United Nations Support Office for AMISOM (UNSOA) Investigates staff telephone accounts before checkout clearance is authorized. Prepares supporting documents to facilitate payments to Service providers; Updates all Telephone Billing Unit databases. Maintains internal filing/ archiving. Sorts and distributes or processes mail and other documents. Uses basic keyboard and word processing skills to prepare forms and short documents (e.g. memos, letters, faxes, electronic mail, etc.) Receives phone calls and visitors and refers them to the appropriate source or reply personally to queries when possible. Photocopies a variety of documents and other materials. Delivers urgent mail/messages. Operates a variety of office equipment in the performance of basic office functions, e.g. photocopier, facsimile, printer, scanner, etc. Maintain accurate records of administrative matters such as Attendance Records, Leave Plans, Training, travel, payments, work orders, etc. Performs other duties as assigned. Client_Orientation: Considers all those to whom services are provided to be “clients” and seeks to see things from clients’ point of view; establishes and maintains productive partnerships with clients by gaining their trust and respect; identifies clients’ needs and matches them to appropriate solutions; monitors ongoing developments inside and outside the clients’ environment to keep informed and anticipate problems; keeps clients informed of progress or setbacks in projects; meets timeline for delivery of products or services to client. QUALIFICATIONS United Nations Support Office for AMISOM (UNSOA) Education: High School diploma or equivalent. A combination of relevant certification/diploma or other academic qualifications/training is desirable. Experience: At least five (5) years of progressively responsive work experience in the same or related field. Languages: English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language and/or the local language is an advantage. The candidate must be able to write and correct working documents in English language. Other Skills: The Assistant should be fully conversant with Microsoft Office applications especially using Microsoft Excel, and must possess skills and experience in the general administration of financial resources. Knowledge of basic clerical functions as well as Ability to operate standard office equipment is required.
