The outstanding ISGUS event in 2010 so far was the “participation” at the<br />

Winter Olympic Games in Vancouver, where ISGUS supplied the security system<br />

for the German Houses in Vancouver and Whistler. Thus ISGUS helped that<br />

German athletes and officials, sponsors and VIP's could smoothly and quickly<br />

get access to the locations where medal parties, TV interviews & shows, and all<br />

kind of events took place during the games.<br />

Read more in this ISGUS News about the challenges and experiences on site for<br />

the ISGUS team who installed the system, supported the volunteer operating<br />

staff and provided the necessary evaluations and reports to the Deutsche Sport<br />

Marketing GmbH, the official ISGUS contractee.<br />

in Vancouver and Whistler<br />

The combined “state of the art” technology, knowledge<br />

and extensive experience of the ISGUS group<br />

has been extensively utilised during the winter<br />

Olympic games in Canada. ISGUS GmbH along with<br />

their sales and service partner IVS Zeit + Sicherheit<br />

GmbH were specifically responsible for the access<br />

control of approximately 10.000 visitors to the German<br />

House in Vancouver and at its other location in<br />

Whistler.<br />

PC's, access readers, web cams, printers and turnstiles had already been air freighted to Canada<br />

early in February. The Schenker Group, in charge of the transportation and logistics on-site, also<br />

control their operations using the ISGUS solution in nearly all of their locations, this is also serviced<br />

by the IVS Zeit + Sicherheit GmbH.<br />

ISGUS supplied the complete access control solution, both hard-and software, controlling,<br />

monitoring and maintaining a secure environment for the German House which was the official<br />

meeting point, for not only the German Olympic Sports Association (DOSB) but also for all<br />

German athletes and visitors to the House i.e., journalists, sponsors and leading names from<br />

within politics and society.<br />

The German House in Vancouver was accommodated within the Simon Fraser University building<br />

whereas the Golf- and Country Club in Whistler, where the nordic and alpine ski competitions<br />

took place, was chosen as the location to accommodate the German team.<br />

Whilst ISGUS concentrated and focused on the technical specification of the installation, the IVS<br />

Zeit + Sicherheit partner was responsible for the project implementation and communication<br />

with the other associate partners of the Deutsche Sport Marketing GmbH, the official marketing<br />

agency for the German House.<br />

It was apparent from the first meeting, that the requirements for the system were challenging<br />

and could not be covered by standard access control functionalities. Therefore upon arrival at<br />

the German House reception area, each visitor was provided with a badge containing his/her<br />

personal data, which had previously been registered in conjunction with a web accreditation<br />

procedure recorded in the database. Of course it was also possible to record the data on site, as<br />

the German House personnel had been thoroughly trained to operate the software and the web<br />

cams.<br />

In accordance with the accreditation, an individual access pro<strong>file</strong> was assigned to each visitor on<br />

the Legic advant chip inside the badge. It was therefore possible to control the length of time<br />

and in which zones they had access to. In order to avoid misuse of the badges, the image matching<br />

functionality was also included, e.g. when a visitor presented his/her badge in front of the<br />

ISGUS reader, the passport photograph would be displayed on a monitor. In the event of a “no<br />

match”, security personnel would immediately “step in” to resolve the situation.<br />

The ISGUS solution also solved the accounting issues relating to vending costs for visitors and<br />

catering services, thereby simplifying an otherwise time consuming task.<br />

As a grand finale: bringing a successful conclusion to our joint cooperation, Axel Achten, Managing<br />

Director of the Deutsche Sport-Marketing GmbH in Frankfurt said, “The German House in<br />

Vancouver 2010 has been a great success, to which our partner ISGUS has decisively contributed,<br />

thanks to its state of the art accreditation and access control system”.<br />

Interview with Folkert Müller and Roland Gründl from Technical Support in<br />

the ISGUS headquarters in Villingen-Schwenningen. Together with the<br />

staff from IVS Zeit + Sicherheit, they were responsible for implementation,<br />

operability and support of the ISGUS system during the Olympic games.<br />

Folkert and Roland, tell me, what were your first thoughts when you were informed that<br />

you will have the responsibility for securing access to the German House in Vancouver?<br />

Folkert: Well needless to say I was very happy and felt privileged to be part of such an important<br />

project. Apart from this, I thought this is an amazing opportunity, to actually see our athletes in<br />

person during their press conferences in the German House instead of on T.V.<br />

Roland: On the one hand, I was extremely proud and happy to be able to add my own personal<br />

contribution to the Winter Olympic Games, representing ISGUS as a partner of the German<br />

House, but on the other hand, I felt slightly nervous and had some concerns because a particular<br />

part of the system, (the accreditation software) had been bespoke and individually tailored for<br />

this event. Experience has shown that the complexities of such a system in another IT environment<br />

might show ”teething troubles”, quite a responsibility!<br />

How much time did you spend for preparations in the run-up phase?<br />

Roland: I had about one week to become acquainted with the new software. Also, as a result of<br />

the time difference of 9 hours between Schwenningen and Vancouver and with Team 1 already<br />

on site in Vancouver we had to implement a night shift in order to quickly eliminate some of the<br />

initial problems.<br />

Folkert, you were part of the first team that travelled to Vancouver and Whistler. What<br />

were your thoughts and emotions?<br />

Can you please describe the access procedure to the German Houses?<br />

Folkert: The first step was the accreditation, effected by the volunteers at one of the six counters.<br />

There were three types of accreditation: permanent, day or late night accreditation. Following<br />

the corresponding authorization assignments via the DSM Client and their transfer to the<br />

ACM4001 units, the badge was printed. Finally, access was gained by presenting the badge on<br />

an IT400 at one of the turnstiles.<br />

Did you have any leisure time and were you able to attend some of the thrilling events?<br />

Folkert: Unfortunately, I could not attend any of the events, as our main priority was to ensure<br />

the system was fully operational and to maintain its functionality. Initially throughout the first<br />

few days, we had a multitude of queries related to the DSM Client to resolve. The only chance we<br />

had to watch the competitions was, to keep an eye on the huge screens in the „Sports bar“.<br />

Naturally, we did manage to find some time to look at and admire the wonderful town of Vancouver<br />

and of course the Olympic flame.<br />

Roland, you went to Vancouver to replace Team 1. Did the takeover run smoothly?<br />

Folkert: I certainly had mixed feelings. We commenced our extensive tests in November 2009<br />

Roland: Oh yes, it went very smoothly but it would have been better if we had included an extra<br />

with the DSM (Deutsche Sport Marketing) Client and the standard ISGUS hardware components<br />

day because in Calgary we missed the connecting flight to Vancouver due to entry regulations<br />

and were confident that the ISGUS components were perfect for the task ahead. We were however,<br />

concerned about the conditions on site. The wiring plans had already been sent in advance<br />

and therefore arrived at the German House later than we had originally planned.<br />

Did you like Vancouver, and what was the general atmosphere there?<br />

Roland: Vancouver and Whistler are both lovely cities. I would recommend them to everyone,<br />

well worth visiting, go and enjoy them. Obviously, the atmosphere was excellent and the people<br />

very friendly and amiable. I would compare the atmosphere with the one we had during the<br />

Football World Cup 2006 in Germany. Of course and quite naturally, the enthusiasm was at its<br />

peak when the Canadian Hockey Team became Olympic Champions!<br />

Did you meet any celebrities there?<br />

Roland: Of course, daily. On the first day, Wayne Gretzky and Uwe Krupp were in the German<br />

House in Vancouver. Amongst others, also Horst Seehofer, Karl Theodor zu Guttenberg, Willi<br />

Bogner, Georg Hackl, Katarina Witt and Franziska van Almsick were there.<br />

In Whistler, the biathletes, the alpine ski team, the bob and sledge teams and the cross-country<br />

ski team were accommodated.<br />

Did all of these prominent people and athletes have to book in firstly via the ISGUS system<br />

in order to get access to the German House?<br />

Roland: Yes, there were no exceptions.<br />

What was your impression on the Winter Olympic Games and what was your feeling when<br />

you started your journey back home?<br />

Roland: Firstly and most importantly, we were all very relieved, proud and very happy that we<br />

had “done a good job”. The Olympic Games with its particularly unique and special atmosphere<br />

have deeply impressed me. It has been a great experience to be on-site during some of the competitions.<br />

In the event that ISGUS would again be in charge of the security in the German House during<br />

the next Olympic Games, would you like to take over this job again?<br />

Folkert: Of course I would most definitely be pleased to do this again, in spite of the extremely<br />

long working times, there is such a very special atmosphere throughout an event like this.<br />

Roland: Definitely, yes.<br />

What improvements would you suggest for the next games?<br />

Folkert: From the first to the last step, the ISGUS team had prepared extremely well for everything.<br />

Next time we will take with us our previous experience and confidence gained and will<br />

hopefully find more time to attend some of the competitions!<br />

ISGUS at CeBIT 2010<br />

Successful exhibition in Hanover, Germany<br />

4.157 companies from 68 countries participated at this year's CeBIT in Hanover, the largest IT<br />

show throughout Europe. One out of five CeBIT visitors was from outside Germany and all<br />

together about 350.000 visitors had been registered.<br />

At the ISGUS booth, the new web based terminal IT 8001 and the IT400 Design Terminals were<br />

shown, along with the latest news from the ZEUS world.<br />

Although the exhibition was cut down by one day, more leads were generated than in the previous<br />

year and with better quality. With this, CeBIT 2010 delivered confidence that the positive<br />

signs from the first quarter of 2010 are indicators for a full recovery of the global economy.<br />

The new ISGUS Terminals -<br />

the Next Generation Technology<br />

From the very first computerized T&A system launched in the 1970's until<br />

today, the ISGUS philosophy has always been to offer complete solutions<br />

including own hard- and software products, ideally complementing each<br />

other and always ensuring compatibility with new terminal series and software<br />

releases. On the hardware side, a new era is commencing with the<br />

launch of a complete new terminal generation.<br />

With the new web based IT8001 terminal, the series of new ISGUS hardware launches has been<br />

started earlier this year. State-of-the-art technology combined with the experience from the<br />

feature-rich previous ISGUS terminal generations, ensure that the new terminals combine both,<br />

consistency for the existing customers and future orientated concepts.<br />

With the IT8001 for Plant Data Collection, the IT8001-FP for fingerprint identification and<br />

verification and the IT7001 terminal, the new terminal generation has been completed to cope<br />

from low to high end market segments, including vertical markets.<br />

For access control, the new web based Access Control Manager ACM4001 is available along<br />

with the corresponding BUS controllers for direct and remote connection of the IT200 and<br />

IT400 access terminals. To complement the current range of access terminals, new vandal-proof<br />

IT400 terminals have been designed in different styling, eg. in a round shape.<br />

Obviously the new ISGUS hardware range is fully compatible with the current ZEUS software<br />

suite, or can easily be integrated into partner software, due to http/https communication<br />

protocol, direct database exchange and a Webservice for realtime processing.<br />

A Reliable ISGUS Partner<br />

The long-term ISGUS distribution partner in Portugal, Elo sistemas de informação,<br />

have successfully integrated the new web based terminal generation<br />

IT8001 into their software suite.<br />

Founded in 1994, Elo SI and ISGUS have established a partnership “par excellence”, initially<br />

®<br />

based on OEM terminal business, but also including ZEUS HR systems, to cater for the vast Elo<br />

customer base using SAP.<br />

Commencing with the robust and reliable terminal series 3000 in numerous<br />

customer installations, Elo SI followed on with the popular and dependable<br />

IT700 / IT800 series and currently have complimented this success with the<br />

“state of the art” terminals of the IT8001 generation. Over the years, several<br />

hundred ISGUS terminals have been sold through Elo SI from small business<br />

through to large and multinational accounts, with installations in Portugal<br />

including Madeira and the Azores Islands, Spain, Angola and Mozambique.<br />

The first IT700 project in this partnership was , the largest<br />

Portuguese private group with interests in industry, retail, real estate and<br />

shopping centers, and most recently Elo implemented the first IT8001<br />

project for the Portuguese Railways, - Comboios de Portugal S.A.<br />

The IT8001 was deemed to be “the” product to meet the stringent CP requirement, because the<br />

terminals are installed in many sites across the country, and in several cases the network links are<br />

very old and communication speed is extremely low. In addition to the IT8001, Elo will also<br />

implement Access Control with the new ACM4001 and IT400 VA units in various sites, virtually<br />

all being public locations.<br />

The flexibility to manage nearly 20.000 users and the need for proven durability to withstand<br />

potential vandalism that public locations such as railway stations can sometimes encounter,<br />

were very important aspects in the decision to purchase this combination of web based controllers<br />

(ACM4001) and robust access control hardware (IT400 VA).<br />

Both, Sonae and CP are very important and valued customers and represent major accounts for<br />

Elo SI, both using SAP as their ERP system. At CP - the Portuguese Railway, the Elo T&A customi-<br />

zed software has been installed, whilst Sonae are using ZEUS HR for direct link of the ISGUS<br />

terminals to SAP HR.<br />

The impressive story started in the Rothenbaum Chaussee in Hamburg. It is<br />

undoubtedly one of success. Initiated in 2002 by pharmacist Birgit Dumke<br />

and expanded in 2004 in conjunction with her husband and two employees<br />

®<br />

by founding the mail order pharmacy apo-rot . Their Headquarters are still<br />

located in the Rothenbaum Chaussee, where pharmaceutical expertise,<br />

combined with hanseatic business skill ensures fast economic growth.<br />

It was the year, when legal restraints with regard to pharmaceutical products became mandatory,<br />

however the company's growth and business development in the following years was im-<br />

®<br />

pressive. Currently, apo-rot supplies and maintains an impressive base of 500.000 customers<br />

and has a market leading position in the mail order pharmacies market accredited in Germany. In<br />

®<br />

2009 the 550th employee was recruited and apo-rot accomplished a new record with half a<br />

million customers. Apart from significant economic growth, the organisation of a constantly<br />

increasing team of employees provided a challenge.<br />

“Some months ago we were still operating with time sheets”, says Kornelia Jathe from the HR<br />

department and adds: “We employ a considerable number of temporary staff - about 200 and<br />

their payroll accounting was previously managed by time sheets. Each employee completed a<br />

time sheet with his hours worked. The entries needed to be verified and then input manually into<br />

the payroll system”. This procedure was time consuming and allowed considerable margin for<br />

error, so a decision was made to implement a Time Management system.<br />

The essential criteria for the supplier of the new system were to integrate the multifunctional<br />

badges already in use for access control in various departments.<br />

It is not possible to “contact the doctor for risks and side effects” of a Time Management system<br />

but in this case the pharmacists were consulted, as they had already swallowed a “bitter pill”<br />

with the first system supplied, which did not fulfil their specification at all. As a result an imme-<br />

diate, decision to purchase and install ZEUS was made. “Following a successful proof of concept<br />

phase of 60 days, we proved the ISGUS solution as the best medication”, states Detlef<br />

Panßner from the ISGUS Vertriebs GmbH in Hamburg.<br />

“Thanks to ZEUS it has become considerably easier to master the increasing number of employees,<br />

especially the part time staff,” says André Prignitz, in charge of staff planning. The part<br />

time employees mostly students but also pupils, homemakers and pensioners notify him of their<br />

preferred working times via e-mail. The official scheduling for the following month is completed<br />

and all personnel are informed via e-mail with their actual assignments. Time sheets in the form<br />

of Excel tables are now part of the past. ZEUS distributes schedules depending on the varying<br />

workload, e. g. during peak times at the beginning of the week or after holidays more staff is required<br />

than during the week.<br />

In peak periods, about 7.000 parcels are dispatched daily. Within a short period of time, ZEUS<br />

has proved to be the reliable and solid solution for such a challenging environment.<br />

The employees in the shipping department also feel very happy with the advantages of the Staff<br />

Planning solution. They now have maximum working time flexibility, which they feel they could<br />

not cope without. “Thanks to this flexibility” says Kornelia Jathe from the HR department, “fluctuation<br />

is kept within reasonable limits”.<br />

Payroll accounting is made via DATEV Lodas, for which ZEUS provides a certified interface. “We<br />

attached great importance to this interface” - emphasizes Kornelia Jathe. It is now possible to<br />

have a quick overview of the payroll accounting for all employees with all their different working<br />

times. We can have our journals and evaluations at the end of the month or at any time if required<br />

and really appreciate this advantage.”<br />

In conclusion, apo-rot now has the most cost effective and efficient solution suited to their high<br />

operational business demands.<br />

Founded in 1957 and with continual success over the years, the company's strength is apparent<br />

with its spread across 56 international subsidiaries with an annual turnover of 800 million Euros<br />

and 3.000 employees. Thanks to its “top of the range”, quality cable technologies, Lapp Kabel<br />

has become one of the leading providers of cables, leads, cable accessories and systems.<br />

“Flexibility and the ability to upgrade are definitely the two most crucial advantages of ZEUS ,”<br />

says Helena Ziegler, the Personnel Advisor at Lapp Kabel. Apart from the central software comprising<br />

1.000 personal records, also 25 terminals for Time & Attendance and approximately a<br />

further 40 access terminals are in use in their other locations in Stuttgart, Hanover and Freiberg.<br />

At the end of each month, the recorded data is transferred to the “Paisy” payroll software, this<br />

maximises considerably process efficiencies and optimisation.<br />

The central system comprises several companies, each company having access to its own data.<br />

Thanks to this centralised server solution, the connected subsidiaries also benefit from all updates<br />

and upgrades, as the complete data processing is made on the central server. As a result,<br />

another ISGUS and Lapp Group process optimisation has been achieved with this solution.<br />

Apart from Time Management, the individually personalised badges are also used for access<br />

control. They are provided with the photograph of the badge holder, the Lapp Group logo and<br />

on the reverse the corporate values “Familiar”, “Customer orientated”, “Innovative”, and “Success<br />

oriented”. The badges are printed in-house. The photos are taken via a web cam connected<br />

®<br />

to ZEUS and are then printed on the local printer.<br />

Particular attention was given to the<br />

access control reader design installed<br />

in the various floors. The integration<br />

into the existing switch programs was<br />

only one of the requirements. Partially,<br />

black acrylic panels were integrated<br />

into the marble sidings.<br />

The badge is also used for canteen data billing. The rewritable chip can be charged with cash<br />

points; this enables the badge for use for payment purposes in the Cafeteria. The employer's<br />

grant value is also loaded on the badge. All this data is then transferred to the HR department,<br />

where the costs are assigned to the employee's account.<br />

Access authorisations are assigned not only for areas, groups and buildings or doors but also in<br />

person related mode. Authorisations for special or particular days can be made in advance with<br />

date reference. The individual access matrix ensures quick action in the event of a terminal or server<br />

failure by informing the IT responders via e-mail.<br />

Paperless absence management is made via ZEUS WebWorkflow. “This under normal circumstances<br />

would impact enormously on the workload within the HR department and the administration<br />

process,” says Helena Ziegler. It does not take much thought to logically establish the<br />

amount of paperwork required necessary to manage absence requests for 1.000 employees.<br />

With ZEUS , this work is done with a couple of mouse clicks. The requests are made from the<br />

employee's own PC via email and the subsequent responses rejection or validation are also sent<br />

®<br />

via e-mail. The results are then transferred to ZEUS . Requests for employees not having their<br />

own PC, are handled by supervisors or group leaders.<br />

All in all, Helena Ziegler and the HR team have<br />

only laudatory words for ZEUS - ease of use,<br />

highly flexible functionalities and excellent<br />

support - these are the key points of the ISGUS<br />
