It is stressed that Teachers must bring these Rules to the notice of competitors.
1. Age will be reckoned as age on 1st October. Maximum age for Vocal – 25 years. All other classes
– 18 years.
2. Competitors will be admitted free of charge on production of a competitor’s ticket which will be sent
to all entrants (excluding Dance).
3. Competitors will perform in the order determined by the Committee and shown in the Programme.
Any competitor failing to respond may forfeit a hearing, unless the Adjudicator’s Steward has been
informed before the start of the class.
4. Should competitors be unable to perform, substitute competitors will NOT be allowed.
5. Entry forms MUST be accompanied by appropriate entry fee. No refund can be entertained
except in cases of illness which must be supported by a medical certificate.
6. Competitors will be marked in accordance with the recommendations of the British & International
Federation of Festivals as described below.
In any section competitors must obtain at least 81 marks to qualify for a medal or a trophy.
THE ADJUDICATOR WILL ANNOUNCE THE FIRST THREE MARKS.
7. The Secretary reserves the right to limit the number of entrants in all classes so that each
competitor may receive a fair hearing.
8. Adjudicators may stop any performance when their judgement has been formed. Their decision
is final.
9. Any protest which a competitor, or any other person, may wish to lodge must be in writing and
accompanied by a deposit of £2. Should the Committee after investigation not uphold the protest
the deposit may be forfeited.
10. All trophies are awarded for one year and MUST be returned in good, clean condition to the Section
Secretary, not later than two weeks before the start of the next Eisteddfod unless alternative
arrangements are made with the Section Secretary.
11. The Committee reserves the right to qualify these Rules or determine any other Regulations as
circumstances require.
12. Competitors may only enter once in a solo class, and must not perform the same work in more
than one class. Competitors may enter more than once in duet, trio or group classes but with
different partners and work.
13. In each Section a Set piece cannot also be an Own Choice piece.
14. In all Own Choice classes, previous winners may not compete again with the same material.
15. In all Own Choice classes, copies of the music/poem/prose must be provided for the adjudicator
together with source and publisher, or a mark will not be given.
16. The Committee cannot permit the photographing or recording (audio or video) of any performance.
17. Recorded accompaniment is only permitted generally in the DANCE Section (see separate DANCE
Regulations). In other sections recorded accompaniment is only permitted if it is defined in the
description of a specific class and subject to copyright considerations.
18. All performances using music from shows in current production are subject to copyright law.
Songs from shows in current production may be performed as a concert item (i.e. with no
costume or movement) without the need for copyright permission. Where movement or costume
are included in a performance, copyright permission is required, and the Longwell Green Eisteddfod
accepts these entries on the basis that the appropriate copyright permission has been sought.
Performers or teachers with queries on how to obtain copyright permission for performance
should contact Festival House on 0906 302 1302 (Premium rate) before making entries.
19. All music, characterisation and dances should be age appropriate and will be marked accordingly.
PHOTOCOPYING REGULATIONS
If any “Own Choice” work is selected from an album and is not available as a single copy, one
photocopy may be made for the use of the adjudicator, provided the competitor has already
CHILD PROTECTION POLICY
1. PRELIMINARY STATEMENT
The safety of children and vulnerable adults is paramount and all, without exception, have the right to
protection from abuse. All suspicions and allegations of abuse will be taken seriously and responded
to swiftly and appropriately and all the charity’s trustees, staff and volunteers have a responsibility to
report concerns.
2. PURPOSE AND FUNCTION OF ORGANISATION
To advance the education of the public in the Arts of Music, Speech and Dance by providing a
platform for children and young people to perform in competition, adjudicated by professionals
experienced in those arts.
3. THE EISTEDDFOD ENVIRONMENT
The Eisteddfod is run entirely by volunteers. The Committee seeks to involve parents, guardians,
carers and teachers in partnership with them to ensure, as far as is reasonably practicable, a safe
environment at the Eisteddfod. Charges for competitors and audiences are outlined in the syllabus.
No one under the age of 18 years must be left unaccompanied. A responsible adult must be with them
at all times and section 6 of this policy makes clear the responsibilities of parents, guardians, carers
and teachers in this regard.
4. TO WHOM DOES THIS POLICY APPLY
This policy relates to children under the age of 18 years and those vulnerable adults of any age who
are identified to the organisers prior to their arrival at the Eisteddfod. This should be done by
contacting the Section Secretary who will inform the Chairperson and General Secretary. In recognising
the needs of children from ethnic groups and children who are disabled, the Eisteddfod seeks to meet
needs notified to them by parents, guardians, carers and/or teachers.
5. EISTEDDFOD PERSONNEL
All Eisteddfod committee members and helpers are volunteers. Committee members are invited and
elected to serve and all helpers are known to at least 1 committee member. Committee members and
helpers who are in substantial contact with children are checked by the Criminal Records Bureau
(CRB). Committee members and helpers can be identified during the Eisteddfod by the wearing of
badges indicating their name and job title. Serious problems or concerns should be raised with section
secretaries or stewards. All concerns will be taken seriously, documented, dated and referred to the
committee. The General Secretary and a committee member have undergone training and all committee
members and helpers are aware of and agree to implement this policy.
6. PREPARATION FOR ATTENDANCE AT THE EISTEDDFOD
● In partnership with the Eisteddfod all parents, guardians, carers and teachers will play their part in
the implementation of this policy by noting that all children under the age of 18 years must be
supervised by parents, guardians, carers or teachers at all times. Where a parent, guardian or
carer is not personally attending the Eisteddfod, this policy requires them to be satisfied that their
children will be accompanied to the Eisteddfod and adequately supervised at all times by responsible
adults acting on their behalf.
6

● This policy will be printed in the Syllabus and as far as possible copies sent out with competitors
entry tickets. Also to ensure that all concerned are aware of this policy, on entry to the Eisteddfod
venue the supervising adult(s) will receive a copy of this policy.
7. CHANGING AND PRACTICE ROOMS
● Changing rooms are the responsibility of the teachers/schools who are allocated specific areas for
changing.
● The passage between the changing rooms and performance areas is the responsibility of the
teacher/schools.
● Practice rooms are not provided.
8. RECORDING AND PHOTOGRAPHY
Recording of any kind is prohibited at the Eisteddfod.
Any photographs taken by the Press or a professional photographer, approved by the committee and
having undergone CRB checks, will only be taken and published at the discretion of Section Secretaries
and parents, guardians or carers.
9. THE LEGISLATION AND GUIDANCE THAT SUPPORTS THIS POLICY
The Children Act 1989; The Police Act 1997; The Data Protection Act 1998; The Human Rights Act
1998; The Protection of Children Act 1999; The Criminal Justice and Court Services Act 2000; The
Children Act 2004.
10. POLICY REVIEW
The committee will review their policy regularly, improving and enhancing it as necessary. In doing
this they will look to The British and International Federation of Festivals for support and that body, in
turn, will look to other agencies for good practice, most notably the NSPCC and Arts Council of
England policy guidelines.
EQUAL OPPORTUNITY POLICY
The Longwell Green Eisteddfod has an equal opportunities policy and practice to ensure
that all persons involved, both present and potential, are treated equally and as individuals
regardless of age, disability, ethnic or national origin, marital or parental status, political
belief, race, religion, gender or sexual orientation. The Eisteddfod offers a wide range of
classes in music, speech and dance. The committee is prepared to consider the
introduction of classes that would further diversify the type of performances subject to their
artistic merit. However, as the purpose of the Eisteddfod is to encourage performance by
children and young adults it is necessary for competition to be divided into age groups and
for a maximum age to apply.
7
