Toyota TsushoGetting more from less:Archiving reduces storage space, costs and riskThe Toyota Tsusho South Pacific Holdings’ office locations readlike a luxury cruising itinerary – but managing major automotivebrands across seven islands from Papua New Guinea to Vanuatuand Tonga brings more than its fair share of challenges. Ownedby Toyota Tsusho Corporation (Japan), it supports the Toyota,Yamaha and Hino brands, as well as other high profile productsfrom its South Pacific regional head office in Brisbane. A centralteam of six people manage and maintain the information and communicationsystems for 1300 employees scattered over 30 sites.A global security initiative for Toyota Tsusho focusing on email security prompted agreenfield refresh and consolidation of the disparate IT environments. “A key businessdriver was the requirement to manage and control every device throughout the entireSouth Pacific group, from a centralised location” said Dinesh Chand, Group IT Managerat Toyota Tsusho South Pacific Holdings.Growing Volume, Uncontrolled Risks“Our email in particular was experiencing rapid growth in data volume – in both ourmail storage and [Microsoft] Exchange databases – this was not only costly but alsoslowing our mail systems,” said Dinesh Chand. “More concerning was the huge risk ofdata loss at the end point. We knew that if this eventuated, we had no capacity for fastand efficient recovery.“From the perspective of end users, the system was unwieldy and frustrating to use,and was causing network performance issues. Locating past emails was a hit and misstime-consuming affair with no systematic process for simple search or email retrieval.”Toyota Tsusho South Pacific Holdings engaged Data#3, a leading ASX-listed informationand communications technology company with offices nationally and almost 500 staff,to design and implement a centralised structure to enable central control within asingle security platform. The installation went smoothly, with the solution’s simplifieddeployment and administration processes enabling Toyota Tsusho to get it up andrunning in days. Its inbuilt wizards and best practice dashboards ensure easy day-todaymanagement.“We wanted to work with an experienced information and communication technologysolutions company with the expertise to ensure optimal integration and seamlessservice,” said Dinesh Chand. “Data#3 has a track record of delivering exceptional valuein integrated solutions, and they were instrumental in helping us achieve our businessgoals on this project.”ORGANISATION PROFILEWebsite: www.toyotatsusho.comIndustry: AutomotiveHeadquarters: Brisbane, AustraliaEmployees: 1300Toyota Tsusho South Pacific Holdings is asubsidiary of Toyota Tsusho Corporation(Japan). Its unified platform can archive acrossmultiple content sources includingExchange, Domino, SharePoint, IM andfile servers into a central repository. The Symantec PST/NSF migration toolarchives unmanaged personal emailmessages and attachments, enablingthe IT department to effectivelyeradicate the use of personal emailstore files and regain control ofthe company information. Utilisingoptimised Single-Instance-Storage,Enterprise Vault efficiently archivesinformation by storing just one copyof a file or message, regardless of thenumber of times it occurs or where it isstored, lowering storage costs again byreducing the overall archive size.Protection Plus ProductivityAs well as cutting storage costs, ToyotaTsusho South Pacific Holdings hasrealised savings in management costswith significant reductions in the timespent in IT support of the end userenvironment. The previous disparatesolution resulted in a complex userenvironment, prone to failure andwith a prolonged recovery time. Theinstallation of Symantec EnterpriseVault has reduced the amount ofsupport required and slashed therecovery timeframe.“By centralising all our old emailsback into Exchange, Enterprise Vaulthas optimised our server storageand ensured that backups and servermanagement are performed where ourtechnical skills are concentrated,” saidDinesh Chand. The real gains, however, have beenin end user productivity and security.Enterprise Vault is designed to be aseamless extension to the messagingapplications already used by end users, such as Microsoft Outlook, Lotus Notesor SharePoint, giving visible access toarchived information, even from mobiledevices.“Emails are not left on our usersmachines – so PC performance hasimproved noticeably. With 1300employees using faster machines withimproved functionality, reduced backuptime and the ability to search andretrieve archived emails over the Web,the productivity gains Enterprise Vaulthas delivered are significant. End usershave full access to all their emails, sothey’re happy with the solution,” saidDinesh Chand.“The fact that we’ve achieved thiswhile massively improving our securityis a real win. Information containedin messages and our corporateintellectual property is suitablyprotected and the entire messagingenvironment is visible and secure. Wehave a centralised and indexed archivethat can be searched “on demand” andemails and other content are securelypreserved according to policy.“The group has also benefited fromreduced storage and backup costs, but more important is the reductionin risk and the automatic and costeffectivecompliance with our corporatepolicies.”SOLUTION AT A GLANCEBusiness Drivers• Reduce the management overheadsassociated with archiving• Improve the protection of corporateinformation and content• Improve end-user productivity• Enable efficient search and retrievalTechnology Challenges• Ensure compatibility with operatingsystem environment• Simplify administration• Improve desktop performance• Reduce recovery timeSymantec Products• Enterprise Vault• Backup Exec• Multi-tier ProtectionTechnology Environment• Windows and Unix servers -virtualised and physical• Endpoints: 1300 desktop and laptopworkstations• Microsoft ExchangeBusiness Benefits• Reduced management and storagecosts• Improved security and recovery time• Automatic archiving with Web-basedefficient search and retrieval• Enhanced endpoint performanceCopyright © 2010 Symantec Corporation.
