Immunization Training Page Updated with CDC’s You Call the Shots<br />

We’ve added links to CDC’s You Call the Shots trainings on our Immunization Training page. Please direct<br />

providers to this page to complete their required annual trainings. We will update this page as new<br />

Today’s update includes the shipping file <strong>for</strong> the week of 9/16/13, in<strong>for</strong>mation on a shipping delay, an<br />

update on the <strong>Vaccine</strong> Storage and Handling Grant, and deployment in<strong>for</strong>mation <strong>for</strong> online inventory<br />

reporting.<br />

General <strong>Vaccine</strong> Update:<br />

<strong>Vaccine</strong> Shipment Delays<br />

Some orders that were shipped from McKesson and scheduled <strong>for</strong> delivery on Friday, <strong>September</strong> 6 th ,<br />

were returned to McKesson due to carrier delays. A large number of orders were impacted across the<br />

nation. McKesson has reshipped most of these orders and all remaining orders are expected to ship<br />

early next week. We’ve attached a list of the affected orders. If any of the providers on the list has not<br />

received their reshipment and is running low on vaccine, they may submit another order outside of their<br />

ordering schedule. Be sure the provider has adequate space to store both vaccine shipments.<br />

The recent flooding in Colorado has not caused any delays in vaccine shipments. All current vaccine<br />

orders are shipping within schedule. Orders shipped by McKesson are filled within 5 business days and<br />

frozen vaccine orders shipped by Merck are filled within 14 business days. Please let us know<br />

immediately if you are experiencing any delays beyond these timeframes.<br />

<strong>Vaccine</strong> Storage and Handling Grant<br />

Local Health Jurisdictions (LHJs) participating in the provider pilot need to send their provider<br />

recruitment list in to Phillip Wiltzius (phillip.wiltzius@doh.wa.gov) by <strong>September</strong> 30, <strong>2013</strong>.<br />

As requested, we have organized a couple of data logger training webinars in October with Steve Wick<br />

from Control Solutions. We are currently looking at the week of October 13, <strong>2013</strong>, and will send out<br />

invites once we have dates and times finalized.<br />

We will also provide supplemental materials <strong>for</strong> these data loggers sometime in October.<br />

IIS Enhancement Project-Online Inventory Reporting<br />

We’re getting closer! The IIS is equipped to accept online inventory reports. We’ve provided several<br />

training opportunities to help LHJs learn more about online inventory reporting. We are very close to<br />

starting our pilot <strong>for</strong> online inventory reporting. In August, we asked each LHJ when they wanted to<br />

have their providers start reporting inventory online. We accommodated those who voted and<br />

scheduled the remaining LHJs based the number of provider sites in their area. LHJs are welcomed to<br />

have providers that currently manage their inventory in the system begin reporting online as soon as we<br />

start using the feature. We’ve attached a map showing when each LHJ is scheduled to begin, the<br />

deployment schedule, and a guide <strong>for</strong> how we will manage the process.<br />

As we begin this process, it’s important to remember that the inventory report is a snap shot in time of<br />

a provider’s inventory. Online inventory reporting only changes the way providers report – moving

them from a paper based system to an online system. If you have any questions please contact<br />

Storage and Handling Grant activities, a reminder about the IIS Enhancement Grant reports due<br />

in October, and an update about online inventory reporting.<br />

October Online Provider Agreements:<br />

Providers in Garfield, Chelan Douglas and Okanogan counties will renew their Provider<br />

Agreement <strong>for</strong> the Receipt of Publicly Supplied <strong>Vaccine</strong> online in October. We appreciate your<br />

help as we work closely with providers on the new online processes. If you have questions<br />

regarding online enrollment please contact Wendy Bowman (wendy.bowman@doh.wa.gov or<br />

360-236-3514) or Karen Meranda (karen.meranda@doh.wa.gov or 360-236-3553).<br />

<strong>Vaccine</strong> Storage and Handling Grant:<br />

Local Health Jurisdictions (LHJs) should have their sites selected <strong>for</strong> the provider pilot. The<br />

provider list report is due on Monday, <strong>September</strong> 30, <strong>2013</strong>. Please email your report and any<br />

questions to Phillip Wiltzius at phillip.wiltzius@doh.wa.gov or call 360.236.3603.<br />

Data logger training with Control Solutions will take place on October 14 and October 15. Each<br />

session will give an overview of both the TRED 30-7 and the VFC 5000-TC data loggers. Pilot<br />

sites are also welcome to attend.<br />

IIS Enhancement Project:<br />

IIS vaccine <strong>Management</strong> Report<br />

This is a reminder that your second IIS <strong>Vaccine</strong> <strong>Management</strong> Project Report is due October 15,<br />

<strong>2013</strong>. We are including a copy of the updated report below. Please make sure to submit the<br />

report with a modification date of August <strong>2013</strong>.<br />

Online Inventory Reporting<br />

We noticed that 19 of the 35 LHJs have at least one provider who submitted an inventory<br />

report online in the IIS in August or <strong>September</strong>. We are excited about this progress, even<br />

though we have not officially implemented online reporting. We do not recommend asking the<br />

providers to stop. However, we want to make LHJs aware of which providers are reporting, and

to make sure providers know how to submit their data correctly. Mariama will be contacting<br />

these LHJs individually to discuss follow-up steps. All providers must continue to submit the<br />
