ANNUAL GENERAL MEETING AGENDA<br />

To Be Held On <strong>25</strong> <strong>August</strong> <strong>2010</strong> at 15:00 at Airport Grand Hotel and Convention Centre<br />

• WELCOME<br />

President of SAFMA Cliff Hocking welcomed all the members to the <strong>AGM</strong>. There were<br />

38 members present.<br />

• PRESIDENTS REPORT<br />

Cliff Hocking presented the attached President’s Report.<br />

• FINANCIAL REPORT<br />

Douglas Weinrich presented the financial report for the period ending July <strong>2010</strong>. The<br />

report is attached.<br />

The report showed that SAFMA was now in a much healthier financial position. Costs<br />

are being managed well and income from the conference boosted income.<br />

DW again thanked The Building Works for their efforts in improving the financial<br />

situation of SAFMA.<br />

• CODE OF CONDUCT<br />

The code of conduct as distributed to members via newsletter was APPROVED with no<br />

changes. It was AGREED that the Code of Conduct would be put on the website for all<br />

members to see.<br />

• COMPANY REGISTRATION<br />

It was UNANIMOUSLY AGREED that the registration of SAFMA as a Section 21 Company<br />

should proceed.<br />

• ELECTION OF COUNCIL<br />

Cliff Hocking’s announcement that he was not available for re-election as President was<br />

noted with regret. However, Cliff agreed to remain a member of the Council.<br />

The Council for <strong>2010</strong>/11 was elected as follows:<br />

It was agreed that council members would be elected to their positions at the first<br />

Council meeting.<br />

Douglas Weinrich reiterated that the Council as elected would not all be named as<br />

Directors of the new Section 21 Company once it was incorporated, but that the new<br />

directors would be named from this list.<br />

It was AGREED that Nicolette van den Eijkel as the Secretary would call the next Council<br />

meeting.<br />

• GENERAL<br />

Nicolette van den Eijkel, on behalf of SAFMA members thanked Cliff Hocking for his<br />

commitment to SAFMA and for the work he has put in during his tenure as President.<br />

Nicolette also reiterated the need for input from members into the running of SAFMA<br />

and asked for suggestions on ways to communicate better.<br />

JC Swanepoel requested support from SAFMA members for the Golf Day which is to be<br />

held on 26 November <strong>2010</strong>.<br />

As there was no further business Cliff Hocking closed the meeting.<br />

REPORT OF THE PRESIDENT TO THE ANNUAL GENERAL MEETING<br />

<strong>25</strong> <strong>August</strong> <strong>2010</strong><br />

Introduction<br />

It is indeed my pleasure to be able to report to the members of the South African Facilities<br />

Management Association at this Annual General Meeting. When I look back over the past<br />

12 months I can honestly state that your Council has undertaken its task diligently and with<br />

the interests of the membership in mind.<br />

• Administration:<br />

Your Council appointed The Building Works as the SAFMA administrators in 2009 and<br />

this arrangement continued during <strong>2010</strong>. I would like to place on record our thanks to<br />

Nicolette van den Eijkel and Kim Veltman for their efforts during the year.<br />

• Membership:<br />

Membership has grown significantly:<br />

• Platinum – 7 in 2009 and we now have 10:<br />

Johnson Controls, TFMC, Drake and Scull, Colliers International, Motseng<br />

Facilities Management, ESS, Superfecta Trading, Intersite, Broll Facilities<br />

Management and WSP.<br />

• Gold – 1(2009) and we now have no members in this category as Drake &<br />

Scull have upgraded to Platinum Member status.<br />

• Silver - 1 we now have 3: Global FM, Nedbank and ABSA<br />

• Blue - 11 (2009) and now 14<br />

We are pleased to report that we now have<br />

• 150 Individual paid up members.<br />

As you will hear during the financial presentation we are very pleased that as a result of<br />

growing membership we are in a strong financial position.<br />

• Functions:<br />

A number of events and networking sessions were held during the period under review. The<br />

highlights are detailed as follows:<br />

• Update on the Property Charter<br />

• Procurement Strategies sponsored by GrowthPoint<br />

• World Cup Preparations sponsored by Drake and Scull Jhb<br />

• World Cup Preparations in Cape Town hosted by TFMC<br />

• World FM day in Johannesburg hosted by Prestige<br />

• World FM day in Cape Town hosted by HomeChoice<br />

Our thanks go to the sponsors and hosts of these various events.<br />

Attendance at the functions was not always good and members must let us know whether<br />

they would like us to continue with these functions and if so what type of topics they<br />

would like covered.<br />

We have just concluded a highly successful annual conference, one that has exceeded<br />

what has been achieved before. We can therefore look forward to even bigger and even<br />

better next year.<br />

• Website<br />

Our website is still our main point of contact with members and we are seeing an<br />

increasing volume of visitors to the site. From 1 September we will be launching the<br />

“knowledge bank” which will be open to paid-up SAFMA members only. You will all be<br />

receiving emails advising you how to register for this.<br />

We will also be expanding and enhancing the “jobs page” where FM related jobs are<br />

advertised.<br />

• Newsletters<br />

We are still sending out regular newsletters. These newsletters are sent to a distribution<br />

list of 900 people. This is the most important way in which we communicate with our<br />

members and we encourage you to read them and let us know what you think and would<br />

like to see included.<br />

• Media<br />

Commencing in January <strong>2010</strong> all paid up Members received 3 months free editions of the<br />

JFM as well as their email bulletins. After the 3 month period members are entitled to a<br />

10% discount on the JFM subscription.<br />

Wide coverage of SAFMA has been seen in the media – African Facilities Management Online,<br />

JFM, Property News, African Cleaning Review have all reported on SAFMA and its<br />

activities as well as a number of international publications.<br />

There were also FM features in the Business Day in May and the Independent Newspapers<br />

in <strong>August</strong> which SAFMA participated in.<br />

• Global FM<br />

SAFMA has been a member of Global FM, the international association of FM associations<br />

since 2007. We continue to build on this relationship and have increased our participation<br />

although there is still room to work on this.<br />

We participated in their World FM day during the year for a second time.<br />

We were pleased that one of our members, Pragma, entered a submission into the Global<br />

FM Awards of Excellence and we were represented on the panel of judges for these<br />

awards.<br />

• Services SETA<br />

We are delighted that the Commercial Property & Facilities Management NQF Level 4<br />

qualification has been sent to SAQA for approval.<br />

Although we did ask for comment from members on the qualification very few comments<br />

were received. We do have to live with this qualification now for 3 years after which we<br />

may have an opportunity to amend it. Nominations have now been sent through to the<br />

Services Seta for assessors for this position.<br />

Work on the NQF Level 5 position has commenced.<br />

• Relevance of SAFMA<br />

It is clear that SAFMA is once again firmly “on the map”. The Administrators are constantly<br />

asked to provide information on FM or SAFMA related issues via the website, email, and<br />

telephone. Queries come from all over Africa and even further afield. Approximately 280<br />

such queries have been dealt with in the past year.<br />

We have also been asked to participate with some of our member organisations in a<br />

Development Bank study on infra-structure maintenance in the Public Sector.<br />

We also continue to have involvement with various Educational Institutions around FM<br />

curriculum development.<br />

We frequently have requests for the contact details of our member organisations and we<br />

will be engaging with corporate members about this issue.<br />

We continue to be involved with the Property Charter to demonstrate our commitment.<br />

• Council Resignations<br />

Andrew Mason of TFMC who has been a long standing and active participant of the<br />

Council resigned from Council due to work Commitments during July <strong>2010</strong>.<br />

• Government Liaison<br />

Not much has happened with our Government liaison and this is something we need to<br />

work on in the next year.<br />

• Relationship with other Industry bodies<br />

As you were updated during Rudd van Deventer’s presentation earlier today, we are<br />

working with the SA Green Building Council to ensure that we remain current with these<br />

developments and become active participants. In terms of future expansion it is<br />

imperative that we nurture relationships with SAPOA, SCCSA and the like.<br />

• Conclusion<br />

My thanks go to the members of the National Council as well as the Western Cape Regional<br />

Council for their inputs and efforts during the year.<br />

We all have many other matters to attend to on a daily basis and it is heartening to see that<br />

in these stressful times, we have the members that are prepared to make the time in the<br />

interests of progressing and growing the local facilities management industry.<br />

In 2007, I agreed to take on the role of President for a 12 month term. Three years later, I<br />

have definitely decided that I wish to step aside.<br />

I would like to thank you all for your support over the past three years and I wish the<br />

incoming administration well and may SAFMA go from strength to strength.<br />
