Welcome to <strong>Oxford</strong> <strong>Brookes</strong> <strong>University</strong> on<br />
behalf of the Hospitality Services Department,<br />
part of Estates and Facilities who manage the<br />
Halls of Residence.<br />
Becky Allen, the Office Manager at Clive Booth Student Village and I<br />
am delighted to welcome you to the largest and possibly the most diverse<br />
hall of residence at <strong>Oxford</strong> <strong>Brookes</strong> <strong>University</strong>. I will be responsible to<br />
ensure you get the best support and customer service when you report to<br />
the Hall Office and during out of office hours. To contact us, please come<br />

I realise you will receive a lot of information from the <strong>University</strong>, especially if<br />
you are a new <strong>student</strong>. However, this booklet is designed to provide you<br />
with specific information on your accommodation. It will help you to settle<br />
down and make the most out of your time with us at Clive Booth. I would<br />
also like to remind you that when you sign and accept your license to<br />
occupy, you are agreeing to the regulations set out in these documents. If<br />
you are unsure about anything, please ask any staff member and we will<br />
do all we can to help you.<br />

My name is Gary Carter, I am the Operations Manager at Clive Booth<br />
Student Village. I head up a friendly team of 5 Team Supervisors and<br />
3 operational teams consisting of 36 Domestic & Portering staff along<br />
with 4 Handypersons providing the cleaning support & first response<br />
maintenance services for you. It is important to us that the services<br />
we provide for you are delivered in the most friendly, efficient and<br />
supportive manner. Our intention is to ensure your stay with us is<br />
as comfortable, clean and secure as possible.<br />
Further, living in a diverse and dynamic environment can be a challenge<br />
for some <strong>student</strong>s being the first time not living at home – we have a<br />
great deal of knowledge and experience and are here to help <strong>student</strong>s<br />
adapt and meet these challenges should you need it. We share in your<br />
aspiration to achieve academically and will do everything we can to<br />
ensure your living environment is conducive to study and rest and<br />
providing you with the best possible <strong>student</strong> experience.
VILLAGE FACILITIES<br />
Clive Booth Student Village consists of ensuite and non ensuite<br />
accommodation and is home to 1,600 <strong>student</strong>s and 12 family flats.<br />
Generally, there are five/six study bedrooms per flat although the<br />
Postgraduate Centre will vary. There are seven small laundry rooms for<br />
blocks A, B, C, F, G, H, J, K, L and M; one central laundry room for<br />
blocks N, P, Q, R, S, T, V, W and X and one laundry room (B Block) in<br />
the Postgraduate Centre. All the laundrettes are open 24 hours.<br />
Your bedroom<br />
Your bedroom has a bed-base and mattress,<br />
mattress protector, desk and desk chair, reading<br />
lamp, wardrobe, curtains and an easy chair.<br />
Vacuum cleaners are provided and it’s up to you to<br />
keep your room clean and tidy. There are pinboards<br />
for posters, etc so please don’t pin or stick<br />
items to the walls. You are responsible for your<br />
room and you should complete the inventory form<br />
and hand it in at the Hall Office.<br />
NOTE: you must bring your own bed linen. For<br />
those of you who arrive without any we have a<br />
very small stock of bedding sets that you can buy<br />
(duvet, pillow, duvet cover, sheet and pillow case)<br />
subject to availability.<br />
Fridges and freezers<br />
Kitchens are normally equipped with a standard<br />
fridge freezer shared by six people. If you are<br />
planning to shop for groceries before you arrive<br />
please remember that storage for chilled/frozen<br />
food is limited.<br />

Arriving at hall<br />
Arriving at your accommodation can be busy time.<br />
Please refer to the table below for advisable time<br />
slots which is listed by surname. If you cannot make<br />
your time slot please try to arrive between 10.00<br />
and 18.00 on Saturday or Sunday.<br />
Should you be arriving outside these times, please<br />
make arrangements in advance by contacting the<br />
Hall Office on 01865 485014.<br />
SURNAME<br />
Given these days when the Hall Office issue keys<br />
will be extremely busy, can we kindly request that<br />
only the licence holder (<strong>student</strong>) present<br />
themselves at the reception area with all<br />
completed paperwork.<br />

delivered to a post box that is for your flat only.<br />
Appointed carriers will deliver parcels to your flat.<br />
Please note we cannot sign for parcels or<br />

cover of this booklet and should be preceded by<br />

Data and phone lines<br />
There is a network point in your room and subject to<br />
the relevant rules and regulations; you can connect<br />
to the <strong>University</strong> network. Once you have enrolled<br />
on your course and have been issued with a<br />
<strong>student</strong> number then you will be able to access this<br />
facility. This service is included within your hall fees.<br />
There are Wi-Fi spots during fresher’s week. Please<br />
contact the Hall Office for more information.<br />

Mobile phones<br />
Many <strong>student</strong>s use mobile phones. These will<br />
either be ‘pay-as-you-go’, or contract:<br />
n ‘Pay-as-you-go’ phones are bought for a one-off<br />
purchase price. Calls and texts are paid for by<br />
buying top-up cards from local shops.<br />
n Contract phones are bought for a lower one-off<br />
payment, but you are contracted for one year<br />
with a monthly payment. This usually includes a<br />
package of calls and texts and is generally<br />
cheaper for medium to high use customers.<br />
There are many mobile phone shops in <strong>Oxford</strong> and<br />
‘pay-as-you-go’ phones can also be bought from<br />
most supermarkets and some local shops. You<br />
may find that some of the best deals are on the<br />
internet.<br />
Voice over Internet Protocol<br />
If you need to contact the Hall staff while you are<br />
in halls, you will be able to do this, once you have<br />
registered at the <strong>University</strong>, using your Google<br />
account. To contact the outside world, you will<br />
need a VoIP provider (e.g. Google, Skype, etc).<br />
The advantages of this system are:<br />
n Free installation and calls using the software<br />
application<br />
n Competitive rates when calling landline<br />
telephones or mobile phones
n Easy to install and use (more information will be<br />
provided in the Welcome folder)<br />
n Able to use from Smart phones, laptops, tablets,<br />
etc.<br />
You can also purchase a number from the VoIP<br />
provider of your choice so you can be contacted<br />
by anyone who uses a landline telephone.<br />
CIMS (Centralised Information<br />
Management System)<br />
Once you have enrolled on your course you will be<br />
sent a ‘CIMS invite’ from the Hall allowing you to<br />
access CIMS.<br />
CIMs is an on-line communication system that<br />
enables you to find out more important updates from<br />
the Hall; useful contacts and documents; report<br />
maintenance issues; advise the Hall of when you are<br />
going to be absent and when guests are staying.<br />
It’s a useful tool we’ve introduced to make the Hall<br />
more accessible as it’s on-line, but it would be great<br />
to have you pop by the Halls Office in person too.<br />
Overnight absence<br />
You may come and go as you please, but for<br />
safety purposes, we must know if you are going to<br />
be absent from your room overnight. Absence<br />
forms can be completed via CIMS alternatively<br />
there are absence forms in your flat kitchen, which<br />
must be completed, and posted in the Hall Office<br />
letterbox.<br />
Vacation arrangements<br />
Your room is available to you throughout the<br />
Christmas and Easter vacations; if you do not wish<br />
to remain in hall, you can still leave all your<br />
possessions in your room. During these times, you<br />
will need to inform us when you are not on site for<br />
security and safety purposes.<br />
Should you need to stay in <strong>Oxford</strong> for academic<br />
purposes over the summer vacation then there will<br />
be a limited number of rooms at a designated hall<br />
for renting out on a weekly basis this is on a strictly<br />
first come basis.<br />
Students are not allowed to rent out their rooms<br />
directly to another <strong>student</strong>. This is called subletting<br />
and is illegal and in breach of Student Hall<br />
Regulations. Any swaps need to be done through<br />
the Accommodation Office.<br />
What to do when you leave<br />
At the end of your Licence to Occupy you will be<br />
required to vacate your room by 09.00 and return<br />
your room keys to the Hall Office. Please contact<br />
the reception to make arrangements if you are<br />
leaving before this time.<br />
Each resident will be expected to leave their room<br />
and communal areas clean and tidy. All furniture<br />
and items must be arranged in the same place as<br />
when you arrived. Items missing or damaged are<br />
charged to you for replacement. Ensure that you<br />
hand in your room key to the Hall Office prior to<br />
your departure.<br />
At the end of your Licence to Occupy, any<br />
belongings which are left in your room will be<br />
stored for two weeks and we will try to contact<br />
you. If after two weeks we have not had any<br />
contact from you then we will send the items to a<br />
charity shop or they will be disposed of. If you<br />
have contacted us and cannot collect your<br />
belongings within two weeks, there will be a<br />
storage charge until such a time as you collect<br />
them. However, we cannot store your items longer<br />
than four weeks and after this time they will be<br />
disposed of as outlined above.<br />

ENVIRONMENTAL IMPACT<br />
AND RECYCLING<br />
There is evidence in the press and on television of<br />
the global environmental impact of human<br />
activities. The <strong>University</strong> would like all residents<br />
and staff to play their part in reducing this impact.<br />
Heating<br />
The <strong>University</strong> is bound by legislation and approved<br />
codes of practice which determine the temperature<br />
levels within its buildings. The heating for the halls is<br />
controlled centrally within the Buildings and Estates<br />
Department. You should be aware that once a<br />
building has reached the required temperature the<br />
thermostat will then switch off the radiators. So if<br />
you have no heating, consider if the flat has<br />
reached the required temperature.<br />
What you can do to help<br />
The main areas of concern are wasted electricity,<br />
gas, water and recycling.<br />
You can do your bit to help by:<br />
n switching off lights in rooms when not in use, i.e.<br />
switch off your bathroom light, lamp, room light,<br />
kitchen lights<br />
n while brushing teeth, turn the tap off<br />
n use a plug in the sink, do not let hot water pour<br />
away<br />
n for a single cup of tea, don't boil a whole kettle<br />
n put a jumper on or wear warm clothes<br />
n don't leave electrical items on standby, i.e. TV or<br />
mobile phone chargers, as they use the same<br />
amount of energy as if they were switched on.<br />
As far as possible, environmentally friendly<br />
chemicals are used to clean with.<br />
Recycling<br />
This is an important new initiative with <strong>Oxford</strong> City<br />
Council (OCC), supported by <strong>Oxford</strong> <strong>Brookes</strong><br />
Students’ Union. We want it to be a success, so<br />

please help us succeed in this endeavour by<br />
segregating your waste as specified by the<br />
information provided in your kitchen. Most of your<br />
waste can be recycled at Clive Booth Student Village.<br />
Please recycle using the facilities in your kitchen.<br />
Please read notices located above the bins to<br />
ensure that you only put the correct materials into<br />
the recycling containers. Rubbish such as banana<br />
skins could contaminate the whole load and<br />
therefore the contents would be sent to landfill.<br />
Please be aware broken glass and crockery items<br />
should be wrapped in paper and disposed of in<br />
the landfill waste containers. Porters/Handymen<br />
will collect your landfill waste (black bags) on a<br />
Monday, Wednesday and Friday. Residents are<br />
required to take blue bags to the recycling stations<br />
at least once a week. These are located:<br />
1. Between S1 to S6 and T1 to T6<br />
2. Bottom of V Block<br />
3. Near G8<br />
4. to the right of L Block<br />
5. PG Block (rear of B Block)<br />
Residents are also required to place green glass<br />
boxes BY/UNDER GLASS RECYCLING SIGNS on<br />
Tuesdays and Thursdays between 07.00am and<br />
10.00am.<br />
You can make a difference – please make your<br />
contribution to help protect the environment. Clive<br />
Booth Student Village operates a re-use scheme,<br />
<strong>student</strong>s on departure from halls can donate items<br />
for <strong>student</strong>s to re-use or to charities, please<br />
contact the Hall Office for more information.<br />
Please be aware that failure to co-operate will result<br />
in charges being incurred by residents of a flat.<br />
IMPORTANT:<br />
We all have a responsible role to play in addressing<br />
the environmental issue of recycling waste.<br />

HEALTH AND SAFETY<br />
General maintenance<br />
During your time here at <strong>Oxford</strong> <strong>Brookes</strong> <strong>University</strong><br />
your bedroom may require some maintenance<br />
work to be carried out. To report general<br />
maintenance, please do so in one of the following<br />
ways:<br />
n In person to the Hall Office<br />
n by completing the maintenance form on CIMS.<br />
When completing the request form please give as<br />
much information as you can i.e. location and<br />
description of fault. This will ensure the request is<br />
carried out as soon as possible.<br />
Fire alarm bells<br />
These are tested once a week usually on<br />
Wednesdays (please refer to the schedule in the<br />
flat kitchen); there will be a series of short bursts. If<br />
you hear a continuous alarm you must evacuate in<br />
the usual way.<br />
Health and Safety<br />
<strong>Oxford</strong> <strong>Brookes</strong> takes health and safety very<br />
seriously and as a result we have a regime of<br />
inspections and protocols, both internal and<br />
external.<br />
The following information is provided so you are<br />
aware of what the <strong>University</strong> is doing and to give<br />
you an understanding of these issues. If you have<br />
any questions or concerns about the attached<br />
please do not hesitate to contact the Hall Manager.<br />
ASBESTOS<br />
In some older halls you may find small stickers<br />
which indicate that asbestos is present. This<br />
alarms some residents. It shouldn’t, asbestos was<br />
a standard building material during the 1960s and<br />
the vast majority of buildings of this age will have<br />
low levels of asbestos. Asbestos is not dangerous<br />
so long as it is not disturbed. <strong>Oxford</strong> <strong>Brookes</strong><br />
arranges for an independent survey to be<br />
completed on an annual basis and have placed<br />
these stickers to ensure that maintenance<br />
engineers know where it is and can work safely. If<br />

LEGIONELLA CONTROL<br />
Many residents will have heard of Legionella<br />
Disease but are unaware of what it is. This is a<br />
disease caused by bacteria that can be found in<br />
natural water sources e.g. water systems in<br />
offices, academic buildings, residential<br />
accommodation and houses. The route of infection<br />
is inhalation of bacterium in aerosol form. <strong>Oxford</strong><br />
<strong>Brookes</strong> <strong>University</strong> has policies and procedures in<br />
place to manage risk from contamination in<br />
accordance with the current legislation and good<br />
practice. Site risk assessments have been<br />
completed and an approved specialist water<br />
treatment company has been appointed to<br />
undertake the necessary monitoring and<br />
maintenance activities. What this means for<br />
<strong>student</strong>s in Halls of Residence, is that periodically<br />
access will be required to your room or flat to<br />
monitor the quality of the water. We will always<br />
give you notice when this will happen and as far as<br />
possible we will avoid exam periods.<br />

FREQUENTLY ASKED QUESTIONS<br />
1 Where are the nearest cash point,<br />
shops/supermarkets and pubs/restaurants?<br />
The nearest cash point is in the Helena<br />
Kennedy Student Centre next to the shop<br />
which is approximately 5 minute walk or the<br />
Main Foyer of the Gipsy Lane Site which is a<br />
10 minute walk.<br />
There are small Hospitality Services Shops on<br />
the Headington Campuses, there is a small<br />
shop on Grays Road or alternatively there are<br />
shops and supermarkets on Headington High<br />
Street which is approximately a 20 minute walk.<br />
There are various pubs and restaurants in<br />
Headington and St Clements which are<br />
approximately a 20 minute walk.<br />
2 How will be the flats be mixed?<br />
Accommodation is allocated via a random<br />
computer allocation system so your room<br />
could be on any floor and any direction. The<br />
flat will consist of a mixture of <strong>student</strong>s who<br />
are of different genders, cultures and studying<br />
different courses. The only exception to this is<br />
those <strong>student</strong>s who have longer contracts due<br />
to course requirements who are generally<br />
housed together.<br />
3 Will the accommodation be with<br />
undergraduates or postgraduates?<br />
Students who have requested postgraduate or<br />
mature undergraduate will be allocated to the<br />
new Postgraduate Centre.<br />

4 How much storage is provided in the<br />
kitchen or bedroom?<br />
Bedroom storage consists one floor to ceiling<br />
wardrobe and an under bed storage.<br />
Kitchen storage consists of one wall and one<br />
base unit per resident.<br />
5 How much to do my laundry?<br />
The laundry is provided by Circuit Laundry and<br />
costs £2.00 for a wash and 20p per 20 minute<br />
dry cycle.<br />
6 How to get to hall when first arrive in <strong>Oxford</strong>?<br />
SatNav with postcode OX3 0FN.<br />
If you arrive via the Airline or London Coaches<br />
then if you advise the bus driver that you want<br />
to get off at the Gipsy Lane Stop then it is<br />
approximately a 15 minute walk.
