INVENTORY REPORT MESSAGE<br />

0. INTRODUCTION<br />

This document provides the definition of the EUROFER subset of the INVENTORY<br />

REPORT message based on the UN standard <strong>INVRPT</strong> message of the UN/EDIFACT<br />

directory D97A.<br />

This message has been created by the EDIFER "<strong>Message</strong> development" working group. The<br />

message is to be used in Electronic Data Interchange (EDI) between partners involved in the<br />

steel industry.<br />

The manual has been structured in the following format:<br />

- Business scenario’s describing the use of the <strong>Inventory</strong> report message.<br />

- A Data Model definition describes the data entities, attributes and their relationships.<br />

- The scope describes the field of application, principles and message usage.<br />

- The message definition covers the structure, the entity/attribute mapping and how the<br />

data described in the data model relates to the message.<br />

- The message definition outlines the general structure of the message and specifies the<br />

use of each segment group and, or segment<br />

- Based on the branching diagram of the original EDIFACT message <strong>INVRPT</strong>, the<br />

segments used are indicated. This is followed by a detailed description of the segments<br />

used by <strong>Eurofer</strong>.<br />

- Examples of some <strong>Inventory</strong> reports are provided to clarify the understanding of the<br />

message description.<br />

1. BUSINESS SCENARIO’S<br />

In the steel industry the <strong>Inventory</strong> report (message) is used to report on the stock held and<br />

the stock movements in, out or inside a warehouse between the warehouse manager and the<br />

supplier or the customer.<br />

Warehouses are used by the steel companies on request of the customers (such as the<br />

automotive manufacturers), or for strategic reasons (transport costs, just in time delivery).<br />

The steel companies are confronted with two different types of external warehouses.<br />

The first type is that the warehouse is managed by a third party and a contract exists<br />

between the supplier, the warehouse and the customer to guarantee the just in time<br />

delivery of the requested goods. The goods placed in this stock are still under the ownership<br />

of the supplier. This case is known as an third party warehouse.<br />

The second possibility is known as a customer consignment warehouse, managed by the<br />

customer. In fact this is a place reserved in the customers’ warehouse where the supplier<br />

can deliver a certain amount of goods. The goods placed in this stock are still under the<br />

ownership of the supplier. Once the customer needs the goods for his own production, he<br />

will take the goods out of the consignment stock and he should inform the supplier.<br />

In both cases the supplier of the goods is informed by a <strong>Inventory</strong> report message about the<br />

received goods (incoming goods) and the goods delivered to the customer or taken into<br />

production. The <strong>Inventory</strong> message might also be used for reporting on the goods in the<br />

warehouse for bookkeeping reasons (stock balance).<br />

When a warehouse is used for strategic reason, the information exchange between the three<br />

parties is a function of the party managing or controlling the warehouse for incoming goods<br />

from the supplier or for outgoing goods to the customer. The following situations apply :<br />

- the incoming and outgoing process is completely managed by the supplier,<br />

- the incoming process is controlled by the supplier, but the outgoing process is managed<br />

by the customer directly with the warehouse.<br />

For this type of warehouse the <strong>Inventory</strong> message can be used for<br />

- reporting of received goods (normally Receiving advice)<br />

- reporting of delivered goods to customer (can also be covered by Despatch advice)<br />

- reporting about the goods in the warehouse (stock balance).<br />

The business function covered by the message<br />

This message, sent by the warehouse manager to the stock controller, is intended to advise<br />

the stock controller about stock movements and stock balances within the warehouse so that<br />

the stock controller is able to control the stock.<br />

For instance, it allows the recipient through his own information system :<br />

- to observe all arrivals into and all departures from the stock,<br />

- to adjust the stock when inventory discrepancies occur,<br />

- to have daily, interim and inventory balances of a particular stock.<br />

- to inform about a status change of the stock (goods are OK, inspection is not OK, goods<br />

taken back by supplier)<br />

1.1. The business scenario for a third party warehouse<br />

When a third party warehouse is used between the supplier and the customer there is a<br />

contract between the warehouse and the supplier, customer to guarantee<br />

- that the goods are delivered in time by the supplier to the warehouse based on the<br />

delivery instructions,<br />

- once the goods are received the warehouse informs the customer about the received<br />

goods,<br />

- that the goods are delivered by the warehouse to the customer on his request (just in<br />

time).<br />

This scenario is used by the German automotive manufacturers.<br />

To achieve this scenario there is a need to have an information exchange between the three<br />

parties involved.<br />

1.2. The business scenario for a customer consignment warehouse<br />

When a customer consignment warehouse is used between the supplier and the customer,<br />

the supplier has to guarantee that the goods are delivered in time to the consignment<br />

warehouse based on the delivery instructions of the customer. The customer has the<br />

obligation to inform the supplier about the goods received and the goods taken into<br />

production.<br />

The consignment warehouses are used by the French automotive manufacturers.<br />

To realise this scenario there is a need to have an information exchange between the two<br />

parties involved.<br />

instructions from the supplier for the delivery to the customer,<br />

- that the goods are available for pick-up by a carrier as requested by the supplier, or<br />

delivered by the warehouse to the customer.<br />

To achieve this scenario there is a need to have an information exchange between the parties<br />

1.5. The use of the <strong>INVRPT</strong> message versus the RECADV, DESADV messages<br />

As shown in the different business scenario’s it is possible to inform another party about the<br />

goods received at the warehouse or despatched from the warehouse by an <strong>INVRPT</strong><br />

messages or by a RECADV or a DESADV message. To understand when an <strong>INVRPT</strong><br />

message or a RECADV , DESADV message can be used, following clarification is provided<br />

by <strong>Eurofer</strong>.<br />

1.5.1. To report on the incoming goods in the warehouse<br />

RECADV message <strong>INVRPT</strong> message<br />

a. If a DESADV message is implemented<br />

- the message is used to report on<br />

discrepancies (missing goods, not<br />

announced goods, damaged goods).<br />

- the message also allows the reporting of<br />

transport information.<br />

- there is a one to one relation with the<br />

DESADV message.<br />

receiver of the goods (consignee) and the<br />

sender of the goods (consignor).<br />

2. DATA MODEL<br />

2.1 Data Model Format<br />

The data model has been created to make it possible for potential users to understand the<br />

<strong>Eurofer</strong> subset of the <strong>Inventory</strong> report message. This data model gives the following<br />

information :<br />

- contents of the information (data elements) that can occur in the message,<br />

- relationships between the different data elements,<br />

- grouping of the data elements within the data entities,<br />

- and the relationship between data entities.<br />

To simplify the understanding of the data model, the model is defined at a summary level,<br />

specifying when necessary a group of data elements instead of each data element.<br />

The data model consists of data entities, the relationships between those data entities and the<br />

attributes (data elements) in each data entity.<br />

An entity specifies an object against which information is held; it has a name, a description<br />

and attributes.<br />

An attribute describes a unique characteristic (information which can appear on the<br />

inventory report); it has a name, a description and a value.<br />

The relationships of the data entities within the data model are reflected in the structure of<br />

the diagram in chapter 2.2.<br />

2.2 Data Model Diagram<br />

For steel products the inventory report can be given in two different ways. The first<br />

possibility is to report on the inventory report item level (order item level) and if necessary<br />

with the detail information at package level and product unit (e.g. coil). The other way is<br />

that the report is only at the product unit level, with the possibility to refer to the order or<br />

order item.<br />

Due to these two different approaches in use in the steel industry the data model has been<br />

presented in two different ways.<br />

With this data model it is possible to report in the <strong>INVRPT</strong> message at the level of the<br />

product unit by using an article number, part number, order item number or an article<br />

description.<br />

For each article it is possible to report on quantity of the stock movement or the stock<br />

balance. If necessary detail information can be provided at the package level and by<br />

specifying the individual product units, within the packages or immediately at the product<br />

unit level.<br />

In these diagrams, the rectangles represent data entities and the ovals show us the<br />

relationship between two data entities. How often a relationship can exist between two<br />

data entities is given in both directions and is specified as 0, 1, N.<br />

- 0 means that there is no relationship between the entities.<br />

- 1 means that there is one and only one relationship between the entities.<br />

- N means that there are many relationships between the entities.<br />

- 0,1 means that there can be no or one relationship between the entities.<br />

2.3. Data Model Entities<br />

Because the data entity <strong>Message</strong> / Document is not really basic information in this message<br />

and can be referenced at different levels, it has been put outside the data model and is treated<br />

as a related data entity. This has been done to simplify and not to overload the data model,<br />

so that the data model is easier to understand.<br />

The entities are regrouped in two groups. The first group includes all the basic data entities<br />

and the second the related data entities.<br />

INVENTORY This entity contains the general information about an inventory<br />

covered in the inventory report.<br />

- dimension, description, additional identification, quality.<br />

ORDER An inventory item or product unit can be related to an order, order<br />

INFORMATION item or to an order item-delivery schedule detail. The entity contains<br />

the information about the goods ordered under the conditions agreed<br />

between the buyer and the seller.<br />

STOCK This entity identifies physical or logical movement of goods between<br />

MOVEMENT two parties at a certain date and time and for a given reason.<br />

STOCK This entity specifies the existing quantity of an article (or product<br />

BALANCE unit) of a specified nature of stock, at a certain date and time,<br />

obtained according to an identified balancing method.<br />

COMPANY This entity identifies the parties with associated information, such as<br />

name and address, contact details and communication types and<br />

numbers.<br />

This can be the buyer, seller, consignor, consignee, manufacturer, etc.<br />

PACKAGE This entity gives the packaging identification and hierarchy, type<br />

of package and the weight of the package containing one or more<br />

product units.<br />

PRODUCT This entity contains the information about a product, such as<br />

UNIT material number, serial number or unique identifier.<br />

MESSAGE & This entity contains all the references to another message or<br />

DOCUMENT document. For example export licence, import licence,<br />

despatch advice.<br />

3. SCOPE<br />

3.1. Functional Definition<br />

This message is used in the steel industry to provide information related to held inventories<br />

of goods in warehouses. The inventory message is intended to be used in either direction<br />

between the warehouse manager and the stock controller (consignor or final consignee).<br />

3.2. Field of Application<br />

This message provides the definition of the <strong>Eurofer</strong> inventory report message to be used in<br />

Electronic Data Interchange between trading partners.<br />

3.3. Principles<br />

The exchanged information will relate to inventories of raw materials, semi-finished<br />

materials, manufactured articles, or other stockable items, and can be exchanged between<br />

manufacturer and warehouse manager, or manufacturer and consignment holder, etc …<br />

The message includes functionality to differentiate classes of inventory.<br />

The specified quantities relating to a product can indicate opening stock, closing stock, and<br />

goods movement (receipts or withdrawals) of held inventory, for a given time frame.<br />

The specified quantities can relate directly to a product or package, and may be sub-detailed<br />

within different groups or classes, e.g. batch, age, location, etc …<br />

For every specified quantity it is possible to indicate the relative package identifications of<br />

the physical units involved and the product units.<br />

3.4. <strong>Message</strong> Usage<br />

This message is intended to advise the stock controller about the stock movements and stock<br />

balances within the warehouse so that the stock controller is able to have control over the<br />

stock. For instance, it allows the recipient through its own information system :<br />

- to follow all arrivals and all departures from the stock (warehouse),<br />

- to adjust the stock when inventory discrepancies occur,<br />

- to have daily, interim and inventory balance of a particular stock.<br />

The stock controller may either be the consignor (seller), the final consignee (buyer) or a<br />

third party.<br />

4. MESSAGE DEFINITION<br />

4.1 <strong>Message</strong> Structure<br />

The <strong>Inventory</strong> report message of UN/EDIFACT is structured in two sections, a Heading<br />

Section and a Detail Section.<br />

4.1.1. <strong>Message</strong> structure - Heading section<br />

The heading section is used to give the general information relating to the whole message.<br />

Examples of this kind of information are the references to the initial contract, despatch<br />

advice number, or information about the sender and the receiver of the message.<br />

The heading section can also be used to give information which is common for each line in<br />

the detail section. Examples of this kind of information are the parties involved such as<br />

buyer, consignee.<br />

4.1.2. <strong>Message</strong> structure - Detail section<br />

The detail section is controlled by two segment groups. The segment group 6 (with trigger<br />

segment CPS) provides details of all package levels of the inventory report.<br />

This segment group provides the capability to give the hierarchical relationship. The group<br />

defines a top-down packing structure.<br />

The other segment group (group 9 with trigger segment LIN) provides details on each<br />

inventory item regarding the stock movements and stock balances.<br />

In the segment LIN the item is identified by its number, and supplementary product<br />

identifications can be given in the segment PIA. For each item it is possible to give the<br />

physical measurements, product description, quantities and the identity number of the<br />

product units by using the segments MEA, IMD, QTY and GIN below the segment LIN.<br />

The depending segment group 11 (with trigger segment INV) provides information about all<br />

inventory management and optionally package details and references.<br />

4.4 General Description of the <strong>Message</strong> - subset of <strong>Eurofer</strong><br />

4.4.1 <strong>Message</strong> definition and segment clarification<br />

This section is provided to give clarification and further explanation to the usage of the<br />

segments within the message defined by <strong>Eurofer</strong>. The message consists of two sections, a<br />

heading section and a detail section.<br />

The heading section is representing the corresponding references and the parties involved.<br />

Some detail information which applies or relates to all the line items of the detail section can<br />

also be given in the heading section.<br />

This section should be read in conjunction with the segment usage and the branching<br />

diagram (chapter 3.3.) which indicates the required (R) and optional (O) segments and<br />

segment groups.<br />

The following guidelines and principles apply to the whole message of <strong>Eurofer</strong> and are<br />

intended to facilitate the understanding and the implementation of the message.<br />

All the specified data/times (segment DTM) should be in the format 'CCYYMMDD'/'hhmm'<br />

unless all parties involved in the transaction agree that there is a functional requirement for<br />

an alternative format.<br />

Periods should be specified as whole numbers representing the required period as indicated<br />

in the format qualifier (weeks, month, etc)<br />

Where a choice of code or text is given, only the code element should be used if possible.<br />

Optional (conditional) data that are not required in the message should not be included.<br />

Care must be taken that the segment qualifier in dependent segments do not conflict with the<br />

segment qualifier of the trigger segment of the group.<br />

A service segment starting and uniquely identifying a message. The message type code<br />

for the <strong>Inventory</strong> report message is <strong>INVRPT</strong>.<br />

A segment enabling the specification of coded information or free text information<br />

relevant to the whole message. In computer to computer exchange such text will<br />

normally require the receiver to process this segment manually.<br />

<strong>Eurofer</strong> recommends not to use this segment.<br />

Segment DTM, Date/time/period<br />

Date/time/period related to the whole message. The segment must be specified at least<br />

once to identify the date at which the inventory report was issued.<br />

Segment group 1: RFF-DTM<br />

A group of segments giving references and where necessary, their dates relating to the<br />

whole message, e.g., a contract, despatch advice number, etc.<br />

<strong>Eurofer</strong> has decided not to use the segment group 3 for giving references related to the<br />

party specified in the NAD segment.<br />

Segment NAD, Name and address<br />

A segment for identifying names and addresses and their functions relevant for the<br />

whole <strong>Inventory</strong> <strong>Report</strong>. It is recommended that where possible only the coded form of<br />

the party ID should be specified.<br />

Segment LOC, Place/location identification<br />

A segment giving more specific location information in addition to the address specified<br />

in the NAD segment.<br />

Segment group 4: CTA-COM<br />

A group of segments to identify person, function, department, and where appropriate<br />

numbers to which the communications should be directed.<br />

Segment CTA, Contact information<br />

A segment to identify person, function, department, to whom communications should be<br />

directed.<br />

Segment COM, Communication contact<br />

Identifying communication types and numbers for the entities specified in CTA, e.g.,<br />

FAX, TELEX, telephone, etc.<br />

Segment group 5: CUX-DTM<br />

A group of segments to indicate currencies used for financial evaluation.<br />

<strong>Eurofer</strong> has decided to use only the segment CUX of this group.<br />

A segment identifying a specific line item in the inventory report. All other segments in<br />

the detail section refer to the line item.<br />

<strong>Eurofer</strong>. The message consists of two sections, a heading section and a detail section.<br />

The section 4.5.2. describes each segment used in the heading section of the <strong>Eurofer</strong><br />

<strong>Inventory</strong> report message. The section 4.5.3. describes each segment used in the detail<br />

section of the <strong>Eurofer</strong> <strong>Inventory</strong> report message.<br />

The original EDIFACT segment layout is listed. The appropriate comments relevant to the<br />
