COLLEGE COUNCIL<br />

Minutes of a meeting of the <strong>College</strong> Council held on 9 <strong>May</strong> <strong>2005</strong> in the Prioress's<br />

Room.<br />

There were present: the Master, the President, Mr Ray, Dr Harcourt, Dr Sørensen,<br />

Dr Mengham, Rev'd Dr Jenkins, Professor Mitchell, Dr Bacon, Dr Clackson, the<br />

Senior Bursar, the Senior Tutor, Dr Wilkinson, Professor Dowdeswell, Dr Saxena;<br />

Mr A. Watson, Miss E.L. Figures, Miss C.A. Sikorski, Mr J.R. McMahon; the<br />

Master's Assistant (in attendance).<br />

UNRESERVED BUSINESS<br />

1488. Apologies<br />

Council received apologies for absence from Dr Alexander.<br />

1489. <strong>May</strong> Ball <strong>2005</strong>: Attendance by <strong>May</strong> Ball <strong>2005</strong> Committee President<br />

At the instance of the Master, Council agreed the attendance of Mr T. Little,<br />

President of the <strong>May</strong> Ball <strong>2005</strong> Committee, so that he could update Council on<br />

ticket sales and the arrangements for the Ball.<br />

1490. Minutes<br />

The minutes of unreserved business of the meeting held on 14 March <strong>2005</strong> were<br />

approved and signed.<br />

1491. <strong>May</strong> Ball <strong>2005</strong>: Update<br />

Mr T. Little reported encouraging numbers of tickets sold (about one thousand) as<br />

well as some dining tickets (about thirty-seven). Some arrangements had been<br />

refined, eg the fun-fair will be moved slightly so that delivery lorries will not have<br />

to encroach so far onto the hockey pitch. The Fire Officer and Cambridge City<br />

Council had approved plans for the Ball and a provisional licence had been issued.<br />

Liaison with the Domestic Bursar would continue; the Committee are most<br />

anxious to avoid any problems encountered last year or in previous years,<br />

particularly the dismantling of marquees, which this year would be removed as<br />

speedily as possible (there being a penalty clause) – particularly in the light of the<br />

impending Sculpture in the Close exhibition.<br />

The Committee were keen for the Ball to be more inclusive and, in an endeavour<br />

to encourage the attendance of more Fellows, it was proposed that Fellows be<br />

offered tickets at reduced cost, on the understanding that they would not stay<br />

beyond a certain time – the price to be fixed on a pro rata basis.<br />

1492. JCCS Travel Bursaries<br />

Council noted that:<br />

(a) at its March meeting, the executive committee of the <strong>Jesus</strong> <strong>College</strong> Cambridge<br />

Society agreed to donate £1,000 each year for five years starting in <strong>2005</strong> to<br />

fund two travel bursaries of £500 each for undergraduates of the <strong>College</strong>; and<br />

(b) in order to help raise the profile of the Society amongst undergraduates, the<br />

committee expressed a wish that these bursaries be advertised as <strong>Jesus</strong> <strong>College</strong><br />

Cambridge Society Travel Bursaries and be available to undergraduates only.<br />

Recognising that graduates have access to other funds Council agreed that the<br />

bursaries be offered to undergraduates, with a review after three years.<br />

Accordingly, Council further agreed that the placing of the undernoted<br />

advertisement for the bursaries should take place before the division of Lent term,<br />

to give applicants ample time for planning.<br />

<strong>Jesus</strong> <strong>College</strong> Cambridge Society Travel Bursaries<br />

Applications are invited from undergraduates of the <strong>College</strong> for one of two long<br />

vacation travel bursaries of £500 funded by the <strong>Jesus</strong> <strong>College</strong> Cambridge Society,<br />

whose members are all alumni of the <strong>College</strong>. Preference will be given to those<br />

who would find it difficult to travel without the help of a bursary. Applications<br />

should be sent by e-mail to senior-tutor@jesus.cam.ac.uk before 28 <strong>May</strong>. They<br />

should contain outline plans and estimates of costs together with an indication of<br />

how much the applicant can afford to contribute. Awards will be decided by<br />

Council at its second meeting in Easter Term.<br />

1497. Educational Board<br />

Council received the unconfirmed minutes of the unreserved business of the<br />

meeting of the Educational Board held on 14 March <strong>2005</strong>.<br />

1498. Access Liaison Officer<br />

At the instance of the Senior Tutor and noting approval for the post expires on 29<br />

July <strong>2005</strong> Council agreed, subject to Bursarial Committee approval, the<br />

continuance of the Access Liaison Officer post on the current shared basis with<br />

Homerton and Christ's <strong>College</strong>s.<br />

1499. <strong>Jesus</strong> <strong>College</strong> Study Grants: Award<br />

On the recommendation of the Senior Tutor and Financial Tutor, Council agreed<br />

the award of twenty nine study grants (plus eight possible additional grants)<br />

ranging in value from £50 to £600, with £9,470 being the total allocated (plus a<br />

possible additional £2,900).<br />

1500. <strong>Jesus</strong> <strong>College</strong> Study Grants: Award from the General Scholarship Fund<br />

Council noted that the current balance in the General Scholarship Fund is<br />

approximately £170,000 and that undergraduate contributions from the<br />

Development Office for the first two quarters of this year total £36,000. On the<br />

recommendation of the Senior Tutor, Council approved a further sum of £2,000<br />

from the General Scholarship Fund to enable the awarders to make further Study<br />

Grants (if required) to deserving applicants.<br />

1501. Long Vacation Projects - Expenditure: IT Department<br />

On the recommendation of the Bursarial Committee (agreed by circulation),<br />

Council agreed the following IT related expenditure:<br />

(a) Data storage - replacement and future-proofing with SAN totalling £37,835;<br />

and<br />

(b) Introduction of a Messaging Service totalling £7,460.71<br />

1502. Long Vacation Projects – Expenditure: 17 and 32 New Square<br />

On the recommendation of the Bursarial Committee (agreed by circulation),<br />

Council agreed the following expenditure:<br />

(a) for refurbishment work at 17 New Square at the tender price of £151,850;<br />

and<br />

(b) for refurbishment work at 32 New Square at an estimated cost of £210,000.<br />

1503. IT Department Review: Working Party Report (CM.979, 1465)<br />

Council received the revised report and noted the additional information, which<br />

clarified the present duties of the IT Department personnel. Council agreed the<br />

report be copied to members of the Society with the addition of a summary sheet,<br />

in time for discussion at the 16 <strong>May</strong> <strong>2005</strong> Society Meeting.<br />

1504. Quincentenary Library Roof Windows<br />

Council received the Domestic Bursar's report and noted the major failure of<br />

existing roof window fittings and the associated serious safety implications.<br />

Council also noted that the short-term solution, to achieve safe operation would<br />

be completed during the first week of <strong>May</strong>. On completion of this phase, Council<br />

further noted that work will commence to determine the cause of failure, the best<br />

method for permanent repair and where responsibility for this fault should rest.<br />
