– Blocks sealed, tissues wrapped in preservative soaked gauze in heat sealed bags,<br />
slides cover slipped, etc.<br />
– Computer back-ups maintained in security cabinet.<br />
INDEXING<br />
Indexation is often computerized and provides complete and quick retrieval starting<br />
from any one of the indexed parameters.<br />
All study or lot specific materials are given a unique holding number that corresponds<br />
to location. Facility specific material is filed using common sense (i.e. chronologically,<br />
alphabetically).<br />
Indexing parameters which may be used:<br />
– Project or study number.<br />
– Test article/reference article and lot numbers for bulk and formulated material, if<br />
appropriate (tie–in with product accountability records).<br />
– Protocol number (may be same as study number).<br />
– Testing facility.<br />
– Key word retrieval from study title (route, species, etc.).<br />
– Key word retrieval from comments section of master schedule (e.g. regulatory<br />
information, dates).<br />
– Department.<br />
Retrieval from Archives<br />
Once an item has become an official central archives holding, the original should be<br />
subject to restricted access. It should be examined in situ with verbal authorization but<br />
only within the central archives area, and in the presence of the archivist. Photocopies<br />
should be provided upon request.<br />
Removal of original holdings from the central archive will be allowed only under<br />
exceptional circumstances when justified and authorized in writing. The history of<br />
each holding must be documented.
