OCCUPYING YOUR ACCOMMODATION Arriving at hall Arriving at your accommodation can be busy time. Please refer to the table below for advisable time slots which is listed by surname. If you cannot make your time slot please try to arrive between 10.00 and 18.00 on Saturday or Sunday. Should you be arriving outside these times, please make arrangements in advance by contacting the Hall Office on 01865 485014. SURNAME Given these days when the Hall Office issue keys will be extremely busy, can we kindly request that only the licence holder (student) present themselves at the reception area with all completed paperwork. Mail SATURDAY 15 SEPTEMBER If your mail is properly addressed it will be delivered to a post box that is for your flat only. Appointed carriers will deliver parcels to your flat. Please note we cannot sign for parcels or registered mail at the Hall Office. Once you have enrolled on your course and have been issued with a student number then you will be able to access this facility. This service is included within your hall fees. There are Wi-Fi spots during fresher’s week. Please contact the Hall Office for more information. Information on the hall network can be found at: www.brookes.ac.uk/services/cs/gettingonline/ Mobile phones Many students use mobile phones. These will either be ‘pay-as-you-go’, or contract: n ‘Pay-as-you-go’ phones are bought for a one-off purchase price. Calls and texts are paid for by buying top-up cards from local shops. n Contract phones are bought for a lower one-off payment, but you are contracted for one year with a monthly payment. This usually includes a package of calls and texts and is generally cheaper for medium to high use customers. There are many mobile phone shops in Oxford and ‘pay-as-you-go’ phones can also be bought from most supermarkets and some local shops. You may find that some of the best deals are on the internet. Voice over Internet Protocol If you need to contact the Hall staff while you are in halls, you will be able to do this, once you have registered at the University, using your Google account. To contact the outside world, you will need a VoIP provider (e.g. Google, Skype, etc). The advantages of this system are: n Free installation and calls using the software application n Competitive rates when calling landline telephones or mobile phones
n Easy to install and use (more information will be provided in the Welcome folder) n Able to use from Smart phones, laptops, tablets, etc. You can also purchase a number from the VoIP provider of your choice so you can be contacted by anyone who uses a landline telephone. CIMS (Centralised Information Management System) Once you have enrolled on your course you will be sent a ‘CIMS invite’ from the Hall allowing you to access CIMS. CIMs is an on-line communication system that enables you to find out more important updates from the Hall; useful contacts and documents; report maintenance issues; advise the Hall of when you are going to be absent and when guests are staying. It’s a useful tool we’ve introduced to make the Hall more accessible as it’s on-line, but it would be great to have you pop by the Halls Office in person too. Overnight absence You may come and go as you please, but for safety purposes, we must know if you are going to be absent from your room overnight. Absence forms can be completed via CIMS alternatively there are absence forms in your flat kitchen, which must be completed, and posted in the Hall Office letterbox. Vacation arrangements Your room is available to you throughout the Christmas and Easter vacations; if you do not wish to remain in hall, you can still leave all your possessions in your room. During these times, you will need to inform us when you are not on site for security and safety purposes. Should you need to stay in Oxford for academic purposes over the summer vacation then there will be a limited number of rooms at a designated hall for renting out on a weekly basis this is on a strictly first come basis. Students are not allowed to rent out their rooms directly to another student. This is called subletting and is illegal and in breach of Student Hall Regulations. Any swaps need to be done through the Accommodation Office. What to do when you leave At the end of your Licence to Occupy you will be required to vacate your room by 09.00 and return your room keys to the Hall Office. Please contact the reception to make arrangements if you are leaving before this time. Each resident will be expected to leave their room and communal areas clean and tidy. All furniture and items must be arranged in the same place as when you arrived. Items missing or damaged are charged to you for replacement. Ensure that you hand in your room key to the Hall Office prior to your departure. At the end of your Licence to Occupy, any belongings which are left in your room will be stored for two weeks and we will try to contact you. If after two weeks we have not had any contact from you then we will send the items to a charity shop or they will be disposed of. If you have contacted us and cannot collect your belongings within two weeks, there will be a storage charge until such a time as you collect them. However, we cannot store your items longer than four weeks and after this time they will be disposed of as outlined above. Clive Booth Student Village 05
