Thank you for participating in the 5th Annual North Vancouver Cruisers Aquatics Hootenanny.<br />
The North Vancouver Cruisers are dedicated to the promotion of four aquatic sports –<br />
Competitive <strong>Swim</strong>ming, Water Polo, Diving, and Synchronized <strong>Swim</strong>ming - and hope that you<br />
enjoy this unique opportunity to participate and observe them together on the spectacular<br />
campus of the University of British Columbia. In this package you will find all the necessary<br />
information for registration, accommodations and scheduling for the swimming, diving, waterpolo<br />
and synchro events at the UBC Aquatic Centre.<br />
We have also managed to secure some rooms at the University residences at a reasonable price<br />
for out of town visitors, or people that just want to chill out and relax after Saturday’s events.<br />
The UBC campus has much to offer BCSSA families.<br />
• Ample outdoor space adjacent to the pool for day-tents.<br />
• Top-quality food from UBC Food Services located in the building adjacent to the pool and<br />
serving breakfast, lunch and snacks throughout Friday, Saturday and Sunday. Subway<br />
and Starbucks will have extended hours to serve swimmers and parents.<br />

Facilities:<br />
The UBC Aquatic Centre is a comprehensive world class facility with an eight-lane competition<br />
tank, warm-up pool available throughout the competition, diving and synchro tank, and plenty of<br />
bleacher seating available to observers.<br />

The pool will be configured to accommodate all sports during the Hootenanny. There will be two<br />
water-polo pools on Friday, July 12th. Water-polo games will be played in both the 25m dive tank<br />
as well as a 25m tank in the outdoor pool. For Saturday, July 13th & Sunday, July 14th, speed<br />
swimming will be conducted in the eight lane 25m competition tank with a 2 lane warm up pool<br />
available throughout the competition. The races and warm up areas will be widthwise. The diving<br />
tank will be reserved for diving and synchronized swimming events and is out of bounds to both<br />
non-synchro and non-diving competitors throughout the competition.<br />
Please respect the entrance and pool closures to ensure the smooth operation of all<br />
competitions. Please note that UBC <strong>Swim</strong> programs are scheduled for the shallow tank of the<br />
outdoor pool throughout the weekend and are not available to Hootenanny participants.<br />

General Information<br />
Participants may take part in all four disciplines.<br />
However, it is the responsibility of the participants to<br />
coordinate their schedule.<br />
PARENT VOLUNTEERS<br />
• All clubs are requested to supply a list of available qualified senior deck officials (referees,<br />
back-up referees, starters, stroke and turn judges, and diving judges). Please provide a<br />
list of names and times available to Meet Referee, Herbert Tung, Herbert@lamlonishio.ca,<br />
as soon as possible.<br />
• Participating clubs are also asked to provide timers and recorders throughout the meet on<br />
both days.<br />
o THREE TIMERS are required for each lane. Two will operate a plunger and one<br />
will operate a manual stopwatch, plunger and record times on the heat sheet.<br />
• <strong>Club</strong>s are reminded that the meet cannot function without the aid of volunteer<br />
officials & parents.<br />

Check out the silent auction used book sale, as well as the Team Aquatics Tent, which will be<br />
setup on the field.<br />

UBC highly recommends that teams try to fill all bedrooms in the 4 person (Premium Single)<br />
suites to avoid other people being allocated to any empty rooms. UBC will generally avoid mixing<br />
teams together; however if they find we are running low on rooms, they might need to use the<br />
empty rooms available.<br />
After June 12 th , the rooms will still be available for reservations, but the block of rooms reserved<br />
for the Hootenanny will be released to the general inventory.<br />

One of four single bedrooms sharing a lounge and washroom. Each bedroom sleeps one person<br />
only. Includes phone in room and TV in lounge. High-speed internet and on-site laundry<br />

Tower Apartment at Gage Residence: $198.00 + tax (including breakfast)<br />
Each suite contains six bedrooms with single beds, two showers, lounge with TV, and fullyequipped<br />

Entry Fees<br />
Water Polo<br />
• $240 per registered water-polo team ($200 meet fee, plus $40 referee fee)<br />
• In addition, UBC now requires a $50 Facility Improvement Fee per team.<br />

Speed <strong>Swim</strong>ming<br />
RULES: <br />
• BCSSA Rules published May <strong>2013</strong> will apply, plus all rules changes as listed on the<br />
BCSSA website.<br />
• The meet will be a heats and finals, cardless meet, seeded in the “Multi-Division/Open”<br />
format with A & B swimmers seeded together (based on entry time submitted). <strong>Swim</strong>mers<br />
will be seeded in the preliminaries for each event according to their entry times,<br />
regardless of their division (See Event list for division splits - ie: 100 IM Div 1-3 & 200<br />
IM Div 4-8). In finals, swimmers will swim against the fastest qualifiers in their specific<br />
division within each event.<br />
• <strong>Swim</strong>mers entered with no time will be seeded in the slowest heats. If a swimmer does<br />
not have a current time for an event, the most recent time is acceptable. It is very<br />
important that coaches enter swimmers with a time to avoid NT entries, which will<br />
be seeded in the first heat of the multi-division event.<br />
• At the completion of heats there will be a short break to print the final event sheets and a<br />
warm-up for finals.<br />
• There will be only one heat of swimmers for finals in all divisions.<br />
• Marshalling will be in place for all events and finals.<br />
• Marshalling calls will be in accordance with BCSSA rules.<br />
• 25 m events for 6 and under will be swum as timed finals.<br />
• Heats will be consolidated wherever reasonable.<br />
• Relays will be swum as timed finals at the end of heats, prior to the break.<br />
• Due to the expected size of the meet, NO deck entries will be allowed.<br />
• Due to the orientation of the competition tank, Stroke and Turn judges will be located at<br />
both ends of the lanes; there will be no stroke judge on the side or place judges.<br />
• No Place Judges: The Hootenanny will not be using Place Judges, as per BCSSA rules<br />
(<strong>Swim</strong>ming Section 9). As Place Judges are not being used, if there are any questions as<br />
to the validity of a time, a re-swim may be called at the discretion of the Chief Judge<br />
Electronic and Meet Referee.<br />

WARM-UP<br />
• There will be 10 lanes available for warm up from 6:30-7:45am on Saturday and Sunday<br />
morning for heats. There will be a 30 minute warm-up prior to finals both days. Times will<br />
be announced prior to the break.<br />
• Team lane and time assignments for warm-ups will be posted and announced the<br />
morning of each day.<br />
• There will also be 2 lanes open throughout the meet for warm up and cool down between<br />
events.<br />
• Coaches are required to supervise swimmers during warm-up.<br />
• Division 0-4 swimmers must be supervised by a coach when in the warm-up pool.<br />
• The warm-up pool shall be used for warm up and cool down only.<br />
• <strong>Swim</strong>mers are not allowed in the diving/synchronized swimming tank at any time.<br />
ENTIRES<br />
• Entries for speed swimming must be received, electronically, no later than Monday,<br />
July 1st @ 5:00 pm. Send to Michael Hutchinson at mdhutchinson@shaw.ca.<br />
• <strong>Club</strong>s MUST use Hy-Tek Team Manager 6.0 or newer to enter in this meet.<br />
• Please visit the BCSSA website to obtain the ‘Hy-Tek Event List’. Entries must be<br />
generated from the “Export Meet Entries” function within Hy-Tek’s Team Manager.<br />
• Team rosters must also be submitted along with each team’s entry file.<br />
• <strong>Swim</strong>mers may enter a maximum of five individual events and two relays.<br />
• There will be a maximum of three relay teams/division/team.<br />
• Complete your entries carefully and reference the event number in this package<br />
when entering swimmers. Hy-Tek Team Manager does not restrict entries into an<br />
event, as no specific division is assigned to each event.<br />
• Please note that we have limited the number of participants to 800 (approx.), and this<br />
number may be increased based on the time-out of the meet. Entries from clubs will be<br />
entered into the meet on a first come, first served basis.<br />
LATE ENTRIES<br />
• Late entries will be permitted but are discouraged. Any late entry must be sent to Michael<br />
Hutchinson no later than Thursday July 11th at 4:00 pm. NO EXCEPTIONS.<br />
• A late entry will be charged $15.00 for an individual race and $20.00 for a relay.<br />
• Payment is due at 8:00 am Saturday July 13 th , along with your meet fees.<br />
• Entries will only be accepted if there is an empty lane in a current heat.<br />
• There will be no re-seeding of the meet and no new heats will be created.<br />
SCRATCHES<br />
• Please notify Michael Hutchinson no later than Friday July 12th at 4:00 pm of any<br />
scratches. Note: There will be no refunds provided for scratches.<br />
• After Friday July 12 th at 4:00 pm, please complete a BCSSA Scratch sheet, available on<br />
the BCSSA website and hand it in to the Clerk of the Course by 7:00am on both days.<br />
DECK ENTRIES<br />
• DECK ENTRIES WILL NOT BE PERMITTED AT ANY TIME.<br />

RELAYS<br />
• Relay entries shall include the swimmers names within Hy-Tek Team Manager. If<br />
you have troubles with doing this, please contact Michael Hutchinson.<br />
• Relay Cards must be submitted to the Clerk of the Course no later than 9am on both<br />
days.<br />
• NOTE: There are no deck entries allowed.<br />
• Coaches must fill out BCSSA yellow relay cards (not provided).<br />
TIMING SYSTEM<br />
• Omega Timing System (ARES) will be used as the automatic judging and timing system<br />
in accordance with the BCSSA rules.<br />
• Automatic timing system will be backed up by three electronic plungers per lane.<br />
• Plungers will be operated by the lane timers and recorder.<br />
• Should the automatic judging and timing system fail for an extended period of time; the<br />
meet will proceed with manual timing (3 stopwatches with “starting gun”).<br />
RESULTS<br />
• Results from heats will be posted following each event.<br />
• Results will be available on Meet Mobile during the Meet. The App is available in the App<br />
Store.<br />
• Final results will be posted on the BCSSA website.<br />
AWARDS<br />
• Individual Finals: 1 st to 3 rd place medals for ALL DIVISIONS and 4 th to 8 th place ribbons<br />
ONLY AWARDED UP TO AND INCLUDING DIVISION 4.<br />
• All 6 & under (25m) will get participation ribbons and “goodie bags”.<br />
• Relays: 1 st to 8 th place ribbons for Divisions 1-4<br />
• Relays in Divisions 5 and above will have ribbons awarded only for 1 st – 3 rd place.<br />
• Medal award ceremonies will directly follow each individual final event.<br />
• Photographs of the medal recipients will be made available on the Cruiser Aquatics<br />
website.<br />
• All teams should pick-up their awards at the end of the meet.<br />
COURTESY MARSHALLING ANNOUNCEMENTS<br />
• Courtesy marshalling calls will be announced throughout the meet.<br />
• Marshalling calls will also be on Twitter. Our handle is @NVCHOOT<br />

Water - Polo<br />
<strong>MEET</strong> INFORMATION<br />
• The tournament (12U, 14U, 16U & 18U) will take place on Fri, July 12, <strong>2013</strong> from 9am-<br />
8pm.<br />
• FINA Rules in accordance with BCSSA regulations (Feb 2012) will apply.<br />
• 2 tanks will be used - 25m Indoor (12U & 14U) and 25m Outdoor (16U and 18U).<br />
• <strong>Club</strong>s will supply both Dark and White caps for their competing teams.<br />
• Tournament Schedule: Round Robin with Cross-Over games and Finals.<br />
• Parent support for timing games and managing score sheets is greatly appreciated.<br />
• There is no extra pool space for warm up. Players cannot use the other parts of the<br />
aquatic facility without paying the public swim fee.<br />
Entries:<br />
• Team Entries are due by 6pm on July 7th. Entry fees are $240 per team. Late entries will<br />
be accepted up until July 11 th , subject to availability, with a $30 per team late penalty.<br />

Diving<br />
<strong>MEET</strong> INFORMATION<br />
• All diving will take place on Saturday July 13 th , <strong>2013</strong>.<br />
• The meet will commence at 9:00am.<br />
• Open warm-ups are from 8:30-9:00 am.<br />
• Coaches are asked to monitor divers during warm-up.<br />
• There will be a 15 min warm-up prior to each event.<br />
• There will be 1 and 3 m events for all age categories.<br />
• Developmental divers are welcomed at this meet.<br />
• Divers wishing to qualify for the Regional Championships for their area must ensure that<br />
their dive sheets include a full list of dives according to the <strong>2013</strong> Age Group Dive<br />
Requirements set out in the BCSSA Provincial Dive Meet package, with no more than one<br />
failed dive in the list.<br />
• Rules outlined by the BCSSA (2012) rule book will be in effect.<br />
• Appropriate marks will be deducted for failed dives, balks and re-dives.<br />
• All other judging decisions will be made by the head referee (appointed at the meet).<br />
• Divers needing to compete at times other than their allotted competition times must<br />
confirm with the organizers or diving meet manager prior to the conflicting event. A 30<br />
minute window will be allowed to accommodate conflicts with a speed swimming event.<br />
• Please refer to the BCSSA Diving Rule Book for any and all regulations pertaining to a<br />
diving competition.<br />
• At the conclusion of the diving meet, National level divers will perform a diving<br />
demonstration.<br />
• “New Dive” derby open to all divers will conclude the meet after Demo dives. Fun prizes<br />
will be awarded to all derby participants.<br />
ENTRIES<br />
• Divers may enter 1 and 3 m events.<br />
• All entries for diving must be received by Tuesday July 9, <strong>2013</strong>, and can be e-mailed to<br />

INFORMATION<br />
• All synchronized swimming team rosters must be submitted to the Clerk of the Course no<br />
later than 9:30 a.m.<br />
• Synchronized <strong>Swim</strong>ming Events will take place on Sunday July 14 th .<br />
RULES<br />
<strong>Swim</strong>mers may wear a plain coloured bathing suit of their choice for the figure competition. Black<br />
is the preferred colour, but the swimsuit colour is optional. Nose-plugs are not necessary to<br />
adequately perform figures, but some swimmers may wish to wear them. Goggles are also<br />
allowed. <strong>Swim</strong>mers are not allowed to wear JEWELLERY (other than medical alert bracelets)<br />
and NO NAIL POLISH.<br />
WARM-UP & SCHEDULE<br />
• Coaches must monitor swimmers during warm-up, which will be from 10:30 – 10:45am.<br />
• Individual Figures judging will start at 11:00am.<br />
• Demonstration routines will be performed during the speed swimming break and finals<br />
warm-up. We estimate that this will be from 2:30 – 3:30pm; however, this is estimated.<br />
• Demonstration teams will also be given 2 min to warm up prior to the start of their<br />
routines.<br />
