Greater Wichita YMCA, we offer the options you may be 

looking for in our School Age Child Care (SACC) program. 

With locations throughout Wichita and surrounding 

communities our programs have a long history of helping 

children grow in spirit, mind and body. 

Through SACC, the Y seeks to answer those tough questions 

you have about care programs like... Is my child safe Is s/he

YMCA’s SACC program answers these challenges through 

affordable and licensed services featuring: 

• qualified, trained and certified staff

• daily fun fit activities to develop good fitness habits

FEES 

A $30 non-refundable enrollment fee is required 

each school year for each child in the SACC program. 

Parents with varied schedules may choose the 

number of days their child(ren) will attend each week 

(days must remain the same each week). Varied 

schedules will be accepted based on availability at 

each site. Weekly fees will be based on most number 

of days enrolled and will remain the same throughout 

the year; fees will not fluctuate. 

INCOME-BASED PRICING 

Partial scholarships are available through our 

income-based pricing program, and are based on 

need. Confidential applications are available at any 

YMCA location or online at www.ymcawichita.org, 

and require a letter of denial by DCF, federal income 

tax form and two most recent pay check stubs, 

government assistance verification, and proof of 

other assistance. Please allow ten business days 

for processing your application. Fees not covered by 

income-based scholarships or a third party are the 

sole responsibility of the parent/guardian. Approval 

for assistance does not guarantee enrollment 

and placement. 

LATE PICK-UP FEE 

If children are picked up after 6:00 p.m., a minimum 

$10 late pick up fee will be charged. If picked up 

after 6:10 p.m. an additional late fee charge of 

$1.00 per minute will be assessed. Late pick-up 

fees must be paid before the child(ren) may 

return to the program. Chronic LATE PICK-UP is 

grounds for dismissal from a SACC program. 

DAYS & HOURS 

Most sites open at 6:30 a.m. and continue until 

the school day begins. SACC begins again at the 

end of the school day and closes at 6:00 p.m. On 

scheduled Early Release days, SACC will begin at 

school dismissal. Children who do not regularly 

attend the after school session must be picked 

up by regular school release time. If child is not 

picked up by this time, an additional fee of $10 

will be charged.

CLOSURES 

Please review the YMCA Severe Weather Policy: 

· If school is canceled, SACC is canceled. 

· If school is dismissed early, SACC is canceled. 

· If school is scheduled to be dismissed prior 

to 2pm, SACC will begin at the time school is 

dismissed (i.e. early release days). 

The YMCA SACC Programs will be closed on the 

following holidays: Labor Day, Thanksgiving Day, 

Christmas Day, New Year’s Day, Memorial Day. 

Weekly fees WILL NOT be prorated. 

Regular weekly program fees will not be charged 

for the following weeks, however SACC Day 

Camps will be available for an additional fee :

SACC BILLING INFORMATION

• Parents with varied schedules may choose the

to send your child. 

• All sites contract with DCF. Third Party 

payments are accepted. 

PAYMENTS 

• Registration for all SACC programs is based 

on first come/first served basis and is open 

to YMCA members and the general public. 

Capacity is limited to KDHE licensure. 

• A $30 non-refundable enrollment fee per child 

is due each school year upon enrollment to 

reserve your child(ren)’s placement.* 

• Payment may be made: 

• Bankdraft (*save $30 off enrollment fee) 

• Online at www.ymcawichita.org (Visa/MC only) 

• At any Y location with check or money order 

payable to YMCA or credit/debit card (Visa or 

Mastercard only); no cash please. 

• By mail to the YMCA Child Care Accounting 

Office (402 N. Market, Wichita, KS 67202). 

Please write the child’s first and last name on 

the “memo line” of all checks. 

• $25 late fee automatically applied for each 

week that a payment is late. This fee will be 

applied on Tuesdays. Please allow ample time 

for mail delivery. 

• All returned drafts/checks will be assessed a

PARTICIPATION CHANGE POLICY 

A written Change Form must be completed one 

week in advance for any schedule change. If you 

are requesting to add or change days enrolled, 

acceptance will be based on availability. If you exit 

the program, TWO WEEKS WRITTEN NOTICE is 

required. If written notice is not given, you will be 

billed for two weeks of care and will remain with 

a balance due until payment is received. If you 

temporarily exit the program and wish to return, 

you must contact the SACC office for availability. 

Space will not be reserved without continuing 

regular payments. In order to return, you must have 

a current balance and completed paperwork on site. 

If it is within the same school year, you are not 

required to pay an additional enrollment fee.

major holidays. Participants are not 

required to attend a regular SACC 

program, however completed SACC

Registration for School Days Out (SDO) are 

processed in the order received - space 

is limited. Discount rates are offered as 

a courtesy to current SACC participants 

and YMCA family memberships. PRE- 

REGISTRATION IS REQUIRED seven (7)

in full is due upon registration (minimum 

of 10 participants required). SACC SDO 

locations are contracted with DCF for Third 

Party payments.

members and past SACC participants may 

enroll at any YMCA location. New community 

participants may enroll beginning July 8. 

FAXED/MAILED ENROLLMENT FORMS

YMCA income-based pricing is available.

and emergency contacts (full address, 

social security numbers, birthdate, e-mail

• I specified my child’s school district, 

school name, start date, days of 

attendance, arrival time & departure 

time. 

• I read the Terms of Agreement, signed 

and dated my child’s registration form. 

• I specified my hospital preference for 

emergency medical care and listed 

immunizations as well as medical 

conditions such as allergies, asthma, 

others or noted NA (not applicable) for 

these items in my child’s Health History. 

• I included all applicable health insurance 

information (provider name, policy 

number, military/medical assistance 

program number), date of my child’s 

last Tetanus (DPT) shot and necessary 

custody information on the Authorization 

for Emergency Medical Care. 

• I signed and dated Health History 

Form CCL358. I signed and dated form 

CCL010 (Authorization for Emergency 

Medical Care) in front of a witness and 

had the witness sign/date the form. 

• I have planned additional time in my 

schedule on the first day of service to 

complete a YMCA Payment Agreement 

and review my child’s records with the 

SACC Site Director. These forms must be 

completed for my child to participate in 

the program.

For parents, camps are reliable, affordable and

best interest.

President prior to attendance.

Parents/Guardians are welcome to visit SACC at 

ANY time. We welcome your advice, participation 

and support. 

PROGRAM QUESTIONS/CONCERNS 

The YMCA encourages communication between 

families, staff and children. If you have a 

question or concern, contact your site director or 

call 264-1610 ext 5582 and ask to speak to a 

SACC supervisor. 

CONFIDENTIALITY 

All family records are confidential. Only 

authorized staff and regulatory agencies have 

access to files. No information will be released to 

any other person or agency without the parent/ 

guardian’s written permission. 

ARRIVAL & DEPARTURE 

The YMCA pick-up system is designed to 

protect your child. It is the parent/guardian’s 

responsibility to provide the staff with a 

listing of authorized persons for pick-up (see 

registration form). 

• Each child must be accompanied to the 

program area and signed in and out daily 

by a parent/guardian or authorized adult. 

Failure to do so is grounds for dismissal. 

• YMCA staff is responsible for children enrolled 

in and signed in to the program during the 

scheduled program hours. 

• It is the parent/guardian’s responsibility to 

notify the site director of an absence. 

• Only authorized persons may sign out a child. 

No child will be released to an unauthorized 

adult. Changes to your authorized pick-up list 

must be provided in writing. Be prepared to 

show ID on a daily basis. 

• Should an adult appear to be under the 

influence of alcohol or drugs when attempting 

to pick up a child, staff will take the necessary 

emergency procedures as outlined by the 

YMCA for the protection of the child and 

family. 

• Notify your child’s school office and teacher of 

his/her enrollment at YMCA SACC. 

• Sites with transportation will not return to a 

school to pick up a child from activities such 

as detention, crossing guard duty, lessons, 

Girl Scouts, etc. It is the parent/guardian’s 

responsibility to notify the SACC site of 

absences and make arrangements for your 

child after school. Please notify your child’s 

school office and teacher of the importance of 

this policy. 

WHAT TO WEAR/BRING TO SACC 

Clothing – It is suggested that your child 

bring an extra change of clothing on days they 

“dress up” for school. Closed-toed shoes are 

recommended. 

No Personal Items –We request that all 

personal items, food, and toys such as electronic 

games and radios be left at home. 

Lost and Found – The YMCA is not responsible 

for lost or stolen items. All unclaimed items will 

be held for 2 weeks following the session 

when the item was found, and if left 

unclaimed, will be donated to a charity. 

MEDICATION 

If your child requires medication, please set 

medication intervals so that medication may be 

administered prior to or after SACC. 

Children are not allowed to administer medication 

to themselves; including cough drops. If they 

need medication administered while in a SACC 

program: 

• A Medication Authorization Form must 

be completed and signed by the parent 

or guardian in order for any medication, 

prescription and over-the-counter, to be 

administered. Forms are available on-site. 

• Medications to be administered must be 

brought directly to YMCA staff in its original 

prescription labeled container. The label must 

clearly identify child’s name, doctor’s name, 

date, prescription name and dosage. 

• Over-the-counter medications must be in the 

original container and labeled with the child’s 

name.

MINOR INJURIES 

Minor injuries will be treated as needed, including 

cleansing and applying band-aids or ice packs. 

Parents/guardians will be notified upon pick-up 

and an incident report is completed. 

MAJOR INJURIES 

In the event of a major injury, staff will make 

the emergency contacts necessary to obtain 

appropriate medical attention. This may include 

calling an ambulance to transport the child to the 

hospital. Parents/Guardians will be contacted 

immediately. If a child is taken to the hospital 

and sufficient staff is available, a YMCA staff 

person will accompany the child until the parent 

or emergency contact arrives. 

ILLNESS/ABSENCES 

• It is the parent/guardian’s responsibility to 

notify us if your child is ill or will not attend 

the program. 

• If a child arrives ill, or becomes ill at a SACC 

program, the parent or another authorized 

individual will be notified immediately and 

must pick up the child within one hour. 

• Sick children will be isolated as necessary and 

monitored. 

• Please notify the YMCA should your child 

contract a communicable disease so we may 

notify other participants (individual will not be 

named). 

• If a child is sent home with a communicable 

disease, the child will not be re-admitted until 

he/she is no longer contagious and has been 

symptom free for 24 hours. If your child is 

sent home with a temperature, he or she may 

not return to school for 24 hours or until 

the child’s temperature is normal without 

medication. A doctor’s notice may be required 

prior to the child’s return. 

BEHAVIOR MANAGEMENT PROCEDURES 

Children who attend the program and their 

parent/guardians are expected to follow the rules 

posted at each site. 

The YMCA Behavior Management Policy is: 

• At no time is swearing, abusive language or 

physical violence allowed by children, staff, 

volunteers or parents. In addition, the YMCA 

strictly enforces all rules and regulations set 

by local school districts or “host” sites. 

• In the event that chronic behavior problems 

develop, incidents will be documented and

The YMCA reserves the right to ask parents 

to find alternative arrangements for their 

child without prior notification, as deemed 

necessary for the safety of staff and/or program 

participants, not limited to the before mentioned 

behaviors. 

Immediate expulsion may occur if a child 

threatens to bring, or is in possession of and/or 

using tobacco, alcohol, illegal drugs, firecrackers, 

weapons or explosives, and/or threatens to 

do harm to other children or staff with such 

possessions. Refunds will not be granted in the 

event that a child is suspended/expelled.
