per page in the first twenty pages read, it should be returned to the student immediately for<br />

pro<strong>of</strong>reading and correction. The student will then be held responsible to correct not only the<br />

errors marked on the first twenty pages, but all others (esp. those <strong>of</strong> the same kind) throughout<br />

the thesis or dissertation.<br />

3. The supervisor should encourage the student to meet with the appropriate member <strong>of</strong> the<br />

library staff to discuss matters <strong>of</strong> form very early in the writing process.<br />

4. The supervisor should make the student aware <strong>of</strong> the services <strong>of</strong> the Writing Lab to assist in<br />

improving the student’s writing style.<br />

5. A clear delineation <strong>of</strong> the expectations for the thesis writer for submitting a clean draft should<br />

be made part <strong>of</strong> the student’s program handbook.<br />

The Responsibility <strong>of</strong> the Format Checker and the Library Reader<br />

The format checker has the primary responsibility for checking the thesis for proper form (in the<br />

sense <strong>of</strong> insuring conformity to the appropriate form and style guide). The format checker may<br />

comment on matters <strong>of</strong> style (in the sense <strong>of</strong> noting spelling and grammatical errors, awkward<br />

wording, poor use <strong>of</strong> English and other such infelicities), but the responsibility for correcting them<br />

rests with the student and the faculty supervisor.<br />

As a general rule, if the thesis or dissertation contains more than three errors per page in the first<br />

twenty pages read, it will be returned to the student immediately for pro<strong>of</strong>reading and correction. The<br />

student will then be held responsible to correct not only the errors marked on the first twenty pages,<br />

but all others (especially those <strong>of</strong> the same kind) throughout the thesis or dissertation.<br />

The library staff is willing and desirous <strong>of</strong> working with students in the initial stages <strong>of</strong> their<br />

projects to assist with the learning and application <strong>of</strong> the appropriate form to the thesis or dissertation<br />

project.<br />

1. The format checker does two readings: the first reading is the defended, corrected and final<br />

form <strong>of</strong> the dissertation. This process takes up to two weeks, so do not expect that you will get<br />

it returned the next day. The checker red marks the problems, then the student picks up the<br />

dissertation, implements these changes, and returns the second draft along with the corrected<br />

first draft.<br />

2. The format checker does NOT function as a pro<strong>of</strong>reader. However, if the need for pro<strong>of</strong>reading<br />

or editing arises, the student can negotiate editorial work with the format checker, paid for by<br />

the student.<br />

3. At the second reading, the format checker checks the second draft to make sure all changes<br />

were implemented as required.<br />
