Management Committee Meeting MinutesTuesday 20 th April 2010Wesley CollegeSouth Perth at 4.15pm.Attendance: Von Wiese, Pauline O’Brien, Carmen Stewart, Keilo Wise, GenBaker, Thelma Cluning, Ilsa Bennion, Rosie O’Keefe,Apologies Talita Von Tonder, Dionne Garvey.Agenda items:Special Meeting with guest - Pauline O’BrienBackground information in response to a request by the Management Committeefor Pauline O’Brien to answer queries generated as a result of the Website reportsubmitted to the 15 th April Meeting.Question and Answer Session• What is needed for the president to be have access to the website,will she need to be trained as a Webmaster?The level of training depends on what a person wants to be able to do, Paulinesuggested that Von be trained as an editor that way she will be able to createand edit posts. Von to negotiate with Pauline re training as an editor.A motion was put to the committee by Carmen and seconded by Ilsa that Vonbe added to the website management – the Committee unanimously approvedthe motion• How can we promote and sustain the website what do we need to dofor a contingency plan?Sue Roach and Von have volunteered to be involved with the websitemanagement. This will help with contingency plans. (Pauline is on leave fromJune) Proforma /role responsibilities and access codes need to be identified.• What ongoing costs are involved in maintaining the website and whoprovides these services?Database web hosting (at 20%discount) $220/yearDomain Non commercial AustralianOrganisation: .org au or not for profitorganization operating in Australia.Currently $35/2years.All ArtEd posts and images are stored on server,thereare 8 postings on homepageas more posts go on others drop offand are archived. Most frequentlychanged posts are the meeting news/calendar.

A review is called for next January of the comparable costs for database webhosting.• Who is presently involved with the maintenance of the website?Brendan Hibbert –designer and technical support-does not become involved atall in making any postings but does have administrator role,unpaid role.Therewas discussion as to Brendan’s membership status. He should be a memberto carry out this role- we need to consult last years proforma.Lynda Kuntyj and Pauline O’Brien are joint administrators and ‘web masters’Current contact people within the Management Committee for the Subcommittees and ConvenorsPrimary -Rosie Edmiston C /member contact VonSecondary - Annette Appleby C /member contact VonProfessional Dev - Yvonne WieseConstitution - Pauline O'Brien C /member contact IlsaCommunications / Publications – Dionne GarveyEvents –Ilsa BennionMembership - Gen BakerNotice of meetings need to be current for Pauline to do the postingsNotification via the Convenorsof all of the Sub Committee meeting dates - so that all members have theopportunity to contact the convenor or a sub committee member to add anitem to their agenda for discussion / action.Pauline requested information from Von about the Secondary Sub Committeemeeting at Canning Vale.Protocol for posting of minutes• Management Committee records of meetings (eg:-Secretarycompiles and forwards to the President and all members present atmeeting to review then returns to secretary who forwards final record towebmasters for posting)• Sub committee records of meetings. (eg: Convenor compiles minutesforwards to all members present at meeting for review then forwards finalrecord to President/ Vice President/Secretary and to webmaster forposting . Secretary then responsible for forwarding the sub committeerecords to all other memers of the Management CommitteeConstitutionConstitution Report – Pauline outlined how the subcommittee is workingwith model rules as a skeleton with reference to ArtEd’s constitution,

There is a meeting next week to arrive at a timeline for producing a draftwhich will then go to membership.Ilsa Bennion will be the committee’s contact person for Pauline .General Business• The Committee discussed item 41, in regards to its meaning, in relation tothe 'appointment' by the Committee of a new Committee member onresignation of an existing Committee member.• The meeting sought clarification of selection criteria that is to be put inplace when a committee member resigns and a replacement person isappointed• The committee will identify selection criteria based on the constitution touse in the replacement process in order to provide transparency to theArted Membership• National Curriculum for the Arts Forum in Sydney on 3 rd MayDiscussion was held that the ArtEd Assoc needed to be represented atthis Forum, Gen volunteered to follow this up with Robyn Smith atCurriculum Council so that ArtEd has feedback.Close
