It gives me great pleasure to welcome you, on behalf of the team at H<strong>or</strong>izon House<br />

Publications, to the <strong>Europe</strong>an Microwave Week Exhibition (EuMW) 2007 at the<br />

International Congress Centre Munich (ICM).<br />

Please take time to read the Exhibit<strong>or</strong> Manual. It has been compiled to help you plan your<br />

participation at the show and to ensure a smooth run up to the event. Please read all the<br />

inf<strong>or</strong>mation carefully, passing on all relevant inf<strong>or</strong>mation to your contract<strong>or</strong>s and staff. At<br />

the back you will find the ICM technical inf<strong>or</strong>mation section, which covers matters such as<br />

customs and labour regulations, removal of waste and other ICM <strong>or</strong> German regulations.<br />

Please ensure you read this section carefully and you complete any relevant f<strong>or</strong>ms.<br />

Please pay particular attention to the show f<strong>or</strong>ms sections at the back of the manual.<br />

These are very imp<strong>or</strong>tant and enable us to make sure that you are provided with all the<br />

necessary passes etc that you will require. There is a f<strong>or</strong>ms deadlines checklist on page 25<br />

f<strong>or</strong> your use, please adhere to the deadlines.<br />

HEALTH AND SAFETY<br />

To ALL our Exhibit<strong>or</strong>s – It is very imp<strong>or</strong>tant that you read this section<br />

We appreciate that some of you may have limited experience with regards to the legal and<br />

practical aspects of health and safety management. This section is designed to give you<br />

sufficient guidance to discharge your responsibilities. Guidance, however, can only go so far<br />

and you have a legal duty to ensure that your operations do not compromise health and<br />

safety.<br />

Under Health & Safety legislation, exhibit<strong>or</strong>s and their main contract<strong>or</strong>s are responsible f<strong>or</strong><br />

all activities that take place on their stand throughout the event and any actions that could<br />

affect others not on their stand. This involves providing of a risk assessment and a method<br />

statement (f<strong>or</strong> space only stands), as well as the briefing, communicating to and controlling<br />

of all sub-contract<strong>or</strong>s and staff w<strong>or</strong>king on their stand.<br />

1. H<strong>or</strong>izon House Publications Policy Statement<br />

H<strong>or</strong>izon House Publications aims to set the benchmark standard f<strong>or</strong> managing health and<br />

safety in exhibitions. This is not only our m<strong>or</strong>al and legal duty, but is commercially<br />

imp<strong>or</strong>tant f<strong>or</strong> the success of every event. We recognise that our exhibit<strong>or</strong>s rely on us to<br />

provide a trading environment on the exhibition flo<strong>or</strong> that is safe and without risk to health.<br />

We also recognise that running a public event places a special responsibility on H<strong>or</strong>izon<br />

House and extends our duty of care not only to our staff but to exhibit<strong>or</strong>s, contract<strong>or</strong>s, venue<br />

staff, visit<strong>or</strong>s and members of the public. H<strong>or</strong>izon House Publications is committed to<br />

providing, maintaining and promoting, so far as reasonably practicable, the highest standards<br />

of Health, Safety & Welfare at all our events. To ensure that all H<strong>or</strong>izon House’s health and<br />

safety obligations are met, we will:<br />

• allocate sufficient resources to meet health and safety objectives<br />

• provide adequate control of health and safety risks arising from our w<strong>or</strong>k activities<br />

• consult with the venue, exhibit<strong>or</strong>s and contract<strong>or</strong>s on matters affecting health and<br />

safety<br />

• provide relevant health and safety inf<strong>or</strong>mation to employees and others<br />

• ensure so far as is reasonable that the contract<strong>or</strong>s we engage f<strong>or</strong> the show are<br />

competent<br />

• prevent accidents and cases of w<strong>or</strong>k related ill health and maintain safe and healthy<br />

w<strong>or</strong>king conditions as far is reasonably practicable<br />

2. Risk Assessment<br />

H<strong>or</strong>izon House Publications has carried out suitable and sufficient assessment of the risks<br />

associated with this event, details of which can be obtained from the <strong>or</strong>ganiser’s office.<br />

General risks associated with any exhibition are as follows:<br />

• Multiple contract<strong>or</strong>s w<strong>or</strong>king in a single w<strong>or</strong>kplace<br />

• Slips, trips and falls<br />

• Fall from w<strong>or</strong>king at heights<br />

• Objects falling from height <strong>or</strong> loads falling from vehicles<br />

• Impact injury from moving vehicles<br />

• Structural collapse of an exhibition stand<br />

• Food poisoning incident from temp<strong>or</strong>ary catering outlet<br />

• Fire (please submit a separate fire risk assessment)<br />

• Maj<strong>or</strong> incident and civil emergency<br />

• Excessive w<strong>or</strong>king hours<br />

This is an overview and by no means a comprehensive account of the risks involved at this<br />

event. It is the absolute duty of all parties to ensure that under the Management of Health<br />

and Safety at W<strong>or</strong>k Regulations and other legislation suitable, sufficient risk assessments are<br />

conducted on all posed risks. The Management Regulations and associated guidance also<br />

requires that risks should be mitigated with a view to achieving maximum reduction in the<br />

level of risk within the bounds of what is reasonably practicable. In general terms, emphasis<br />

should always be placed on eliminating <strong>or</strong> reducing risk at source. It must be remembered<br />

that personal protective equipment is usually a control of last res<strong>or</strong>t.<br />

3. Exhibit<strong>or</strong> Requirements<br />

As an exhibit<strong>or</strong> you have the legal duty of care f<strong>or</strong> the safety of anyone who may be affected<br />

by your activities. You are ultimately responsible f<strong>or</strong> all aspects of safety on your stand<br />

during build up, show open and breakdown. Where you contract out the building and<br />

finishing of your stand you are still vicariously responsible f<strong>or</strong> the activities of your<br />

contract<strong>or</strong>s. You can discharge your duties by ensuring that you do the following:<br />

• Appoint a competent person to be responsible f<strong>or</strong> health and safety on your stand.<br />

• You MUST carry out a suitable and sufficient risk assessment and fire risk<br />

assessment of all your activities and obtain relevant risk assessments from your<br />

contract<strong>or</strong>s with supp<strong>or</strong>ting method statements f<strong>or</strong> the building and demounting<br />

of your stand. If you have a shell scheme stand you can assume that the <strong>or</strong>ganisers<br />

have obtained the shell scheme contract<strong>or</strong>’s risk assessment.<br />

• You must ensure that your staff and contract<strong>or</strong>s w<strong>or</strong>king onsite are inf<strong>or</strong>med of the<br />

site rules and health and safety arrangements and you must ensure so far as you<br />

reasonably can that they follow them.<br />

• You must ensure that all your staff onsite and contract<strong>or</strong>s are familiar with the<br />

venue’s emergency procedures and safety measures which can be found in the 00 part<br />

of the ICM section at the back of the manual. F<strong>or</strong> m<strong>or</strong>e inf<strong>or</strong>mation on procedures,<br />

4. Site Rules<br />

F<strong>or</strong> the venues rules and regulations please refer to the ICM section at the back of the<br />

manual.<br />

5. Health & Safety Checklist<br />

- Completed F<strong>or</strong>m 1a <strong>or</strong> 1b – Exhibit<strong>or</strong>’s Health and Safety Declaration<br />

- Appoint your health and safety representative onsite<br />

- F<strong>or</strong> space only stands a copy of your risk assessment, fire risk assessment and<br />

method statements covering the build up and breakdown of your stands, needs to<br />

be sent to the <strong>or</strong>ganisers as well as the venue<br />

- 2 x copies of your space only stand plans sent to the <strong>or</strong>ganisers. Please see page<br />

- Provide suitable training and inf<strong>or</strong>mation to your staff and contract<strong>or</strong>s regarding<br />

the onsite risks and the emergency procedures<br />

- Notification and supp<strong>or</strong>ting risk assessments f<strong>or</strong> any activity on your stand, which<br />

represents a significant risk. This includes but is not limited to the following:<br />

• Flammable substances <strong>or</strong> naked flame<br />

• Pressurised gasses such as LPG<br />

• Hazardous chemicals and substances<br />

• Ionising radiation<br />

• Water features<br />

• Demonstrations<br />

Disability Discrimination Act<br />

Part 111 of the UK Disability Discrimination Act 1995 came into effect on 1 October 2004.<br />

H<strong>or</strong>izon House Publications is committed to the implementation of the Act at all its events.<br />

Theref<strong>or</strong>e it is imp<strong>or</strong>tant that our contract<strong>or</strong>s and exhibit<strong>or</strong>s understand their responsibilities<br />

under the Act.<br />

There are three principle duties under the Act:<br />

1. to provide a disabled person with the service that it provides to others<br />

2. the service must be provided on the same terms<br />

3. the service must be provided to the same standard<br />

Changes and adjustments that are made must be ‘reasonable’ and reasons f<strong>or</strong> making, <strong>or</strong> not<br />

making, changes and adjustments must be ‘reasonable’. Exhibitions are an imp<strong>or</strong>tant<br />

environment because they are often brand and industry showcases and theref<strong>or</strong>e negative<br />

media coverage due to unreasonable behaviour under the DDA would not be wise.<br />

Furtherm<strong>or</strong>e, disabled visit<strong>or</strong>s are part of a valuable and growing market segment, which<br />

should be catered f<strong>or</strong>.<br />

Tips f<strong>or</strong> Exhibit<strong>or</strong>s and Contract<strong>or</strong>s:<br />

• Access to exhibits must be available to all visit<strong>or</strong>s<br />

• Platf<strong>or</strong>ms must have ramps. P<strong>or</strong>table ramps which are put in position temp<strong>or</strong>arily to<br />

provide access are acceptable.<br />

2. Maintenance and Restocking of Stands<br />

All necessary maintenance and restocking of stands should be carried out each m<strong>or</strong>ning pri<strong>or</strong><br />

to the show opening, as it is not possible to do this during the show open hours. If you wish<br />

to carry out maintenance w<strong>or</strong>k after the show closes, please advice the Organisers Office no<br />

later than 1400hrs on the same afternoon to allow arrangements to be made f<strong>or</strong> the admission<br />

of w<strong>or</strong>kmen and provision of lighting. There is a charge f<strong>or</strong> late w<strong>or</strong>king in <strong>or</strong>der to cover<br />

these arrangement costs.<br />

3. Removal of Exhibits and Stand fittings<br />

F<strong>or</strong> health and safety reasons pullout cannot commence until ALL visit<strong>or</strong>s have left the<br />

hall. Pullout will take place from 1700hrs on Thursday 11 October. Please see the Event<br />

Timetable on page 5. POWER WILL BE DISCONNECTED TO ALL STANDS <strong>30</strong><br />

MINUTES AFTER SHOW CLOSE. Please note that the dismantling of shell scheme stands<br />

will begin at 1900hrs on Thursday 11 October. Shell scheme exhibit<strong>or</strong>s must theref<strong>or</strong>e<br />

remove ALL exhibits from their stand by 1900hrs. Should this not be possible then please<br />

contact the Organisers Office in advance to make special arrangements to safeguard your<br />

property. Any exhibits <strong>or</strong> stand equipment left on your stand will be removed and disposed<br />

of at your own expense. A pullout schedule will be delivered to your stand during the show.<br />

SIMPLE SPACE ONLY STANDS (UNDER 4M HIGH)<br />

Space only stands must send plans to both the venue and the <strong>or</strong>ganisers as below, bef<strong>or</strong>e the<br />

deadline of 29 th June 2007.<br />

THE HEIGHT LIMIT FOR THE EVENT IS 4M.<br />

The ICM ceiling height varies throughout the halls. F<strong>or</strong> all space only stand designs<br />

that are above 2.5m <strong>or</strong> above, one set of your plans will be sent to the ICM f<strong>or</strong> them to<br />

approve to ensure the ceiling above your stand is high enough to accommodate your<br />

stand design. Send to kay.metzger@messe-muenchen.de by 29 th June 2007.<br />

Stand Layout<br />

All simple space only stands must submit 2 sets of to scale plans (showing the dimensions<br />

and positions of entrances/exits, walling, st<strong>or</strong>age areas and maj<strong>or</strong> exhibits and detailing all<br />

materials used) by the 29 June 2007 to the Operations Manager. The scale must be no less<br />

than 1:50. They must also submit a Risk Assessment (including a separate fire risk<br />

assessment) and a Method Statement. All inf<strong>or</strong>mation must be supplied in English.<br />

The Operations Manager will check your design and inf<strong>or</strong>m you of any irregularities <strong>or</strong><br />

problems with the design. You must build what you submit f<strong>or</strong> approval. Send plan,<br />

assessments and statement to gdonovan@h<strong>or</strong>izonhouse.co.uk.<br />

Construction and Dressing<br />

The design of the stand must be such that it can be erected and dismantled in the time<br />

available, please see event timetable page 5. Exhibit<strong>or</strong>s will be charged f<strong>or</strong> the extra cost of<br />

keeping lights and security on if they need to w<strong>or</strong>k late, costs f<strong>or</strong> this are high. Building over<br />

the gangway is not permitted.<br />

All w<strong>or</strong>k must be carried out in conf<strong>or</strong>mity with the Rules and Regulation of the Local<br />

Auth<strong>or</strong>ity and the ICM.<br />

Onsite, the Organisers may, at the expense of the exhibit<strong>or</strong>, remove <strong>or</strong> alter anything f<strong>or</strong>ming<br />

part of the stand, if in their opinion it is desirable to do so in the interest of the exhibition <strong>or</strong><br />

health and safety.<br />

Height Restrictions and Walling<br />

• The following regulation height and walling must be applied to your stand design:<br />

• The maximum height to which you may build is 4m. You may not construct a stand<br />

above this height.<br />

• A continuous run of m<strong>or</strong>e than 4 m of walling is not permitted. Any walling over 4m<br />

in length must be set back at least one metre from the stand perimeter.<br />

• At least one third of each open frontage must also remain entirely clear <strong>or</strong> be fitted<br />

with approved transparent material.<br />

• All do<strong>or</strong>s on stands must open inwards and have a viewing panel.<br />

Shared Walling<br />

If a wall between two exhibit<strong>or</strong>s is marked on the plan by a solid line, space only exhibit<strong>or</strong>s<br />

must construct a wall of at least 2.5m and are responsible f<strong>or</strong> cladding and dec<strong>or</strong>ating both<br />

sides of their stand wall above a height of 2m. Exhibit<strong>or</strong>s on space only stands must not use<br />

the back of other stand walls without the consent of the exhibit<strong>or</strong> concerned. However, the<br />

joint construction of a dividing wall is both acceptable and encouraged by the<br />

<strong>or</strong>ganisers.<br />

Flo<strong>or</strong> Fixings<br />

Bolting, fixing <strong>or</strong> screwing to the hall flo<strong>or</strong> is prohibited. Please use approved carpet tape<br />

only. See the Imp<strong>or</strong>tant Inf<strong>or</strong>mation pages within the ICM section in this manual f<strong>or</strong> m<strong>or</strong>e<br />

inf<strong>or</strong>mation. Any carpet tape <strong>or</strong> tape residue left behind will be removed by the hall cleaners<br />

at your cost.<br />

Contract<strong>or</strong>s<br />

Please complete F<strong>or</strong>m 4 with the details of contract<strong>or</strong>s being employed in constructing your<br />

stand.<br />

Travel Distances<br />

There should be a distance of no m<strong>or</strong>e than 10m to the nearest exit from any point on the<br />

stand.<br />

COMPLEX SPACE ONLY STANDS<br />

THIS TYPE OF STAND MAY NOT BE CONSTRUCTED<br />

Complex space only stands are defined as:<br />

• Stands exceeding 4m in height<br />

• Double decker / multi-st<strong>or</strong>ey stands<br />

• Stands inc<strong>or</strong>p<strong>or</strong>ating stairs <strong>or</strong> staircases<br />

• And stand with a platf<strong>or</strong>m over 600mm above flo<strong>or</strong> level to which people have<br />

access<br />

• Viewing / Service platf<strong>or</strong>ms<br />

• Suspended items, e.g. lighting rigs<br />

• Raised walkways / ramps<br />

• Sound / Lighting towers over 4m<br />

GENERAL STAND INFORMATION FOR ALL STANDS<br />

• Banners<br />

All rigging of banners must be approved by the event <strong>or</strong>ganisers and <strong>or</strong>dered with the ICM.<br />

Please see the ICM section at the back of the manual. Please contact Meplan if you require a<br />

banner to be made up.<br />

• Balloons<br />

Helium balloons are not permitted in the exhibition halls without written permission from the<br />

Organisers.<br />

• Build and Materials<br />

F<strong>or</strong> fire prevention and safety reasons stand build and any materials used must be used in<br />

compliance with the german B1 ( in compliance with DIN 4102) and ceiling regulations. See<br />

the imp<strong>or</strong>tant notes section in the ICM section, point 2, f<strong>or</strong> m<strong>or</strong>e inf<strong>or</strong>mation. All ceilings<br />

require the written approval of the ICM. A VDS Sprinkler certification in German is required<br />

f<strong>or</strong> the approval.<br />

• Cleaning<br />

Exhibit<strong>or</strong>s are responsible f<strong>or</strong> booking the cleaning of their own stands. Please see the ICM<br />

section at the back of the manual.<br />

• Carpet<br />

All shell scheme stands are supplied with c<strong>or</strong>d carpet. Space only exhibit<strong>or</strong>s are responsible<br />

f<strong>or</strong> providing and removing their own carpet <strong>or</strong> flo<strong>or</strong> covering to the satisfaction of the<br />

Organisers. Please ensure that your flo<strong>or</strong> covering is secured and maintained so that it does<br />

not cause a hazard. You will be charged f<strong>or</strong> the removal of tape and restitution of flo<strong>or</strong><br />

finish if the tape is left on your stand area. If you are a space only exhibit<strong>or</strong> wishing to <strong>or</strong>der<br />

carpet, please contact MEPLAN.<br />

• Completion of Stands and Exhibits<br />

All stands must be completed, including positioning of exhibits by 2000hrs on Monday 8<br />

October. Stands in the Foyer must complete construction by 1200hrs on Monday 8<br />

October.<br />

• Contract<strong>or</strong>s<br />

You may employ a stand contract<strong>or</strong> of your choice f<strong>or</strong> all areas of your stand except shell<br />

scheme and additions to shell scheme, where the official stand contract<strong>or</strong> is Meplan. If you<br />

are employing a contract<strong>or</strong> to build your stand, it is essential that your contract<strong>or</strong> is fully<br />

aware of relevant f<strong>or</strong>ms and deadlines and their responsibilities under all Health & Safety<br />

legislation, as well as the ICM’s Rules and Regulations. Please ensure these details are<br />

f<strong>or</strong>warded to them. Please let us know your contract<strong>or</strong> details by completing and returning<br />

F<strong>or</strong>m 4 by 27th July. It is essential that a representative from your contracting company<br />

speaks English.<br />

• Dilapidation<br />

Care must be taken to avoid damage to any part of the hall, <strong>or</strong> to the shell scheme. Should<br />

you, your staff, <strong>or</strong> your contract<strong>or</strong>s cause any damage <strong>or</strong> disfigurement to occur, you will be<br />

charged f<strong>or</strong> the damage.<br />

• Distribution of Promotional Material<br />

You are reminded that all business, including the dispensing of literature and promotional<br />

material must be conducted from your stand. Your staff will not be permitted to hand out<br />

leaflets etc at the entrance to the event, in the gangways <strong>or</strong> in any other part of the exhibition<br />

hall. Please note that material must not be attached to the fabric of the building.<br />

• Electrical Requirements<br />

All lighting and electrical requirements f<strong>or</strong> the <strong>Europe</strong>an Microwave Week Exhibition must<br />

be <strong>or</strong>dered through Meplan. Space only contract<strong>or</strong>s need to contact ICM directly with their<br />

electrical requirements. Please see ICM section 3 f<strong>or</strong> all ICM regulations and inf<strong>or</strong>mation<br />

regarding power supply at the ICM. The relevant f<strong>or</strong>ms f<strong>or</strong> booking mains power to your<br />

stand can be found in this section. Please ensure that you have <strong>or</strong>dered a sufficient mains<br />

supply to feed all the exhibits on your stand. Furtherm<strong>or</strong>e, it is imp<strong>or</strong>tant to indicate the<br />

positions of the mains supply as well as the sockets on your stand plans.<br />

The electrical installation of exhibition stands is in general to be carried out in acc<strong>or</strong>dance<br />

with the latest VDE regulations. Please contact the venue f<strong>or</strong> further inf<strong>or</strong>mation on (+49<br />

89) 9 49-2 32 70. Please note that shell scheme stands are supplied with 1 spotlight per<br />

whole 3sqm, plus a 3 Kw socket.<br />

• Entrances / Exits<br />

Entrances/exits must be a minimum of 2.5m and emergency exits must be at least 1.5m wide.<br />

Exits with do<strong>or</strong>s opening directly onto a gangway must be recessed into the stand. There<br />

should be a distance of no m<strong>or</strong>e than 10m to the nearest exit from any point on the stand.<br />

• Fabrics<br />

Textile fabrics used f<strong>or</strong> interi<strong>or</strong> display purposes on the stand must be flame proofed <strong>or</strong><br />

already treated with an approved chemical when purchased, to German standards. All<br />

fabrics used must be B1 in compliance with DIN 4102. F<strong>or</strong> further inf<strong>or</strong>mation pleas see<br />

ICM Inf<strong>or</strong>mation at the back of the manual.<br />

• Gangways<br />

The gangways used in this venue are the minimum permissible by law. Under no<br />

circumstances will exhibits, stand dressing, tables and chairs etc, be allowed to encroach into<br />

gangways.<br />

• Late W<strong>or</strong>king<br />

If you require late w<strong>or</strong>king please contact the Organisers Office by 1400 hrs that day as<br />

arrangements need to be made f<strong>or</strong> staff, power and lighting. You are reminded that there is a<br />

charge f<strong>or</strong> late w<strong>or</strong>king to cover these costs.<br />

• Lighting<br />

Lux level lights and floodlights must be guarded to prevent risk of injury.<br />

• Noise<br />

Any stand playing music <strong>or</strong> videos on their stand must keep the sound down to a level that is<br />

not intrusive to other exhibit<strong>or</strong>s. If in the opinion of the Organisers, the sound level on the<br />

stand is too high and the exhibit<strong>or</strong> does not conf<strong>or</strong>m to verbal requests to reduce the sound<br />

level, the Organisers reserve the right to cut all power to the stand.<br />

• Paint<br />

Only water-based paints may be used onsite. Protective measures must be taken to ensure<br />

that no paint is spilt <strong>or</strong> sprayed on the fabric of the building. Fabrics and materials treated<br />

with fire resistant solutions should not be over painted with water-based paints.<br />

• Plastic<br />

All materials used at the ICM must be B1 fire proofed. F<strong>or</strong> further inf<strong>or</strong>mation please see<br />

ICM section at the back of the manual.<br />

• Risk Assessment & Method Statement<br />

All space only exhibit<strong>or</strong>s must provide the Operations Manager with a Risk Assessment, Fire<br />

Risk Assessment and a Method Statement f<strong>or</strong> their stand. Please see page 8 f<strong>or</strong> the Health &<br />

Safety Checklist.<br />

• Scaffolding<br />

Lone w<strong>or</strong>kers must not w<strong>or</strong>k on their own at heights over 2m: they must have a colleague to<br />

assist.<br />

• Stand Dressing/material<br />

All materials used in the construction of stands should adequately resist the spread of flame<br />

over their surface. Artificial plants and flowers are combustible and give off fumes and must<br />

not be used. Silk type flowers are acceptable providing they have been fireproofed and are<br />

marked as such. Cellulose paints are flammable and must not be used in stand dressing.<br />

• Trunking<br />

All electrical trunking must be clearly marked with white striped tape and may not be closer<br />

than 1m from any entry / exit steps to / from any exhibits.<br />

Vehicle Passes<br />

These passes are required f<strong>or</strong> vehicle unloading in and around the halls during build-up and<br />

these are not car parking passes. Car parking can be <strong>or</strong>dered through the ICM, please see<br />

the ICM section at the back of the manual.<br />

2. Audio-Visual<br />

A full range of audio-visual equipment can be hired f<strong>or</strong> the duration of the exhibition from<br />

the ICM, please see the ICM section at the back of the manual. Please remember that sound<br />

levels must be kept at a reasonable level.<br />

3. Banking Facilities<br />

There is a cash point machine located outside the Main Entrance West of the ICM. This is<br />

situated between the main foyer entrance and the underground station.<br />

4. Car Parking<br />

Please refer to the <strong>or</strong>der f<strong>or</strong>m in the ICM section of the manual.<br />

5. Catering<br />

Hoffmann is the exclusive supplier of Stand and Private Hospitality Catering at the ICM. As<br />

stand caterers, Hoffmann can deliver fresh and delicious food, beverages and equipment to<br />

your stand at your convenience. All food and drink f<strong>or</strong> consumption on the premises<br />

must be obtained from Hoffmann. F<strong>or</strong> details on catering please see the ICM section and<br />

the back of the manual.<br />

6. Children<br />

Children under the age of 16 (including babies and toddlers) are NOT permitted in the Hall,<br />

n<strong>or</strong> may they be left in vehicles in the surrounding areas during build-up and breakdown.<br />

We would further request that children are not brought into the halls at any time during the<br />

show, as this is inappropriate f<strong>or</strong> a business environment.<br />

7. Disabled Visit<strong>or</strong>s<br />

supplied with all details relating to your exhibits and events at the show. The Press Office<br />

17. Rigging<br />

All rigging of banners must be approved by the event <strong>or</strong>ganisers and <strong>or</strong>dered with the ICM.<br />

18. Security<br />

Whilst every reasonable precaution is taken during the show to ensure the premises are<br />

adequately patrolled, the Organisers expressly disclaim responsibility f<strong>or</strong> any loss <strong>or</strong> damage<br />

to property of any exhibit<strong>or</strong> from any cause. It is essential that you rep<strong>or</strong>t any loss sustained<br />

from your stand to the Organiser’s Office.<br />

19. St<strong>or</strong>age and P<strong>or</strong>terage<br />

You will need to make your own arrangements f<strong>or</strong> the removal and st<strong>or</strong>age of boxes,<br />

packaging etc, pri<strong>or</strong> to the opening of the event. Please note that it will not be possible to<br />

22. Waste Removal<br />

Exhibit<strong>or</strong>s are reminded that all waste and stand fittings must be removed from the site at the<br />

end of the exhibition. Rubbish left behind by exhibit<strong>or</strong>s will be cleared by the ICM at the<br />

exhibit<strong>or</strong>’s own expense. Please note charges f<strong>or</strong> rubbish clearance are high.<br />

23. Welcome Reception<br />

An Exhibit<strong>or</strong> and Delegate Welcome Reception will be held after the show closes at 1800hrs<br />

on Tuesday 9 October. A drinks reception will be held in the first flo<strong>or</strong> foyer, followed by a<br />

buffet from 19.00 in room 14b. Invitations will be handed out at the show.<br />

24. VAT Reclaim Service<br />

Overseas exhibit<strong>or</strong>s may be entitled to claim back the VAT paid on many of their exhibition<br />

costs, including stand costs and lighting, equipment hire and hotel accommodation. To<br />

TERMS AND CONDITIONS<br />

The Trakker Lead Capture System f<strong>or</strong> this event features hand held laser scanners and state-of-the-art<br />

encoded, 2-dimensional PDF-417 barcodes. All Trakker packages provide the Customer with leads st<strong>or</strong>ed<br />

on a 3.5” (IBM f<strong>or</strong>matted) diskette in the industry standard ASCII, comma-delimited f<strong>or</strong>mat. Options available<br />

include 1) Custom Follow-up Action Codes and 2) In-booth delivery, training and setup.<br />

The Customer is solely responsible f<strong>or</strong> converting the data file to different f<strong>or</strong>mats. There are basic instructions<br />

contained in a README.TXT file on each Trakker disk that assist in the data conversion process.<br />

1. TRAKKER Technologies, LLC, hereinafter called “Trakker”, the Official Event Contract<strong>or</strong> f<strong>or</strong> Lead Retrieval<br />

Services, agrees to provide its Trakker Electronic Sales Lead Retrieval services to the Customer f<strong>or</strong> the<br />

agreed upon fee listed on the other side of this <strong>or</strong>der f<strong>or</strong>m. The service will include the use of the equipment<br />

f<strong>or</strong> the duration of the show. Trakker will furnish its equipment to the Customer in good w<strong>or</strong>king <strong>or</strong>der and the<br />

Customer agrees to return the equipment to Trakker in the same condition.<br />

2. PAYMENT shall be in Eurodollars and submitted with this <strong>or</strong>der f<strong>or</strong>m. Payment may be made by Credit Cards<br />

(AMEX, VISA <strong>or</strong> MasterCard). Payments will not be refunded f<strong>or</strong> any reason, except as stated in item 6<br />

below.<br />

3. SECURITY DEPOSIT: ALL Orders paid by Wire Transfer <strong>or</strong> Company Check MUST include a valid Credit<br />

Card number f<strong>or</strong> use as a security deposit if the equipment is a damaged <strong>or</strong> not returned within one hour after<br />

the show ends.<br />

4. REPLACEMENT COST FOR LOST OR DAMAGED EQUIPMENT: Customer acknowledges, understands<br />

and agrees that the total cost of replacement f<strong>or</strong> Trakker’s equipment will be as follows: €2,295.00 f<strong>or</strong> the<br />

Platinum Trakker, and €1,695.00 f<strong>or</strong> the “miniTrakker”. Customer agrees to the immediate payment, upon<br />

request by Trakker f<strong>or</strong> all damages <strong>or</strong> loss of Trakker’s equipment, except such as may result from n<strong>or</strong>mal<br />

operation thereof. In the event that Customer does not immediately pay its obligation to Trakker f<strong>or</strong> lost <strong>or</strong><br />

damaged equipment, Customer agrees to pay Trakker a weekly rental fee equal to the service fee listed on<br />

the front of this <strong>or</strong>der f<strong>or</strong>m. This is in addition to the replacement cost of Trakker’s equipment.<br />

5. CANCELLATION OF ORDERS: Orders cancelled pri<strong>or</strong> to the on-site cut off date will be subject to a €75.00<br />

administration fee. Orders cancelled after the on-site cut off date ARE NON REFUNDABLE. NO REFUNDS<br />

WILL BE GIVEN FOR EQUIPMENT NOT PICKED-UP AND/OR NOT UTILIZED BY BOOTH PERSONNEL.<br />

6. THE COMPANY SHALL NOT BE RESPONSIBLE FOR ANY SPECIAL, INCIDENTAL OR<br />

CONSEQUENTIAL DAMAGES arising from the loss of customer inf<strong>or</strong>mation, f<strong>or</strong> any reason, arising from <strong>or</strong><br />

relating to Trakker’s equipment. Trakker’s liability f<strong>or</strong> damage of any cause whatsoever will be limited to the<br />

total rental price f<strong>or</strong> the equipment and services provided by Trakker as listed on the front page of this <strong>or</strong>der<br />

f<strong>or</strong>m.<br />

7. RETURN OF EQUIPMENT: Customer agrees to return all equipment to Trakker’s service desk within one (1)<br />

hour of the event closing, and must obtain a receipt as proof f<strong>or</strong> the return of equipment. Trakker equipment<br />

must be picked up and returned to the Trakker service desk in the designated Contract<strong>or</strong> Service Area.<br />

Damaged <strong>or</strong> non-returned equipment will be charged in acc<strong>or</strong>dance with item 4 above. EQUIPMENT NOT<br />

RETURNED TO TRAKKER’S SERVICE DESK, OR LEFT IN THE EXHIBIT AREA, IS THE SOLE<br />

RESPONSIBILITY OF THE CUSTOMER. Should Trakker, at its option and with no responsibility to do so,<br />

recover abandoned equipment, Customer agrees to pay Trakker a €100.00 abandonment fee. In no way<br />

does this absolve Customer from its responsibility to timely return Trakker’s equipment.<br />

8. GOVERNING LAW: It is agreed that the governing law pertaining to this contract will be the law of the State<br />

of Montana, with venue exclusively in Gallatin County.<br />

LAW APPLICABLE<br />

Notice to the proposer/insured<br />

The parties are free to choose the law applicable to this contract. Unless<br />

specifically agreed to the contrary this insurance shall be subject to English Law.<br />

CANCELLATION RIGHTS<br />

If the policy period is longer than <strong>30</strong> days you have a statut<strong>or</strong>y right to cancel the<br />

policy within 14 days starting on the date you:<br />

enter into the contract, <strong>or</strong><br />

receive the policy documentation, whichever is later.<br />

To cancel please write to the c<strong>or</strong>respondence address shown on your policy<br />

schedule. If you wish to do so and the insurance cover has not yet commenced,<br />

you will be entitled to a full refund of the premium paid.<br />

However, if you wish to cancel and the insurance cover has already commenced<br />

you will be entitled to a refund of the premium paid, subject to a deduction f<strong>or</strong> the<br />

time f<strong>or</strong> which you have been covered, calculated as a prop<strong>or</strong>tion of the time f<strong>or</strong><br />

which the insurance would have provided cover and f<strong>or</strong> any cost incurred by us in<br />

issuing this policy.<br />
