Board Meeting Minutes June 6, <strong>2012</strong><br />

June <strong>2012</strong> Board meeting<br />
Minutes from the May 30 th work session<br />
were read and accepted.<br />
Pam indicated that the minutes from<br />
last month’s board minutes had Pam<br />
helping Jami on a project but that was<br />
not the case. The minutes were then<br />
accepted with correction.<br />
Next board meeting is <strong>July</strong> 11 th , <strong>2012</strong><br />
at 7p.<br />
There had been several questions<br />
about the by-laws at the general meeting<br />
in May. The by-laws were checked<br />
to make sure that all of the changes had<br />
been made. There was a question still<br />
about ‘responsible for recommending<br />
all major financial decisions” and what<br />
‘major’ would be. Should it be a percentage<br />
or an amount? Felt that anything<br />
over around $200 would be acceptable.<br />
If approval is needed for<br />
smaller amounts then it could delay<br />
financial decisions until the next general<br />
meeting.<br />

Sandy Biggs said that she will take over<br />
as gift shop manager. She will start <strong>July</strong><br />
1 st and work 25 hours a week. We would<br />
love to be able to keep Steve but at this<br />
time it isn’t feasible.<br />
Ed Parker wants a business plan and a<br />
financial plan sent to him. The information<br />
that we have will be gathered up and<br />
sent. No one is sure what goes into a business<br />
plan and we will get in touch with<br />
outside help to find out. Maybe Rogue<br />
Federal has someone who could help or the<br />
Small Business Admin. In August we will<br />
get together to find out what we have and<br />
what we need.<br />
The treasurer’s report was next. We<br />
made a profit at the show of $5854. A<br />
budget has been written up and a MOTION<br />
was made to accept the budget. It passed.<br />
The museum cases are getting a reorganization<br />
and a clean-up.<br />
Some of the committee chairs, the gift<br />
shop manager and the work shop manager<br />
need to start giving reports. They will be<br />
told.<br />
The new business dealt with the back<br />
yard design. Money is needed for some<br />
building items, such as rebar, and a lot of<br />

June, <strong>2012</strong> general meeting<br />
Minutes from the Chipper were accepted.<br />
We had 4 new members present. A big<br />
welcome to you all.<br />
The 50/50 drawing was $25. There were<br />
lots of goodies to give out for the door<br />
prize. Thanks to Ken, Harold and Jason<br />
for supplying the items. The membership<br />
drawing had no winner so next time it will<br />
be $20.<br />
The treasurer’s report was next. The<br />
total for the show was $14,524, expenses<br />
were $8670 which left $5854 for a profit.<br />
A big thank-you went out to Tricia as the<br />
show chair and to Jason as the co-chair.<br />
This year was especially trying since the<br />
show had to be held in a brand new loca-<br />
tion. They did a wonderful job. A plaque<br />
was given out to Tricia and a gift certificate<br />
was given to both in appreciation for<br />
their hard work.<br />
The board has hired Sandy Biggs as gift<br />
shop manager. She introduced herself to<br />
those who haven’t been in the gift shop to<br />
see her working.<br />
Bunny Riley and Jack Moratto have been<br />
working on the back yard project. They<br />
need lots of physical help in clearing it<br />
out. They had brought the plan design of<br />
what they would like to see happen back<br />
there.<br />
The sunshine report was next. Shirley<br />
Oswald and Connie Silver both had surgery<br />
and were doing well. Our hope is for<br />
a very speedy recovery.<br />
June 30 th is a field trip to hunt for agates.<br />
Eric Lindquist will lead the group. Meet<br />
at the museum at 9am. You will be traveling<br />
down to the Iron Gate area of Cali-<br />
cleanup is required. The design will be<br />
brought to the general meeting.<br />
Charles Lane and Charles Rogers are<br />
leading a group of volunteer students to do<br />
work at the museum.<br />
There was a suggestion of murals for<br />
some of the walls. If we could get someone<br />
to volunteer to do it then it would be<br />
an option, otherwise no money will go into<br />
it now.<br />
LED lights are to be installed in the cases<br />
but sizes are needed before they can be<br />
purchased.<br />
The funding for the ultraviolet rock and<br />
mineral lab is still in the process. Charles<br />
Rogers hasn’t been able to get into the<br />
website to check it out so he will probably<br />
make a trip to see them.<br />
It would be nice if we could start geology<br />
lectures at the museum that are separate<br />
from the talks and presentations that we<br />
have at the meetings. We could charge a<br />
small fee and maybe make some money.<br />
There were a couple of individuals who<br />
might be willing to come out and talk.<br />

The next Kids day will be for Father’s<br />
Day and they will be working with<br />
shark’s teeth. Kids Day has been a very<br />
popular event. Thank you, Karen.<br />
The changes in the bylaws that were<br />
discussed at the last general meeting had<br />
been made. The new bylaws were presented<br />
to the membership present at the<br />
general meeting. A MOTION was made<br />
to approve the bylaws and 2 nd . It passed.<br />
The back yard project needs to be approved<br />
since the membership now has to<br />
approve any larger expenditures, via the<br />
bylaws. So comments and suggestions<br />
are needed. There is a church group who<br />
would like to do a community project and<br />
will do some of the cleanup. The wood<br />
that is in the back can go to biomass and<br />
Ray Hines will take it. The new backyard<br />
proposal shows an outdoor classroom,<br />
benches, shady areas, storage bins, etc.
