RULES & REGULATIONS FOR STALLHOLDERS<br />

1. All displays, fixtures, electrical installations within your stall shall be done in such a manner as to be without<br />

hindrance or danger to the neighboring stalls or to the visiting public. PVC sheathed and undamaged cables<br />

must be used for temporary electrical wiring of the booths. Failure to comply with this requirement may<br />

result in the power supply being withheld.<br />

2. All display arrangements, particularly electrical wiring, must be carried out in a manner, which will ensure<br />

that your stall will not be a fire hazard. Stallholders are requested to ensure that no dangerous or<br />

inflammable material or processed are incorporated in the stall displays.<br />

3. No sawing, cutting or chopping of timber and no painting will be allowed within the areas where the<br />

exhibition is to be held. Such activity may be carried out outside, in a place approved by the BMICH<br />

Authorities.<br />

4. Exhibitors are not permitted to engage in any activity, which may possibly damage the floors.<br />

5. No nails, adhesives, thumbtacks and such like materials shall be used on any part of the premises.<br />

6. Nothing should be pasted and /or hung on any of the walls, louvers, windows, doors etc of the BMICH.<br />

7. Structures and the electrical fittings of the stalls should be approved by the authorities of the BMICH.<br />

8. Naked flames shall not be used in any part of the BM ICH premises.<br />

9. No electrical apparatus or fittings of any kind shall be attached to or used, in connection with the existing<br />

electrical fittings, without the permission of the Electrical Engineer/ BMICH.<br />

10. All necessary steps must be taken to ensure that the persons attending the exhibition and /or the agents of<br />

the exhibitors, and/or their employees cause no damage to any property, furniture; fitting and accessories<br />

belong to the BMICH. Without point authorization from the organizer, no items and /or article of the<br />

Exhibition may be removed from a stand or a stand space while the Exhibition is in progress.<br />

11. Without prior authorization from the organizer, no items and/or article of the Exhibition may be removed<br />

from a stand or a stand space while the Exhibition is in progress.<br />

12. All stallholders must ensure that the premises and property of the BMICH are duly safeguarded.<br />

13. The BMICH officials or organizers are authorized to enter and inspect the premises, occupied by the<br />

exhibitors, during the periods of stall arrangement, exhibition and dismantling.<br />

14. The organizers have made arrangements with the Mount LAVINIA Hotel Caterers at the BMICH to operate a<br />

snack bar during the exhibition.<br />

15. Stallholders and their personnel shall co-operate with the authorities of the BMICH, their security personnel<br />

and the organizers.<br />

16. Banners shall not be displayed on the BMICH premises without payments of the charges given in the<br />

application form.(For further details on rates please refer to the application form for reservation of stalls).<br />

17. The organizers shall not be liable for any loss or damage to any goods, equipment or effects. Stallholders are<br />

solely responsible for any damage or loss arising from any acts or their personnel or events attributed to the


nature of their exhibition, its contents and placements, including damage to the buildings or any damage<br />

caused by fire or unsafe or negligent workmanship of their origin.<br />

18. Stallholders will be responsible for any misdemeanors of their personnel.<br />

19. The staff engaged in the exhibition stalls may wear a company identity card.<br />

SPECIAL ATTENTION<br />

A. All exhibition structure/ exhibition shall be arranged and completed by 7.00 a.m. on the 17 th of August 2012.<br />

The Stalls will be handed over to the Stallholders on 16 th August 2012 at 8.00 a.m. and the Stallholders will<br />

be permitted to work overnight on 16 th of August 2012<br />

B. Stallholders are requested to provide their own security for their stalls, in the nights on 16 th of August. No<br />

special Security arrangements are required for stalls located from August 17 th – 19 th August 2012 after closing<br />

of the BMICH. Stallholders on the outside the hall shall provide their own security for their Stalls during the<br />

night and throughout the period of the Exhibition.<br />

C. PVC sheathed and undamaged cables must be used for temporary electrical wiring of the booths. Twine<br />

twisted flexible (T flex) cables are not permitted. Failure to comply with this requirement may result in the<br />

power supply being withheld.<br />

D. Stallholders must not use any floor area other than the area allocated to them. In case they use extra floor<br />

area, the Organizers will be compelled to charge for the extra space.<br />

E. For Cleaning, exhibition areas will be opened at 8.00 a.m. and the Stallholders should arrange for someone to<br />

be their stalls, during the cleaning time.<br />

F. Stallholders shall not have their audio and /or video systems operating at high volume causing disturbance to<br />

the fellow stallholders or the visitors.<br />

G. Dismantling of structures and removal of exhibits must commence at 8.00 a.m. on 20 th August 2012 and shall<br />

be completed by 5.00 pm on the same day.<br />

H. I hereby agree to abide by the condition mentioned above. In the event of our failure to do so and the<br />

Organizers are called upon to pay for any damage, we do undertake the responsibility to reimbursement the<br />

cost to the organizers.<br />

I am aware that if the balance payment is not made by 30 th July 2012, I will not to be entitled to get the stalls<br />

and the organisers will forfeit the non refundable advance payment made.<br />
