THE REGISTRATION INFORMATION FOR UNDERGRADUATE STUDENTS<br />

ACADEMIC YEAR 2013-2014 (GISENYI CAMPUS)<br />

I. GENERAL INFORMATION<br />

1. Before registration, each applicant must read the text of the <strong>ULK</strong> regulations on <strong>ULK</strong> Website<br />

or at the Academic Affairs Directorate Office and must accept to conform to its content and to<br />

the educational philosophy of <strong>ULK</strong>.<br />

2. <strong>ULK</strong> aims to produce for the country the executives having :<br />

Knowledge (very high scientific education);<br />

Know -how (professional education);<br />

Good conduct (solid moral education).<br />

3. <strong>ULK</strong> runs four faculties:<br />

Faculty of Economics and Business Studies (Economics, Accounting, Finance and<br />

Management);<br />

Faculty of Law;<br />

Faculty of Social Sciences (Sociology, International Relations, Development Studies,<br />

Administrative Sciences and Population Studies);<br />

Faculty of Sciences and Technology (Computer Science).<br />

4. <strong>ULK</strong> offers:<br />

- Day courses (Monday to Friday from 8:00 a.m to 2:00 p.m);<br />

- Evening courses (Monday to Friday from 5:30 p.m to 9:30 p.m);<br />

Weekend courses:<br />

- Friday (from 5:30 to 9:30 p.m);<br />

- Saturday (from 8:00 a.m to 16:00 p.m);<br />

- Sunday (from 8:00 a.m to 16:00 p.m).<br />

II. REGISTRATION<br />

To be registered at <strong>ULK</strong>, one must comply with the following conditions (extract from <strong>ULK</strong><br />

Regulations):<br />

- A-level with at least two principal passes;<br />

- Passing an English language proficiency test (if the applicant is from a country not using<br />

English as medium of instruction);<br />

- Student requesting entry with credit transferred from another Higher Education Institution must<br />

do so by two months before the beginning of the programme for which entry is sought;<br />

- All students are required to supply Registry Services with telephone number, email, postal and<br />

residential addresses, and an address for the receipt of the Institution’s accounts. Any change of<br />

address must be notified within seven days of the change.<br />

- The names under which students are registered will be used on all Institution documents. Any<br />

request for change of name must be supported by legal document;<br />

- A student’s registration may be withdrawn at any time during the academic year by the<br />

competent organ in case of absence without permission or justification of more than a month<br />

during the academic year. Such exclusion shall valid for the very same year and all the results<br />

nullified;<br />

- A student’s registration may be withdrawn at any time during the academic year by the<br />

competent organ on the grounds of a serious omission, false declaration at registration and<br />

student’s serious misconduct;<br />

- In the case of a suspension that starts after the beginning of an academic year, any passing<br />

grades already earned during that year will be retained on the student’s record and the student<br />

will not be required to redo these assignments/ examinations but will rejoin the programme at<br />

an appropriate point to be agreed with the Head of the Department.<br />

In order to be registered for any degree course, the prospective student must hand in:<br />

1. A notified copy of the required certificate;<br />

2. A duly filled in registration form;<br />

3. Two passport photos taken at <strong>ULK</strong> (for year one students);<br />

4. A copy of the identity card (for prospective candidates);<br />

5. A proof of fees payment.<br />

- The registration is provisional up to the confirmation of the file by the Academic Director’s<br />

approval.<br />

- Checking on given documents does not stop with registration; it is an ongoing process. In case<br />

the student’s file contains a fraudulent academic document, the student will be excluded from<br />

the <strong>University</strong> once for all.<br />

- No one is allowed to attend lectures, do any practical work or sit for any exams unless he/she is<br />

registered as a regular student.<br />

- A student card is issued to each registered student. It must be produced in order to have access<br />

to the university premises, lectures, practical works, examinations and the library. It must bear<br />

the photography of the owner, the signature of the Academic Director and the seal of the<br />

university.<br />

- Class attendance is compulsory for all students.<br />

- Only student who have completed the course programmes (with at least 85% of attendance for<br />

each course) and who have paid their tuition fees and whose payment receipts have been<br />

processed at the <strong>ULK</strong> cashier’s office at least 24 hours before the exam, will be allowed to sit<br />

for the exams.<br />

- Marks lists and marked copies will be kept in the faculty offices. All complaints regarding<br />

material errors of marking or of question papers should be dealt with by the Department<br />

Commission.<br />

III. REGISRATION FEES AND TUITION FEES<br />

1. Registration fees amount to 30,000 Rwandan francs.<br />

2. The tuition fees<br />

The tuition fees are fixed as follows:<br />

- One hundred thousand francs ( RWF 100,000) per term for day section students, into the<br />

following faculties: Economics and Business Studies; Social Sciences as well as Law;<br />

- One hundred and twenty thousand francs (RWF 120,000) per term for evening and weekend<br />

sections students, into the following faculties: Economics and Business Studies; Social<br />

Sciences as well as Law;<br />

The tuition fees payment procedures is the following:<br />

- The tuition fee for each term is payable in advance, that is to say, it is paid at the beginning of<br />

the term;<br />

- Compulsory payment takes place at the beginning of the second month of the academic term;<br />

- Paying in instalments is negotiated and obtained from the Administrative and Financial<br />

Director (DAF) and the beneficiary must respect his/her written promise;<br />

- Due to several abuses (bouncing cheques and wrong signatures), cheques are not accepted. We<br />

accept banks’ deposit slips;<br />

- Tuition fees are paid into the following Bank accounts:<br />

- Any duplicate official document issued by the <strong>University</strong> costs five thousands francs (5,000<br />

Frw) each; The duplicate of student card costs ten thousand francs (10,000 Frw);<br />

The diploma costs twenty thousand francs (20,000 Frw) and the degree costs twenty five<br />

thousand francs (25,000 Frw).<br />

- Trips, excursions of field’s work-related expenses are paid by students.<br />

VI. DISCIPLINE (extract from <strong>ULK</strong> regulations)<br />

- Any student who will be caught (with evidence) cheating during an exam, will be excluded for<br />

2 years from the <strong>University</strong> by the Academic Senate. The decision will be displayed on all the<br />

notice boards and walls at the campus. The reintegration will require a letter asking forgiveness<br />

to be examined by the Academic Senate;<br />

- Plagiarism is severely sanctioned by Academic Senate;<br />

- Any kind of ethnic and regional discrimination is strictly prohibited;<br />

- Any kind of corruption, intolerance and immorality is forbidden;<br />

- Any kind of moral, verbal and physical aggression, written or oral treatment toward teachers,<br />

classmates or any other person working with the <strong>ULK</strong> is punishable by a temporal or eventual<br />

exclusion, depending on the level of the offence;<br />

- Public nuisance that is contrary to good morals of our Rwandan culture, such as wearing of<br />

mini-skirts, skin-tight shorts and trousers, wearing earrings and nose-rings by men, is prohibited<br />

and punishable by exclusion;<br />

- Obedience, politeness, tolerance, integrity and respect are required from all members<br />

of <strong>ULK</strong>.<br />

N.B: - Registration and academic fees are not refundable, except in case of double<br />

payment;<br />

- To write clearly on bank deposit slips the students’ names, his/her registered<br />

student roll number (except new registered student), his/her class and section<br />

(day, evening, and weekends).<br />
