INFORMATION ON AREA 4: STUDENT SELECTION AND SUPPORT SERVICES 

4.1 Admission and Selection 

Information on Benchmarked Standards 

4.1.1 Who is responsible for student selection State the academic criteria and the mechanisms for 

admission to the programme and any other additional requirements. Show evidence that the 

admission policy and mechanism is free from discrimination and bias. 

The Administrative Officer and the Dean of relevant Faculty who formed the Student Selection 

Committee will be responsible for the student selection for the said faculty. 

The Al-Madinah International University is proud to be a non discriminatory institution. The 

student selection will be solely based on the student meeting the entry requirement and availability 

of place in the relevant faculty. 

4.1.2 Provide evidence that the students selected fulfil the admission policies. 

The students to be selected will be those who will meet the entry requirement as approved by the 

Ministry of Higher Education/MQA. The HEP will adhere strictly to the approved entry requirement 

as stated in the approval letter by MOHE 

4.1.3 Describe the admission mechanisms and criteria for students with other equivalent qualifications 

(where applicable). 

In the area where the potential students do not have the entry requirement as stated in the 

approval letter the equivalency of the students’ qualification will be assessed and it’s equivalency 

will be determined and if it meets the equivalency to the stated entry requirement the student will 

be admitted.

4.1.4 Show how the criteria and mechanisms are published and disseminated. 

The entry requirement criteria and mechanism will be published and disseminated in the website 

and faculty brochure.

4.1.5 Describe the appeal mechanism. 

The student who fails to get entry to any faculty of the HEP are allowed to appeal by writing to the 

Admission office by giving reasons and relevant evidence. The appeal will then pass to the 

relevant faculty. The Dean of the said faculty will assess and evaluate the appeal and if it meets 

the entry requirement the student will be admitted. 

4.1.6 Describe the characteristics of students admitted. Provide a copy of any technical standards that 

have been deployed for the admission of students with special needs. 

All students that will be admitted will be those who meet the entry requirement and its equivalency 

as stated in the approval letter from MOHE. 

Currently the HEP do not have any policy or standard for admission of students with special needs 

however they may be considered on case by case basis.

4.1.7 Indicate the forecast student intake for the next five years. (Refer also to item 13 of Part B). 

Describe how the size of student intake is determined in relation to the capacity of the department 

and explain the mechanisms that exist for adjustments, taking into account the admission of 

visiting, exchange and transfer students

4.1.8 Describe how the selection methods comply with the HEP’s social responsibilities, human 

resource requirements and needs for further studies and lifelong learning. 

The students to be selected will first have to meet the entry requirement criteria as approved by 

MOHE. However, elements of social responsibilities, human resource requirements and needs for 

further studies and lifelong learning will be added criteria for the selection of potential students. 

HEP will always be sensitive to its social responsibilities especially in area of providing higher 

education and knowledge to potential students. It will continuously assess the human resource

needs 

4.1.9 If a selection interview is utilised, describe it. 

Currently interview is not part of the student selection process. 

4.1.10 State what special programmes are provided for those who are selected but need additional 

remedial assistance. 

Student who do not fully meet the entry requirement but have the necessary basic qualifications 

may be admitted into the programme, however, they will be required to do bridging subjects as a 

remedial process. 

4.1.11 How does the department continuously monitor and periodically review student selection 

processes 

The department will continuously and periodically review the performances of the students in the 

programme and the relationship with their qualification at the point of entry. The feedback from 

the review process will be used to improve the student selection process from time to time.

4.1.12 How does the department engage the relevant stakeholders in the review of its admission policy 

and processes 

HEP will always get feedbacks from the relevant stakeholder formally or informally and will used 

them in the review of its admission policy and process. 

4.1.13 Show the relationship between student selection, the programme, and the learning outcomes. 

The student to be selected will be those who meet the entry requirement as stated in the approval 

letter from MOHE. 

The entry requirement is set based on the need of the programme that has its own learning 

outcomes to be achieved as stated in the proposed curriculum of the programme.

4.2 Articulation Regulation, Credit Transfer and Credit Exemption 


4.2.1 Describe the policies, regulations and processes of credit transfer, credit exemption and 

articulation practices, and how these are disseminated.

Diploma(Equivalent to a Two Year Degree) and the Pre-University Foundation Level-page –

4.2.2 Describe how the department keeps abreast of latest development with regards to articulation, 

credit transfer and cross-border provisions. 

The department will always be on alert of latest development with regards to articulation, credit 

transfer and cross-border provisions. The quality assurance bodies especially MQA will always be 

referred to keep abreast with the latest development.

4.3 Transfer of Student 


4.3.1 Explain the policy, criteria and mechanisms to enable qualified students to transfer to another 

programme. Indicate if there are appropriate mechanisms such as a bridging course for students 

who need it. 

Student may be allowed to transfer from one programme to another within the HEP if they meet 

the basic requirement as set by the receiving programme/faculty. The student may get credit 

transfer for the subjects that they have taken from the previous programme. The process of the 

credit transfer will involve assessment of subject to subject matching. 

4.3.2 Indicate how students accepted for transfer demonstrate comparable achievements in their 

previous institution of study. Provide the relevant data to support this. 

The process of the credit transfer will involve assessment of subject to subject matching. Since 

this is a new programme to be proposed there is no relevant data. 


4.3.3 Describe how the department facilitates student mobility, exchanges and transfers, nationally and 

internationally. 

The instrument used to facilitate student mobility, exchanges and transfers, nationally and 

internationally will be the credit system. The students’ performance and the credit that they carry 

will be assessed and their equivalency will be determined to facilitate their mobility, exchanges 

and transfers.

4.4 Student Support Services and Co-curricular Activities 

(Many of the components of the student support services below apply at the institutional level and the students at the department level have access to these central services and 

facilities.) 


4.4.1 What support services are made available to students Show evidence that those who provide 

these services are qualified. What other additional support programmes provided by other 

organisations are accessible to students 

One of the support services made available to the students will be counselling – academic, 

financial and emotional, to be provided by counsellors who are qualified in the specified area. 

Currently the mode of delivery of HEP is on-line therefore there is no additional support 

programme are provided by other organisational within the university. However students may get 

counselling from organization outside the university in their placed of residence. 

4.4.2 Describe the accessibility, confidentiality and effectiveness of the academic, non-academic and 

career counselling services available to students. 

HEP subscribe and fully respect the confidentiality of each individual students. All student records 

will be kept confidential by the relevant counsellors and no other person other than the students 

themselves can access to the record. 

4.4.3 What mechanism is available for students to complain and to appeal on matters relating to student 

support services 

They may contact the relevant authority to submit any complaints and appeal on matters relating 

to student support services. 

4.4.4 How are the adequacy, effectiveness and safety of these services evaluated and ensured 

The services will be monitored and reviewed from time to time to evaluate its effectiveness and 

safety so as to provide the most efficient and effective service to the clients. 

4.4.5 Describe the roles and responsibilities of those responsible for student co-curricular activities. 

The student services department will be responsible for the students co-curricular activities

however since the HEP is an on-line HEP and the students are scattered all offer the world, 

therefore it face difficulty to organize co-curricular activities for the students. 

4.4.6 Describe the management of the activities and maintenance of student records. 

As stated in 4.4.5, there is a problem of organizing co-curricular activities due to the nature of the 

HEP-on-line. Therefore there is no student record on the student activities being managed and 

maintained. 

4.4.7 How are students orientated into the programme 

Orientation programme are organized through e-orientation (University web –site and student 

guide) whereby students will be informed about the various aspect of education in the HEP. 


4.4.8 Describe the relationship between the student support services and co-curricular activities and the 

learning outcomes of the programme. 

Learning outcomes of the programme are developed to produce a certain type of graduate that 

can meet the vision, mission and educational goals of HEP. The support service, co-curricular 

activities and the curriculum will be the instrument used to access and achieved the learning 

outcomes. 

4.4.9 How is the effectiveness of the counselling services measured, and the progress of those who 

seek its services monitored What plans are there to improve the services, including that of 

enhancing the skills and professionalism of the counsellors 

The students that go through the counselling service will be monitored and their progress will be 

recorded and evaluated from time to time. 

HEP counsellors are trained professional, they will be sent for professional upgrading process as 

and when they are required.

4.4.10 Describe the mechanisms that exist to identify students who are in need of spiritual, psychological, 

social and academic support 

Students who need spiritual, psychological, social and academic support are encouraged to seek 

professional counselling from our professional counsellor as and when they need the counselling. 

Students with problem in various aspects may also be referred to the counsellors by their lecturer 

and programme coordinator. 

4.5 Student Representation and Participation 


4.5.1 How are student representation organised at the institutional and departmental levels 

The students’ representation may be organised at various learning centres. 

4.5.2 How are students encouraged to actively participate in curriculum development, teaching-learning 

processes as well as in other areas that affect their welfare 

Students are encouraged to give feedbacks formally or informally such as through their lecturers 

feedback forms or by sending e-mails to the relevant parties of HEP concerning curriculum 

development, teaching-learning processes as well as in other areas that affect their welfare 


4.5.3 How are student activities and student organisations -- through which they acquire skills and 

experiences to build character, leadership and responsibility -- supported by the department 

The department always support activities organized by or participated by the students to 

encouraged and develop their skills and experiences to build character, leadership and 

responsibility.

4.5.4 What is the policy regarding student publication What facilities are available to encourage 

student involvement in publication 

Currently we do not have any policies concerning students publication, however the HEP will 

consider any request for students publication(bulletin, magazines, newspaper etc)
