DUTIES AND RESPONSIBILITIES<br />

Under the overall supervision of the head of the Telephone Billing Unit, the incumbent will be<br />

responsible for the following duties:<br />

Issuing/cancelling of pin codes using specific software<br />

Maintains all Communication Equipment stored in Telephone Billing; preparing the<br />

equipment for issuance whenever required;<br />

Issuing mobiles /satellite phones -and sim cards, inspects incoming items,considering<br />

future usage of them. Maintains accurate records of issuances/returns.<br />

Processing data relating to the telephone charges into a database system;<br />

Periodicaly making analysis of expenditures/recoveries of all Commercial<br />

Communications Services;<br />

Designs and develops spreadsheet reports and databases using various software<br />

platforms in accordance with instructions received from supervisor.<br />

Assist in the process of billing users for ICT services<br />

The incumbent will prepare and consolidate the staff members' telephone bills, assist<br />

with monthly statement of the various telephone service charges to be sent to the<br />

Finance Section; ensure a proper system of record for the telephone charges made and<br />

to implement a good filing system manually and electronically;<br />

Assist in the tracking of commercial ICT services procured for the Mission and their<br />

timely payment.<br />

Prepares Telephone accounts statement of personal calls made by staff, for MSA/VLA/<br />

recovery action submission to Finance office.<br />

Reviews claims and reports<br />

Provides advice and guidelines to staff, with respect to guidelines, administrative<br />

instructions and procedures.<br />

Investigates staff telephone accounts before checkout clearance is authorized.<br />

Prepares supporting documents to facilitate payments to Service providers;<br />

Updates all Telephone Billing Unit databases.<br />

Maintains internal filing/ archiving.<br />

Sorts and distributes or processes mail and other documents.<br />

Uses basic keyboard and word processing skills to prepare forms and short documents<br />

(e.g. memos, letters, faxes, electronic mail, etc.)<br />

Receives phone calls and visitors and refers them to the appropriate source or reply<br />

personally to queries when possible.<br />

Photocopies a variety of documents and other materials.<br />

Delivers urgent mail/messages.<br />

Operates a variety of office equipment in the performance of basic office functions, e.g.<br />

photocopier, facsimile, printer, scanner, etc.<br />

Maintain accurate records of administrative matters such as Attendance Records, Leave<br />

Plans, Training, travel, payments, work orders, etc.<br />

Performs other duties as assigned.<br />

QUALIFICATIONS<br />

United Nations Support Office for AMISOM (UNSOA)<br />

Education:<br />

High School diploma or equivalent. A combination of relevant certification/diploma or other<br />

academic qualifications/training is desirable.<br />

Experience:<br />

At least five (5) years of progressively responsive work experience in the same or related field.<br />

Languages:<br />

English and French are the working languages of the United Nations Secretariat. For the post<br />

advertised, fluency in oral and written English is required. Knowledge of another official United<br />

Nations language and/or the local language is an advantage. The candidate must be able to write<br />

and correct working documents in English language.<br />

Other Skills:<br />

The Assistant should be fully conversant with Microsoft Office applications especially using<br />

Microsoft Excel, and must possess skills and experience in the general administration of financial<br />

resources. Knowledge of basic clerical functions as well as Ability to operate standard office<br />

equipment is required.<br />
