Quotation Call Notice
Sealed quotations are invited through Registered Post/ Speed Post of P & T Department
only from the Reputed suppliers or Manufacturers for the following .The respective DQCN can
be downloaded from the District official Web site (www.sambalpur.nic.in) up to 1.00PM of
04.06.2011.
The Quotation should be accompanied with cost of Document & EMD in shape of
Demand Draft/ Banker’s Cheque from any Nationalised Bank drawn in favour of the Executive
Officer, Sambalpur Municipality, Sambalpur . The attested copy of the valid VAT clearance
certificate/ I.T.PAN card and list of similar materials supplied during last three years should also
be accompanied with the Quotation. The envelop containing the bid document should be super
subscribed with the “Name of the Work”. The Quotation without the copy of the valid VAT
clearance certificate/ I.T.-PAN CARD /EMD & cost of documents shall be summarily rejected.
The Quotation shall be received up to 12.00 PM of 09.06.2011 and shall be opened at
12.30 PM on 09.06.2011, in the office chamber of the Executive Officer, Sambalpur
Municipality, Sambalpur in presence of available quotationer or their authorized representatives,
who so ever is present then. If the date of opening is a holiday , the opening date will be the next
working day.
The authority reserves the right to cancel any or all quotations without assigning any
reason thereof.

1. Name of the Job: Supplying & testing of 40 HP Diesel Pump set having discharge of
120 LPS with a Head of 15 mtr. mounted in base plate having four
wheel trolley with flexible sunction & delivery arrangement of 7.5
mtr each with foot valve and with other complete accessories for
Improvement of Sanitations System for Sambalpur Town under
UIDSSMT Scheme.
2. Earnest Money: 1% of the quoted value in shape of Demand Draft/ Banker’s Cheque
of any Nationalised Bank drawn in favour of The Executive Officer,
Sambalpur Municipality, Sambalpur
3. Class Contractor/ Supplier :Authorised OEMs, (Original Equipments Authorised Dealers/
Registered Suppliers.
4. Time of Completion: 30 days from the date of supply order
5. Validity of the Tender: 90 days from the date of opening of the quotation.
6. S T C C : Attested true copy of the valid Orissa VAT clearance certificate &
PAN Card should be accompanied with bid document.
7. DELIVERY: FOR Sambalpur Municipality
8. Payment: (a) 90% of the agreed value shall be released after successful
commissioning and testing of the materials.
(b) Balance 10% of the agreed value shall be released after six
calendar months from the actual date of completion.
(c) No advance payment or secured payment shall be given or
entertained.
9. RATES: Rate shall be inclusive VAT & Surcharge, Transporting charges
duties, testing including all expenses, if any
10. Forfeiture of security deposit: In case of non-supply of materials either fully a partially with in
the stipulated period as per the programme of the supply order or
work order, the EMD is liable to be forfeited and the supply order
shall be cancelled automatically.
11. Other Terms and conditions: (1) The quotationer on whose favour supply order will be issued,
should execute an agreement with the Executive Officer, Sambalpur
Municipality, Sambalpur in warrant clauses before payment.
(2) Telegraphic or conditional quotations will not be taken in to
consideration. This Office is not responsible for any delayed receipt
due to Postal delay.

(3) Every supply should be accompanied with manufacturing Test
Certificate against the specification, guarantees of the materials.
(4) The Quotation application should be enclosed along with the the
Quotation duly singed by the quotationer.
(5) Authority reserves the right to reject any or all quotations
without assigning any reason thereof.
(6) Original Demand Draft/ Banker’s Cheque for cost of DQCN be
enclose.
13. Mode of Transportation: The Materials are to be delivered by the suppliers at Department
store by road transport. The Quoted rate should inclusive
transportation charges.
