Introduction<br />

Dear Graduate,<br />

This brochure aims to provide you with all the information you will require about your <strong>Graduation</strong> ceremony.<br />

The <strong>University</strong> <strong>of</strong> <strong>Winchester</strong> will hold seven graduation ceremonies in <strong>Winchester</strong> Cathedral over four days in November <strong>2012</strong><br />

on the dates and times shown on the ceremony dates page.<br />

The <strong>University</strong> has an excellent reputation for making its ceremonies enjoyable occasions. However, for them to run smoothly,<br />

careful organisation and the co-operation <strong>of</strong> all involved are essential – so please read this brochure carefully and take action<br />

where you need to.<br />

Essential checklist for <strong>Graduation</strong><br />

Graduands may either:<br />

I. Arrange to attend the graduation ceremony,<br />

or<br />

II. Arrange for your award to be conferred in absentia if you cannot attend<br />

If you wish to attend:<br />

1. Book your place for you and your guests according to the instructions on your <strong>Graduation</strong> Invitation by Friday 24th August<br />

<strong>2012</strong>.<br />

2. Order your robes from Wippells via www.wippellgownhire.co.uk as soon as possible (not later than 21 days prior to the<br />

ceremony)<br />

3. Tickets will be sent to your home address during week commencing 10th September <strong>2012</strong>.<br />

If you do not wish to attend:<br />

1. Follow the instructions on your <strong>Graduation</strong> Invitation and let us know that you will not be attending. Your certificate will then<br />

be sent to your home address after the <strong>Graduation</strong> ceremony if you have not already received it.<br />

All Graduates please note:<br />

1. You can only apply to come to <strong>Graduation</strong> if you have received an <strong>of</strong>ficial Invitation to <strong>Graduation</strong>.<br />

2. If you do not apply to come to graduation by Friday 24th August <strong>2012</strong>, it will be assumed that you wish to obtain your<br />

degree in absentia and not attend graduation.<br />

3. You must clear all debts. You will not be allowed to attend your graduation ceremony if you are in debt to the <strong>University</strong>.<br />

4. Keep Registry informed <strong>of</strong> any change to your Home Address as this is where we will send your tickets and where we will send<br />

your certificate if you do not attend graduation.<br />

Essential information<br />

Tickets for <strong>Graduation</strong><br />

As a graduand, you will not require a ticket to enter the Cathedral but you must wear appropriate academic robes. Your guests<br />

must show their tickets in order to gain admittance to the Cathedral.<br />

Graduands attending the ceremony are guaranteed two guest tickets. You may request extra guest tickets on the appropriate<br />

section on the booking form, but please note that some ceremonies are larger than others and the availability <strong>of</strong> extra tickets will<br />

depend on demand. This year numbers are very tight and it is unlikely that you will receive more than 2 guest tickets. It is<br />

likely that any graduates who do gain additional tickets will be allocated 3 as a maximum. Additional tickets will be allocated in<br />

as equitable a way as possible.<br />

We are unable to confirm if you have been allocated any additional guest tickets until you receive your tickets. Your tickets will<br />

be sent to your home address during the week commencing 10th September <strong>2012</strong>. You are advised to make initial travel and<br />

accommodation arrangements based on the guaranteed ticket allocation. It is not possible to give any commitment regarding<br />

extra tickets. Tickets are not allocated on a first come first served basis.<br />

If you are unable to gain all the guest tickets that you would like, your additional guests may like to wait outside the Cathedral to<br />

see the graduates as they come out. The large West Door is opened and <strong>University</strong> staff form a funnel and clap out the graduates<br />

and this is quite a spectacle. The graduates then spend some time outside the cathedral meeting friends and taking photographs<br />

etc. There is usually quite a festive atmosphere outside the cathedral. You can wear your academic robes all day and make a day<br />

<strong>of</strong> the event, wearing your robes out to lunch, tea etc.<br />

Special requirements<br />

If you or any <strong>of</strong> your guests require wheelchair accommodation or any other special arrangements, please note this on the<br />

booking form. You can also contact the Awards Officer on 01962 827253 or via graduation@winchester.ac.uk to discuss. If you or<br />

any <strong>of</strong> your guests have mobility problems, we can issue you with a permit which allows you to drop <strong>of</strong>f members <strong>of</strong> your party<br />

directly outside the front <strong>of</strong> the Cathedral. Unfortunately we are unable to provide parking spaces for you at the Cathedral so you<br />

will need to park the car in one <strong>of</strong> the various car parks in the City. If you would like the details <strong>of</strong> disabled parking available in<br />

<strong>Winchester</strong>, you can phone the <strong>Winchester</strong> Parking Office on 01962 848346.<br />

If you have any special requirements in terms <strong>of</strong> mobility, sight, hearing etc, please get in touch and we can discuss how we can<br />

help you. We will review with you how we can best accommodate your individual needs. Assistance might include such things as<br />

seating you in the best seat, providing you with a personal usher to guide you on the day, asking the Chancellor to come down<br />

the Chancel steps to greet you (she is extremely happy to do this) or providing a wheelchair ramp up the Chancel steps. Staff at<br />

<strong>Graduation</strong> are very experienced and are keen to assist graduands in getting the most out <strong>of</strong> their <strong>Graduation</strong> day.<br />

Academic Gown Hire<br />

You cannot have your award conferred without the proper academic dress. J. Wippell & Co, the robemakers to the <strong>University</strong>,<br />

are responsible for the hire and sale <strong>of</strong> academic dress and you can hire your academic dress via their website at www.<br />

wippellgownhire.co.uk. Alternatively you can telephone them on 01392 254234. See the J.Wippell page later in this brochure for<br />

further details. You are advised to order robes as soon as possible (and certainly no later than 21 days before the ceremonies). The<br />

robemakers will cancel orders and refund payments if subsequently the robes are not required.<br />

Hats for all students, apart from PhD students, are the mortar-board pattern <strong>of</strong> black cloth with black silk tassel. Mortar-boards<br />

should not be worn in the Cathedral (you may leave your hat on your seat or carry it with you when you receive your handshake<br />

from the Chancellor).<br />

Academic Gown Collection<br />

On the day <strong>of</strong> your graduation, you will need to collect your gown and hat from the <strong>Winchester</strong> Guildhall prior to your ceremony.<br />

If your ceremony is in the morning, you can collect your gown from 08:00 am. If your ceremony is in the afternoon, you can<br />

collect your gown from 11:00 am. All gowns should be returned by 5.30 pm. The <strong>Winchester</strong> Guildhall is in the centre <strong>of</strong> town<br />

approximately five minutes’ walk from the cathedral. You may find it useful to bring some safety pins to help hold your hoods in<br />

place.<br />

Admittance to the Cathedral<br />

Admittance to the Cathedral for graduands and their guests will be one hour prior to the commencement <strong>of</strong> the ceremony.<br />

Guests must show their tickets. Entry is via the North Aisle doors located on either side <strong>of</strong> the main large red West Door at the<br />

front <strong>of</strong> the Cathedral. Ushers will direct you and your guests to the seating areas. Guest seating is in the Main Aisle and North<br />

Aisle. Guests can sit where they like within the guest seating areas. Members <strong>of</strong> your party do not have to sit together. Please see<br />

the diagram <strong>of</strong> the layout <strong>of</strong> the Cathedral.<br />

Please Note: Your guests must bring tickets in order to gain admittance to the Cathedral which will be closed to the general<br />

public from 8.30am – 4.30pm. The Fire Regulations do not permit standing at the rear <strong>of</strong> the Cathedral.<br />

Graduands will be seated in the Main Aisle and will be placed alphabetically within subject order. Ushers (staff) will ensure that<br />

you sit in the correct place. Ushers will also help you to file out in the right order and at the correct pace.<br />

The Ceremony<br />

Programmes are provided on the day so that everyone will be able to follow the proceedings. The ceremony will commence<br />

with staff and dignitaries processing into the cathedral and the audience is asked to stand for this. After the opening prayer, the<br />

Chancellor will declare the ceremony open. This is followed by an opening address from the Vice Chancellor. An Honorary Degree<br />

and/or Honorary Fellowship <strong>of</strong> the <strong>University</strong> will then be conferred as applicable to your individual ceremony.<br />

The Dean <strong>of</strong> Faculty will read out the names and you proceed in small groups to file up the Chancel steps, pause and file across<br />

in front <strong>of</strong> the Chancellor who shakes your hand (thereby conferring your award). You then proceed down the South side <strong>of</strong> the<br />

steps, collect your certificate from <strong>University</strong> staff at a table in the South Aisle and return to your seat. Ushers will be on hand<br />

to show you where to go. If you have already received your certificate, you will probably be handed an envelope containing a<br />

congratulatory letter.<br />

The congregation may be instructed in the programme to applaud each group rather than individuals.<br />

At the end <strong>of</strong> the ceremony, guests are asked to remain standing whilst the procession and the graduates leave the Cathedral via<br />

the West Door. At the West Door, staff, in their academic robes, clap out the graduates. This is quite a spectacle and if you are<br />

unable to obtain all <strong>of</strong> the guest tickets that you wanted, some <strong>of</strong> your friends and family may like to wait outside to see this.<br />

<strong>Graduation</strong> Photography and DVDs<br />

The Dean and Chapter <strong>of</strong> <strong>Winchester</strong> Cathedral do not permit photography or the use <strong>of</strong> camcorders or mobile phone cameras<br />

in the Cathedral, other than by authorised staff, and you are asked to cooperate in this by taking whatever photographs or<br />

recordings you wish outside in the Cathedral grounds.<br />

Tempest Photography (the <strong>University</strong>’s only authorised graduation photography company) will be providing a graduation<br />

photography service inside the Guildhall next to the room where the gown hire takes place. You can have <strong>of</strong>ficial photographs<br />

taken before or after your ceremony. Photographs cannot be pre-ordered before the day. A still photograph is also taken <strong>of</strong> each<br />

graduate as they shake hands with the Chancellor in the Cathedral and is available to order from the Tempest website. See the<br />

Tempest Photography page later in this brochure for details <strong>of</strong> the service that they <strong>of</strong>fer or visit their website at www.tempestgraduations.co.uk<br />

Tempest Photography are the only photographers recommended by the <strong>University</strong> <strong>of</strong> <strong>Winchester</strong>. There may be other<br />

photographers in the area <strong>of</strong>fering graduation photography packages. Please be aware that the <strong>University</strong> <strong>of</strong> <strong>Winchester</strong> does not<br />

endorse any other photographers and we strongly recommend that you use only Tempest Photography.<br />

Each ceremony is filmed and you are very welcome to purchase a copy <strong>of</strong> the recording on dvd from the <strong>University</strong>’s only <strong>of</strong>ficial<br />

video/dvd company Cam 3 Media – see their information later in this brochure. You can pre-order dvds from www.cam3media.<br />

co.uk or order them on the day from the Cam 3 Media stall in the Guildhall which is situated next to the gown hire.<br />

<strong>Graduation</strong> Ball<br />

A <strong>Graduation</strong> Ball is being organised by the <strong>Winchester</strong> Student Union and will take place on the evening <strong>of</strong> Saturday 10th<br />

November <strong>2012</strong> at the Vault at the <strong>University</strong> <strong>of</strong> <strong>Winchester</strong>. Further details are available later in this brochure.<br />

Debts<br />

If you have any outstanding debts to the <strong>University</strong> your award certificate will be withheld and you will not be eligible to attend<br />

your graduation ceremony.<br />

It is your responsibility to check that your account is clear. Debts to the <strong>University</strong> include unpaid academic fees and charges,<br />

accommodation fees and charges, library fines and unreturned books or equipment. Please also note a debt will be noted on<br />

your account if your sponsor has not paid your fees. You should have received reminders from the <strong>University</strong> regarding any<br />

outstanding debts (unless the debt is with your sponsor). If you have not already done so, it is important that you respond to<br />

them urgently.<br />

If, at the time <strong>of</strong> sending out the tickets, you owe money, books or other equipment to the <strong>University</strong>, you will not be allowed to<br />

attend your graduation ceremony. You will not be sent confirmation that you can attend nor any tickets for your guests. You will<br />

also not receive your award certificate until you have repaid your debt.<br />

Award Certificates<br />

Please inform the Awards Officer immediately if your name is incorrect on the <strong>Graduation</strong> Invitation. The name which appears on<br />

this Invitation is your full name as we have it recorded on our records information system. This is the name which will appear on<br />

your award certificate. In order to amend your recorded name, you will need to produce your original birth certificate, passport or<br />

other relevant legal document.<br />

Graduates should take great care <strong>of</strong> their award certificate as only one original is produced. Written application for a certified<br />

true replica <strong>of</strong> an original, which has been lost or badly damaged, may be made to the Awards Officer. Currently a charge <strong>of</strong><br />

£20.00 is made for the production <strong>of</strong> replacement award certificates.<br />

Where graduates require certification <strong>of</strong> photocopies <strong>of</strong> their original certificate, this can be arranged at a cost <strong>of</strong> £3.00 per<br />

photocopy. Please send your original certificate via recorded delivery to Registry. Registry will return all certificates via recorded<br />

delivery.<br />

Frequently asked questions<br />

What must I do in preparation for my graduation?<br />

There are 2 things that you must do:<br />

1. You must book for your ceremony by Friday 24th August <strong>2012</strong>. Please follow the instructions on your <strong>Graduation</strong> Invitation.<br />

Please note that if we have not heard back from you by this date, we will assume that you will not be attending graduation.<br />

2. You must hire the appropriate academic dress for the occasion from Wippells – the <strong>University</strong>’s <strong>of</strong>ficial gown supplier. To do<br />

this you will need to log on to the following website: www.wippellgownhire.co.uk.<br />

What happens if I cannot attend the ceremony?<br />

If you are unable to attend your ceremony, you must follow the instructions on your <strong>Graduation</strong> Invitation and tick that you will<br />

not be attending. Your degree will then be conferred ‘in absentia’. Your name will appear in the programme but will not be read<br />

out during the ceremony. Your certificate (and a copy <strong>of</strong> the graduation programme if available) will be posted to your home<br />

address after the ceremony if you have not already received your certificate.<br />

My particular ceremony date is inconvenient. Is it possible to swap to another ceremony?<br />

It is not possible to change a date as the ceremonies are held by Faculty. If the date is inconvenient, you may choose to graduate<br />

in absentia.<br />

What happens if I change my mind about attending or change the number <strong>of</strong> tickets that I would like to request?<br />

If you change your mind, please contact the Awards Officer in Registry via graduation@winchester.ac.uk or by telephoning 01962<br />

827253.<br />

How long does the ceremony last?<br />

The ceremony normally lasts about one and a half hours but this depends on how many students are graduating and whether or<br />

not an honorary degree or honorary fellowship is conferred.<br />

What happens if I am late for my ceremony?<br />

If it is possible to seat you before your name is read out you will be able to participate as normal. If you arrive after your name<br />

has been read out then you have missed your opportunity to graduate in person and will be deemed to have received your<br />

award ‘in absentia’. You will still be able to sit with your fellow graduates and your certificate will be available directly after the<br />

ceremony ends.<br />

Can I bring children to the ceremony?<br />

Children are welcome at all ceremonies. They will need a guest ticket unless very small and able to sit on a lap. We would caution<br />

that the ceremonies are quite long and may not be suitable for young children who may become bored.<br />

What should I wear?<br />

There is no strict dress code but graduands and guests usually wear smart clothes. Please be aware that the floor <strong>of</strong> the Cathedral<br />

is an uneven stone floor and graduands will be asked to walk up a few stone steps to greet the Chancellor so graduands may wish<br />

to consider wearing suitable footwear and avoid excessively high heels.<br />

Where can my guests park?<br />

There is no parking available at the Cathedral and public car parks will have to be used. Fortunately, there are several long and<br />

short-stay car parks within easy walking distance <strong>of</strong> the Cathedral and the Guildhall and these will be marked on the map which<br />

will accompany your tickets. The Parking Office (01962) 848346 can also advise you on parking in the city.<br />

How much does graduation cost?<br />

The <strong>University</strong> <strong>of</strong> <strong>Winchester</strong> is one <strong>of</strong> the few remaining institutions which does not charge for graduation. The only compulsory<br />

cost you will incur (apart from your travel costs to and from the ceremony) is your academic dress hire which you pay directly to<br />

the gown hire company.<br />

A friend <strong>of</strong> mine has not received a graduation invitation, can I let them have the details from mine?<br />

Please do not pass the graduation information onto other people. There could be a good reason why your friend has not received<br />

an invitation – we may not at this stage be expecting him or her at the ceremonies. Please ask your friend to contact the Awards<br />

Officer immediately so that they can (if appropriate) be sent their own invitation and be included in the graduation programme.<br />

A friend <strong>of</strong> mine requires extra tickets, I am no longer able to attend the ceremony, can they have mine?<br />

Please do not pass your tickets to your friend, we need to monitor the number <strong>of</strong> tickets given to each person and we keep a<br />

record <strong>of</strong> the ticket numbers <strong>of</strong> each graduand’s allocation. Please return the tickets to the Awards Officer.<br />

Will there be commemorative items for sale?<br />

The company <strong>Graduation</strong> Gear are selling commemorative T-shirts and champagne. Items can be pre-ordered – see the<br />

advertisements later in this brochure – or purchased on the day from <strong>Graduation</strong> Gear at their stall in the <strong>Winchester</strong> Guildhall.<br />

Their stall is situated close to the Gown hire.<br />

What refreshments will be available on the day?<br />

Refreshments are available through various catering outlets in <strong>Winchester</strong> and graduands and their families and friends can<br />

choose whichever refreshments suit them i.e. formal lunches and dinners or refreshments in pubs or tearooms. Catering<br />

You will receive a letter which will confirm your attendance at your ceremony and will include guest tickets. The letter will<br />
