Invitation for Expressions of Interest to tender for
production of video case studies
Background
One East Midlands is the regional network for the voluntary and community sector
(VCS). One EM mission is to maximise the role of the VCS as an influential, valued
and equal partner in all policy development in the region.
Located within One East Midlands and running until March 2015 is the ERDF
Reach & Impact project, match funded by the European Regional Development
Fund (ERDF) and the Big Lottery Fund, which will deliver a range of support
activities, primarily focused on PA2 areas, to increase the understanding of,
reach and impact of ERDF funding.
Part of this work includes the delivery of case studies of East Midlands VCS
organisations whose projects have received ERDF funding with the aim of
increasing awareness and understanding of practical applications of ERDF.
Brief
Expressions of Interest are invited from companies which can produce three
video case studies of three to five minutes in length at locations throughout
the East Midlands during the period of October to December 2013.
Selection Criteria
This Expression of Interest is open to companies that offer the required
services. One EM are particulary keen to receive tenders from social
enterprises or companies that fully understand the aims and principles of third
sector organisations and that want to support One EM’s aims and principles.
Suppliers are asked to submit a quote acompanied with a brief description of
how you fulfill the following criteria:
• The production, including directing and editing, of three case study videos
of three organisations located across the East Midlands.
• The supply of the final videos in DVD format and a format that can be
embedded into the One East Midlands website, YouTube channel etc.
• The flexibility to meet the requirements of both One East Midlands and the
organisations being filmed
• Experience and reputation for the production of similiar films, including
being able to show a range of samples if shortlisted for this tender

• Understanding of accessibility standards, equality and diversity issues
• Understanding of and working towards reducing environmental impact
• Value for money
• Understanding of the role and function of One EM in the Third Sector
context would be an advantage
• Positive social impact in your work.
Contract value
Contract value to be negotiated. Please supply costings for the production of
the three case study videos from start to finish, including VAT.
Timescale
Expressions of interest must arrive by post or email by 5pm on Friday 4
October stating clearly by who and how this work will be delivered with clear
costings.
Terms of business
The contract will be for the production of the three video case studies only.
However if successful we may look to you for additional work in the future
though we are unable to guarantee this.
As this work is ERDF funded, please note that we will be obtaining at least
three quotes for this work.
Method of payment
Payment to be made by One EM by BACS.
Process of appointment
Due to the creative nature of the work we will be meeting with shortlisted
companies to discuss visions for the films and see examples of similar work
before making a final decision in mid-October.
We aim to appoint the successful supplier by late October to begin work on the
videos shortly afterwards and for the films to be completed by the end of
December at the latest.
