<strong>Administrative</strong> <strong>Assistant</strong> <strong>to</strong> Direc<strong>to</strong>r - School Administration<br />

Scope of Responsibilities<br />

The <strong>Administrative</strong> <strong>Assistant</strong> <strong>to</strong> Direc<strong>to</strong>r, School Administration, provides administrative support <strong>to</strong> the<br />

Direc<strong>to</strong>r and management team within the Department. The <strong>Administrative</strong> <strong>Assistant</strong> will prepare<br />

correspondence, memos and reports, field incoming phone calls and e-mail, coordinate agendas and<br />

meeting requirements, moni<strong>to</strong>r inven<strong>to</strong>ry and maintain an effective filing system. Working collaboratively<br />

within a team environment, the <strong>Administrative</strong> <strong>Assistant</strong> reports directly <strong>to</strong> the Direc<strong>to</strong>r, School<br />

Administration.<br />

Competencies Required<br />

<strong>Administrative</strong> <strong>Assistant</strong> <strong>to</strong> Direc<strong>to</strong>r, School Administration shall have the following competencies:<br />

(a) The ability <strong>to</strong> apply knowledge and understanding of educational matters <strong>to</strong> assist in the<br />

delivery services <strong>to</strong> schools;<br />

(b) The ability <strong>to</strong> perform administrative and secretarial tasks as required <strong>to</strong> support the<br />

Direc<strong>to</strong>r and other management staff within the Department;<br />

(c) The ability <strong>to</strong> apply knowledge and proficiency in the use of spreadsheets, database<br />

software, word processing software and the Internet;<br />

(d) Excellent organizational, problem solving, and decision-making skills;<br />

(e) The ability <strong>to</strong> work effectively within a team environment;<br />

(f) Strong interpersonal, oral and written communication skills;<br />

(g) The ability communicate effectively within the Board, with senior staff, elected Board<br />

members, schools, Department of Education officials and other government<br />

departments, the public and consumers of the services offered by the Board;<br />

(h) The ability <strong>to</strong> adapt <strong>to</strong> changing roles and responsibilities;<br />

(i) The ability <strong>to</strong> respond <strong>to</strong> changing technology;<br />

(j) The ability <strong>to</strong> apply knowledge, experience and commitment in the areas of racerelations,<br />

cross cultural understanding, human rights and diversity;<br />

(k) The ability <strong>to</strong> maintain and promote confidentiality as the norm;<br />

(l) The desire and ability <strong>to</strong> engage in continuing education and professional development.<br />

Qualifications<br />

a) Completion of diploma/certificate in secretarial or administrative support, or equivalent<br />

obtained through relevant job experience;<br />

b) Minimum five (5) years of experience providing administrative support at a senior level.<br />

Specific Job Components<br />

<strong>Administrative</strong> <strong>Assistant</strong> <strong>to</strong> Direc<strong>to</strong>r, School Administration shall perform those tasks assigned by the<br />

Direc<strong>to</strong>r of School Administration. These tasks may vary from time <strong>to</strong> time with the evolution of the<br />

organiza<strong>to</strong>n and may include, but not be limited <strong>to</strong> the following:<br />

(a) Provide administrative and secretarial support <strong>to</strong> the Direc<strong>to</strong>r of School<br />

Administration and other management staff as required;<br />

(b) Provide support for arranging and scheduling meetings, booking space, preparing<br />

agendas and meeting notifications;<br />

(c) Provide secretarial and recording services for staff committee meetings as required;<br />

(d) Maintain regular time and attendance records for School Administration Department;<br />

(e) Oversee departmental office supplies and maintain as required;<br />

(f) Maintain records of department accounts;<br />

(g) Maintain an effective filing and retrieval system for department files and records;<br />

(h) Respond <strong>to</strong> departmental inquiries;<br />

(i) Liaise with school personnel with respect <strong>to</strong> the retrieval of archival community<br />

school records;<br />

(j) Maintain and update web information pertinent <strong>to</strong> the School Administration<br />

Department;<br />

(k) Other duties as required.<br />
