JOB PURPOSE:<br />

Responsible for managing the day-to-day coordination of the organizations internal database to<br />

include data integrity <strong>and</strong> donation tracking. This position will also provide wide-ranging<br />

administrative support to the development team to include maintaining files, compile data, create<br />

reports, prepare correspondence, <strong>and</strong> h<strong>and</strong>le multiple projects <strong>and</strong> ensuring timely delivery of<br />

requests from staff. Coordinates database updates <strong>and</strong> trains other staff members on the use of<br />

the system.<br />

KEY OBJECTIVES/RESPONSIBILITIES:<br />

Familiarity with fundraising database or an equivalent constituent relationship management<br />

software platform; proficient in Microsoft <strong>Office</strong> Suite.<br />

Maintain <strong>and</strong> update donor records as needed <strong>and</strong> ensure that appropriate information is<br />

recorded in database.<br />

Enter donations <strong>and</strong> generate appropriate correspondence in a timely manner.<br />

Assist with list compilation <strong>and</strong> writing queries as needed.<br />

Support development staff in reaching annual fundraising goals.<br />

Assist in organizing fundraising events <strong>and</strong> development programs.<br />

Donor prospect research.<br />

Work collaboratively with other staff to develop <strong>and</strong> implement donor survey <strong>and</strong> ensure that<br />

information is tabulated <strong>and</strong> stored appropriately.<br />

Maintain record code relevance <strong>and</strong> annual record updating/cleaning.<br />

Drives for successful results <strong>and</strong> moves tasks <strong>and</strong> assignments toward closure; ability to meet<br />

deadlines.<br />

Responsible for insuring that all relative databases sync together.<br />

Responsible for tracking donor recognition.<br />

Ability to multi-task, organize <strong>and</strong> prioritize projects.<br />

Compile <strong>and</strong> enter all pertinent information from fundraising events into the database.<br />

Create new records <strong>and</strong> establish appropriate coding to link them to events.<br />

Search database for existing files <strong>and</strong> update existing records.<br />

Verify new <strong>and</strong> existing records are corrected via internet research.<br />

Provide timely <strong>and</strong> friendly customer service<br />

Ability to multi-task while ensuring accuracy.<br />

Provide documentation of work process for database.<br />

Ensure all the data complies with legal regulations, making sure the data is protected <strong>and</strong> backedup.<br />

Regular reporting to the development team.<br />

Monitor database performance, improving the technology used, building new databases,<br />

monitoring data entry procedure guide <strong>and</strong> troubleshooting.<br />

Filing <strong>and</strong> Record-Keeping<br />

Maintains up-to-date paper <strong>and</strong> electronic files in a manner that ensures easy document<br />

identification <strong>and</strong> retrieval.<br />

Develops <strong>and</strong> maintains an archiving system for NP records, including disposal <strong>and</strong> storage.<br />

Maintains an up-to-date procedure guide.<br />

Staff Support<br />

Ability to work collaboratively with other staff, vendors, volunteers <strong>and</strong> donors.<br />

Maintain proficiency in database/computer software applications.<br />

Trains staff for use on databases <strong>and</strong> website.<br />

Other duties as assigned.<br />

QUALIFICATIONS AND COMPETENCIES:<br />

A. Education, Knowledge <strong>and</strong> Experience<br />

Bachelor’s Degree preferred with an underst<strong>and</strong>ing of relational databases.<br />

Three years database experience.<br />

Working knowledge of non-profit fundraising <strong>and</strong> management of data is preferred.<br />
