EmailXtender is a complete records
management solution for email and instant
messages (IM). The solution provides
complete management of the email life cycle,
from creation of the email record to disposition or
record deletion. EmailXtender enables compliance
with SEC and other regulatory requirements
regarding email record retention and archiving.
It also helps organizations reduce the risks and
costs associated with responding to litigation or
discovery requests by ensuring that email and IM
records cannot be altered, providing full auditing
and reporting, and ensuring that messages are
easily accessible.
EmailXtender also helps reduce the costs associated
with the management and storage of email.
It keeps the Domino mail server small, resulting in
reduced backup times and improved performance.
EmailXtender also allows Notes administrators to
restore lost or deleted emails in seconds and
minutes rather than hours.

How It Works
EmailXtender automatically captures all
incoming and outgoing email and moves it off
of the Domino server and into the EmailXtender
archival database. The messages are full-text
indexed, duplicates are removed, and the data
is compressed. The archiving is completely
transparent to users, who continue to see a
message shortcut in their inbox which can be
accessed simply by clicking on the message.
Reduces Storage Costs
EmailXtender helps Notes environments reduce
their email-related storage costs by moving data
off of the Domino server. Storage costs are also
kept low because EmailXtender stores a single
copy of each message and compresses the data.
For every incoming and outgoing message,
EmailXtender eliminates duplicate messages,
while retaining a record of all users who sent or

size of both the Domino server and the
EmailXtender archival database small, while
ensuring the integrity of the archive. The result –
less data to back up overall, less tape usage, and
less offsite storage usage.
Reduces Email Recovery Times
Today’s email administrators increasingly spend
much of their time retrieving lost or deleted email
for users. EmailXtender’s full-text indexing and
powerful search capabilities allow administrators
to find lost email in minutes rather than pulling
backup tapes and searching for hours. They can
search for email and attachments using field, date
range, full-text, Boolean, natural language, and
other criteria. EmailXtender’s search tools are
available to administrators, Lotus Notes users via a
plug-in on their Notes client, or via web browser.
Multi-mailbox search for administrators and other
authorized personnel is also included.

Companies without a comprehensive email
management system such as EmailXtender face
great risks related to electronic discovery. Without
such a system, an email-related litigation or
discovery request can became a large financial and
resource burden, forcing companies to employ
outside resources for weeks or months because
they do not have the resources for such a large
project in-house.
But with EmailXtender in place, every email is
captured as it is sent or received, and is moved into
the archival database. Full-text indexing and
powerful search tools ensure that requested emails
can be produced in minutes rather than weeks or
months, reducing the risks.
Indexing
EmailXtender performs full-text indexing of subject
line, message body, and attachments. In addition,
the indexing technology is extremely efficient –
producing index data that is 10% the size of the
message and attachments.
Enables Regulatory Compliance
EmailXtender enables compliance with SEC 17a-4,
HIPAA, 21 CFR Part II, DOD 5015.2-STD, and other
regulations regarding email retention. Indexing and
search tools make data easily accessible.
Compression and single-instance message capture
allows for retention without high storage costs.
EmailXtender also provides the ability to store data
on non-rewriteable, non-erasable storage media.
