TOS/AGU/ASLO <strong>20</strong>12 Ocean Sciences Meeting<br />
Student Workshops<br />
Tuesday, 21 <strong>February</strong> <strong>20</strong>12, and Thursday, 23 <strong>February</strong> <strong>20</strong>12<br />
12:30 to 14:00, Ballrooms A & B<br />
Student workshops on a variety of topics related to career development<br />
will be held on Tuesday and Thursday over lunch. Workshop<br />
topics include: Ethics in Science; Outlooks in Oceanography; Presentation<br />
Design & Delivery; and Network Science and Collaborations. A<br />
limited number of lunches will be provided on a first-<strong>com</strong>e, first-served<br />
basis. Flyers outlining all student activities will be provided at the<br />
Registration Desk and Student Lounge, and will include additional<br />
information about the workshop topics and speakers.<br />
Student Career Center and Lounge<br />
Monday – Friday, Exhibit Hall<br />
A large area near the society booths in the exhibit hall will be reserved<br />
for the Student Career Center and Lounge, where students can access<br />
career information, relax and check email, and meet with other<br />
students. Bulletin Boards will be provided for posting CVs (one page<br />
only), as well as information on up<strong>com</strong>ing meetings, educational opportunities,<br />
and job announcements.<br />
ASLO Multicultural Program<br />
Since its start in 1990 the ASLO Multicultural Program has brought<br />
over 750 diverse undergraduate and graduate students to the annual<br />
ASLO meetings. Many have gone on for advanced degrees and several<br />
have served on the ASLO BOD and various <strong>com</strong>mittees. The program<br />
features a pre-conference dinner and field trip, meeting-mentors to help<br />
guide the students, a student-symposium, and various other activities.<br />
The goal of the program is to increase the human diversity of aquatic<br />
scientists. This year 65 students will participate. For more information,<br />

Early Career Mixer<br />
Monday, <strong>20</strong> <strong>February</strong> <strong>20</strong>12, 18:00 to 19:30, North Foyer - SPCC<br />
A “meet and mix” reception is planned and organized by members<br />
of the ASLO early career <strong>com</strong>mittee to give early career members an<br />
opportunity to provide feedback on various topics relevant to them,<br />
including any concerns or expectations as an early career member. This<br />
is a social gathering for all early career members to get to know each<br />
other and to network. Refreshments will be served.<br />
Oral Presentations<br />
Advance Submission<br />
Prior to the meeting, speakers received an email with login credentials<br />
and instructions to submit online. Please make sure to upload all media<br />
files required for your presentation. Any necessary video or audio files<br />
not included in your online upload folder along with your PowerPoint<br />
will cause your presentation to fail in the meeting room. Please see the<br />

list of preferred media formats below. Speakers who submit in advance<br />
will have a faster check in at the Presentation Room. Although online<br />
submission may not be required, it is strongly encouraged.<br />
Submissions will also be accepted on-site in the Presentation Room,<br />
Room 251 C at the Salt Palace Convention Center, and you also can<br />
upload to the Web site throughout the conference.<br />
File Formats<br />
The following presentation file types are acceptable for online submission:<br />
• Microsoft Office PowerPoint (.ppt), (.pptx)<br />
• Adobe Acrobat (.pdf)<br />
Microsoft PowerPoint Tips<br />
PowerPoint embeds image files directly into the file when you save<br />
them, while video files are not embedded. Only a link is made to the<br />
video file. Copy the video clips you want to insert into the same folder<br />
as the PowerPoint file. This will eliminate the problem of PowerPoint<br />
losing the link to the file. Be certain to bring the video files and the<br />
PowerPoint files to the meeting.<br />
Fonts<br />
Arial and Helvetica are re<strong>com</strong>mended for clarity and <strong>com</strong>patibility.<br />
Confirm a font size of AT LEAST <strong>24</strong> points for body text and 36 – 40<br />
points for headings. Light colored text on a dark background is advised.<br />
Avoid using red or green. Confirm that the maximum number of lines<br />
in text slides is no more than 6 or 7.<br />
Images<br />
The size of the screen will be 10<strong>24</strong> x 768 pixels, meaning that any image<br />
with more pixels in the X or Y coordinate that is more than that will not<br />
be displayed. The image will be altered by PowerPoint to fit. Large images<br />
(i.e. <strong>20</strong>00 x 1500 pixels) which are created with digital cameras and<br />
scanners will make the resulting PowerPoint file very large. This may<br />
cause the presentation to load slowly. This can be avoided by inserting<br />
images with the following properties:<br />
Format = (.jpg)<br />
Re<strong>com</strong>mended Size = (800x600 pixels)<br />
Compression Setting = 8 (High quality)<br />
Use the “Insert” feature of PowerPoint to add images to your presentations.<br />
Do not copy/paste them into the slide or click and drag.<br />
Video/Audio<br />
List of Preferred Media (Video/Audio) Formats: .wmv, .mpg, .avi, .mov<br />
Please try to keep the video files size to less than <strong>20</strong>MB if possible. Use<br />
short video segments when needed.<br />
List of Specific Compatible Codecs:<br />
• Microsoft - RLE, Video1, Windows Media Series 8 and 9<br />
• Divx 3/4/5
