After these dates, badges will be printed and available at the meeting: • International Advance Registrants Desk A, Professional Registration, Lakeside Center Ballroom • North American Advance Registrants Grand Concourse and Lakeside Center Help Centers Registration Changes and Cancellations • Name changes are not allowed—new registration and payment are required. • All registration cancellations must be made in writing (e-mail, fax or mail) to Experient by November 7, 2008. • A $50 administrative charge applies per registration form refunded. • Refund requests received after November 7, 2008, will not be accepted. • See page 45 for hotel change and cancellation policies. Onsite Registration Onsite full conference rates will reflect a $100 increase over advance registration rates for most categories. (See page 49 for codes and rates.) Technical Exhibits Only • A technical exhibits only badge is available for 1-day admission to the technical exhibit halls. Admission to sessions and/or CME credit are not offered for this category. • Attendance for more than 1 day requires a full conference registration (see page 49 for codes and rates). • A name badge will not be mailed in advance and requires pick-up on the day of exhibit attendance at the Grand Concourse or Lakeside Help Centers. • A complimentary spouse badge is available with full conference registration only. Hotel Reservations Housing Deadline November 7, 2008 Hotel rooms are available only to registered individuals. Chicago offers a magnificent variety of accommodations and rates to satisfy every traveler. Last year more than 33,000 registrants took advantage of our outstanding hotel program. For RSNA 2008, we’ve secured more than 100,000 room nights at 76 downtown hotels offering the lowest rates in the city. Review the hotel rates listed on page 46, then follow the registration form instructions on page 50. In the event your hotel selections are no longer available, indicate which is most important: • Cost of your room • Location of your hotel • Other (make note of your preference) Benefits of reserving your room through the RSNA housing system: • Support RSNA’s efforts to negotiate the best available hotel room rates • Exclusive access to free shuttle transportation to/from McCormick Place to/near contracted hotels • Free Metra train service between McCormick Place and the Millennium Station stop with a special convention schedule • Convenient registration and housing link through RSNA2008.RSNA.org Name changes and/or swapping of room reservations is not allowed. Attendees cannot request housing through technical exhibitors. Reservation Changes November 10–17 Reservations and deposits will be transferred from the housing bureau to the hotels and therefore cannot be altered during this period. After November 17 Contact the hotel directly for date changes and room cancellations. Room availability and rates are at the hotel’s discretion. Changes made after November 7 and/or up to 7 days prior to date of arrival that result in a reduction of total room nights will incur a $50 fee charged by the hotel. Changes in arrival and departure dates made less than 1 week prior to arrival that result in a reduction of nights stayed may be considered cancellations by the hotel and may result in forfeiture of partial or all deposits paid. Early departure results in the hotel retaining the fee for a 1-night stay plus tax or the last night’s room deposit of $150, whichever is less. Failure to check in at the hotel on your scheduled arrival day will result in forfeiture of your reservation and hotel deposit. The hotel will accommodate you on a space-available basis. Room Cancellations Written requests for room cancellations and full deposit refunds must reach Experient by November 7. Reservations canceled after November 7, 2008, and/or up to 7 days prior to date of arrival will incur a $50 cancellation fee. Cancellations received less than 7 days prior to date of arrival will result in forfeiture of the full $300 deposit. When canceling your room reservation directly with the hotel: • Note the date and time of your call • Document the name of the person with whom you spoke • Obtain a cancellation number The hotel information provided on the following page is based on single occupancy. Type of bed (single, double, twin) may be requested but cannot be confirmed until check-in. Suites are available upon request. Contact Experient at 1-847-940- 2155 for triple and quad rate information. A first and last night room deposit totaling $300 is required when a hotel is requested. If you plan to arrive after 6:00 pm, contact the hotel for a late check-in. Special Notes: Rates do not include a 15.4% Chicago hotel tax (subject to change). A service fee has been included in your room rate to defray the cost of registration and to provide complimentary shuttle service to and from McCormick Place. Please note: To uphold the professional and educational standards of the RSNA annual meeting, children under 16 years of age are not permitted in the exhibit hall or sessions. Please call the hotel to determine if childcare services are available. To take advantage of Camp RSNA for childcare, go to RSNA2008.RSNA.org for registration information. Hostelling International—Chicago The Chicago hostel offers lodging in dormitory-style rooms with separate accommodations for men and women. Rooms range in size from 6–12 beds. Bathrooms and shower facilities are plentiful, with many available in the dorm rooms as well as down the hall. Individual lockers are provided in each room, and luggage storage is also available. Please bring your own lock for the lockers or purchase a lock at the front desk. All guests receive bed linens, towel, and pillow. A 1-night deposit of $40 is required.
