<strong>Greater</strong> <strong>Wichita</strong> <strong>YMCA</strong>, we offer the options you may be<br />
looking for in our School Age Child Care (SACC) program.<br />
With locations throughout <strong>Wichita</strong> and surrounding<br />
communities our programs have a long history of helping<br />
children grow in spirit, mind and body.<br />
Through SACC, the Y seeks to answer those tough questions<br />
you have about care programs like... Is my child safe Is s/he<br />
being supervised by a quality care provider Are good habits<br />
being developed for homework, healthy snacking or physical<br />
fitness<br />
<strong>YMCA</strong>’s SACC program answers these challenges through<br />

FEES<br />
A $30 non-refundable enrollment fee is required<br />
each school year for each child in the SACC program.<br />
Parents with varied schedules may choose the<br />
number of days their child(ren) will attend each week<br />
(days must remain the same each week). Varied<br />
schedules will be accepted based on availability at<br />
each site. Weekly fees will be based on most number<br />
of days enrolled and will remain the same throughout<br />
the year; fees will not fluctuate.<br />
INCOME-BASED PRICING<br />
Partial scholarships are available through our<br />
income-based pricing program, and are based on<br />
need. Confidential applications are available at any<br />
<strong>YMCA</strong> location or online at www.ymcawichita.org,<br />
and require a letter of denial by DCF, federal income<br />
tax form and two most recent pay check stubs,<br />
government assistance verification, and proof of<br />
other assistance. Please allow ten business days<br />
for processing your application. Fees not covered by<br />
income-based scholarships or a third party are the<br />
sole responsibility of the parent/guardian. Approval<br />
for assistance does not guarantee enrollment<br />
and placement.<br />
LATE PICK-UP FEE<br />
If children are picked up after 6:00 p.m., a minimum<br />
$10 late pick up fee will be charged. If picked up<br />
after 6:10 p.m. an additional late fee charge of<br />
$1.00 per minute will be assessed. Late pick-up<br />
fees must be paid before the child(ren) may<br />
return to the program. Chronic LATE PICK-UP is<br />
grounds for dismissal from a SACC program.<br />
DAYS & HOURS<br />
Most sites open at 6:30 a.m. and continue until<br />
the school day begins. SACC begins again at the<br />
end of the school day and closes at 6:00 p.m. On<br />
scheduled Early Release days, SACC will begin at<br />
school dismissal. Children who do not regularly<br />
attend the after school session must be picked<br />
up by regular school release time. If child is not<br />
picked up by this time, an additional fee of $10<br />
will be charged.<br />

CLOSURES<br />
Please review the <strong>YMCA</strong> Severe Weather Policy:<br />
· If school is canceled, SACC is canceled.<br />
· If school is dismissed early, SACC is canceled.<br />
· If school is scheduled to be dismissed prior<br />
to 2pm, SACC will begin at the time school is<br />
dismissed (i.e. early release days).<br />
The <strong>YMCA</strong> SACC Programs will be closed on the<br />
following holidays: Labor Day, Thanksgiving Day,<br />
Christmas Day, New Year’s Day, Memorial Day.<br />
Weekly fees WILL NOT be prorated.<br />
Regular weekly program fees will not be charged<br />
for the following weeks, however SACC Day<br />
Camps will be available for an additional fee :<br />

SACC BILLING INFORMATION<br />

Maize, Renwick, Valley Center, Colwich,<br />
<strong>Wichita</strong> Cleaveland and Gardiner sites) or ext.<br />
5560 (Andover, Augusta, Circle, El Dorado,<br />
<strong>Wichita</strong> Beech, Caldwell and Gordon Parks<br />
sites).<br />
• Parents with varied schedules may choose the<br />

due to in-service, conferences, illness,<br />
school cancellations or days you choose not<br />
to send your child.<br />
• All sites contract with DCF. Third Party<br />
payments are accepted.<br />
PAYMENTS<br />
• Registration for all SACC programs is based<br />
on first come/first served basis and is open<br />
to <strong>YMCA</strong> members and the general public.<br />
Capacity is limited to KDHE licensure.<br />
• A $30 non-refundable enrollment fee per child<br />
is due each school year upon enrollment to<br />
reserve your child(ren)’s placement.*<br />
• Payment may be made:<br />
• Bankdraft (*save $30 off enrollment fee)<br />
• Online at www.ymcawichita.org (Visa/MC only)<br />
• At any Y location with check or money order<br />
payable to <strong>YMCA</strong> or credit/debit card (Visa or<br />
Mastercard only); no cash please.<br />
• By mail to the <strong>YMCA</strong> Child Care Accounting<br />
Office (402 N. Market, <strong>Wichita</strong>, KS 67202).<br />
Please write the child’s first and last name on<br />
the “memo line” of all checks.<br />
• $25 late fee automatically applied for each<br />
week that a payment is late. This fee will be<br />
applied on Tuesdays. Please allow ample time<br />
for mail delivery.<br />
• All returned drafts/checks will be assessed a<br />

$10 returned item charge, in addition to any<br />
applicable late fees. A money order will be<br />

PARTICIPATION CHANGE POLICY<br />
A written Change Form must be completed one<br />
week in advance for any schedule change. If you<br />
are requesting to add or change days enrolled,<br />
acceptance will be based on availability. If you exit<br />
the program, TWO WEEKS WRITTEN NOTICE is<br />
required. If written notice is not given, you will be<br />
billed for two weeks of care and will remain with<br />
a balance due until payment is received. If you<br />
temporarily exit the program and wish to return,<br />
you must contact the SACC office for availability.<br />
Space will not be reserved without continuing<br />
regular payments. In order to return, you must have<br />
a current balance and completed paperwork on site.<br />
If it is within the same school year, you are not<br />
required to pay an additional enrollment fee.<br />

Where are<br />

when there<br />
IS NO SCHOOL<br />
The <strong>YMCA</strong> offers day camps for children<br />
when school is not in session, excluding<br />
major holidays. Participants are not<br />
required to attend a regular SACC<br />
program, however completed SACC<br />
registration forms must be received<br />
seven (7) days prior to attendance.<br />
Registration for School Days Out (SDO) are<br />
processed in the order received - space<br />
is limited. Discount rates are offered as<br />
a courtesy to current SACC participants<br />
and <strong>YMCA</strong> family memberships. PRE-<br />
REGISTRATION IS REQUIRED seven (7)<br />
days prior to the day of camp. Payment<br />
in full is due upon registration (minimum<br />
of 10 participants required). SACC SDO<br />
locations are contracted with DCF for Third<br />
Party payments.<br />

ENROLL IN PERSON BEGINNING 7/1/13<br />

members and past SACC participants may<br />
enroll at any <strong>YMCA</strong> location. New community<br />
participants may enroll beginning July 8.<br />
FAXED/MAILED ENROLLMENT FORMS<br />
WILL NOT BE ACCEPTED.<br />
<strong>YMCA</strong> income-based pricing is available.<br />

information for the SACC participant,<br />
parents/guardians, employers, physicians<br />
and emergency contacts (full address,<br />
social security numbers, birthdate, e-mail<br />
and phone numbers).<br />
• I specified my child’s school district,<br />
school name, start date, days of<br />
attendance, arrival time & departure<br />
time.<br />
• I read the Terms of Agreement, signed<br />
and dated my child’s registration form.<br />
• I specified my hospital preference for<br />
emergency medical care and listed<br />
immunizations as well as medical<br />
conditions such as allergies, asthma,<br />
others or noted NA (not applicable) for<br />
these items in my child’s Health History.<br />
• I included all applicable health insurance<br />
information (provider name, policy<br />
number, military/medical assistance<br />
program number), date of my child’s<br />
last Tetanus (DPT) shot and necessary<br />
custody information on the Authorization<br />
for Emergency Medical Care.<br />
• I signed and dated Health History<br />
Form CCL358. I signed and dated form<br />
CCL010 (Authorization for Emergency<br />
Medical Care) in front of a witness and<br />
had the witness sign/date the form.<br />
• I have planned additional time in my<br />
schedule on the first day of service to<br />
complete a <strong>YMCA</strong> Payment Agreement<br />
and review my child’s records with the<br />
SACC Site Director. These forms must be<br />
completed for my child to participate in<br />
the program.<br />

nine area high schools during the school year.<br />
In our Early Learning Centers, every project is<br />
designed to activate your child’s imagination.<br />
We focus on creating a nurturing environment<br />
where making friends, learning, physical activity<br />
and exploring interests are the top priority.<br />
Meanwhile, you have peace of mind that your<br />
kids are safe and in a positive environment where<br />
core values such as caring, honesty, respect and<br />

At the Y’s summer day camps, every day is an<br />
adventure, filled with fun and shared with friends.<br />
For parents, camps are reliable, affordable and<br />
convenient, with hours to accommodate their<br />

Plus, Y campers discover new things each day as they<br />
build confidence through activities that encourage<br />
personal growth & the development of strong values.<br />

A toddler develops a trusting, positive relationship with caregivers in<br />
her child care program and overcomes her shyness around new people.<br />
This is how the Y helps build a strong foundation for our community.<br />
The Y is the largest provider of child care in the<br />
region and our programs are:<br />

& Environment, accredited by the NAEYC and<br />
maintain star ratings by KQRIS.<br />

physical and emotional needs will be accepted<br />
if the program is determined to be in the child’s<br />
best interest.<br />

PARENT INVOLVEMENT<br />
Parents/Guardians are welcome to visit SACC at<br />
ANY time. We welcome your advice, participation<br />
and support.<br />
PROGRAM QUESTIONS/CONCERNS<br />
The <strong>YMCA</strong> encourages communication between<br />
families, staff and children. If you have a<br />
question or concern, contact your site director or<br />
call 264-1610 ext 5582 and ask to speak to a<br />
SACC supervisor.<br />
CONFIDENTIALITY<br />
All family records are confidential. Only<br />
authorized staff and regulatory agencies have<br />
access to files. No information will be released to<br />
any other person or agency without the parent/<br />
guardian’s written permission.<br />
ARRIVAL & DEPARTURE<br />
The <strong>YMCA</strong> pick-up system is designed to<br />
protect your child. It is the parent/guardian’s<br />
responsibility to provide the staff with a<br />
listing of authorized persons for pick-up (see<br />
registration form).<br />
• Each child must be accompanied to the<br />
program area and signed in and out daily<br />
by a parent/guardian or authorized adult.<br />
Failure to do so is grounds for dismissal.<br />
• <strong>YMCA</strong> staff is responsible for children enrolled<br />
in and signed in to the program during the<br />
scheduled program hours.<br />
• It is the parent/guardian’s responsibility to<br />
notify the site director of an absence.<br />
• Only authorized persons may sign out a child.<br />
No child will be released to an unauthorized<br />
adult. Changes to your authorized pick-up list<br />
must be provided in writing. Be prepared to<br />
show ID on a daily basis.<br />
• Should an adult appear to be under the<br />
influence of alcohol or drugs when attempting<br />
to pick up a child, staff will take the necessary<br />
emergency procedures as outlined by the<br />
<strong>YMCA</strong> for the protection of the child and<br />
family.<br />
• Notify your child’s school office and teacher of<br />
his/her enrollment at <strong>YMCA</strong> SACC.<br />
• Sites with transportation will not return to a<br />
school to pick up a child from activities such<br />
as detention, crossing guard duty, lessons,<br />
Girl Scouts, etc. It is the parent/guardian’s<br />
responsibility to notify the SACC site of<br />
absences and make arrangements for your<br />
child after school. Please notify your child’s<br />
school office and teacher of the importance of<br />
this policy.<br />
WHAT TO WEAR/BRING TO SACC<br />
Clothing – It is suggested that your child<br />
bring an extra change of clothing on days they<br />
“dress up” for school. Closed-toed shoes are<br />
recommended.<br />
No Personal Items –We request that all<br />
personal items, food, and toys such as electronic<br />
games and radios be left at home.<br />
Lost and Found – The <strong>YMCA</strong> is not responsible<br />
for lost or stolen items. All unclaimed items will<br />
be held for 2 weeks following the session<br />
when the item was found, and if left<br />
unclaimed, will be donated to a charity.<br />
MEDICATION<br />
If your child requires medication, please set<br />
medication intervals so that medication may be<br />
administered prior to or after SACC.<br />
Children are not allowed to administer medication<br />
to themselves; including cough drops. If they<br />
need medication administered while in a SACC<br />
program:<br />
• A Medication Authorization Form must<br />
be completed and signed by the parent<br />
or guardian in order for any medication,<br />
prescription and over-the-counter, to be<br />
administered. Forms are available on-site.<br />
• Medications to be administered must be<br />
brought directly to <strong>YMCA</strong> staff in its original<br />
prescription labeled container. The label must<br />
clearly identify child’s name, doctor’s name,<br />
date, prescription name and dosage.<br />
• Over-the-counter medications must be in the<br />
original container and labeled with the child’s<br />
name.<br />

MINOR INJURIES<br />
Minor injuries will be treated as needed, including<br />
cleansing and applying band-aids or ice packs.<br />
Parents/guardians will be notified upon pick-up<br />
and an incident report is completed.<br />
MAJOR INJURIES<br />
In the event of a major injury, staff will make<br />
the emergency contacts necessary to obtain<br />
appropriate medical attention. This may include<br />
calling an ambulance to transport the child to the<br />
hospital. Parents/Guardians will be contacted<br />
immediately. If a child is taken to the hospital<br />
and sufficient staff is available, a <strong>YMCA</strong> staff<br />
person will accompany the child until the parent<br />
or emergency contact arrives.<br />
ILLNESS/ABSENCES<br />
• It is the parent/guardian’s responsibility to<br />
notify us if your child is ill or will not attend<br />
the program.<br />
• If a child arrives ill, or becomes ill at a SACC<br />
program, the parent or another authorized<br />
individual will be notified immediately and<br />
must pick up the child within one hour.<br />
• Sick children will be isolated as necessary and<br />
monitored.<br />
• Please notify the <strong>YMCA</strong> should your child<br />
contract a communicable disease so we may<br />
notify other participants (individual will not be<br />
named).<br />
• If a child is sent home with a communicable<br />
disease, the child will not be re-admitted until<br />
he/she is no longer contagious and has been<br />
symptom free for 24 hours. If your child is<br />
sent home with a temperature, he or she may<br />
not return to school for 24 hours or until<br />
the child’s temperature is normal without<br />
medication. A doctor’s notice may be required<br />
prior to the child’s return.<br />
BEHAVIOR MANAGEMENT PROCEDURES<br />
Children who attend the program and their<br />
parent/guardians are expected to follow the rules<br />
posted at each site.<br />
The <strong>YMCA</strong> Behavior Management Policy is:<br />
• At no time is swearing, abusive language or<br />
physical violence allowed by children, staff,<br />
volunteers or parents. In addition, the <strong>YMCA</strong><br />
strictly enforces all rules and regulations set<br />
by local school districts or “host” sites.<br />
• In the event that chronic behavior problems<br />
develop, incidents will be documented and<br />
communicated to the parent.<br />
• Conflict resolution and redirection will be<br />
implemented.<br />
• The following behaviors are not acceptable<br />
and may result in immediate/indefinite<br />
suspension:<br />
• Endangering the health and safety of<br />
children and/or staff.<br />
• Stealing or damaging <strong>YMCA</strong>, host site, or<br />
personal property.<br />
• Leaving the program area without<br />
permission or boundaries as set by the<br />
SACC staff.<br />
• Continuing to disrupt the program.<br />
• Refusing to follow the program rules.<br />
• Using profanity, vulgarity or obscene<br />
language frequently.<br />
• Acting in a lewd manner.<br />
The <strong>YMCA</strong> reserves the right to ask parents<br />
to find alternative arrangements for their<br />
child without prior notification, as deemed<br />
necessary for the safety of staff and/or program<br />
participants, not limited to the before mentioned<br />
behaviors.<br />
Immediate expulsion may occur if a child<br />
threatens to bring, or is in possession of and/or<br />
using tobacco, alcohol, illegal drugs, firecrackers,<br />
weapons or explosives, and/or threatens to<br />
do harm to other children or staff with such<br />
possessions. Refunds will not be granted in the<br />
event that a child is suspended/expelled.<br />
