Process for Obtaining
Prescription Eyewear
• The employee must meet program eligibility requirements
to obtain new prescription eyewear. This includes:
- Meeting the departmental eligibility requirement
-or- obtaining special permission from their dept.
head to participate in the program if the employee
routinely works in areas requiring safety eyewear
- Not obtaining prescription eyewear through the
program in the prior 12-month time period -or- in
special circumstances, obtaining supervisor
permission and system over-ride if glasses have
been provided during the previous 12 months.
- Having an eyewear prescription obtained through
an eye examination with a certified optical
professional within the prior 12-month time period
• The employee determines the location of approved
eyewear dispensers in their area by accessing the U.S.
SAFETY web-site - www.ussafety.com/kcsr . Listings of
local dispensers are also available by calling U.S. Safety
toll-free at 800-821-5218 option 1.
• The employee then visits the approved dispenser and
identifies himself or herself as an employee of the KCS
railroad. The employee must then provide the dispenser
with proper identification and a six digit employee number.
If the number is 5 digits, add a “0” (zero) as the first digit.
Process for Obtaining
System Over-Rides
• The dispenser will then dial a special 800 number and key
the six digit employee number. If the number is 5 digits,
add a “0” (zero) as the first digit to determine the
employee’s eligibility for the program.
• If the employee is eligible for the program, the system will
then provide the dispenser with an authorization number
allowing the employee to obtain their safety glasses.
• If the employee is not eligible for the program, the
dispenser will not be able to order the glasses until the
employee obtain permission from their supervisor and a
system over-ride is made.
• The employee will then select the frame style/s from the
approved list and determine lens configurations according
to approved lens options.
• The dispenser will then initiate the order for the safety
glasses and the employee will authorize the order by
signing the order form. The dispenser will then advise the
employee when to expect delivery of the glasses, which
should be approximately one week from order placement.
• The dispenser will contact the employee when the order
arrives and make arrangements with the employee to fit
the glasses at the dispensing location.
• Once the order is completed, U.S. Safety will initiate
billing according to the employee’s departmental
responsibility code and establish the employee’s new
eligibility date in the system.
• Reports will be run monthly by U.S. Safety and provided
to KCS Departments to identify employees receiving
prescription eyewear and to provide detail concerning
frame/ lens selections and over-rides.
• Special over-rides to the system may be required if
employees obtained prescription eyewear within the
previous 12-month timeframe and experienced unusual
circumstances. These may include loss of safety glasses,
damage to either frames or lenses, or changes in vision.
• The special over-ride must be approved by the
employee’s designated department representative prior to
the employee visiting the dispensing location.
• The designated department representative must initiate
the over-ride through the designated program
administrator who will update the employee’s eligibility in
the U.S. Safety system allowing the employee to obtain
new safety glasses or repairs/ replacement items.
