OIWAKE INTERNATIONAL LODGE<br />

THE UNIVERSITY OF <strong>TO</strong>KYO<br />

This guidebook covers what you should know and accept before you move into<br />

Oiwake International Lodge. Please read it through and become familiar with its<br />

contents.<br />

1. Contact Information<br />

Saturdays, Sundays and public holidays 8:00~18:00<br />

You can move into Oiwake Lodge during the above office hours; in principle, arrival<br />

out of the office hours is not permitted. Please remember to contact the office in<br />

advance if you are unable to arrive in time.<br />

Please move into the lodge within 7 days from the starting date of the term of your<br />

residency. (Your failure to fulfill this condition without advanced notice and<br />

justifiable reason could lead to cancellation of your residency.)<br />

2. Documents Necessary upon your Arrival<br />

Please submit the following items to the office upon your arrival:<br />

1) Registration to the University of Tokyo International Lodge<br />

- A photograph must be attached.<br />

2) Pledge<br />

3) Dear New Residents<br />

Note: These three documents need to be completed in advance. They are<br />

downloadable at: http://www.u-tokyo.ac.jp/en/administration/housing-office/download/index.html<br />

4) Notification of Admission to the University of Tokyo International Lodge<br />

Note: This document is often kept by your faculty, graduate school or research<br />

institute. Please submit it as soon as possible after your move.<br />

5) Passport and Resident card (or Alien Registration Card)<br />

3. Initial Briefing<br />

4. Key<br />

Soon after your arrival, one of the office staff will guide you around the lodge and<br />

escort you to your room. This should take about 30 minutes, during which he/she<br />

also explains important matters concerning lodge life. If you have any questions,<br />

please feel free to ask.<br />

You will receive your room key from the office when you move into the lodge.<br />

Please be careful not to lose or damage your key. In the event of loss or damage,<br />

you will be asked to bear the replacement cost.<br />

5. Bedding<br />

You are expected to prepare your own bedding (comforter, duvet, blanket, pillow,<br />

sheets, etc.). A bed and a mattress are provided. A bedding rental service is<br />

available; please fill in the order form and send it by E-mail to the lodge office:<br />

oiwake_lodge@ml.adm.u-tokyo.ac.jp. The rental fee for the full period will be<br />

included in your first bill issued by the lodge office.<br />

If you do not request rental bedding, please make your own arrangements. It is<br />

usually more economical to purchase basic bedding if you plan to stay for a long<br />

period in the lodge.<br />

6. Parking Space<br />

If you plan to park a vehicle to move your belongings, please notify the office in<br />

advance. There is no parking space available to residents.<br />

7. Internet<br />

You can enjoy the Internet by using a LAN cable provided in your room.<br />

8. Mail<br />

Mail that does not bear your room number may not be delivered. Please inform<br />

your family and friends who are likely to send mail to you of the following two<br />

points:<br />

1) Clearly indicate your room number, and<br />

2) Write your name in the Roman alphabet.<br />

9. Smoking Area<br />

The veranda next to the small kitchen outside Community Room 1 on the 6th floor<br />

is the only smoking area in the lodge. Except for that place, smoking is strictly<br />

prohibited in Oiwake Lodge including individual rooms.<br />

10. Prohibited Matters<br />

Please refrain from the following prohibited matters:<br />

1) Keeping pets,<br />

2) Wearing shoes in a room,<br />

3) Drying clothes and bedding on the veranda.<br />

4) Making holes in walls and furniture and affixing adhesive materials (e.g. nails,<br />

hooks and stickers), and<br />

5) Using any products that could cause fire (other than those equipped in your<br />

Residents are required to pay the following expenses:<br />

2) Utilities (comprising Electricity, Gas, Water and the Internet)<br />

3) Common Service Fee<br />

Common service fees are used for common interests of all residents.<br />

NOTE: Expenses are subject to change.<br />

A bill is issued around the 25th of every month. Please pay the amount billed by<br />

the 10th of the following month through a bank transfer: cashier at a bank,<br />

automatic teller machine (ATM) or online banking system. The University of Tokyo<br />

does not accept any other payment method.<br />

Please note:<br />

1) The daily rate of 2,160 Yen for rent and 470 Yen for utilities are applicable to<br />

move-in and move-out months. Common service fee should be paid on a<br />

monthly basis both in move-in and move-out months regardless of the number<br />

of days of your stay. If the product of a daily rate and the number of days of<br />

stay is greater than the monthly amount, the monthly amount will be adopted.<br />

2) The number of days of stay in the lodge is counted from the starting day of the<br />

term of your residency. If the day of your arrival is later, the period between the<br />

starting day and the move-in day will be added.<br />

3) In addition, your first bill includes the cleaning fee of 15,200 yen which is used<br />

to clean your room after you move out of the lodge. (The cleaning fee is<br />

charged only once.)<br />

* If your room is extremely dirty or some of its facilities are damaged or lost,<br />

you will be CHARGED EXTRA.<br />

4) If you sign up for a bedding rental service, your first bill will also include the<br />

total rental fee.<br />

5) Please note that you may be CHARGED EXTRA if your consumption of<br />

electric power, gas and/or water were exceptionally large. Not only to avoid<br />

that situation but also to reduce greenhouse gas emissions, please try to cut<br />

your energy consumption as much as possible.<br />

6) Expenses are not refundable, under any circumstances, once they are paid.<br />

12. Cleaning<br />

Each resident is responsible for cleaning his/her own room. Vacuum cleaners are<br />

available free of charge at the office.<br />

13. Changing rooms<br />

In principle, you may not change rooms.<br />

14. Oiwake International House<br />

The Oiwake International House comprises Oiwake International Lodge and<br />

Oiwake International Hall of Residence; the latter provides 45 rooms for foreign<br />

students, 105 rooms for Japanese students and 2 rooms for wheelchair users.<br />

15. Facility and Equipment<br />

The Lodge has the following equipment and facilities. Simplified instructions in English<br />

are available for the items marked with *.<br />

16. Resident card and Registration of a New Address<br />

(1) If you move into the lodge from abroad<br />

Since you enter Japan with a mid- or long-term residence status, you are expected<br />

to receive a resident card at Narita International Airport or Haneda Airport. (In<br />

addition, Chubu and Kansai Airports issue a resident card.)<br />

If you should use any other airport, you will receive a landing permission by which<br />

you can receive a resident card after you notify Bunkyo City Office of your new<br />

address in Oiwake International Lodge.<br />

(2) If you are a resident in Japan<br />

If you are a resident in Japan and live in a city other than Bunkyo City, you will have<br />

to notify that city of your moving out (before your actual move). The city will issue<br />

you a move-out certificate which you need to submit to Bunkyo City Office when you<br />

register your new address in Oiwake International Lodge. The registration should be<br />

done within 14 days from the move.<br />

If you are a resident in Bunkyo City, you can take the two procedures at one time<br />

after your move into Oiwake International Lodge.<br />

17. Transportation from the Narita International Airport<br />

* The fares and other information in this section are subject to change.<br />

(1) Taking the “Keisei Line”<br />

At Narita International Airport, please take the Keisei Line from Narita Airport<br />

Station (Terminal 1) or Airport Terminal 2 Station, and get off at Nippori Station or<br />

Keisei Ueno Station. The Keisei Line has two routes: Narita Main Line and Narita<br />

Sky Access Line. The following table shows the approximate travel times and<br />

fares.<br />

You can go to the Oiwake Lodge direct by taxi from Keisei Ueno Station.<br />

1-2. Using Public Transportation<br />

At Nippori Station, please take the JR Yamanote Line (for Ikebukuro / Shinjuku)<br />

and get off at Komagome Station. Then, take the Tokyo Metro Namboku Line (for<br />

Shirokane Takanawa / Hiyoshi) and get off at Todai-mae Station. Oiwake Lodge is<br />

about 4 minutes’ walk from the station. (Please refer to the map on page 8.)<br />

(2) Using Airport Limousine Bus<br />

At Narita International Airport, please take the Airport Limousine Bus bound for<br />

Mejiro-Kudan-Korakuen and get off at Tokyo Dome Hotel. The fare is 3,000 yen<br />

per adult and it takes about 75-145 minutes. Then, please take the Toei Subway<br />

Mita Line at Suidobashi Station (1 minute’s walk from the hotel) and get off at<br />

Hakusan Station. Oiwake Lodge is about 7 minutes’ walk from the station. (Please<br />

refer to the map on page 8.)<br />

18. Transportation from the Haneda Airport<br />

(1) Taking the “Keikyu Line”<br />

At Haneda Airport International Terminal, please take the Keikyu Line bound for<br />

Shinagawa and Sengakuji, and get off at Shinagawa Station (400 Yen).<br />

At Shinagawa Station, please take the JR Yamanote Line for Shibuya and<br />

Shinjuku, and get off at Meguro Station (150 Yen).<br />

At Meguro Station, take the Tokyo Metro Namboku Line or the Toei Subway Mita<br />

* Trains of these two lines share the same platform at Meguro Station. It is<br />

recommended that you take the Namboku Line since Todaimae Station is closer<br />

to Oiwake Lodge than Hakusan Station. (Please refer to the map on page 8.)<br />

(2) Using Airport Limousine Bus<br />

At Haneda Airport International Terminal, please take the Haneda Airport Bus<br />

(No.3 Bus Stop) bound for Mejiro-Kudan-Korakuen and get off at Tokyo Dome<br />

Hotel (1,100 yen).<br />

Then, please take the Toei Subway Mita Line at Suidobashi Station (1 minute’s<br />

walk from the hotel) and get off at Hakusan Station. Oiwake Lodge is about 7<br />

minutes’ walk from the station. (Please refer to the map on page 8.)
