The MIS and Student Data Clerk will provide clerical support in the area<br />
of student data to assist with the efficient operation of the <strong>special</strong> <strong>services</strong><br />
program.<br />

Qualifications:<br />
1. High school diploma or equivalent.<br />
2. Clerical training and skills in computation and numerical work.<br />
3. Demonstrated organizational, typing and filing skills.<br />
4. Efficient computer skills with basic knowledge in software and applications that are<br />
required by the administration.<br />
5. Skilled in operating various office equipment; such as personal computer, calculator,<br />
facsimile, copy machine, and typewriter.<br />
6. Ability to pay close attention to detail and coordinate various activities simultaneously.<br />
7. Ability to work with minimal supervision.<br />
8. Ability to adhere to district, state and federal confidentiality policies.<br />
9. Ability to create and maintain databases.<br />
10. Possess good command of oral and written communication skills and effectively<br />
communicating with patrons, school staff and administration.<br />
11. Desire to continue career improvement.<br />
Essential Functions:<br />
1. Maintain accurate databases (MIS and Netchemia).<br />
2. Possess up-to-date knowledge with respect to MIS and Netchemia procedural changes<br />
and provide consultation to <strong>special</strong> <strong>services</strong> staff and administration.<br />
3. Transfer Netchemia database in<strong>for</strong>mation to MIS database.<br />
4. Monitor IEPs and <strong>special</strong> education paperwork <strong>for</strong> compliance errors and consult with<br />
Special Services staff regarding a<strong>for</strong>ementioned errors.<br />
5. Report compliance errors to Director of Special Services and/or his/her designee when<br />
<strong>special</strong> <strong>services</strong> staff fail to correct compliance errors.<br />
6. Maintain accurate record of <strong>special</strong> needs children who are suspended or expelled and<br />
served in alternative settings.<br />
7. Maintain an accurate record of contracted <strong>special</strong> needs children and report<br />
a<strong>for</strong>ementioned students to KSDE.
8. Track <strong>special</strong> needs student records that are listed with Social and Rehabilitation<br />
Services and Juvenile Justice Authority.<br />
9. Prepare class size/caseload, IEP lists and other reports as requested by Director of<br />
Special Services.<br />
10. Attend yearly KSDE MIS mandatory training and pass the KSDE competency<br />
assessment.<br />
11. Run reports that verify MIS data and make appropriate corrections to data be<strong>for</strong>e<br />
submission to KSDE.<br />
12. Submit accurate MIS reports to KSDE on dates requested by KSDE and maintain<br />
communication with KSDE staff regarding MIS procedural changes and provide<br />
consultation to the Director of Special Services regarding MIS data changes.<br />
13. Obtain required number of <strong>special</strong> education inservice hours per year as directed by the<br />
Director of Special Services.<br />
14. Develop lists of students from either Netchemia or LEMIS as requested by the Director<br />
of Special Services.<br />
15. Answer the telephone and serve as <strong>receptionist</strong> when necessary.<br />
16. Retrieve student folders <strong>for</strong> copying, reviewing and destroying.<br />
17. Make copies of requested in<strong>for</strong>mation sent internally and externally.<br />
18. Possess knowledge of other school district’s/agencies <strong>special</strong> education paperwork.<br />
19. Transfer active files too inactive and vice versa as students withdraw and re-register.<br />
20. Make files <strong>for</strong> new <strong>special</strong> education students.<br />
21. File Individualized Education Plans (IEP), 504 student in<strong>for</strong>mation and related reports<br />
and documents.<br />
22. Record testing or placement results in the database when those results are sent to the<br />
office and share data with school psychologists when requested by the Director.<br />
Physical Requirements/Environmental Conditions:<br />
1. Requires prolonged sitting or standing.<br />
2. Requires physical exertion to manually move, lift, pull or push heavy objects or<br />
materials.<br />
3. Requires stooping, bending and reaching.<br />
4. Must work in semi-noisy and crowded environments.<br />
General Responsibilities:<br />
1. Assist in answering and taking telephone messages with respect to MIS and Netchemia<br />
databases.<br />
2. Review and file IEPs with respect to MIS data entry and reports.<br />
3. Request monthly teacher/caseload reports and reconcile teacher lists with MIS data.<br />
4. Prepare reports and class lists from teachers and psychologists.<br />
5. Possess knowledge of other school district <strong>special</strong> education paperwork.<br />
6. Type and copy correspondence, reports, bulletins, newsletters, handbooks, <strong>special</strong><br />
education records and other materials with respect to MIS data activities.<br />
7. Adhere to all cooperative health and safety policies including all precautions of the<br />
BloodBorne Pathogens Exposure Control Plan.<br />
8. Other duties as assigned by the Director of Special Services and/or his/her designee<br />
which are consistent with essential, general and qualifications <strong>for</strong> this position.
