appropriate plans of action may<br />
be recommended in order to address<br />
problems that may have occurred<br />
while indexing literary works?<br />
Scope and Limitation of the Study<br />

Barsaga<br />
Agnes Barsaga, one of the dependable<br />
catalogers of the DLSU Library, and<br />
Janice Peňaflor, one of the busiest<br />
librarians of the Library, juggling duties<br />
of a Collection <strong>De</strong>velopment Librarian and<br />
the job of an associate American Corner<br />
librarian, obtained their master’s degree<br />
in Education, major in Library Science<br />
on <strong>March</strong> 23, 2012 at the Philippine<br />
Normal <strong>University</strong> (PNU), Manila.<br />
Barsaga graduated after successfully<br />
completing her thesis entitled Comparative<br />
analysis of the old and new cataloging<br />
process at the <strong>De</strong> <strong>La</strong> <strong>Salle</strong> <strong>University</strong><br />
Library, where she cited the differences and<br />
the similarities of the old and new processes<br />
in the Cataloging Section of the Library,<br />
and recommend several ways in further<br />
developing the present (new) process.<br />
As she graduated, Agnes says, “ [I am]<br />
just too grateful for being able to finally<br />
completing it [the degree] after so long.<br />
[I am] thankful for the support and<br />
assistance from our dear Institution,<br />
DLSU, colleagues in the library world,<br />
my advisers from PNU, as well as critics,<br />
friends, relatives, family. I am also very<br />
thankful for my sources of inspiration,<br />
my only son, Josh and husband, Web.”<br />
On the other hand, Janice patiently worked<br />
on An evaluation of DLSU library’s<br />
Filipiniana book collection vis-à-vis<br />
the Philippine National Bibliography:<br />
a basis for collection development plan<br />
for her thesis, one of the requirements<br />
in completing her master’s degree.<br />
Both are now entitles for reclassification<br />
t o A c a d e m i c S e r v i c e F a c u l t y<br />
Level II, where monetary and other<br />
benefits are higher and heftier.<br />

Janice Peňaflor<br />
Abrigo’s Paper Gets Published<br />
In a community where research publication<br />
is one of the goals of each citizen, Christine<br />
Abrigo, Assistant Director for Operations<br />
of the DLSU Library, fulfilled this most<br />
coveted goal this academic year.<br />
Together with good friend and former<br />
DLSU Library assistant librarian, Ms.<br />
Marian Ramos, Abrigo came up with a<br />
paper entitled Reference 2.0 in Action: an<br />
evaluation of the digital reference services<br />
in selected Philippine academic libraries.<br />
The paper was presented by Ms. Ramos at<br />
77th IFLA Conference in San Juan, Puerto<br />
Rico. Because the said paper was highly<br />
relevant in the field, Emerald Publishing<br />
published the paper at Library Hi Tech<br />
News, 2012, vol.29, issue # 1.<br />
The paper presented the current status<br />
of the digital reference services (DRS),<br />
specifically the use of Instant Messaging<br />
(IM) and the social networking sites of<br />
the Internet, by some selected academic<br />
libraries in the country. These libraries are<br />
the <strong>University</strong> of the Philippines Diliman,<br />

Ateneo <strong>De</strong> Manila Rizal Library, and the<br />
<strong>De</strong> <strong>La</strong> <strong>Salle</strong> <strong>University</strong> Library. The study<br />
used the survey method in gathering the<br />
nature, practice and impact of the selected<br />
library’s DRS. The study revealed that<br />
these new reference services are not yet<br />
maximized by the users, although most<br />
users now-a-days prefer to use the online<br />
reference services like Ask-a-Librarian,<br />
web forms, e-mails and facebook. The<br />
paper recommends beefing up of reference<br />
services by integrating web 2.0 applications<br />
to the current system being offered.<br />
Christine may file for research incentive<br />
for the publication of this paper, once her<br />
employment status becomes permanent.<br />
Jojie Gonda and May Cajes Become Permanent<br />
Jojie Gonda (Technical Services) and<br />
May Cajes (Systems Services) became<br />
permanent effective 3rd Term of AY 2011-<br />
2012. Both were first hired as assistant<br />
librarians of the DLSU Library, and in<br />
order to comply with one of PAASCU’s<br />
recommendations, which is to turn all<br />
professional librarians to faculty position,<br />
both were reclassified to Academic<br />
Service Faculty. Being reclassified<br />
to new positions, both underwent<br />
the same probationary employment.<br />
Jojie Gonda, coordinator of the Technical<br />
Services which houses the Acquisitions,<br />
Collection <strong>De</strong>velopment and the<br />
Cataloging sections of the Library, got<br />
permanent after 3 years of probationary<br />
work as a cataloger and Filipiniana<br />
associate librarian. On her third year of<br />
probation, she was again transferred back<br />
to Cataloging and eventually got her<br />
current position. A full-fledge cataloger,<br />
Jojie aims to further improve the cataloging<br />
output in terms of quantity and quality. A<br />
graduate of <strong>University</strong> of the Philippines<br />
School of Library and Information<br />
Science (UP-SLIS), Jojie is an Academic<br />
Service Faculty (ASF) with rank 2-7.<br />
May <strong>La</strong>ureno Cajes, was first assigned as an<br />
assistant librarian at the Instructional Media<br />
Services. Having experienced working<br />
with instructional media, she became the<br />
very first fulltime systems librarian of<br />
the Library. She diligently worked with<br />
uplifting the status of the audiovisual<br />
collection by building contacts with the<br />
movie world, as well as those in connection<br />
to producing short films and educational<br />
films. May is currently on the thesis-writing<br />
stage for the degree of Master of Library<br />
and Information Science, also at UP-SLIS.<br />
She is currently having an ASF rank of I-2.<br />

e) source entries; f) citation (i.e. call<br />
number and pagination); g) language; h)<br />
capitalization; i) punctuation; j) spelling;<br />
k) spacing; l) MARC tags; and m) MARC<br />
indicators. The literary works taken from<br />
the Filipiniana books were those with<br />
classification numbers GR (Folklore), (LG)<br />
Education General in Asia, (PL) <strong>La</strong>nguage<br />
& Literature, (PN) Literary History &<br />
Collection (General), (PQ) Romance<br />
Literatures and (PS) Philippine Literature.<br />
The only basis for this study were the 514<br />
titles equivalent to 18,470 entries that were<br />
checked and edited/corrected by the author<br />
himself from August 1, 2011 until February<br />
29, 2012.<br />
Purpose and Significance of the Study<br />
The results of the study may serve as a<br />
guide for the improvement of the Philippine<br />
Literary Works Index (LINDEX) database<br />
in the Filipiniana section of the <strong>De</strong> <strong>La</strong> <strong>Salle</strong><br />
<strong>University</strong> Library in order to ensure an<br />
accurate and reliable database.<br />
The study is a follow-up assessment of<br />
the quality of the LINDEX database. It<br />
provides valuable insights into the problems<br />
encountered in the editing and indexing of<br />
the database.<br />
The research is a valuable contribution<br />
to the scanty literature on indexing of<br />
materials in the academic libraries.<br />
Methodology<br />
The study employed the qualitative and<br />
quantitative research design. As regards the<br />
qualitative research design, the author made<br />
use of the descriptive-analytical method<br />
to determine the quality of the database<br />
and to identify the erroneous entries. The<br />
quantitative research design was deemed<br />
appropriate since the author utilized<br />
descriptive statistics to count and tally the<br />
number of errors that were corrected, the<br />
number of entries that were not indexed,<br />
the number of entries that were deleted and<br />
suppressed in the database, and the number<br />
of entries that were checked without errors<br />
or corrections. The records included in<br />
this study were the 514 titles equivalent to<br />
18,470 entries that were already checked<br />
and edited/corrected by the author.<br />
An assessment of the quality of the database<br />
entailed the following procedures:<br />

Books were pulled out individually<br />
from the shelves alphabetically by<br />
title.<br />
Title entries in the books were matched<br />
one-by-one with the title entries<br />
from the book database to determine<br />
whether they were indexed or not.<br />
For entries found with errors or<br />
corrections, entries were edited and<br />
corrected.<br />
For entries not yet indexed, records of<br />
entries were created.<br />
For entries that were only titles of<br />
chapters, entries were deleted.<br />
For entries of titles taken from<br />
photocopied books, record of entries<br />
were suppressed.<br />
For entries checked without errors or<br />
corrections, entries were marked with<br />
a check after the first line of entry in<br />
the master list.<br />
Entries for all items were tallied and<br />
counted.<br />
Presentation of Statistical Data and<br />
Analysis of Findings<br />
The LINDEX database in the Filipiniana<br />
section covers literary works in all forms<br />
such as biography, criticism, drama, essay,<br />
letters, novel, poetry, portraits, short story<br />
and speech.<br />
As of February 29, 2012, the total number<br />
of titles that were already edited and<br />
corrected was 514 titles equivalent to<br />
18,470 entries. Title entries in the books<br />
were matched one-by-one with the title<br />
entries from the book database to determine<br />
whether they were indexed or not. For<br />
entries found with errors or corrections,<br />
entries were edited and corrected. Records<br />
of entries were created for those entries<br />
not yet indexed. For entries that were only<br />
titles of chapters, entries were deleted<br />
while record of entries of titles taken from<br />
photocopied books were suppressed. The<br />
quality of the LINDEX database in terms<br />
of data elements such as: author and title<br />
entries, series, series, source, citation i.e.<br />
call number and pagination, language,<br />
capitalization, punctuation, spelling,<br />
MARC tags and MARC indicators was<br />
measured based on the number of errors<br />
edited and corrected.<br />
Out of 18,470 entries, 8,156 or 44.2%<br />
records were edited /corrected and these<br />
were:<br />
a) Author entries - out of 8,156 entries,<br />
3,770 or 46.2% were edited due to wrong<br />
entries in author’s name (i.e. author’s name<br />
not inverted, no middle initial, no birth/<br />
death dates). Also, some entries of authors<br />
did not match with the established entries<br />
in the database.<br />
b) Title entries - 1,270 or 15.6% of 8,156<br />
entries did not match with title entries in the<br />
database especially if it has subtitle; parallel<br />
and added title.<br />
c) Series - 30 or 0.4% of 8,156 records<br />
were either edited or filled-up.<br />
d) Genre - out of 8,156 entries, 46 or 0.6%<br />
were edited due to incorrect use of genre<br />
such as biography, criticism, drama, essay,<br />
letters, novels, poetry, portraits, short story<br />
and speech.<br />
e) Source entries - For the source, 230<br />
(2.8%) out of 8,156 records had been<br />
edited/corrected because the source did<br />
not match with the title entries in the book<br />
database.<br />
f) Citation - For call number, only 10<br />
(0.1%) out of 8,156 records had been<br />
edited/corrected due to wrong call numbers.<br />
For pagination, 110 or 1.3% out of 8,156<br />
records entries had been edited/corrected.<br />
g) <strong>La</strong>nguage, Skip and Catalog Date<br />
- out of 8,156 records, 1,375 or 16.9%<br />
had been edited or filled-up because the<br />
indexer forgot to provide information on<br />
these items.<br />
h) Capitalization, Punctuation, Spelling<br />
and Spacing – out of 8,156 records,<br />
there were 220 (2.7%) errors in terms of<br />
capitalization. For punctuation, 160 or<br />
1.9% had been edited/corrected while 49<br />
or 0.6% records had been edited/corrected<br />
due to wrong spelling. For spacing, only 55<br />
or 0.7% records had been edited.<br />
i) MARC Tags and MARC Indicators<br />
- 334 or 4.1% out of 8,156 records were<br />
edited due to wrong MARC tags while<br />
497 or 6.1% had been edited/corrected for<br />
MARC indicators. (see Table 1).<br />

Maybe, the indexer did not have any way or<br />
system of checking titles that were already<br />
indexed. As mentioned earlier, the 1st and<br />
2nd edition of the Philippine Literary Works<br />
Index that came out did not cover all types<br />
of genre in literature. For those titles that<br />
were not yet indexed, records were created<br />
to complete the entries in the database. The<br />
table below shows that 679 entries or 3.7%<br />
of 18,470 entries were not indexed by the<br />
indexer. (see Table 2).<br />

There were entries of some titles that should<br />
not be indexed because entries were only<br />
titles of chapters. The table below indicates<br />
that out of 18,470 entries of Filipiniana<br />
literary books, 1,062 entries or 5.7% were<br />
deleted in the database. (see Table 3).<br />

There were entries cited from the photocopied<br />
books. Owing to the strict implementation<br />
of the policies governing the <strong>University</strong>’s<br />
intellectual property rights (IPR) policies,<br />
which necessitated the massive withdrawal<br />
of photocopied materials, records were<br />
suppressed in the database. The figures<br />
below shows that 588 entries or 3.2% out<br />
of 18,470 records were suppressed in the<br />
database. (see Table 4).<br />

There were records in the database without<br />
errors or corrections. The indexer who<br />
created records for these particular items<br />
was very careful and familiar with the<br />
MARC 21 and AACR2 standards. The table<br />
below revealed that 7,985 entries or 43.2%<br />
out of 18,470 entries were records without<br />
errors or corrections. (see Table 5).<br />

Problems that were encountered in the<br />
editing of the LINDEX database were:<br />
1. The fix field located above the<br />
bibliographic record particularly the<br />
language, skip and catalog date were<br />
not properly filled-up by the indexer.<br />
2. There was inconsistency in terms of<br />
author’s name wherein entries did<br />
not match with the established form<br />
of a name.<br />
3. Title entries did not match with title<br />
entries in the database.<br />
4. Series entries were not properly<br />
filled-up by the indexer if there is any<br />
information in the book.<br />
5. Genre for some entries were incorrectly<br />
used.<br />
6. Source entry did not match with the<br />
title entries in the database.<br />
7. The call number had insufficient<br />
spacing.<br />
8. Entries contained incomplete<br />
pagination.<br />
9. The indexer sometimes forget to<br />
include the co-authors.<br />
10. The indexer failed to index the<br />
biography of the author if it is given<br />
in the book.<br />
Creating and generating a good LINDEX<br />
database usually involves a lot of hard work<br />
and careful attention to details. A process<br />
of quality assurance should be developed<br />
and implemented right away to support the<br />
indexing process of the Philippine Literary<br />
Works Index and to ensure that a particular<br />
source of entries will always be represented<br />
in the same way it is given in the book<br />
database of the Filipiniana section.<br />
S u m m a r y , C o n c l u s i o n a n d<br />
Recommendation<br />
Summary of Findings<br />
The following are the findings of the<br />
study:<br />
1. The LINDEX database in the<br />
Filipiniana section covers literary<br />
works in all forms such as biography,<br />
criticism, drama, essay, letter, novel,<br />
poetry, portraits, short story, and<br />
speech.<br />
2. The 1st edition of Philippine Literary<br />
Works Index covers only poetry, short<br />
story, drama and biography while the<br />
2nd edition cover other types such as<br />
essay, novel and criticism in addition<br />
to the first edition.<br />
3. 8,156 entries or 44.2% of 18,470<br />
records were found erroneous.<br />
4. 679 entries or 3.7% of 18,470 records<br />
were not indexed by the indexer.<br />
5. 1,062 or 5.7 % of 18,470 records were<br />
deleted in the database.<br />
6. 588 entries or 3.2% of 18,470 records<br />
were suppressed in the database.<br />
7. 7,985 entries or 43.2% of 18,470<br />
records were checked without errors<br />
or corrections.<br />
8. Not all types of genre in literature had<br />
been covered in the 1st and 2nd edition<br />
of the Philippine Literary Works Index<br />
that came out in 1990 and in 1994. This<br />
is maybe the reason why a lot of entries<br />
for the previous literary books were not<br />
indexed by the indexer.<br />
Conclusion<br />
Based on the number of errors that were<br />
edited and corrected, it seems that the indexer<br />
lacks knowledge and familiarity with the<br />
MARC 21 and AACR2 standards.<br />
Recommendation<br />
Based on the conclusions presented, the<br />
following recommendations were made:<br />
1. The entire Philippine Literary Works<br />
Index (LINDEX) database should be<br />
thoroughly checked against the book<br />

Below are the recommended plans<br />
of action in improving the LINDEX<br />
database:<br />
2.1) The LINDEX database must<br />
undergo editing and proofreading<br />
of entries to ensure production<br />
of accurate and reliable database.<br />
2.2) The indexers need to attend<br />
more training on indexing to be<br />
familiarized with the MARC 21<br />
and AACR2 standards. This will<br />
help them in establishing correct<br />
entries in terms of data elements<br />
and this includes the following:<br />
author and title entries, series entry,<br />
genre, source, citation, language,<br />
capitalization, punctuation, spelling,<br />
MARC tags and MARC indicators.<br />
2.3) There should be a written guide<br />
in the indexing of the Philippine<br />
Literary Works Index wherein the<br />
indexer can consult from time to time<br />
to ensure consistency and quality<br />
of outputs.<br />
