When document captureand EHRs are used consistently across the health carespectrum—by providers, insurers, regulators and patientsthemselves—the benefits expand exponentially.Getting Ready for EHRs with KofaxUnder pressure to simultaneously reduce costs, provide high-quality care and comply with governmentregulations, hospitals and health care providers can nolonger settle for labor-intensive, error-prone manual paperhandling. Doctors and physicians need electronic accessto all patient-related data at the point of care, whereverthat may be. Fast access to accurate data is not justimportant for compliance and audit reasons—it can oftensave lives by enabling doctors and other health careproviders to• Answer inquiries almost immediately• Transmit research data or lab instructions withinseconds instead of days of physical mailing• Access a true, real-time electronic record• Get a holistic picture of patients with a few mouseclicksAutomatically Capture and Digitize AnyPatient-related DataAs an integral part of health records management,Kofax enables health care organizations to capture anytype of patient-related document, in any format, at anystage of the patient’s involvement with the organization.Documents can be scanned in large volumes at a centralprocessing facility, individually at a desktop, or at aremote office.Kofax understands the complexity of patient- andhealth-related data. For example, test reports and labinstructions can be extensive and include multi-pagegraphs and images where every line item and dot isimportant. That is why our leading scanning and capturetechnology ensures the best possible image quality andreadability.Kofax can then automatically classify and separate thescanned documents by type and patient ID; extract therelevant information; transfer it to your existing healthinformation systems (HIS), ECM systems and databases;and trigger workflows to ensure that the right informationis at the right place at the right time—at a doctor’scomputer, at the lab, or in the administration department.By automating the identification and separation ofdocuments, Kofax lets you use high-speed scanners andother capture devices at the speeds for which they weredesigned, avoiding time-consuming and costly sorting, labeling and barcoding. The streamlined and automated capture of patientdocuments minimizes errors and inaccuracies, increases productivity and ensures high data accuracyand availability, allowing you to focus on what is mostimportant: your patients.Meet Security Standards and RegulatoryCompliancePrivacy and other regulations make data security, processtransparency and auditability top priorities. As soon aspatient data enters the Kofax system, it is in a secure ITframework where access can be controlled and alertscan be sent automatically if discrepancies are found orimportant data is missing. Kofax enables you to monitorand report each touch point of sensitive patient data fromthe moment it is received until it is transferred to yourdatabase, ECM, or HIS system. In addition, Kofax uses a combination of built-inredundancy, failover and error-correction so your

The resulting medicalrecords, diagnostic reports, research analyses andbusiness accounts generated tens of millions of pages ofinformation.Geisinger Health System has consistently improved itsmedical records management procedures over time.Medical information is captured through centralizedscanning, combined with auto-indexing at the satelliteclinics. Clinic personnel use their expertise to identifyeach document’s type and print a barcoded headersheet for it. Behind the scenes, every time they print abarcode header sheet, it generates a workflow case inthe enterprise workflow automation system so thosedocuments are tracked through the system. All theindexing, such as type and number of pages, occursat the clinics. When the documents arrive at centralscanning, the system acknowledges receipt and createsthe batches to be scanned with all their attributes: casename, number of pages, and number of documents. Itdoes the matchups automatically. If there is a mismatch, the system alerts the operator, who can accept it orreject and fix it. The workflow system integrates cleanlyand efficiently with the Kofax system so no one has tomanually enter any of the attributes. Detailed data aretransferred to the workflow system so progress can bemonitored from scanning to recognition to quality controlto release. The medical records procedures were sosuccessful that Geisinger Health System reengineeredits existing non-medical document workflows throughthe same system.Remarkable ResultsOther customers also report remarkable results:• A hospital cut the time needed every week to process800 Explanation of Benefits forms from 10 hours to 1hour.• A health plan now digitizes its patients’ financial andmedical records and makes them instantly availablethroughout its network of hospitals and clinics.• A hospital doubled the number of documents it canprocess daily with no increase in personnel.• A medical specialty practice eliminated the need tostore patient charts offsite and pay for their retrieval.• A home health care provider scans, indexes and digitallystores the 36 million pages it generates from 3 millionhome visits each year.• A community hospital scans 15,000 pages daily ofpatient medical and insurance records.• A mail order pharmacy filled 270,000 orders eachmonth, while saving $70k every month over priorfulfillment methods.Powerful, Scalable, SecureKofax software offers scalability from departmental toenterprise systems, from local to global deployments, from front-office to back-office applications.
