Itinerary<br />

Friday, January 6 - Registration<br />

Resident Packages Only:<br />

Depart for Dallas/Ft. Worth or Love Field. Welcome to Dallas...<br />

home of <strong>NCA</strong>! Hotel check-in cannot be guaranteed until after<br />

4:00 p.m. Only those staying at the host hotel will be allowed to<br />

practice on-site. Event Check-in and Practice will take place at<br />

the Dallas Convention Center.<br />

COACHES MEETINGS<br />

<strong>NCA</strong> will offer multiple meetings to all coaches to wrap up any last<br />

minute championship questions you may have on check-in day.<br />

ONE COACH PER TEAM IS REQUIRED TO ATTEND!<br />

<strong>Championship</strong> Check-In:<br />

All coaches must check-in at the <strong>NCA</strong> Welcome Desk located at the<br />

Dallas Convention Center on Friday, January 6, 11:00 a.m. - 9:00 p.m.<br />

NEW in <strong>2012</strong>! All teams can sign up for a practice time -<br />

with Resident Package Teams given fi rst preference.<br />

Saturday, January 7<br />

Preliminary competition for all performance divisions will be at the<br />

Dallas Convention Center. Finals for Game Time will take place<br />

on Jan. 7th. Note: Game Time categories compete once. Doors<br />

are tentatively scheduled to open one hour prior to the fi rst<br />

performance.<br />

Sunday, January 8<br />

Final competition for all divisions will be at the Dallas Convention<br />

Center. Note: If fl ying do NOT book return fl ights earlier than 8:00<br />

p.m. *Due to enrollments, all times are subject to change.<br />

Accommodations<br />

<strong>NCA</strong> Team Placement Program<br />

This program was put in place for all traveling teams not using the<br />

<strong>NCA</strong> <strong>Championship</strong> Resident Package. If you are staying in a hotel<br />

in the DFW area, you are required to utilize one of the <strong>NCA</strong> hotel<br />

blocks. Numerous hotels around the DFW Metroplex have been<br />

blocked for your ease and convenience in booking.<br />

NOTE: If you are utilizing the <strong>NCA</strong> resident package, you must<br />

complete required forms included in this information packet.<br />

Within two weeks of receipt of your completed form(s) and deposit(s), you will receive an invoice and general information regarding the<br />

championship.<br />

Final payment is due in the <strong>NCA</strong> offi ce on or before each due date noted in the event information. Payments not received by these dates will<br />

result in the Team/Spectator being automatically removed from the event, which will result in a complete forfeiture of all monies paid,<br />

according to cancellation deadlines for that specifi c event.<br />

Note: A $30 “returned check” fee will be charged for each insuffi cient funds check. Any payments received after the fi nal<br />

payment date must be in the form of an offi cial school check, cashier’s check or money order. Personal, school or<br />

CREDIT CARD PAYMENT OPTION<br />

Visa, MasterCard, Discover and American Express may be used for payment. ONLY the amount specifi ed on the registration form will be charged<br />

to your credit card. Final payment will ONLY be charged to your credit card per written request. Charges will be made as follows:<br />

1. Initial deposit on or before the designated deadline for your event.<br />

2. Balance due on the designated fi nal payment deadline.<br />

For your convenience, a credit card authorization form has been included in this packet.<br />

Note: If you want to add or change a credit card number, you must send the information in writing or fax to <strong>NCA</strong>.<br />

No credit cards will be taken over the phone. Individual credit card numbers will not be accepted for team members.<br />

LATE REGISTRATIONS<br />

If space is available, late registrations will be accepted after the designated deadlines by sending in the total amount due with your registration.<br />

If you are registering late, the full payment must be submitted in the form of an offi cial school check, cashier’s check, money order, or credit card.<br />

The standard cancellation policy will apply to all late registrations.<br />

CANCELLATIONS AND REFUNDS<br />

Notifi cation of cancellations and request for refund must be made in writing, and emailed or faxed to <strong>NCA</strong>. No cancellations will be accepted<br />

by phone. Cancellations may be faxed to <strong>NCA</strong> at 972-840-4054. <strong>NCA</strong> is not responsible for faxes not received. All cancellations must be<br />

received during business hours: Monday-Friday 8:30 a.m. to 5:00 p.m. CST. If cancellation is not received during these hours, it will be dated the<br />

next business day.<br />

ACCOMMODATIONS/ROOMMATE PREFERENCES (Resident Teams Only)<br />

List the full name(s) of the individuals sharing a room. Registrations for resident packages that do not have a completed rooming list cannot be<br />

processed until all information is received. Due to hotel requirements, the maximum number of people per room is four. Participants, coaches<br />

and spectators may room together. In some cases, triple accommodations may consist of a king bed and a rollaway/sleeper sofa. Double<br />

occupancy may consist of one king bed. There is no guarantee that groups of rooms submitted together will be next to each other in the hotel.<br />

Additional room nights at the <strong>NCA</strong> rate are available before or after the actual event date. Please note any additional room nights on the team<br />

rooming list and/or the spectator registration form. Your invoice will refl ect these additional charges.<br />

TRAVEL ARRANGEMENTS<br />

TravelFocus is a team of dedicated travel consultants that will help you arrange your group’s travel. TravelFocus will negotiate group pricing on<br />

your preferred airline and provide fare comparisons for up to fi ve airlines. For teams who prefer not to fl y, TravelFocus can also assist with and<br />

The championship registration is separate from your team’s travel arrangements and cannot be paid for with one check. Separate payment<br />

arrangements must be made to TravelFocus. Airfare is determined by seat availability at time of booking. Late reservations may result in<br />

higher fares.<br />

GENERAL CONDITIONS FOR TRAVEL FOCUS<br />

TravelFocus in Dallas, Texas maintains no control over the personnel, equipment, or operation of any air, water or surface carrier, ship line, bus<br />

or limousine company, transportation company, hotel, restaurant or other person or entity furnishing services, products, or accommodations<br />

as part of this trip. All of these suppliers are independent contractors. TravelFocus shall not be liable for any injury, damage, loss, expense,<br />

<strong>NCA</strong> SCHOOL DIVISIONS - RULES AND RESTRICTIONS<br />

NOVICE SKILLS RESTRICTIONS<br />

Novice teams will follow AACCA Safety Guidelines with these additional skill restrictions.<br />

TIME OUT CHEER RULES AND RESTRICTIONS<br />

Showcase your best sideline crowd-leading material<br />

The use of signs, poms, fl ags, and/or megaphones is encouraged<br />

• 1 minute 15 seconds time limit<br />

• Time will begin and end with Buzzer sound - similar to Time Out at Game<br />

• Emphasis on crowd involvement<br />

• At least 2 components required from the following: cheers, chants,<br />

traditional yells, and/or drum cadences<br />

• No music permitted. Drum cadence can be used (CD or Live Drummer)<br />

• No baskets, sponge, elevator, or similar type tosses permitted<br />

• No inversions and/or twisting into or out of stunts<br />

• No single leg extended stunts<br />

• Maximum diffi culty in tumbling is limited to standing back handspring<br />

Standing Tumbling. Standing tumbling is limited to a standing single back handspring. (Standing back handspring series and<br />

jump/back handspring combinations are not allowed). Standing tucks are not allowed.<br />

Running Tumbling. Running tumbling is limited to front and back handspring series. Flips and aerials are not allowed (no tucks).<br />

Stunts. Single leg stunts may not be held or pass through an extended position. (No extended liberties). Twisting transitions are<br />

limited to a 1/2 twist by the top person (full ups are not allowed).<br />

Pyramids. Extended one leg stunts must be braced by at least one person at prep level or below. Connection must be made prior<br />

to executing single leg stunt and must be made at prep level or below. Any time a top person is released by the bases and braced<br />

by other top persons , they may not perform any skill during transition and must land in a cradle.<br />

Dismounts. Only straight pop downs, basic straight cradles and 1/4 turns are allowed.<br />

Tosses. The only body position allowed is a straight ride.<br />

INTERMEDIATE SKILLS RESTRICTIONS<br />

Intermediate teams will follow AACCA Safety Guidelines with these additional skill restrictions.<br />

Stunts. Twisting transitions to and from an extended position may not exceed 1/2 twisting transition.<br />

Pyramids. During a pyramid transition, top person may pass above 2 persons high while in direct, arm-to-arm contact with two<br />

other top persons at prep level or below.<br />

Dismounts. Only straight pop downs, basic straight rides, and 1/4 turns are allowed from any single leg stunt. Up to 1 1/4 twists<br />

are allowed from any two leg stunt.<br />

Tosses. Up to 1 trick allowed during a toss. Tosses may not exceed 1 twisting rotation.<br />

Please refer to the <strong>NCA</strong> website, <strong>NCA</strong>.varsity.com, for complete rules and guidelines. The rules and guidelines<br />

contained in this Bid Packet are excerpts from the comprehensive rules and guidelines, and are intended to be<br />

helpful and informative as you consider and prepare to register for the event.<br />

DIVISION GUIDELINES<br />

<strong>High</strong> <strong>School</strong>/<strong>Junior</strong> <strong>High</strong> division squads must consist entirely of students who have not graduated from high<br />

school. Divisions are determined by the grade of the participants at the time of the competition, regardless of the<br />

participant’s current ages.<br />

Generally, every member of a team representing a school must be enrolled at that school, must be on a team<br />

offi cially representing the school, and must perform in the offi cial uniform of that school. All exceptions to this<br />

rule must receive written approval from <strong>NCA</strong> at least 2 weeks prior to competition. In an approved exception, a<br />

cheerleader must be a full-time member of the competing team and may not represent any other school-based<br />

team throughout the entire season. Promoting cheerleaders from other campuses for the sole purpose of<br />

competition will not be allowed. Members must be offi cially recognized by the competing school’s<br />

administration as a member of the competing team’s cheerleading squad.<br />

<strong>NCA</strong> strongly recommends that you have an alternate (not a member of another competing squad at the same<br />

event), who is prepared to substitute in the event of injury, probation, etc. No cheerleader may represent more<br />

than one school performance division team, even in the event of injury or emergency. Once a team checks into<br />

the championship, the team will not be allowed to change divisions due to an injury.<br />

NOTE: Cheerleaders may compete in Performance and Game Time Divisions.<br />

For “male only” private schools, squad participants must consist of members that attend offi cial feeder/sister<br />

private schools only. Participants in the Private division must not attend public schools.<br />

A mascot counts as a member of the team if and only if he/she performs gymnastics, stunts, or serves as a<br />

spotter for a stunt or pyramid. Mascots must be appropriately attired so their mobility, vision, etc. are not<br />

impaired.<br />

ELIGIBILITY POLICY<br />

In fairness to all, <strong>NCA</strong> strictly enforces its age/grade requirements for each division. <strong>NCA</strong> reserves the right to<br />

assess a penalty, disqualify, reclaim any and all awards and/or remove television appearance for any team/gym<br />

found to be in violation of the eligibility policy, whether before, during or after the Event.<br />

A Team Roster Form will be sent to all coaches participating in an <strong>NCA</strong> <strong>Championship</strong>. One roster must be<br />

completed per team, and should include each participant’s name, age, grade and birth date. This form must be<br />

signed and given to <strong>NCA</strong> during the event check-in. A school representative must sign and date this form. For <strong>High</strong><br />

<strong>School</strong> and <strong>Junior</strong> <strong>High</strong> teams these forms must be notarized by school administration. The Team Roster Form will<br />

be reconciled against the Release and Waiver Form to ensure all members are accounted for.<br />

LEGALITY VERIFICATION<br />

As a coach, it is important to be current on the <strong>NCA</strong> Rules and Safety Guidelines. If you have questions concerning<br />

any safety guidelines or questions regarding specifi c stunts, pyramids and/or dance skills, please follow these steps.<br />

This will ensure that you receive a timely and accurate response to your questions.<br />

•All questions must be in written form. Due to the differences in interpretation and terminology, no phone<br />

calls will be accepted. Do not rely on prior rulings from <strong>NCA</strong> championships. A separate DVD must be<br />

submitted for each competition to ensure legality.

For partner stunt, pyramid, or dance skill approval, you must send a DVD that contains the skill in question<br />

along with a letter stating the skill you are questioning. DVD must include the following:<br />

1. Front, side and back view of skill.<br />

2. Name(s) of all championships where you will be performing skill and the division you will be<br />

performing in.<br />

3. Include your name, team name, address, email and phone number on your DVD.<br />

4. Do not send the entire routine, only the skill(s) in question. Your DVD will be kept on fi le at <strong>NCA</strong>.<br />

DVD’s that are not in the above format will NOT be viewed.<br />

DVD’s MUST BE RECEIVED IN THE <strong>NCA</strong> OFFICE at least TWO WEEKS PRIOR to the championship date. DVD’s<br />

not received in the <strong>NCA</strong> offi ce two weeks prior to the championship date will NOT be reviewed.<br />

Videos may also be emailed to: ncandavideos@gmail.com. Videos should not exceed 10mb and should be in<br />

Windows Media Player or Quicktime format.<br />

NOTE: Do not depend on your choreographer, coach or director to determine if something is legal. If you feel<br />

that something may be illegal, send a DVD to the <strong>NCA</strong> offi ce.<br />

GAME TIME NATIONAL CHAMPION AWARDS<br />

There will be one <strong>NCA</strong> Game Time <strong>National</strong> Champion title awarded at the <strong>NCA</strong> <strong>Senior</strong> and <strong>Junior</strong> <strong>High</strong> <strong>School</strong><br />

<strong>National</strong> <strong>Championship</strong> in each division (<strong>High</strong> <strong>School</strong>, <strong>Junior</strong> <strong>High</strong>/Middle <strong>School</strong>, Elementary and Recreation).<br />

Elementary and Recreation may only enter two categories (Time Out Cheer and Time Out Dance).<br />

The <strong>National</strong> <strong>Championship</strong> will be presented to the team having the highest total of two (2) category scores. If<br />

a team enters three categories, their two highest scores will be totaled to determine their total score.<br />

To be eligible to win the <strong>NCA</strong> Game Time <strong>National</strong> <strong>Championship</strong> title, teams must compete in at least two of<br />

the Game Time categories offered, and their fi nal ranking must be in the top three in a minimum of one of the<br />

categories (Fight Song, Time Out Cheer, Time Out Dance). Fight Song category is not offered in the Elementary<br />

and Recreation Divisions.<br />

Participants cannot compete twice in the same Game Time category.<br />

If a team wins the <strong>NCA</strong> Game Time <strong>National</strong> <strong>Championship</strong> as well as a Performance Division <strong>National</strong><br />

<strong>Championship</strong>, individuals will receive only one national championship jacket. Teams will receive a banner<br />

0and trophy for each national title.

caused by negligence of the Releasees or otherwise for any claim judgment, loss, liability, cost and expenses (including, without limitations, attorney's fees and costs) arising<br />

out of or connected with the Event, including any claim arising out of or connected with any illness or injury (minimal, serious, catastrophic and / or death) that the Minor<br />

may incur or sustain during the Event, all activities associated with the Event and while traveling to and from the site for the Event whether or not the Event actually occurs.<br />

I further expressly agree to indemnify and hold harmless Releasees and Releasees' heirs, successors, assigns, executors and administrators against loss from any further claims,<br />

demands or actions that may subsequently be brought by Minor or by any other persons on the account of damages of any character resulting to Minor in any way from the<br />

foregoing activities. I further agree to reimburse and to make good to Releasees any loss, or costs Releasees may have to pay as a result of any such action, claim, or demand.<br />

I, in my own behalf and on behalf of the Minor, am aware that this Liability Release releases Releasees from liability and contains an acknowledgement of my voluntary and<br />

Medical Release. I, in my own behalf and on behalf of the minor, acknowledge and agree that such participation subjects Minor to possibility of physical illness or injury<br />

injury by participating in the Event. In the event of such illness or injury, I authorize Varsity Spirit to obtain necessary medical treatment of the minor and hereby, in my<br />

own behalf and on behalf of the Minor, release and hold harmless Releasees in the exercises of this authority. I further acknowledge and understand that I will be<br />

responsible for any and all medical and related bills that may be incurred on behalf of the Minor for any illness or injury that the Minor may sustain during the Event and<br />

while traveling to and from the site for the Event whether or not the Event actually occurs.<br />

Appearance Agreement. I understand that Varsity Spirit d / b / a <strong>NCA</strong> and / or NDA from time to time produces promotional material relating to its programs. I<br />

understand that as a participant and/ or a spectator at the Event that Minor may be included in videotapes, photographs, DVDs, podcasts, and videocasts taken during the<br />

Event. Therefore, without reservation or limitations, I, in my own behalf and on behalf of the Minor, hereby assign, transfer and grant to Varsity Spirit d / b / a <strong>NCA</strong> and /<br />

or NDA, its successors, assignees, licensees, sponsors, any television networks, and all other commercial exhibitors the exclusive right to photograph and / or videotape the<br />

Minor and to utilize such videotapes and photographs and Minor's name, face likeness, voice and appearance as a part of the Event, in advertising and promoting the Event<br />

or in advertising and promoting similar future events. I further understand that neither Varsity Spirit nor any third party is under any obligation to exercise any of the<br />

foregoing rights, licenses and privileges. I, in my own behalf and on behalf of the minor, waive any right to inspect or approve the copies of any promotional materials<br />

related thereto.<br />

Third Party Agreement. I understand that Varsity Spirit d / b / a <strong>NCA</strong> and / or NDA from time to time disclose participants information to third parties who agree to<br />

the confidential nature of the information.<br />

Event Rules. I further acknowledge and understand that Varsity Spirit has established rules and regulations pertaining to conduct, behavior and activities of all Event<br />

participants, by which Minor and I agree to abide during the Event (copy of which is listed on the back of this form), and that Minor and I will be responsible for<br />

his/her/my failure to abide by those rules and regulations. Minor and I have received, read and understand the Event rules. Minor and I understand that violation of the<br />

rules can result in dismissal from Event with no refund.<br />

Supervision. A Chaperone/Adult (age 21 or over) is required to attend with participants. This Chaperone will be responsible for the participants at all times including but<br />

not limited to swimming, beach activity, cheer/dance practice outside of competition, free time at event site or hotel. Varsity Spirit d / b / a <strong>NCA</strong> and / or NDA is not<br />

responsible for participants’ supervision.

General <strong>Championship</strong> Rules<br />

1. Cheering, chanting and dancing will be practiced in designated areas ONLY.<br />

2. Squads / teams must be on time to all scheduled practices and performances.<br />

3. Please leave valuables at home (rings, jewelry, etc.). <strong>NCA</strong> / NDA will not be responsible for lost or stolen items.<br />

4. Participants may not wear unapproved jewelry of ANY kind at any time during practice or performances. Teams with participants that<br />

do not comply will be assessed a legality point deduction.<br />

5. Should an injury occur during your assigned practice or performance times, please contact an <strong>NCA</strong>/NDA trainer or member of the<br />

<strong>NCA</strong>/NDA corporate staff.<br />

6. Smoking at championships & events is prohibited, and the use or possession of alcohol or other illegal substances is prohibited.<br />

7. Hazing or initiations of any type is prohibited.<br />

8. If attending an event as a resident, all participants must follow these basic rules: A) No running or unnecessary noise in the halls.<br />

B) Always lock your door when you leave the room and when you are in your room. Do not prop doors open. C) There will be no<br />

tumbling, horseplay, partner stunts or practicing in the hotel / resort except in designated practice areas. D) Any damage to the room<br />

will be charged to your group. Be sure to leave your room as clean as you found it.<br />

9. <strong>NCA</strong> and NDA fervently encourage and support sportsmanship, integrity and fairness among all participants and<br />

coaches/advisors/directors in all facets of cheerleading and dance, including but not limited to team practice and performance. <strong>NCA</strong><br />

and NDA maintain and enforce a zero tolerance policy for unsportsmanlike conduct by any and all its championship patrons. <strong>NCA</strong> and<br />

NDA reserve the right to remove participants, coaches/directors/advisors, or spectators from the performance venue and/or hotel<br />

should offensive or inappropriate behavior toward other participants, coaches/directors/advisors, officials or spectators occur.<br />

In addition to the general rules above, the following rules apply to all <strong>Championship</strong>s:<br />

1 . <strong>NCA</strong>/NDA is not responsible for participants’ supervision.<br />

2. Participants must have an adult chaperone/coach/director, for participants’ supervision, in attendance at all times during the<br />

championship.<br />

3. Only coaches / directors should approach the <strong>NCA</strong> / NDA Event Tent to resolve disputes. Spectators or participants will NOT be<br />

allowed to pursue disputes.

SAFETY, COMPLIANCE, AND SPORTSMANSHIP<br />

1. I understand that cheerleading/dance is an athletic activity, which requires proper training and supervision.<br />

2. I understand it is my ethical duty to put the interest and safety of my athletes first, and not to put cheerleaders/dancers at unnecessary risk.<br />

3. I agree to follow all safety and performance guidelines both by the letter and spirit of the rule.<br />

4. I agree to abide by the eligibility stipulations for divisions as determined by <strong>NCA</strong>/NDA. I understand that if a violation is reported, I may be required to supply<br />

eligibility verification to event officials.<br />

5. I will accept all judges’ rulings as final.<br />

6. I will support the <strong>Championship</strong> outcome and represent my program with integrity.<br />

1. Because we take the safety and security of our participants seriously, our policy is to protect your privacy and that of all participants.<br />

2. Audience use of telephoto lenses and video cameras including video capable digital cameras/camera phones will not be allowed.<br />

3. Unauthorized users of such equipment will be escorted from our events.<br />

4. I acknowledge that I will communicate this information to all parents and supporters of participants from the school/gym I represent at this event.<br />
