purpose, we provide you with this 

booklet which contains important 

information for those who are 

expecting to attend. 

Each year more than 5,000 graduands 

attend the ceremonies and in order to ensure 

the success of your graduation day, there are 

some important processes and deadlines 

that you need to be aware of and meet.

• Complete the online booking form* at www.port.ac.uk/graduation. 

• Pay for any additional guest tickets (see page 8). 

• Book your academic dress – this is compulsory (see page 20). 

• Book your ticket to the Students’ Union Graduation Ball (see page 15). 

• Pre-book your appointment time for any photographs you would like taken on the day 

(see page 9).

Information about the ceremonies 

Eligibility to attend graduation 

You will be eligible to attend graduation in 

July if you meet all of the following criteria: 

• You have successfully completed the 

award for which you are registered. 

• You have no outstanding financial debts 

to the University. Any debts should be 

settled no later than Friday 31 May 2013. 

• You have completed the online booking 

form*. 

• You have returned all library books 

and cleared any library debts by Friday 

31 May 2013. 

*The booking form must be received 

by Academic Registry on or before 

Wednesday 8 May 2013. Due to the 

detailed planning and preparation that 

goes into each ceremony, the University 

cannot accept late applications. 

Location of the ceremonies 

Graduation ceremonies are held in 

Portsmouth Guildhall, PO1 2AB. Please see 

our schedule on pages 6–7 to find out when 

your ceremony will take place. 

Tickets 

Allocation 

The University normally guarantees two 

guest tickets for every applicant and will fulfil 

additional ticket requests where possible. 

Graduands may initially request up to a 

maximum of four guest tickets – this includes 

any tickets for children. 

Cost and payment 

Tickets for the graduand and the first two 

guests are free of charge, and tickets for 

additional guests will be charged at £15 each. 

Children 15 years and under can attend free 

of charge, but will make up part of the four 

tickets you can initially request. Tickets can 

be purchased using the online store at 

www.onlinestore.port.ac.uk, in person 

at the Finance counter in University House 

(cash/card/cheque) or by cheque, made 

payable to The University of Portsmouth. 

Cheques can be sent to the address on 

page 4. Tickets need to be paid for when you 

book them. Any unpaid tickets are reallocated 

to other graduands who request them. 

Additional tickets 

Once the initial ticketing process has been 

carried out, any remaining tickets are made 

available from Monday 10 June 2013 via the 

online store at www.onlinestore.port.ac.uk. 

This will be on a first-come, first-served 

basis. 

Please be aware that if you buy additional 

tickets, seats will not normally be 

together with seats allocated in the 

first round of ticketing. 



Ticket collection 

Graduand and guest tickets are collected 

on the day from Spinnaker Sports Centre. 

Refunds 

Please note that refunds for the cost 

of tickets are only given in the event of 

academic failure or where extenuating 

circumstances exist. All requests for refunds 

need to be sent in writing to the Assistant 

Registrar (Graduation) within 30 days of the 

ceremony. 

Special needs 

For guests with special needs, graduands 

will need to note these in detail on the online 

booking form. These details will be treated 

confidentially and sensitively. The University 

strives to accommodate any special needs. 

Portsmouth Guildhall does have a lift to all 

floors, as well as a hearing loop in the main 

auditorium. Please contact the Graduation 

Office if you have any questions. 

Academic dress 

All graduands are required to wear the correct 

academic dress for their award. This can 

be hired or purchased from our gown hire 

partner, J. Wippell & Company Ltd. Please 

see page 20 for more details. You need to 

place your order by 30 June 2013. You can 

see an example of the University’s gowns and 

hoods at www.port.ac.uk/graduation. 

Academic dress can be collected from 

Spinnaker Sports Centre before the start 

of ceremonies. Please see the schedule 

on page 10 to find out what time you can 

collect your academic dress. 

Graduation is a formal academic occasion 

and graduands will be expected to dress 

smartly and in accordance with the formality 

of the occasion. Where appropriate, military 

or emergency services uniform, or national 

dress can be worn with academic dress. 

Please note that the University reserves 

the right to prevent graduands from 

participating in the ceremony if they are 

unsuitably dressed. 

Photographs 

Success Photography encourages prebooking 

of photography sessions. This 

will ensure you can be photographed 

before your ceremony. Graduands who 

do not book in advance may experience 

queuing. You can pre-book at the 

Success Photography website at 

www.successphotography.com. See 

also pages 21–22 for information on 

photography.

Guidance for the day 

Please allow time for getting into the 

city. Graduation is a busy time and 

all forms of transport are affected. 

All graduands must book in at Spinnaker 

Sports Centre when they arrive. 

Graduands need to arrive at least an hour 

and a half before the ceremony begins to 

allow time for booking in, collecting gowns 

and the taking of photographs. 

Booking in enables you to collect your ticket 

and gown.

Parking 

Please see the map on the back of this 

brochure for locations of public car parks. 

Some disabled parking is available near 

Portsmouth Guildhall, but it fills up quite 

quickly. For alternative parking locations, 

please visit www.ncp.co.uk. 

Guest tickets 

Graduands will collect all tickets on the day 

of the ceremony. 

Seating 

Once inside Portsmouth Guildhall, 

graduands are seated together in 

alphabetical order by course, whilst guests 

are seated separately. 

All graduands and guests must be in their 

seats no later than 15 minutes before 

the ceremony is scheduled to begin. The 

University reserves the right to refuse 

admission to those who are not able to be 

seated in time for the ceremony to proceed. 

The booking-in service closes 30 minutes 

before the ceremony begins. 

Academic dress should be returned to 

Squash Court 1 in the Nuffield Centre 

no later than 6.00pm on the day of your 

ceremony. This includes your gown, hood 

and hat. A charge will be made for any 

unreturned items. 



Order of proceedings 

All guests receive a copy of the Graduation 

Programme. This programme lists the names 

of all graduands for the ceremony and details 

of the order of proceedings. An example can 

be seen at www.port.ac.uk/graduation. 

Ceremonies last approximately an hour to an 

hour and a half. 

Once graduands and guests are seated, the 

University procession enters and makes its 

way up on to the stage. A congratulatory 

speech is made and, if there is an honorary 

graduate, they will be presented. The 

honorary graduate will make a short 

response after they have accepted their 

award from the Chancellor. 

Parchments 

The majority of parchments will be issued 

as soon as possible after ceremonies. 

Parchments are posted by recorded delivery 

to graduates’ mailing/correspondence 

addresses held on the student record 

system. Please update your mailing/ 

correspondence address before the end 

of term. 

If you have not received your parchment 

by the end of August, please email 

parchments@port.ac.uk. 

The main body of the ceremony involves the 

reading of the graduands’ names as they 

are received and congratulated on the stage 

by the Chancellor, Vice-Chancellor, Deputy 

Vice-Chancellor or Pro Vice-Chancellor. 

The ceremony closes with a speech from the 

Chancellor. 



Frequently asked questions 

• Is it possible to graduate on a different 

day to my department? 

 

No. Graduands must graduate with their 

cohort on the given day and time. 

• If I do not wish to attend this year, 

will I be re-invited? 

 

No, unless you are unable to attend on 

academic grounds. 

• What happens if I have referrals or 

deferrals? 

If you have 300 credits with at least 

60 credits at Level 3, you are eligible 

to attend. Any students with credits 

below 300 will need to complete 

referrals/deferrals, and upon successful 

completion of those credits, will be 

invited to attend graduation next year. 

Postgraduate students should consult 

their schools/departments about 

their credits and eligibility to attend 

graduation. 

• Are ordinary degrees announced on 

stage? 

 

No distinction is made between the 

degree classifications, except for Firsts 

and Distinctions. 

• What do I do if I am awarded an 

ordinary degree, but wish to complete 

my course? Do I still attend? 

 

Yes, you may still attend. If you wish 

to complete the honours award, you 

will need to contact your school or 

department to confirm this decision. 

• Will I be eligible for a ticket refund if I 

fail? 

 

Yes. Both the University and all its 

graduation service providers will offer 

a full refund in the event of academic 

failure. This must be applied for within the 

30-day period after graduation finishes. 

Please note, however, that the University 

of Portsmouth Students’ Union (UPSU) 

will not offer refunds for ball tickets under 

any circumstances. 

• Can I still have my photograph taken if 

I failed? 

No. Only graduands who successfully 

complete their award are able to collect 

gowns. 

• Who should I contact with any other 

queries?

International graduands 

Visa request letters 

If any of your guests require a letter to support 

a visa application, you should contact the 

Graduation Office via the form on the website 

at www.port.ac.uk/graduationvisaletters, 

detailing the full names of your guests, their 

relationship to you, e.g. father, sister etc, and 

the email address to which you would like the 

letter sent. 

Please note that we can only provide 

letters for guests you have purchased 

tickets for (one per guest). 

Please allow plenty of time for us to process 

your request. 

Before making travel plans 

Ensure you have: 

• checked that the Graduation Office has 

received your booking – you can check 

this via www.port.ac.uk/graduationchk 

from Monday 15 April 2013. 

• sufficient credits to pass your award.

Data protection 

The graduation ceremonies of the University 

of Portsmouth are regarded as public events. 

This means that the names of graduands 

are published in the graduation programme, 

and audio-visual images of the ceremony 

are publicly available, e.g. through free 

downloads of ceremonies for students 

through the Success Photography website. 

Additionally, the names of graduands may be 

provided to external companies for display 

on graduation products, e.g. graduation 

t-shirts and the local Portsmouth newspaper. 

If you object to the publication of your 

personal data as described, you must, on 

the grounds that this use of data may cause 

you damage or distress, inform the Assistant 

Registrar (Graduation) of your objection. This 

must be done in writing by Friday 31 May 

2013 at the latest. 

• cleared any financial debts to the 

University by Friday 31 May 2013 or you 

will not be able to attend your ceremony.

Graduation accommodation 

The University offers all graduands/ 

graduates and their families the 

opportunity to stay in its quality 

accommodation during graduation 

week. There are two types of 

available accommodation. 

Rees Hall 

Rees Hall is located just 250 metres from 

Southsea seafront, overlooking Southsea 

Common and the Solent. During the summer 

vacation period Rees Hall is transformed 

into award-winning three star guest 

accommodation. The hall offers a choice of 

single and double en suite rooms, some with 

sea-facing views, on a bed and breakfast 

basis. The accommodation also includes tea 

and coffee making facilities in each room, 

two guest lounges, a courtyard garden and a 

licensed bar. 

The accommodation is available from a 

single night up to two weeks. It is extremely 

popular and you are advised to book as early 

as possible. The daily room rates are £44.00 

(single room) and £64.00 (double room). All 

prices include breakfast and VAT. 

Burrell House 

Located behind Rees Hall is Burrell House. 

This accommodation is reserved for 

graduands only and comprises a single 

standard bedroom on a limited self-catering 

basis. In order to keep our rates as low as 

possible, we do not provide any linen, towels 

or cooking equipment at Burrell House and 

you should bring your own supplies. 

Accommodation at Burrell House is available 

on a weekly basis, running from a Monday to 

a Monday. The weekly cost is £89.00. 

Rees Hall and Burrell House are a short 

ten-minute walk to Portsmouth Guildhall. For

Coursework complete, exams finished – 

the long haul is over. What better way to 

mark this momentous occasion than by 

celebrating in style at the Graduation Ball? 

The official Graduation Ball marks the end of 

your university life and the Students’ Union 

is dedicated to bringing you an exclusive, 

unforgettable and unimaginable event. It is 

your chance to get dressed up and celebrate 

in style with everyone you have met during 

your time at Portsmouth.

We’ve gone above and beyond to make

The Students’ Union and a giant marquee 

on Gunhouse Green will be transformed 

beyond your wildest and weirdest dreams 

into an exciting and mystical garden-style 

experience. Expect a magical array of special 

attractions including dodgems, celebrity DJs, 

live music, a teapot lounge, a huge threechannel 

silent disco, a mystical fairy trail, 

shisha garden, fortune tellers and even Alice 

in Wonderland Burlesque! Food and drinks 

will be available all night long, ensuring you 

have the energy to burn the midnight oil. The 

party continues into the small hours, allowing 

you the perfect time to chat with good 

friends and take stock of your university 

experiences before dancing the night away. 

Your Students’ Union promises to make 

this a night to remember and hopes you will 

come back and visit us. There are a limited 

number of tickets available, and the event 

has sold out every year, so early booking is 

advised to avoid disappointment.

Please note: Tickets are non-refundable 

and details of collection can be found on the 

Union’s Graduation Ball website. This event is 

especially targeted at graduates. In the past, 

every graduate that has responded as soon 

as they have received this booklet has been 

able to reserve a ticket to the ball. However, 

we need to stress that this event does have a 

limited capacity and for the past five years this 

event has sold out. Therefore, we recommend 

you buy your ticket early to guarantee your 

attendance, as we will be allocating tickets on 

a first-come, first-served basis. 



Friends of the Union 

We’re sorry to see you go, but that 

doesn’t mean you can’t keep in 

touch. Having finished your course 

you might well think that the Union 

has nothing more to offer you…

As you’re automatically an alumnus through 

the University Alumni Association, you can
