Guidelines – Lenses<br />

• Employees must wear approved safety glasses with side<br />

shields or goggles when on duty except when in officetype<br />

environments, parking lots, business rail cars, or<br />

automobiles and trucks with closed windows.<br />

• Glasses with mirrored lenses are not permitted.<br />

• Employees must follow additional requirements for eye<br />

protection as designated in the eye and face protection<br />

charts listed in the appropriate departmental <strong>Safety</strong><br />

Through Awareness and Responsibility (STAR) book.<br />

• Any KCS Operating Dept. employee, Claims Dept.<br />

employee, Police & Special Services Dept. employee, or<br />

any other employee who routinely works at locations<br />

requiring safety glasses will be eligible for company<br />

provided prescription safety glasses.<br />

• KCS will provide one pair safety glasses with transition<br />

lenses to each eligible employee annually -or- one pair of<br />

clear lens safety glasses and one pair of tinted lens safety<br />

glasses to each eligible employee annually.<br />

• Prescription eyewear must be obtained through the<br />

designated company provider (U.S. SAFETY) and their<br />

approved local eyewear dispensers. The eyewear must<br />

adhere to the approved company eyewear guidelines.<br />

• Employees will be responsible for obtaining their own eye<br />

examination/refraction and an eyewear prescription from a<br />

certified optical examiner. The eye examination/refraction<br />

must be less than 1-year old.<br />

• Only safety prescription lenses of first quality<br />

polycarbonate or plastic (CR-39) are allowed. Glass<br />

lenses are NOT allowed.<br />

• Polycarbonate lenses will be used for all clear or transition<br />

lenses since polycarbonate offers superior impact<br />

protection. These lenses are also more scratch resistant.<br />

• CR-39 plastic lenses will be used for all tinted lenses and<br />

will be available in either a 40% gray shade or a darker<br />

60% gray shade. These lenses will be provided with a<br />

scratch resistant coating.<br />

• Progressive (no-line) bifocals will be permitted if<br />

prescribed by an optical professional for a medical reason<br />

and/ or if the employee is presently wearing progressive<br />

lenses as their dress eyewear.<br />

• Only Silor Adaptar, Essilor Natural, and Sola VIP and<br />

Super No-Line progressive lens styles are allowed.<br />

• No additional add-on lens options will be allowed.<br />

• All prescription eyewear will have permanent side shields<br />

attached to the frame by the manufacturer.<br />

• Only approved safety frame styles will be allowed. The<br />

frame selection includes the styles:<br />

Process for Obtaining<br />

Prescription Eyewear<br />

• The employee must meet program eligibility requirements<br />

to obtain new prescription eyewear. This includes:<br />

- Meeting the departmental eligibility requirement<br />

-or- obtaining special permission from their dept.<br />

head to participate in the program if the employee<br />

routinely works in areas requiring safety eyewear<br />

- Not obtaining prescription eyewear through the<br />

program in the prior 12-month time period -or- in<br />

special circumstances, obtaining supervisor<br />

permission and system over-ride if glasses have<br />

been provided during the previous 12 months.<br />

- Having an eyewear prescription obtained through<br />

an eye examination with a certified optical<br />

professional within the prior 12-month time period<br />

• The employee determines the location of approved<br />

eyewear dispensers in their area by accessing the U.S.<br />

SAFETY web-site - www.ussafety.com/kcsr . Listings of<br />

local dispensers are also available by calling U.S. <strong>Safety</strong><br />

toll-free at 800-821-5218 option 1.<br />

• The employee then visits the approved dispenser and<br />

identifies himself or herself as an employee of the KCS<br />

railroad. The employee must then provide the dispenser<br />

with proper identification and a six digit employee number.<br />

If the number is 5 digits, add a “0” (zero) as the first digit.<br />

System Over-Rides<br />

• The dispenser will then dial a special 800 number and key<br />

the six digit employee number. If the number is 5 digits,<br />

add a “0” (zero) as the first digit to determine the<br />

employee’s eligibility for the program.<br />

• If the employee is eligible for the program, the system will<br />

then provide the dispenser with an authorization number<br />

allowing the employee to obtain their safety glasses.<br />

• If the employee is not eligible for the program, the<br />

dispenser will not be able to order the glasses until the<br />

employee obtain permission from their supervisor and a<br />

system over-ride is made.<br />

• The employee will then select the frame style/s from the<br />

approved list and determine lens configurations according<br />

to approved lens options.<br />

• The dispenser will then initiate the order for the safety<br />

glasses and the employee will authorize the order by<br />

signing the order form. The dispenser will then advise the<br />

employee when to expect delivery of the glasses, which<br />

should be approximately one week from order placement.<br />

• The dispenser will contact the employee when the order<br />

arrives and make arrangements with the employee to fit<br />

the glasses at the dispensing location.<br />

• Once the order is completed, U.S. <strong>Safety</strong> will initiate<br />

billing according to the employee’s departmental<br />

responsibility code and establish the employee’s new<br />

eligibility date in the system.<br />

• Reports will be run monthly by U.S. <strong>Safety</strong> and provided<br />

to KCS Departments to identify employees receiving<br />

prescription eyewear and to provide detail concerning<br />

frame/ lens selections and over-rides.<br />

• Special over-rides to the system may be required if<br />

employees obtained prescription eyewear within the<br />

previous 12-month timeframe and experienced unusual<br />

circumstances. These may include loss of safety glasses,<br />

damage to either frames or lenses, or changes in vision.<br />

• The special over-ride must be approved by the<br />

employee’s designated department representative prior to<br />

the employee visiting the dispensing location.<br />

• The designated department representative must initiate<br />

the over-ride through the designated program<br />

administrator who will update the employee’s eligibility in<br />

the U.S. <strong>Safety</strong> system allowing the employee to obtain<br />

new safety glasses or repairs/ replacement items.<br />

• U.S. <strong>Safety</strong> has provided KCS with a page on its web-site<br />

for employees to use. It provides a listing of eyewear<br />

dispensers for each area of the railroad and shows the<br />

different frame styles offered in the program.<br />

• The web-site also provides a complete description of the<br />

KCS eyewear program.<br />
