Dealscase studiesAn extreme market<strong>in</strong>g campaignoffers an extreme makeoverHow a Canadian SAP partner usedmarket<strong>in</strong>g funds for a million dollar<strong>ERP</strong> makeover contestby Harmeet S<strong>in</strong>ghh s i n g h @ i t w o r l d c a n a d a . c o mWhile it may not be worthy of a realityTV show, a Canadian solution provider’sextreme market<strong>in</strong>g campaign is prov<strong>in</strong>gsuccessful for both it and for a familyownedcompany.Contax, <strong>Inc</strong>., an SAP AG partnerbased <strong>in</strong> Toronto, held its million doll<strong>are</strong>nterprise resource plann<strong>in</strong>g (<strong>ERP</strong>) makeovercontest <strong>in</strong> late 2011. “The extrememakeover campaign is someth<strong>in</strong>g thatwe conceived <strong>in</strong> order to get attentionand exposure and publicity around SAPsolutions for small and mid-sized companies,”said Michael Pearson, president ofContax.In February, Contax selected JamesAust<strong>in</strong> Co., a family-owned manufactur<strong>in</strong>gcompany based <strong>in</strong> Mars, Penn. as its w<strong>in</strong>nerafter receiv<strong>in</strong>g thousands of applicationsonl<strong>in</strong>e.“They had a very compell<strong>in</strong>g bus<strong>in</strong>esscase beh<strong>in</strong>d replac<strong>in</strong>g <strong>the</strong>ir legacysystem with a new <strong>ERP</strong> system,” Pearsonsaid. Contax will provide up to $500,000of SAP softw<strong>are</strong> and up to $500,000 ofimplementation services, mak<strong>in</strong>g its campaigna million dollar makeover.It will implement SAP Bus<strong>in</strong>ess All<strong>in</strong>-One,which <strong>in</strong>cludes <strong>ERP</strong> softw<strong>are</strong>along with customer relationship management(CRM) tools, supplier relationshipmanagement (SRM) softw<strong>are</strong> and bus<strong>in</strong>ess<strong>in</strong>telligence tools. It also uses SAP’sNetWeaver technology platform, whichaims to allow for cost-effective add-ons asa bus<strong>in</strong>ess grows.James Aust<strong>in</strong> hadn’t upgraded its system<strong>in</strong> eight years and was look<strong>in</strong>g for a refreshwhen its IT manager discovered Contax’smakeover contest.Its legacy system <strong>in</strong>cluded softw<strong>are</strong> fromMacola, now owned by Exact America.James Aust<strong>in</strong> Co.'s manufactur<strong>in</strong>g facility <strong>in</strong> Mars, Penn. is one offour plants <strong>the</strong> company owns across <strong>the</strong> Eastern U.S.James Aust<strong>in</strong> had implemented that <strong>ERP</strong>system <strong>in</strong> 2004. “It’s similar to SAP, butit has a lot of faults,” said Harry Aust<strong>in</strong>,president of <strong>the</strong> company, now <strong>in</strong> itsfourth-generation of family ownership.“We have to do a lot of ancillary reportwrit<strong>in</strong>g to augment <strong>the</strong> system.”“We were on <strong>the</strong> back end of <strong>the</strong>irproduct life and <strong>the</strong>n <strong>the</strong>y came out witha lot of upgrades and we never <strong>in</strong>stalled<strong>the</strong>m because we had already done a lotof custom report writ<strong>in</strong>g to make<strong>the</strong>ir system work.”“We’re a medium-sized companythat can take advantage ofall <strong>the</strong> modules that <strong>are</strong> offer<strong>in</strong>gby SAP,” he said. Aust<strong>in</strong> describeshis family’s company as a m<strong>in</strong>i-Procter and Gamble. With 245employees, <strong>the</strong> company manufacturesand distributes variousclean<strong>in</strong>g products and chemicals.It has four manufactur<strong>in</strong>gfacilities <strong>in</strong> Massachusetts, Pennsylvania,North Carol<strong>in</strong>a and Florida. Each of thoseplants manufacture different products and<strong>the</strong> company ships among <strong>the</strong>m to distributeto its customers.The four plants <strong>are</strong> all managed fromits Pennsylvania headquarters. “We’ll createreports here that <strong>are</strong> very useful, but<strong>the</strong> outside guys don’t know it,” <strong>Aust<strong>in</strong>s</strong>aid. “The SAP system is go<strong>in</strong>g to allowus to let <strong>the</strong> outside factories have a morevisual perspective of what’s go<strong>in</strong>g on <strong>in</strong><strong>the</strong> bus<strong>in</strong>ess.”Harry Aust<strong>in</strong>, president ofJames Aust<strong>in</strong> Co.Contax began its consult<strong>in</strong>g processlast month and has given a timel<strong>in</strong>e ofthree to six months for completion. “Ourexpectation is that this will be not an easyconversion, but not extremely difficult,”Aust<strong>in</strong> said.It has s<strong>in</strong>ce created a high-level projectplan and is now mov<strong>in</strong>g <strong>in</strong>to <strong>the</strong> bluepr<strong>in</strong>t<strong>in</strong>gphase, or determ<strong>in</strong><strong>in</strong>g actualrequirements for implement<strong>in</strong>g <strong>the</strong> softw<strong>are</strong>.Contax will likely have three or four employeesimplement<strong>in</strong>g <strong>the</strong> project, whichPearson says speaks to a newer SAP, wherelengthy <strong>in</strong>stallations with full teams <strong>are</strong>n’tnecessary anymore.“Tra<strong>in</strong><strong>in</strong>g is obviously a critical part of<strong>the</strong> process,” Pearson said. Contax willtra<strong>in</strong> <strong>the</strong> power users at James Aust<strong>in</strong> first,<strong>the</strong>n teach <strong>the</strong>m how to tra<strong>in</strong> <strong>the</strong> rest of<strong>the</strong> staff.“We felt that <strong>the</strong>re was a very strongcommitment from management,” Pearsonsaid, which helped solidify James Aust<strong>in</strong> as<strong>the</strong> w<strong>in</strong>ner. “We need <strong>the</strong> full support andcooperation and <strong>in</strong>vestment oftime and resources from <strong>the</strong> clientas well.”That commitment is alsoimportant for potential cont<strong>in</strong>ualrevenue from <strong>the</strong> customer.While <strong>the</strong>re is no obligation for<strong>the</strong> w<strong>in</strong>n<strong>in</strong>g company to cont<strong>in</strong>ueits relationship with Contax after<strong>the</strong> <strong>in</strong>itial implementation, <strong>the</strong>VAR was look<strong>in</strong>g for a companythat would potentially <strong>in</strong>vest <strong>in</strong>more functionality down <strong>the</strong> road andthat sees IT as critical to bus<strong>in</strong>ess growth,Pearson said.“We had a lot of support from SAP,”he said. “We leveraged our market<strong>in</strong>gdevelopment funds to promote <strong>the</strong> contestthrough pr<strong>in</strong>t, onl<strong>in</strong>e advertis<strong>in</strong>g.” SAPalso helped promote <strong>the</strong> contest through<strong>in</strong>ternal publicity.Contax is plann<strong>in</strong>g ano<strong>the</strong>r contest for2012 and for <strong>the</strong> next months will be regularlydocument<strong>in</strong>g <strong>the</strong> implementation atJames Aust<strong>in</strong> on its Web site.22March 2012computerdealernews.com
