Welcome to <strong>Arizona</strong> <strong>State</strong> <strong>University</strong> On-Campus Housing! We hope that you will have a great experience during your stay.<br />

In the pages following you will find the On-Campus Housing Application and License Agreement. Please complete pages 1 thru 5 and read each part<br />

carefully. Once it is submitted you will be assessed a $<strong>125</strong>.<strong>00</strong> Non-Refundable Application Fee and you will be bound by the terms in the agreement.<br />

Please read and complete pages 1 through 5, paying close attention to the Housing License Agreement on Page 2 and the Schedule of Charges and<br />

Deadlines on Page 5. Below you will find the answers to some frequently asked questions. You will also find a cost estimate calculator to help you<br />

calculate an estimate; actual charges may vary.<br />

Frequently Asked Questions<br />

Question: How can I pay my application fee?<br />

Answer: Your application fee of $<strong>125</strong>.<strong>00</strong> will be charged to your student account at <strong>Arizona</strong> <strong>State</strong> <strong>University</strong>. You will receive an email message notifying<br />

you that the fee has been posted and how to send your payment.<br />

Question: How soon can I apply and when will I received my housing assignment?<br />

Answer: You may apply as soon as you are admitted to the program and have your ASU Affiliate ID. You will be assigned a space no earlier than 30 prior<br />

to the scheduled move-in date on the AECP session you choose on your housing application. You will be notified of your assignment via e-mail to the e-<br />

mail provided on the application.<br />

Question: How do I pay my housing and meal plan fees?<br />

Answer: Housing fees are billed to the ASU Student Account. Housing fees must be paid one time; there are no installment plans available to AECP<br />

students. AECP students do not have access to their student accounts until after their arrival on campus. You may visit ASU Cashiering Services in the<br />

Student Business Service Building upon arrival to settle your account.<br />

Question: How do I claim my room?<br />

Answer: You will receive an e-mail message confirming your housing assignment and the date we expect you to check into your assigned hall. You may<br />

not check in earlier than the date listed on the e-mail message. If you are arriving after the date listed, please contact housing at<br />

AECPhousing@mainex1.asu.edu with the date of arrival so that we may hold your room. Upon your arrival, go directly to the front desk at the hall to<br />

which you have been assigned. They will need your ASU Suncard to check you into your room and give you hour room key. You may proceed to your<br />

room once you have checked in and received your room key.<br />

Question: How is my room equipped?<br />

Answer: Your room is equipped with a bed, a desk, and a dresser. You must provide your own linens, blankets, pillows, and towels.<br />

Question: What happens if I don’t like my room or my roommate?<br />

Answer: You are bound to the terms of the housing license agreement as soon as we receive your signed agreement. You may cancel prior to check in<br />

within the allowed times without penalty. If you cancel your assignment after the allowed time you will be assessed a late cancellation fee. After you<br />

check into your assigned space you will not be released of your financial responsibilities unless you provide written proof that you have terminated or<br />

have been release from your AECP program; you may leave your room but will remain financially responsible for your assignment. Any problems you<br />

have with your accommodations must be addressed immediately. Please contact hall staff immediately with your concerns. We truly would like for you<br />

to have the most positive experience!<br />

ARIZONA STATE UNIVERSITY - UNIVERSITY HOUSING - AECP STUDENT HOUSING LICENSE AGREEMENT<br />

All <strong>Arizona</strong> <strong>State</strong> <strong>University</strong> Housing applicants must read and sign the Housing License Agreement. A non-refundable Housing Application fee of $<strong>125</strong>.<strong>00</strong> will be<br />

posted to the student’s account. Housing fees will be posted to the student’s account for the entire amount due for the periods assigned.<br />

TERMS AND CONDITIONS<br />

The undersigned student agrees to payment of the $<strong>125</strong>.<strong>00</strong> non-refundable Housing Application fee. ASU grants a license to the Student to reside in the assigned<br />

space. The relationship created by this license between ASU and the Student is that of licensor and licensee, and NOT that of landlord and tenant. The Student must<br />

be officially admitted and enrolled to the ASU American English and Culture Program and making satisfactory academic progress to live in the residence halls. ASU<br />

reserves the right to provide priority assignments to students who are classified as full time and are in good standing in academic degree programs and whose<br />

conduct at ASU has not been determined by <strong>University</strong> Housing or Student Life to be incompatible with community living. The Student must officially checkout of the<br />

residence hall if he/she is not enrolled in classes, withdraws or is withdrawn from AECP. Failure to do so will result in removal from the residence halls. ASU does not<br />

discriminate based on sex, race, color, sexual orientation, national origin, citizenship, religion, veteran's status, age, or disability.<br />

All students may seek to change their dining plan during the meal plan change period at the start of each semester by making this request, in writing, to the<br />

<strong>University</strong> Housing or Dining office. After the end of the change period, student may cancel their dining plans only if they are released from their <strong>University</strong> Housing<br />

License Agreement<br />

TERM OF THE AGREEMENT<br />

The term of this agreement begins when a student is admitted to the ASU American English and Culture Program, and continues until the check-out date, unless<br />

cancelled by ASU or the Student prior to check-in, cancelled by breach, or by an approved License Agreement Release after check-in (see the attached Schedule of<br />

Charges and Deadlines for valid reasons for license agreement release). Separate agreements at an additional cost are required for the winter and summer occupancy<br />

periods. Exceptions or changes to this agreement are not valid unless the director of <strong>University</strong> Housing or his/her designee has confirmed them in writing.<br />

THE STUDENT AGREES TO:<br />

1. Know, observe, and comply with the terms and conditions of this agreement,<br />

all federal and state laws, all ASU policies and regulations governing student<br />

conduct, including the Student Code of Conduct and Residence Hall<br />

Handbook and the Computer, Internet and Electronic Communication Policy<br />

(copies of which are available upon request), mandatory meal plans and any<br />

subsequent policies or regulations that ASU may adopt or publish during the<br />

term of the agreement.<br />

2. Make payments for all fees, room charges, dining charges and any other<br />

charges according to the Schedule of Charges and Deadlines for the<br />

applicable period.<br />

3. Notify <strong>University</strong> Housing, in writing, of cancellation on or prior to the stated<br />

deadlines; notification to other departments within the university does not<br />

constitute notification of cancellation additional fees may apply (see<br />

Schedule of Charges and Deadlines).<br />

4. Obtain insurance coverage on personal property, if desired. ASU is not liable<br />

for loss, theft, or damage of personal property. ASU does not offer insurance<br />

coverage for personal property.<br />

5. Maintain the assigned space in a safe condition. Room furnishings shall not<br />

be removed or stored. Public area or lounge furnishings shall not be moved<br />

into a student's room.<br />

6. Make appropriate arrangements before the beginning of each academic term<br />

for and to maintain attendant care for the duration of the year if the Student<br />

has a disability and requires personal attendant care. The Student has the<br />

sole financial responsibility for his/her own personal attendant care.<br />

7. Move to a different room if required by <strong>University</strong> Housing staff for<br />

behavioral or administrative purposes.<br />

8. Not sell, sublease, or assign the room to anyone at any time. Use of a room<br />

for commercial purposes is expressly prohibited.<br />

9. Not move out of the residence hall without obtaining an approved License<br />

Agreement Release and officially completing the check-out process. A<br />

Student vacating his/her assigned space without an approved written release<br />

from <strong>University</strong> Housing will be held responsible for the financial<br />

commitments of the entire term of the agreement, including the portion<br />

remaining after the Student vacates the room.<br />

GENERAL PROVISIONS<br />

1. ASU staff or other designated agents necessary to the operation of the<br />

residence halls may be authorized by the Director of <strong>University</strong> Housing to<br />

enter student’s room at any time to verify inventory records or occupancy,<br />

perform maintenance, perform security investigations under the Computer,<br />

Internet and Electronic Communication Policy, or enforce safety, health, and<br />

ASU Code of Conduct standards.<br />

2. ASU reserves the right to change, cancel, or consolidate room assignments at<br />

any time due to academic ineligibility, discipline, safety, health, or<br />

administrative reasons.<br />

due process if a Student fails to comply with any terms and conditions of this<br />

agreement.<br />

4. The <strong>Arizona</strong> Board of Regents, ASU, and/or specific facility management<br />

company reserves the right to change room rates and other charges and fees<br />

if circumstances require adjustments.<br />

5. <strong>University</strong> Housing may immediately terminate this agreement if a Student<br />

harms or threatens to harm himself, herself, or any other person.<br />

Students can pay their ASU Account Balance by:<br />

1. e-Check – This is ASU’s preferred method of payment. It is accessed through www.my.asu.edu by selecting the “Make A Payment/QuikPay” link. E-<br />

Checks are a fast and simple online payment method that can be made from regular U.S. checking and savings accounts.<br />

2. Credit/Debit Card – ASU does not directly accept credit/debit cards but has arranged with a third-party processor to accept Mastercard, Discover, and<br />

American Express payments online through QuikPay. The Visa credit card is not accepted by ASU to pay for student account charges.. This option is<br />

available at www.my.asu.edu by selecting the “Make A Payment/QuikPay” link. All credit/debit card payments are charged an additional 2.75% service<br />

fee by the processor.<br />

3. Mailed Check – Personal checks drawn from a U.S. bank should be payable to <strong>Arizona</strong> <strong>State</strong> <strong>University</strong> and must include the student’s ASU ID number.<br />

Housing Application Processing Fee<br />

A <strong>University</strong> Housing Processing Fee is charged to the student’s ASU Student Account and is non-refundable. The fee is posted to the<br />

student account once the application has been processed, and is past due on the 25 th day of the following month.<br />

Housing fees and service charges will be posted before you check in to your hall. Your fees will be due on the 25 th day of the month prior to the month in which you<br />

check in or on the 25 th day of the month in which you check in, if your check in date is after the 25 th day of the month.<br />

Examples:<br />

a) If your check in date is 06/01/2011, your housing fees and service charges will be due on 05/25/2011.<br />

b) If your check in date is 06/29/2011, your housing fees and service charges will be due on 06/25/2011.<br />

Late Charge Assessment: Charges must be paid by the date due. <strong>University</strong> billings not paid by the date due are subject to late charges beginning at 30 days past due.<br />

The monthly late charges for past due account balances between $25.<strong>00</strong> - $1<strong>00</strong>.<strong>00</strong> is $15.<strong>00</strong>, between $1<strong>00</strong> - $1,<strong>00</strong>0.<strong>00</strong> is $25.<strong>00</strong>, and greater than $1,<strong>00</strong>0.<strong>00</strong> is $50.<strong>00</strong>.<br />

Collection Agencies: Delinquent accounts will be referred to outside collection agencies and will be reported to national credit bureaus. Should it become necessary for<br />

ASU to retain an attorney or collection agency to secure payment of any amount due, the debtor is responsible for paying all attorney’s fees, court costs, and collection<br />

agency charges.<br />

CANCELLATION, REFUNDS, AND RELEASE PROVISIONS OF ROOM ASSIGNMENT<br />

All notices of cancellation must be submitted in writing directly to <strong>University</strong> Housing.<br />

Notices of cancellation received WITHIN 20 business days from the date of your assignment letter receive a full refund, except for the $<strong>125</strong> non-refundable<br />

application fee. If the assignment date is within 20 business days of date of move in, the cancellation must be made prior to the date the assigned move in date to<br />

receive the refund. For cancellations received AFTER 20 business days from the date of your assignment letter, the following applies.<br />

If the student fails to submit a notice of cancellation prior to assigned move in date and is attending the AECP program, student will be held<br />

billed to the student’s account.<br />

After checking in, AECP students will not be released of their financial responsibility for their housing assignments until the assigned checkout<br />

date unless student has written documentation that he/she is leaving the program early. License agreement release requests for any<br />

other reason will not be accepted.<br />
