Quick Reference Guidelines for the Technical Specification
Template - 4 th draft - 14 April 1998
General Recommendations about Using the Template
− Please note that the Template just refers to the Technical Part of the Invitation
to Tender Document
− the Commercial Part is under responsibility of the SPL division
− however, all commercial requirements, which are of technical interest (e.g. one
might not allow the subcontracting of any part of the equipment) should also be
mentioned in the Technical Specification in order to give the responsible
designers all necessary information
− please refer to the CERN Contract Conditions; only repeat if absolutely
necessary
− You should use the clause and sub-clause structure
− a list of further sub-clauses is given in the Annex of this Guideline
− For some clauses mandatory paragraphs are given (see electronic version of the
Template)
− Where possible, make references to the corresponding clauses of the applicable
documents and only repeat if absolutely necessary
− Since Specifications are official CERN documents, you should not change the
layout of the Template
Applicable Documents
− Safety Codes: “List and Summaries of TIS Safety Documents” TIS/DI 97-46,
regularly updated
− CERN Contract Conditions
− Abstract of the purchasing procedures - 14 July 1997
− LHC Quality Assurance Plan
− Technical Specifications and Market Surveys Standards
1.1 The Cern Laboratory •
1.2 The LHC Project •
1.3 The Subject of the Specification •
2. Scope and Object
You must use the standard text.
Give a brief overview on all relevant points. You should also describe, how
the object is related to the LHC-Machine.
2.1 Scope of the Supply
Refer to Cern Contract Conditions. Only repeat if absolutely necessary.
Note that this is just a short repetition of technically relevant points,
Choose carefully which of the paragraphs are necessary. The list given in
the Template is not complete.
Use the suggested format for references.
Here you should also give a complete list of all annexed drawings.
Approval and Archiving Procedure (in Preparation)
Requirements for the Insertion of the Document in EDMS
− Only applications approved by the desktop forum (available at NICE) should be
used to create the documents
− The use of Apple Macintosh applications like Mac Draw or Canvas causes
problems in interchanging the files to standard Windows applications; it is strongly
recommended to work on Windows 95 or Windows NT platforms only
− The Template was designed on Word 95, we can not give any guarantee that it will
work correctly on Word 97
− All technical illustrations and tables should be embedded in the word file (this is
necessary for archiving the document)
− only CDD drawings should be annexed to the document
− A list of enclosed CDD drawings should be made available in clause 5 “Applicable
Documents”
− please list the number of the drawing without blank characters and then,
separated by one blank character, the revision index:
Drawing Number Rev.Ind. Title
LHCXXXXXnnnn XX Title
LHCCLJ1UQ0001 AA Cryogenic Layout … (Example)
− preferably copy the drawing list directly from CDD (refer to the Quick
Reference Guidelines for Secretaries)
− Technical illustrations must have an identifier and also need to be approved
Annexes
− List of Subheadings
− Extract from ISO/IEC Recommendations
