CHARTWELLS CATERING<br />
Wel<strong>com</strong>e to Chartwells Catering on the Missouri University of Science and<br />
Technology Campus! This guide details the functions and capabilities of<br />
Chartwells Catering at Missouri S&T and describes services available. The<br />
<strong>com</strong>plete range of service is not limited to the selection in this manual; we<br />
attempt to meet all the unique needs of each individual.<br />
ROOM RESERVATIONS<br />
Room reservations for the Havener Center are made through the Havener<br />
Center Operations Office. Please call 573-341-4399 to confirm a room<br />
reservation prior to placing a catering order or email reserve@mst.<strong>com</strong>.<br />
Chartwells Catering is not responsible for room setup; please inform Havener<br />
Center Operations Office of your setup when booking your room reservation.<br />
MENU PLANNING & BOOKING<br />
We kindly ask that you submit your catering order three (3) weeks prior<br />
to your event to assure ample time for appropriate staffing, the ordering<br />
of linen and the highest quality of product. Events scheduled less than 3<br />
days prior to your event, not including your event date, will incur a 15% late<br />
booking fee. We will make every effort to ac<strong>com</strong>modate last minute increases<br />
however; this may result in necessary menu revisions.<br />
OFF SITE CATERING<br />
The primary purpose of the Catering Department at Missouri S&T is to<br />
provide outstanding service to the university as well as the surrounding<br />
<strong>com</strong>munity. We will be more than happy to work with you if you would like to<br />
hold your catered event off campus. Please contact our Catering Department<br />
at 573-341-7019 for more information. Delivery fees may apply.
GUARANTEES<br />
Please let us know your final number of participants at least 72 hours<br />
prior to your event. We will make every effort to ac<strong>com</strong>modate last minute<br />
increases however; this may result in necessary menu revisions. The event<br />
location and or venue should also be contacted with final numbers to ensure<br />
proper arrangements. If a final count is not received, we will consider the<br />
amount indicated on the original order as the guarantee. The guarantee<br />
is not subject to reduction after the deadline. Your billing is based on the<br />
final guarantee. If the number served is higher, we will charge accordingly.<br />
If your number of guests exceeds 10% of your final guarantee then a 15%<br />
fee will be charged on the exceeded total. Should Missouri S&T be closed<br />
due to weather, all events will be automatically cancelled. Please contact the<br />
Catering Office to reschedule.<br />
SERVICE TIMES<br />
A service time of two hours is included in all event menu pricing; please<br />
notify the catering office if there will be a program during the meal. Events<br />
exceeding the two-hour time frame will incur a $15.00 per hour, per<br />
attendant service charge.<br />
DELIVERY<br />
A charge of $35.00 or 3% of the total invoice, whichever is greater, will be<br />
applied to all off campus events.<br />
CONFIRMATION / BILLING<br />
Functions requesting tax exemption must provide necessary form and ID<br />
number before the time of the event. A copy of the final arrangements and<br />
the necessary billing information will be sent to you. Please review all the<br />
information for your event: date, time of delivery, set-up, and food/beverage<br />
order. If we do not receive confirmation, the preparation and billing will be<br />
based on the original reservation contract. Services may be paid by cash,<br />
check, or credit card (Visa, MasterCard, or Discover). Payment terms are<br />
net 30 days. Non-University customers will be required to provide a 50%<br />
deposit of the guarantee, and the final balance is due 2 business days<br />
prior to your scheduled event. <strong>In</strong> the event your group will be arriving later<br />
than scheduled, please notify the Catering Director as soon as possible. All<br />
cancellations of food service should be made no less than 72 hours prior to<br />
your event. Events cancelled within 1 business day of event and no shows
will be charged 100% of estimated costs.<br />
PRICING<br />
All prices in this brochure are a guideline, and are subject to change<br />
depending on raw food cost. You must contact the Catering Office for a<br />
current price quote.<br />
PERISHABLE FOOD POLICY<br />
Food safety is a high priority for Chartwells Dining Services. <strong>In</strong> adherence<br />
with the local health department regulations, it is our strict policy that there<br />
will be no credit given or carry out of perishable food not consumed at your<br />
event. Therefore, we reserve the right to deny the removal of leftover food<br />
by the customer. For the safety of you and your guests, foods that needs<br />
to be hot or cold, will be removed after a limit of one and a half hours or as<br />
determined by catering staff.<br />
LIABILITY<br />
All catering equipment and supplies are the responsibility of the host/hostess<br />
for the entirety of the event. A charge of $50 will be added to your invoice for<br />
any item found missing upon pickup. Chartwells catering is not liable for any<br />
equipment, supplies or personal belongings left in public areas.<br />
ALCOHOL AND BAR SERVICE<br />
University approval for consumption of any alcohol at any event held on<br />
campus must be obtained through the office of Havener Center Operations<br />
at 573-341-4399. To provide adequate staffing and the Alcohol Beverage<br />
Permit must be <strong>com</strong>pleted and delivered to the Catering office at least three<br />
(3) working days prior to your event.<br />
STUDENT SERVICE<br />
Chartwells is pleased to offer a 10% discount for any event held in the<br />
Havener Center by a University Recognized Student Group. Look at the new<br />
Student Group Catering Menu for specials and updates.<br />
CATERING WAIT STAFF<br />
All buffet and plated meals include adequate wait staff. Should you desire<br />
additional servers, or for an event that attendants are not assigned, you will<br />
be billed $12.00 per hour service fee. Bartenders are available at $25.00
per hour. As a standard, all catering orders are set up with china service in<br />
the Havener Center. China service is available outside the building for an<br />
additional $2.00 per person. Disposable service is also available.<br />
LINEN SERVICE<br />
Basic linen service will be provided for all catering events. Any specialty<br />
linens or colors must be requested in advance. If additional linen is needed<br />
for registration or skirted display tables, additional fees will apply.<br />
