Below are instructions <strong>for</strong> applying <strong>for</strong> <strong>internship</strong>. The <strong>application</strong> must be made in a specific<br />

<strong>application</strong> <strong>for</strong>m that can be downloaded from the SMC website.<br />

The instructions are built around a number of headings that are also found in the <strong>application</strong><br />

<strong>for</strong>m. Under each heading there are a number of questions that must be answered in the<br />

<strong>application</strong>.<br />

1. Organizations<br />

Member organizations<br />

Describe why it is important <strong>for</strong> your organization to offer <strong>internship</strong> placements.<br />

Describe in which way the intern/interns can generate interest and commitment <strong>for</strong> development<br />

cooperation and strengthen the Swedish resource base.<br />

What human resources does the member organization have to manage an <strong>internship</strong> programme?<br />

Who is responsible <strong>for</strong> the different parts of the <strong>internship</strong>?<br />

Describe how your organization has assessed the capacity of the partner organization to host an<br />

intern.<br />

Partner organization<br />

Do partner organizations in the South have previous experience of <strong>internship</strong> activities? If they<br />

have, how has the cooperation worked?<br />

How is the collaborative relationship, besides <strong>internship</strong> activities, between the Swedish<br />

organization and the partner organization?<br />

Why does the partner organization want to receive interns?<br />

Responsibility and roles<br />

Who will be the supervisor <strong>for</strong> the interns during the <strong>internship</strong>? (Name, function/role and any<br />

previous experience of supervising interns.) If there are several supervisors/managers within the<br />

same partner organization, what is the division of responsibility between them?<br />

What is the division of responsibilities between the organizations regarding security issues?


2. Expected results<br />

The <strong>internship</strong> programme is based on SMC’s three activity goals (see matrix). The applicant<br />

organization should, using the attached matrix, fill in the expected results from activities,<br />

indicators and verifications.<br />

Expected results should also be included in the <strong>application</strong> <strong>for</strong>m as well as the member<br />

organization’s own objectives <strong>for</strong> the <strong>internship</strong>, if any.<br />

3. Time schedule<br />

Describe a preliminary time schedule <strong>for</strong> the organization’s interns regarding selection,<br />

preparation, <strong>internship</strong> in the visiting country and follow-up work.<br />

4. Selection<br />

Describe the organization’s selection process/recruitment of interns?<br />

Describe how the organization’s partners participate in the selection process, e.g. through priority<br />

criteria and dialogue.<br />

5. Preparation<br />

How does the organization prepare interns <strong>for</strong> the <strong>internship</strong> and eventual in<strong>for</strong>mation activities?<br />

6. Content<br />

What duties will the interns have during their <strong>internship</strong>? How has the partner organization<br />

influenced the placement of the intern?<br />

How are the interns given the opportunity to gain different perspectives of the development<br />

cooperation work through the <strong>internship</strong>?<br />

Describe how the organization assesses whether the <strong>internship</strong> and the activities of the<br />

organization are based on a rights-based approach?<br />

7. In<strong>for</strong>mation activities<br />

If in<strong>for</strong>mation activities are included in the <strong>internship</strong> programme, describe in which way the<br />

interns will be involved in the in<strong>for</strong>mation activities. How has the organization in Sweden and in<br />

the partner countries participated and influenced the message and design of the in<strong>for</strong>mation<br />

work?<br />

8. Implementation and follow-up<br />

How does the member organization and partner organization follow-up the intern placement<br />

during the <strong>internship</strong> period?<br />

How will the organization follow-up the intern’s experience after returning home? How does the<br />

organization make use of the intern’s experience during and after the <strong>internship</strong>?<br />

What is the preparedness of the organization towards interns who may require psychosocial<br />

support during the <strong>internship</strong> and/or support after returning home?<br />

9. Lessons learned and evaluation<br />

How are lessons learned from member organizations, partner organizations and <strong>internship</strong>s<br />

documented?<br />

How does the organization plan to make use of these lessons learned?<br />

How does the organization plan to evaluate the <strong>internship</strong> activities? When will this happen?<br />

10. Risk assessment and security planning<br />

What are the risks that the programme cannot be implemented as planned? How does the<br />

organization plan to manage this?<br />

What are the security plans <strong>for</strong> the <strong>internship</strong>s? How, when and who is responsible <strong>for</strong> the safety<br />

briefings with the interns? Instead of answering the questions above, the organization can refer to<br />

the security plan submitted with the <strong>application</strong>.<br />

11. Budget<br />

The budget should be in Swedish currency (SEK).<br />

The following in<strong>for</strong>mation should be included in the budget:<br />

Revenue:<br />

Internship grants that are applied <strong>for</strong> from the International Programme Office/SMC<br />

Any other funding or other contributions.<br />

Own contribution by Swedish organization.<br />

Costs:<br />

Costs <strong>for</strong> the main activities (travel, insurance, per diem, housing etc.)<br />

Costs <strong>for</strong> administration in Sweden.<br />

Costs <strong>for</strong> partner organization’s administration.<br />

12. Attachments<br />

The following attachments are obligatory:<br />

Security plan.<br />

Letters of invitation from all partner organizations involved in the programme <strong>for</strong> the year of<br />

<strong>application</strong> is required.<br />

Matrix <strong>for</strong> the description of objectives and expected results.<br />
