Introduction<br />
The <strong>University</strong> is pleased to invite<br />
you to attend the <strong>Graduation</strong><br />
Ceremonies for <strong>2013</strong>. We wish all<br />
<strong>of</strong> our graduands and their guests<br />
a happy and enjoyable day. For this<br />
purpose, we provide you with this<br />
booklet which contains important<br />
information for those who are<br />
expecting to attend.<br />
Each year more than 5,000 graduands<br />
attend the ceremonies and in order to ensure<br />
the success <strong>of</strong> your graduation day, there are<br />
some important processes and deadlines<br />
that you need to be aware <strong>of</strong> and meet.<br />

What you need to do now<br />
• Review the schedule on pages 6–7 to find what day and time your school/department is<br />
scheduled to graduate.<br />
• Complete the online booking form* at www.port.ac.uk/graduation.<br />
• Pay for any additional guest tickets (see page 8).<br />
• Book your academic dress – this is compulsory (see page 20).<br />
• Book your ticket to the Students’ Union <strong>Graduation</strong> Ball (see page 15).<br />
• Pre-book your appointment time for any photographs you would like taken on the day<br />
(see page 9).<br />
• For international guests, fill in the visa request letter form at www.port.ac.uk/graduation.<br />
*Please do not wait until you receive your results to complete the booking form.<br />

Information about the ceremonies<br />
Eligibility to attend graduation<br />
You will be eligible to attend graduation in<br />
July if you meet all <strong>of</strong> the following criteria:<br />
• You have successfully completed the<br />
award for which you are registered.<br />
• You have no outstanding financial debts<br />
to the <strong>University</strong>. Any debts should be<br />
settled no later than Friday 31 May <strong>2013</strong>.<br />
• You have completed the online booking<br />
form*.<br />
• You have returned all library books<br />
and cleared any library debts by Friday<br />
31 May <strong>2013</strong>.<br />
*The booking form must be received<br />
by Academic Registry on or before<br />
Wednesday 8 May <strong>2013</strong>. Due to the<br />
detailed planning and preparation that<br />
goes into each ceremony, the <strong>University</strong><br />
cannot accept late applications.<br />
Location <strong>of</strong> the ceremonies<br />
<strong>Graduation</strong> ceremonies are held in<br />
<strong>Portsmouth</strong> Guildhall, PO1 2AB. Please see<br />
our schedule on pages 6–7 to find out when<br />
your ceremony will take place.<br />
Tickets<br />
Allocation<br />
The <strong>University</strong> normally guarantees two<br />
guest tickets for every applicant and will fulfil<br />
additional ticket requests where possible.<br />
Graduands may initially request up to a<br />
maximum <strong>of</strong> four guest tickets – this includes<br />
any tickets for children.<br />
Cost and payment<br />
Tickets for the graduand and the first two<br />
guests are free <strong>of</strong> charge, and tickets for<br />
additional guests will be charged at £15 each.<br />
Children 15 years and under can attend free<br />
<strong>of</strong> charge, but will make up part <strong>of</strong> the four<br />
tickets you can initially request. Tickets can<br />
be purchased using the online store at<br />
www.onlinestore.port.ac.uk, in person<br />
at the Finance counter in <strong>University</strong> House<br />
(cash/card/cheque) or by cheque, made<br />
payable to The <strong>University</strong> <strong>of</strong> <strong>Portsmouth</strong>.<br />
Cheques can be sent to the address on<br />
page 4. Tickets need to be paid for when you<br />
book them. Any unpaid tickets are reallocated<br />
to other graduands who request them.<br />
Additional tickets<br />
Once the initial ticketing process has been<br />
carried out, any remaining tickets are made<br />
available from Monday 10 June <strong>2013</strong> via the<br />
online store at www.onlinestore.port.ac.uk.<br />
This will be on a first-come, first-served<br />
basis.<br />
Please be aware that if you buy additional<br />
tickets, seats will not normally be<br />
together with seats allocated in the<br />
first round <strong>of</strong> ticketing.<br />

Ticket collection<br />
Graduand and guest tickets are collected<br />
on the day from Spinnaker Sports Centre.<br />
Refunds<br />
Please note that refunds for the cost<br />
<strong>of</strong> tickets are only given in the event <strong>of</strong><br />
academic failure or where extenuating<br />
circumstances exist. All requests for refunds<br />
need to be sent in writing to the Assistant<br />
Registrar (<strong>Graduation</strong>) within 30 days <strong>of</strong> the<br />
ceremony.<br />
Special needs<br />
For guests with special needs, graduands<br />
will need to note these in detail on the online<br />
booking form. These details will be treated<br />
confidentially and sensitively. The <strong>University</strong><br />
strives to accommodate any special needs.<br />
<strong>Portsmouth</strong> Guildhall does have a lift to all<br />
floors, as well as a hearing loop in the main<br />
auditorium. Please contact the <strong>Graduation</strong><br />
Office if you have any questions.<br />
Academic dress<br />
All graduands are required to wear the correct<br />
academic dress for their award. This can<br />
be hired or purchased from our gown hire<br />
partner, J. Wippell & Company Ltd. Please<br />
see page 20 for more details. You need to<br />
place your order by 30 June <strong>2013</strong>. You can<br />
see an example <strong>of</strong> the <strong>University</strong>’s gowns and<br />
hoods at www.port.ac.uk/graduation.<br />
Academic dress can be collected from<br />
Spinnaker Sports Centre before the start<br />
<strong>of</strong> ceremonies. Please see the schedule<br />
on page 10 to find out what time you can<br />
collect your academic dress.<br />
<strong>Graduation</strong> is a formal academic occasion<br />
and graduands will be expected to dress<br />
smartly and in accordance with the formality<br />
<strong>of</strong> the occasion. Where appropriate, military<br />
or emergency services uniform, or national<br />
dress can be worn with academic dress.<br />
Please note that the <strong>University</strong> reserves<br />
the right to prevent graduands from<br />
participating in the ceremony if they are<br />
unsuitably dressed.<br />
Photographs<br />
Success Photography encourages prebooking<br />
<strong>of</strong> photography sessions. This<br />
will ensure you can be photographed<br />
before your ceremony. Graduands who<br />
do not book in advance may experience<br />
queuing. You can pre-book at the<br />
Success Photography website at<br />
www.successphotography.com. See<br />
also pages 21–22 for information on<br />

Guidance for the day<br />
Please allow time for getting into the<br />
city. <strong>Graduation</strong> is a busy time and<br />
all forms <strong>of</strong> transport are affected.<br />
All graduands must book in at Spinnaker<br />
Sports Centre when they arrive.<br />
Graduands need to arrive at least an hour<br />
and a half before the ceremony begins to<br />
allow time for booking in, collecting gowns<br />
and the taking <strong>of</strong> photographs.<br />
Booking in enables you to collect your ticket<br />

Some disabled parking is available near<br />
<strong>Portsmouth</strong> Guildhall, but it fills up quite<br />
quickly. For alternative parking locations,<br />
please visit www.ncp.co.uk.<br />
Guest tickets<br />
Graduands will collect all tickets on the day<br />
<strong>of</strong> the ceremony.<br />
Seating<br />
Once inside <strong>Portsmouth</strong> Guildhall,<br />
graduands are seated together in<br />
alphabetical order by course, whilst guests<br />
are seated separately.<br />
All graduands and guests must be in their<br />
seats no later than 15 minutes before<br />
the ceremony is scheduled to begin. The<br />
<strong>University</strong> reserves the right to refuse<br />
admission to those who are not able to be<br />
seated in time for the ceremony to proceed.<br />
The booking-in service closes 30 minutes<br />
before the ceremony begins.<br />
Academic dress should be returned to<br />
Squash Court 1 in the Nuffield Centre<br />
no later than 6.00pm on the day <strong>of</strong> your<br />
ceremony. This includes your gown, hood<br />
and hat. A charge will be made for any<br />
unreturned items.<br />

Order <strong>of</strong> proceedings<br />
All guests receive a copy <strong>of</strong> the <strong>Graduation</strong><br />
Programme. This programme lists the names<br />
<strong>of</strong> all graduands for the ceremony and details<br />
<strong>of</strong> the order <strong>of</strong> proceedings. An example can<br />
be seen at www.port.ac.uk/graduation.<br />
Ceremonies last approximately an hour to an<br />
hour and a half.<br />
Once graduands and guests are seated, the<br />
<strong>University</strong> procession enters and makes its<br />
way up on to the stage. A congratulatory<br />
speech is made and, if there is an honorary<br />
graduate, they will be presented. The<br />
honorary graduate will make a short<br />
response after they have accepted their<br />
award from the Chancellor.<br />
Parchments<br />
The majority <strong>of</strong> parchments will be issued<br />
as soon as possible after ceremonies.<br />
Parchments are posted by recorded delivery<br />
to graduates’ mailing/correspondence<br />
addresses held on the student record<br />
system. Please update your mailing/<br />
correspondence address before the end<br />
<strong>of</strong> term.<br />
If you have not received your parchment<br />
by the end <strong>of</strong> August, please email<br />
parchments@port.ac.uk.<br />
The main body <strong>of</strong> the ceremony involves the<br />
reading <strong>of</strong> the graduands’ names as they<br />
are received and congratulated on the stage<br />
by the Chancellor, Vice-Chancellor, Deputy<br />
Vice-Chancellor or Pro Vice-Chancellor.<br />
The ceremony closes with a speech from the<br />
Chancellor.<br />

Frequently asked questions<br />
• Is it possible to graduate on a different<br />
day to my department?<br />
<br />
No. Graduands must graduate with their<br />
cohort on the given day and time.<br />
• If I do not wish to attend this year,<br />
will I be re-invited?<br />
<br />
No, unless you are unable to attend on<br />
academic grounds.<br />
• What happens if I have referrals or<br />
deferrals?<br />
If you have 300 credits with at least<br />
60 credits at Level 3, you are eligible<br />
to attend. Any students with credits<br />
below 300 will need to complete<br />
referrals/deferrals, and upon successful<br />
completion <strong>of</strong> those credits, will be<br />
invited to attend graduation next year.<br />
Postgraduate students should consult<br />
their schools/departments about<br />
their credits and eligibility to attend<br />
graduation.<br />
• Are ordinary degrees announced on<br />
stage?<br />
<br />
No distinction is made between the<br />
degree classifications, except for Firsts<br />
and Distinctions.<br />
• What do I do if I am awarded an<br />
ordinary degree, but wish to complete<br />
my course? Do I still attend?<br />
<br />
Yes, you may still attend. If you wish<br />
to complete the honours award, you<br />
will need to contact your school or<br />
department to confirm this decision.<br />
• Will I be eligible for a ticket refund if I<br />
fail?<br />
<br />
Yes. Both the <strong>University</strong> and all its<br />
graduation service providers will <strong>of</strong>fer<br />
a full refund in the event <strong>of</strong> academic<br />
failure. This must be applied for within the<br />
30-day period after graduation finishes.<br />
Please note, however, that the <strong>University</strong><br />
<strong>of</strong> <strong>Portsmouth</strong> Students’ Union (UPSU)<br />
will not <strong>of</strong>fer refunds for ball tickets under<br />
any circumstances.<br />
• Can I still have my photograph taken if<br />
I failed?<br />
No. Only graduands who successfully<br />
complete their award are able to collect<br />
gowns.<br />
• Who should I contact with any other<br />
queries?<br />

International graduands<br />
Visa request letters<br />
If any <strong>of</strong> your guests require a letter to support<br />
a visa application, you should contact the<br />
<strong>Graduation</strong> Office via the form on the website<br />
at www.port.ac.uk/graduationvisaletters,<br />
detailing the full names <strong>of</strong> your guests, their<br />
relationship to you, e.g. father, sister etc, and<br />
the email address to which you would like the<br />
letter sent.<br />
Please note that we can only provide<br />
letters for guests you have purchased<br />
tickets for (one per guest).<br />
Please allow plenty <strong>of</strong> time for us to process<br />
your request.<br />
Before making travel plans<br />
Ensure you have:<br />
• checked that the <strong>Graduation</strong> Office has<br />
received your booking – you can check<br />
this via www.port.ac.uk/graduationchk<br />
from Monday 15 April <strong>2013</strong>.<br />
• sufficient credits to pass your award.<br />

Data protection<br />
The graduation ceremonies <strong>of</strong> the <strong>University</strong><br />
<strong>of</strong> <strong>Portsmouth</strong> are regarded as public events.<br />
This means that the names <strong>of</strong> graduands<br />
are published in the graduation programme,<br />
and audio-visual images <strong>of</strong> the ceremony<br />
are publicly available, e.g. through free<br />
downloads <strong>of</strong> ceremonies for students<br />
through the Success Photography website.<br />
Additionally, the names <strong>of</strong> graduands may be<br />
provided to external companies for display<br />
on graduation products, e.g. graduation<br />
t-shirts and the local <strong>Portsmouth</strong> newspaper.<br />
If you object to the publication <strong>of</strong> your<br />
personal data as described, you must, on<br />
the grounds that this use <strong>of</strong> data may cause<br />
you damage or distress, inform the Assistant<br />
Registrar (<strong>Graduation</strong>) <strong>of</strong> your objection. This<br />
must be done in writing by Friday 31 May<br />
<strong>2013</strong> at the latest.<br />
• cleared any financial debts to the<br />
<strong>University</strong> by Friday 31 May <strong>2013</strong> or you<br />
will not be able to attend your ceremony.<br />

<strong>Graduation</strong> accommodation<br />
The <strong>University</strong> <strong>of</strong>fers all graduands/<br />
graduates and their families the<br />
opportunity to stay in its quality<br />
accommodation during graduation<br />
week. There are two types <strong>of</strong><br />
available accommodation.<br />
Rees Hall<br />
Rees Hall is located just 250 metres from<br />
Southsea seafront, overlooking Southsea<br />
Common and the Solent. During the summer<br />
vacation period Rees Hall is transformed<br />
into award-winning three star guest<br />
accommodation. The hall <strong>of</strong>fers a choice <strong>of</strong><br />
single and double en suite rooms, some with<br />
sea-facing views, on a bed and breakfast<br />
basis. The accommodation also includes tea<br />
and c<strong>of</strong>fee making facilities in each room,<br />
two guest lounges, a courtyard garden and a<br />
licensed bar.<br />
The accommodation is available from a<br />
single night up to two weeks. It is extremely<br />
popular and you are advised to book as early<br />
as possible. The daily room rates are £44.00<br />
(single room) and £64.00 (double room). All<br />
prices include breakfast and VAT.<br />
Burrell House<br />
Located behind Rees Hall is Burrell House.<br />
This accommodation is reserved for<br />
graduands only and comprises a single<br />
standard bedroom on a limited self-catering<br />
basis. In order to keep our rates as low as<br />
possible, we do not provide any linen, towels<br />
or cooking equipment at Burrell House and<br />
you should bring your own supplies.<br />
Accommodation at Burrell House is available<br />
on a weekly basis, running from a Monday to<br />
a Monday. The weekly cost is £89.00.<br />
Rees Hall and Burrell House are a short<br />
ten-minute walk to <strong>Portsmouth</strong> Guildhall. For<br />

mark this momentous occasion than by<br />
celebrating in style at the <strong>Graduation</strong> Ball?<br />
The <strong>of</strong>ficial <strong>Graduation</strong> Ball marks the end <strong>of</strong><br />
your university life and the Students’ Union<br />
is dedicated to bringing you an exclusive,<br />
unforgettable and unimaginable event. It is<br />
your chance to get dressed up and celebrate<br />
in style with everyone you have met during<br />
your time at <strong>Portsmouth</strong>.<br />

Using amazing decor and production, the<br />
Students’ Union will bring to life a magical<br />
and mystical Secret Garden themed ball.<br />
The Students’ Union and a giant marquee<br />
on Gunhouse Green will be transformed<br />
beyond your wildest and weirdest dreams<br />
into an exciting and mystical garden-style<br />
experience. Expect a magical array <strong>of</strong> special<br />
attractions including dodgems, celebrity DJs,<br />
live music, a teapot lounge, a huge threechannel<br />
silent disco, a mystical fairy trail,<br />
shisha garden, fortune tellers and even Alice<br />
in Wonderland Burlesque! Food and drinks<br />
will be available all night long, ensuring you<br />
have the energy to burn the midnight oil. The<br />
party continues into the small hours, allowing<br />
you the perfect time to chat with good<br />
friends and take stock <strong>of</strong> your university<br />
experiences before dancing the night away.<br />
Your Students’ Union promises to make<br />
this a night to remember and hopes you will<br />
come back and visit us. There are a limited<br />
number <strong>of</strong> tickets available, and the event<br />
has sold out every year, so early booking is<br />
advised to avoid disappointment.<br />

especially targeted at graduates. In the past,<br />
every graduate that has responded as soon<br />
as they have received this booklet has been<br />
able to reserve a ticket to the ball. However,<br />
we need to stress that this event does have a<br />
limited capacity and for the past five years this<br />
event has sold out. Therefore, we recommend<br />
you buy your ticket early to guarantee your<br />
attendance, as we will be allocating tickets on<br />
a first-come, first-served basis.<br />
