Short-Term Recommendations<br />
In the short term, the first step is to encourage the team and help them understand the importance<br />
of this issue. Add file sharing and file management to an agenda for the next planned meeting. If<br />
there is not a meeting that includes all of the relevant people, hold a special meeting to introduce<br />
the issue. CSS leadership should stress the importance of keeping files organized by explaining<br />
both the organizational risks if the issue is not addressed and the benefits that could be seen if a<br />
better system were in place. Discuss the recommendations that CSS will be adopting so that<br />
everyone sees that while this is a large-scale problem, there is a plan in place that will improve<br />
the situation.<br />
Long-Term Recommendations<br />
As a follow up to the initial meeting, empower drive users with the understanding of who is<br />
responsible for maintaining specific parts of the drive. Each staff members should be responsible<br />
for maintaining the parts of the drive that impact their own work the most so that there is a clear<br />
incentive to follow through on the plan. Particularly, one person should be responsible for<br />
managing the administrative files and another should manage the research files.<br />
<strong>Final</strong>ly, in order to support the additional work that this creates, utilize a work-study employee.<br />
Structure the work-study responsibilities so that one student primarily owns the drive<br />
maintenance tasks. This creates a sense of ownership of this responsibility and accountability.<br />
This also allows a student to become more of an expert on the drive so that they can help people<br />
find content and understand the drive policies. Ideally, this work-study student could train his or<br />
her replacement since work-study positions have high turnover rates.<br />
