<strong>Student</strong> <strong>H<strong>and</strong>book</strong>Page 8<strong>Briercrest</strong> <strong>College</strong> <strong>and</strong> <strong>Seminary</strong>Continuing <strong>and</strong> Distance Education4.1.1.2 Off-Campus <strong>Student</strong>sNew students are encouraged, if they intend to enter a program of study, to apply for a formalprogram of study before enroling in their first course. <strong>Student</strong>s may take up to two coursesthrough CDE without making formal application. After the second course, students arestrongly encouraged to apply for a program of study. <strong>Student</strong>s who decide not to apply cancontinue to register for courses with the underst<strong>and</strong>ing that their courses may not fit a formalprogram in the future. Further information about the application process is available throughthe Admissions Office.4.1.2 Programs of Study Available through Distance Education<strong>Student</strong>s who wish to complete a program of study must apply through the AdmissionsOffice <strong>and</strong> meet the qualifications for acceptance into the corresponding school at <strong>Briercrest</strong><strong>College</strong> <strong>and</strong> <strong>Seminary</strong>. <strong>Student</strong>s who wish to graduate with a <strong>Briercrest</strong> <strong>College</strong> degree orcertificate must complete a minimum of fifty percent of the credit hours while in residence(residence is defined as completing courses offered by <strong>Briercrest</strong>). The fifty percentrequirement applies to the program overall, as stated above, but it also applies to the Core,Major (BA) <strong>and</strong> Discipline (AA <strong>and</strong> Bible Certificate). <strong>Seminary</strong> graduation requires aminimum of 30 credit hours completed through <strong>Briercrest</strong>. This does not include creditstransferred or achieved through the Prior Learning <strong>and</strong> Ministry Assessment course.4.2 Course AuditsCourse audits are not available through CDE. The Bible Exploration Series provides ourst<strong>and</strong>ard alternative to regular, for-credit courses. More information on our Bible ExplorationSeries is available on our distance education website.4.3 <strong>Student</strong> Status<strong>Student</strong>s who are enrolled in distance education courses to supplement their in-classeducation maintain the status they have with the college or seminary.<strong>Student</strong>s who are studying primarily through distance education are considered to be studentsof either <strong>Briercrest</strong> <strong>College</strong> or <strong>Briercrest</strong> <strong>Seminary</strong> as applicable, <strong>and</strong> the followingclassifications will apply:4.3.1 Full-time<strong>Student</strong>s accepted into a program of study <strong>and</strong> registered for 12 credit hours or more in acurrent semester are considered to be studying full-time. For student loan purposes, 9 credithours registered for <strong>and</strong> completed in any given semester is the requirement for <strong>Briercrest</strong><strong>College</strong> (6 credit hours for <strong>Briercrest</strong> <strong>Seminary</strong>). Please check your Provincial <strong>Student</strong> Loan

Regularly can be defined asmeeting together once a month for 3-4 hours, meeting together twice a month for 1.5-2 hours, or meeting together weekly for a shorter period of time (an hour).The student is not completing the minimum required course work (i.e., 2 courses peryear).The student is not actively involved in her/his local church.4.3.6.2 Procedure for Moving <strong>Student</strong>s to Inactive FileIf a program student has failed to meet any of the above requirements, the following stepswill be taken.One missed journal – the student will be contacted to determine why the journal hasnot been received. If the student cannot be contacted or does not respond to messages,emails, letters, etc., a note will be put in his/her file.Second missed journal – the student will be contacted. The student will be advisedshe/he is being moved to inactive status. This means the student will no longer beconsidered a program student <strong>and</strong> will not qualify for the accompanying privileges(discounts on courses, merch<strong>and</strong>ise, etc.).A student who is not completing two courses a year will be contacted, as well. Thismay result in being moved into a program the student can complete within therequired seven-year time frame. This is an option that is open to all program students,if they find they cannot complete a degree in seven years.A student’s file will remain in the inactive file for up to two years, at which point itwill be permanently removed. A student who wishes to re-enter the program after twoyears have elapsed must reapply.4.3.7 Inactive Status - Voluntary WithdrawalThere are times when circumstances in a student’s life change suddenly <strong>and</strong> unexpectedly,requiring the student to withdraw from studies. CDE program students have the option ofvoluntary withdrawal from the program <strong>and</strong> placement on an inactive list for up to two years.During that time, they may reinstate with minimum requirements. The Director of DistanceEducation <strong>and</strong> the Program <strong>Student</strong> Coordinator will review these cases on an individualbasis.4.3.8 Moving from Inactive to Active <strong>Student</strong> StatusA student who has moved to inactive status may return to active status if certain criteria aremet.


<strong>Briercrest</strong> <strong>College</strong> <strong>and</strong> <strong>Seminary</strong><strong>Student</strong> <strong>H<strong>and</strong>book</strong>Continuing <strong>and</strong> Distance Education Page 13completion date. <strong>Student</strong>s who are unable to meet this initial deadline must contact thedistance education office to apply for an extension. Extensions may be granted whenextenuating circumstances have prevented a student from meeting the deadline.5.1.3 Extension to Due DateA student who is unable to complete a course within the eight-month time limit may beeligible for an extension of four months from the original completion date. Extensions will beconsidered where students have demonstrated significant effort in completing the courseduring the initial eight-month term or where extenuating circumstances have hinderedstudent progress. An administrative fee of $75 is assessed for an extension.5.1.4 Reinstatement of a CourseA student may reinstate an incomplete course within two years of the original date ofregistration. A fee of $250 will be assessed for reinstatement <strong>and</strong> the student will receive afurther 6 months to complete the course. The student will be required to purchase currentcourse materials as applicable. Failure to complete the course within the 6-month time framewill result in an ‘F’ on the student’s transcript with no further recourse but to retake the class.5.1.5 Examinations<strong>Student</strong>s who are ready to write an exam should request to do so at least 48 hours in advance(plus mailing time for off-campus students). Examinations should be written according to theorder suggested in the course syllabus. In most cases, all other course work should becompleted before a final exam is written. In all cases where a final exam is one of the courserequirements, the exam is m<strong>and</strong>atory, <strong>and</strong> failure to write the exam will result in an “F” (0%)for the course.5.1.5.1 Off-campus <strong>Student</strong>sBefore requesting an exam, the student must contact the distance education office with thename <strong>and</strong> address of a proctor to whom the exam can be mailed. The proctor may not be afriend, a relative, or someone who reports to the student in a work context. A suitable proctoris someone who answers to a code of conduct: a member of a pastoral staff or other churchleader, a certified teacher, an educational administrator, a librarian, a police officer, or achurch secretary, for example. In all cases, the office must approve the proctor before anexam will be forwarded. When the proctor receives the exam, the student <strong>and</strong> proctor shouldarrange a convenient time for the student to write the exam (within three weeks of the proctorreceiving it). The proctor is to mail the completed exam to the distance education office assoon as the student has completed it. An exam not written <strong>and</strong> returned within the timeallotted is subject to a failing grade (for that examination). It is extremely important that the

Examinations are not returned to students, but students will receivenotification of their grades.5.1.5.2 On-campus <strong>Student</strong>sOn-campus students should give at least a 48-hour notice of their desire to write an exam <strong>and</strong>are required to contact the distance education office to book a time.5.2 Grades <strong>and</strong> TranscriptsUpon completion of a course, an unofficial grade report, summarizing the grade earned, willbe issued. <strong>Student</strong>s should carefully review these marks <strong>and</strong> immediately report any errors tothe distance education office. Grades are not released to anyone other than the student, unlessprior permission has been granted in writing by the student.Official transcripts can be requested through Academic Services. All requests must be inwriting <strong>and</strong> signed by the student. Payment of the current fee is required before transcriptswill be produced.5.3 Academic ProbationThe purpose of Academic Probation (AP) is to warn students who have experiencedacademic difficulty that they need to seek help to improve their grades or they may berequired to discontinue their studies at <strong>Briercrest</strong> <strong>College</strong> <strong>and</strong> <strong>Seminary</strong>. The consequencesof going on AP will be specified on a case-by-case basis, but may include restrictions on thenumber of courses a student may register for, the level of the courses students are able toenrol in, or other measures as decided upon by the Director of Distance Education. TheDirector will notify students of their probationary status in writing. <strong>Student</strong>s who are enrolledin a program <strong>and</strong> studying primarily through distance will be put on academic probationunder the following circumstances: Current GPA for 1 course is below 2.0 Cumulative GPA is below 2.05.3.1 Required to Discontinue<strong>Student</strong>s may be required to discontinue (RTD) their studies after attaining a GPA of lessthan 2.0 on two consecutive courses. RTD status lasts for 12 months <strong>and</strong> during that time astudent will not be permitted to enrol in any further courses through <strong>Briercrest</strong> <strong>College</strong> <strong>and</strong><strong>Seminary</strong>. <strong>Student</strong>s who are placed on RTD will be notified of this decision in writing.<strong>Student</strong>s who wish to appeal this decision must do so in writing within five days of receivingthe notice. Within one week of the date the written appeal is received, the student will be

For further information on appeals, please refer to 5.6.3 –Academic Review <strong>and</strong> Appeal Process.5.3.2 Academic Integrity <strong>and</strong> Honesty<strong>Briercrest</strong> is committed to maintaining high academic st<strong>and</strong>ards, <strong>and</strong> desires to develop instudents a commitment to achieve these st<strong>and</strong>ards in a manner marked by integrity <strong>and</strong>honesty. Academic honesty is the hallmark of true personal integrity. <strong>Student</strong>s areaccountable to perform each task according to principles of academic honesty.5.3.3 Principles of Academic HonestyWork submitted by students must represent their own ideas, concepts, <strong>and</strong> currentunderst<strong>and</strong>ing.Any ideas or concepts borrowed from other sources must be appropriatelydocumented, including any research, papers or projects that the student hassimultaneously or previously submitted as coursework for other classes.Progress in learning is measured by course assignments <strong>and</strong> examinations; therefore,cheating prohibits the recognition of st<strong>and</strong>ards of academic achievement.Cheating, plagiarism, or any form of dishonesty is unacceptable.Cheating in any form devalues the credentials of the college <strong>and</strong> is detrimental to allstudents.The reputation of students, faculty, <strong>and</strong> the institution are damaged when appropriatediscipline is not applied by the <strong>Briercrest</strong> administration.5.3.4 Examples of Academic DishonestyPlagiarism: submission of the work of others (including their theories or ideas),published or unpublished, in whole or in part, without acknowledgment or properdocumentation.Cheating on examinations by the use of crib notes, unauthorized retrieval ofinformation previously stored in a computer, copying from another paper eitherbefore or during the exam or by any other means.Theft of examination papers.Deliberately allowing another student to copy one's work.Buying or using a term paper or project composed by another person <strong>and</strong> turning it inas one's own work.Having someone else write an exam or writing an exam for someone else.Unauthorized collaboration on the preparation of assigned course work.Submission of identical or substantially similar papers <strong>and</strong>/or course projects in morethan one class without the prior approval of faculty member(s) involved.


<strong>Student</strong> <strong>H<strong>and</strong>book</strong>Page 16<strong>Briercrest</strong> <strong>College</strong> <strong>and</strong> <strong>Seminary</strong>Continuing <strong>and</strong> Distance EducationDeliberately misusing or creating references.5.3.5 Process of Academic DisciplineIf it comes to light that a student has violated one or more of the principles of academicintegrity or honesty outlined above, the student may be required to undergo a process ofacademic discipline. The following outlines the process used in such cases:1. The instructor of the course will assess the severity of the alleged infraction <strong>and</strong>initiate the disciplinary process.2. The instructor will contact the student(s) to discuss the reason(s) for the allegation<strong>and</strong> to give opportunity to the student for explanation or confession. Confession ofdishonesty upon confrontation may permit more grace to be factored into thedisciplinary process. At this point, the instructor may choose to impose one of thepenalties as outlined in the Academic Discipline chart below.3. If the instructor is not satisfied with the outcome of the first stage of interaction withthe student, or if he or she feels that further action is needed, he or she will write abrief report of the allegation <strong>and</strong> present it to the Director of Distance Education.4. The Director will contact the student(s) <strong>and</strong> render a decision on the case, includingassessment of the level of academic discipline. The Director may choose to presentthe case to the Appeals Team for further input.5. Any failure or expulsion resulting from academic dishonesty will be the action of acommittee (such as the Academic Appeals Committee).6. A student may appeal the decision rendered by following the Academic Review <strong>and</strong>Appeal Process.7. All cases of academic discipline will be appropriately documented in the student’spersonal file.8. All appeals except requests for faculty review of a grade must be submitted inwriting, <strong>and</strong> must include the student’s full name, the course name <strong>and</strong> number, <strong>and</strong>the assignment’s date of submission.2. The appeal process may not be started later than one month after the current coursecompletion date.3. Appeals must include a concise description of the reason(s) the student is seeking anappeal.4. Appeals made beyond the faculty member must include details of prior decisionsalong with the rationale of the deciding body.5. All decisions will be communicated to the student in writing <strong>and</strong> copies of thecommunication will be filed at each level.6. In recognition of the need for impartiality throughout the appeal process, no one willbe allowed to make decisions on the student's appeal at more than one level, thoughhe or she may be asked to clarify the rationale for her or his decision. For example: ifthe Director of Distance Education denies the student's case, he/she will not beresponsible for making further decisions on that case if the student decides to appealthe case to a higher level.5.5 Grade Recalculation PolicyIf students believe that an error was made in their grade transcription or calculation, theyshould ask the course instructor to recalculate the grade. <strong>Student</strong>s should be aware that theregrade may go up or down, depending on the error. If students are not satisfied with theresponse, they may follow the academic appeal process in the Academic Review <strong>and</strong> AppealProcess (5.6.3).5.5.1 Grade Recalculation Process<strong>Student</strong>s should approach the faculty member with their request.If necessary, the faculty member will submit a grade change to the distance educationoffice. No fees will be assessed to the student.5.5.2 Grade Review Policy<strong>Student</strong>s who believe they should have received a better course grade should ask the facultymember involved to review the final mark. The decision to review a student’s grade is at thediscretion of the faculty member. <strong>Student</strong>s should also be aware that the faculty member may

If students are notsatisfied with the response, they may follow the Academic Review <strong>and</strong> Appeal Process(5.6.3).5.6 Grade Review Process<strong>Student</strong>s must initiate the grade review process within 30 days of receiving theirgrade report for the course.<strong>Student</strong>s should approach the faculty member with their request.If necessary, the faculty member will submit a grade change to the distance educationoffice. No fee will be charged to the student.5.6.1 Remedial Work PolicyA student who recognizes that he or she did poorly in a course <strong>and</strong> received a grade of 45 –49 percent may request to do remedial work to raise the grade. The maximum a final grademay be raised as a result of remedial work is six per cent. For example, if a student gets 49percent in a course, the maximum grade the student may receive after successful remedialwork is 55 percent. In addition to remedial work, students must complete all regular courseassignments with passing marks to qualify for the grade increase. The decision to assignremedial work is at the discretion of the faculty member <strong>and</strong> the Director of DistanceEducation, who both have veto power. <strong>Student</strong>s should recognize that the opportunity to doremedial work is a privilege which may or may not be granted, depending on thecircumstances. A student who finds the decision unacceptable may follow the AcademicReview <strong>and</strong> Appeal Process (5.6.3). Multiple requests for grade reviews <strong>and</strong>/or remedialwork by the same student in consecutive courses, as well as the student’s overall academicprogress, will have a bearing on the consideration of the request. <strong>Student</strong>s are responsible topay the administrative fee that results from this process except where there has been an errorin grade transcription or calculation.5.6.2 Remedial Work ProcessA student making a request for remedial work must initiate the process within 30 daysof receiving the grade for the course in question.The request for a grade review must be submitted in writing to the distance educationoffice.The Director of Distance Education will consult with the faculty member <strong>and</strong> eitherbegin the process or take it to the Appeals Team for final approval.The $100 administration fee will be charged to the student’s account upon approvalof the appeal.


<strong>Briercrest</strong> <strong>College</strong> <strong>and</strong> <strong>Seminary</strong><strong>Student</strong> <strong>H<strong>and</strong>book</strong>Continuing <strong>and</strong> Distance Education Page 19Upon completion of the remedial work, the faculty member will submit the revisedgrade (if any) to the distance education office.5.6.3 Academic Review <strong>and</strong> Appeal Process *5.6.3.1 PreambleOccasionally students may wish to appeal decisions that relate to course work (e.g., mark onan assignment, exam, or course grade), to other academic issues (e.g., program requirementsor transfer credits), or to the application of some policy (e.g., a discipline matter, a programrequirement). The Academic Review <strong>and</strong> Appeal Process attempts to ensure that studentsreceive fair <strong>and</strong> appropriate treatment in such cases. **Our goal is that the student will underst<strong>and</strong> <strong>and</strong> accept the outcome of this process. Whenappeals reveal out-of-date polices or inadequate process, the college will work hard to learnfrom the process <strong>and</strong> adjust the policies <strong>and</strong>/or processes. As such, the principles of carefulresearch, attentive listening, <strong>and</strong> spiritual sensitivity are all key to the Academic Review <strong>and</strong>Appeal Process.5.6.3.2 Request for Review Within the SituationIf a student wishes to petition a review of an outcome in a particular situation, wheneverpossible, the request for a review should begin with the individual(s) who made the decision;such a request can be made either verbally or in writing. If the student is dissatisfied with theoutcome of the faculty member or administrator’s decision, he or she may begin the appealprocess as outlined below.5.6.3.3 Appeal to the Academic Appeals CommitteeFollowing the outcomes of his or her request for review from the faculty member oradministrator, there may be situations where a student feels that an appeal of this outcome isin order. He or she must make such an appeal in writing (see Guidelines for Appeals at allLevels – 5.4.1) <strong>and</strong> submit it to the registrar. The registrar will take this appeal to theAcademic Appeals Committee, who may ask for a written response from the faculty memberor administrator involved in the case, after which the committee will render a decision. Thestudent will receive a written response within one week of submission indicating theoutcome. The committee maintains the right to defer the appeal to the next level (EducationTeam) if, for some reason, they require broader counsel to make the decision.


<strong>Student</strong> <strong>H<strong>and</strong>book</strong>Page 20<strong>Briercrest</strong> <strong>College</strong> <strong>and</strong> <strong>Seminary</strong>Continuing <strong>and</strong> Distance Education5.6.3.4 Appeal to the Education TeamIf a student wishes to appeal the situation beyond the steps indicated above, he or she maysubmit a written appeal/grievance to the Education Team within 14 days of the decision ofthe Academic Appeals Committee (unless it relates to a time-sensitive issue like examschedules, in which case the appeal must occur within the appropriate time frame). Theappeal must be in written form <strong>and</strong> should include all the details of the case as well as thedecisions rendered in the appeals process. The student should direct it to the academic dean,who will present the appeal to the Education Team. The Education Team will communicatethe decision to the student within two weeks of the appeal. The Education Team maintainsthe right to defer the appeal to the next level (President’s Cabinet) if, for some reason, theyrequire broader counsel to make the decision.5.6.3.5 Grievance to the President’s CabinetIf, after following the appeal process up to <strong>and</strong> including the Education Team, the student isstill dissatisfied with the outcome of her or his appeal, he or she may choose to file agrievance with the President’s Cabinet. This grievance must be in written form <strong>and</strong> shouldinclude all the details of the case as well as the decisions rendered in the appeals process. Thestudent should submit the grievance to the president or one of the vice-presidents of<strong>Briercrest</strong> <strong>College</strong> <strong>and</strong> <strong>Seminary</strong>. At this point, the President’s Cabinet may recommendsome form of Christian conciliation where an external ombudsman is asked to come <strong>and</strong> leadthe review process. Semoran Blvd,Orl<strong>and</strong>o, Florida, 32878-0339.5.7 Graduation RequirementsA student in either a <strong>Briercrest</strong> <strong>College</strong> or <strong>Briercrest</strong> <strong>Seminary</strong> distance education programwill graduate with the Bachelor of Arts in Christian Studies, the Associate of Arts inChristian Studies degree, the Bible Certificate, or the Certificate of the <strong>Seminary</strong> providinghe/she:


<strong>Briercrest</strong> <strong>College</strong> <strong>and</strong> <strong>Seminary</strong><strong>Student</strong> <strong>H<strong>and</strong>book</strong>Continuing <strong>and</strong> Distance Education Page 21o demonstrates approved Christian character.o meets all program requirements within the stated deadlines, including courses,local church involvement, internship, journaling, mentoring, grad requirementsetc.o demonstrates essential agreement with the Statement of Faith of the <strong>Briercrest</strong><strong>College</strong> <strong>and</strong> <strong>Seminary</strong>.o obtains the recommendation of the distance education faculty assessmentcommittee, approved by a vote from the general faculty.o attains a cumulative grade point average of not less than 2.0.o writes a Bible Content Exit Exam.o fully meets or makes honourable arrangements to meet all financial obligations tothe <strong>College</strong>.5.8 Program Completion <strong>and</strong> Graduation ProcessIn addition to the on-campus program <strong>and</strong> graduation requirements, students who arepursuing a program of study through CDE should make note of the following:<strong>Student</strong>s should inform the distance education office of their intention to graduate asearly as possible, but in no case should this be later than November 1 for graduationthe following April.In addition to the requirements of on-campus students, graduates of a BA programdelivered through distance education should note the following:Graduating students are required to assemble <strong>and</strong> submit a learning portfolioin the form of Microsoft Word documents. The portfolio will answer twoquestions: “What have I learned at <strong>Briercrest</strong>?” <strong>and</strong> “Can I prove it?” Westrongly encourage students to collect materials/documents soon after theybegin the program so that assembling the learning portfolio in the monthsbefore graduation will not be stressful to them.<strong>Student</strong>s must pass an oral examination (in person or by telephone) based ontheir learning portfolio, conducted by two distance education facultymembers. The exam usually lasts from 1.5-2 hours.The student’s mentor <strong>and</strong> church will be asked to provide a recommendationfor graduation based on their assessment of the student’s character <strong>and</strong>spiritual growth. This recommendation will be an integral part of thegraduation approval process.Graduating students are strongly encouraged to attend (if at all possible) thecommencement exercises held in the spring of each year.

STUDENT SERVICES6.1 LibraryThe library staff is available during all hours of operation to assist students with their use ofthe library or with research needs. Information about the library may be obtained from thelibrary’s website: http://www.briercrest.ca/library The webpage provides a link to theArchibald Library’s online catalogue, as well as to a number of online electronic databasesthat off-campus students have access to. The library’s phone number is (306) 756-3252 <strong>and</strong>their email address is: library@briercrest.caOff-campus students have access to all library resources, <strong>and</strong> when distance prohibits oncampususe many resources can be sent to students by mail. Library books are sent, <strong>and</strong> canbe returned, using Canada Post. When books are sent to Canadian students a postage-paidreturn mailing label will be included with the parcel. <strong>Student</strong>s residing in the United Statesare responsible for paying return mailing costs. If you are mailing books from the U.S.A,please make sure you label the package as containing only library books to prevent dutycharges from being assessed at the border. We cannot mail books to students residing outsideof Canada or the continental United States. Unfortunately, we cannot lend audio/visualmaterials to any distance borrowers other than those that are required for CDE courses.Due to the nature of distance borrowing off-campus students may borrow books for threeweeks. Up to three two-week renewals may be requested, provided the books have not beenrequested by another student. Renewals may be done through the library catalogue, by phone,or by email. When returning books on or near the due date it is a good idea to renew thebooks before you send them back, so that fines do not accumulate while they are in transit.Fines of $0.25/day per book, up to a maximum of $5.00 per book will accumulate on overduebooks. On the 21 st of each month any fine balances over $5.00 will be transferred to astudents’ account at the finance office, along with a $5.00 transfer fee.More information for off-campus students can be found on the “Off-Campus <strong>Student</strong>s”section of the library’s website: http://www.briercrest.ca/library/dlstudents/6.2 Financial AidA financial aid office is available to assist students in processing student loans <strong>and</strong> inaccessing other education-related financial services.

Iftextbooks are not in stock when the course is ordered, the books will be shipped directly tothe student at no extra charge. <strong>Student</strong>s are also free to obtain their own textbooks.6.4 Academic Advising<strong>Student</strong>s are encouraged to seek academic advice for both course <strong>and</strong> program selection.
