People are drawn to our school from around the world. In the spirit of active collaboration with teachers, peers, and our community,<br />

complex questions effectively and creatively. Through outstanding teaching, programmes, and facilities, <strong>Meadowridge</strong> develops in<br />

us the confidence not only to meet the future, but also to create it.


Message from the<br />

CHAiRmAn of the boARD<br />

When I sat down to write this report, I started<br />

thinking about what was new, what was<br />

exciting and what had changed over the last<br />

year at our school.<br />

I started making lists of all the positive things that had<br />

happened, some of the challenges that we were facing, our<br />

achievements, and all the plans <strong>for</strong> the future. What made the<br />

2011-2012 year stand out?<br />

As I was looking at the graduates at this year’s Convocation<br />

Ceremony, many of whom I have known since they were in<br />

Kindergarten, I had time to reflect and look back. It felt like<br />

only yesterday that we dropped off our five and six year olds<br />

to greet Mr. Jung <strong>for</strong> the first time. We comment to each<br />

other how time flies and hardly ever reflect on how much<br />

work it was, how much time we spent taking them to school,<br />

sporting events, practices, extramural activities, helping<br />

them with homework, loving them, gently pushing them<br />

and sometimes getting mad at them. During all of this we<br />

celebrated their achievements and supported them when life<br />

did not seem fair, but also busied ourselves with everyday<br />

routines.<br />

I came to the conclusion that it is not just the changes that<br />

are important, but rather the fact that the school continues<br />

to grow in leaps and bounds, just like our children. Although<br />

there are high points and achievements, it is the ongoing<br />

process of advancement that happens in the background that<br />

shapes us as a school.<br />

Like our children, <strong>Meadowridge</strong> started small in size. We<br />

started off as a "country school" in portables 25 years ago.<br />

The founders of our school had vision, hope, dreams and<br />

energy to establish our school in the same way that we have<br />

aspirations <strong>for</strong> our children. Our school has quietly come of<br />

age as a result of the unwavering support, dedication and<br />

ongoing work that has been done by the <strong>Meadowridge</strong><br />

community. Our school, like our children, is now ready to<br />

enter the next phase.<br />

Although our children graduate, they will continue to need<br />

our support, leadership, advice, and feedback to help them<br />

thrive. Our current students have to be shown positive role<br />

models that emulate all the traits associated with a positive<br />

institution.<br />

We have embraced the International Baccalaureate Learner<br />

Profiles <strong>for</strong> our school and <strong>for</strong> our Board of Governors. We<br />

work to create an institution with strengths that foster better<br />

communities, responsibility, civility, work ethic, leadership,<br />

teamwork, purpose and tolerance. With the implementation<br />

of the IB Diploma Programme, we are now one of only four<br />

schools in British Columbia and one of eight in Canada that<br />

offer the continuum of all three IB programmes at a single<br />

school.<br />

The 2011-2012 Board of Governors started its work in<br />

November 2011, with the first meeting reviewing the<br />

Key Decisions that arose from the document “A Vision <strong>for</strong><br />

<strong>Meadowridge</strong>: 2035”. This document had been the outcome<br />

of a year-long process, mandated by the previous Board<br />

of Governors. Committees were directed to review their<br />

mandates and parents were invited to numerous feedback<br />

and planning sessions, followed by a survey about all facets<br />

of our school.<br />

A Draft Vision Report was <strong>for</strong>warded to the previous Board of<br />

Governors <strong>for</strong> comment and suggestions, which were then<br />

considered in the final draft. This was presented to the 2011-<br />

2012 Board of Governors by Hugh Burke and Susan Waugh.<br />

At this time Mr. Burke also outlined some key issues facing<br />

the school and their implications. The Board of Governors<br />

subsequently had to make some Key Decisions - most<br />

notably regarding the size of the school, land acquisition and<br />

starting a school foundation to develop endowments. The<br />

option to maintain the status quo was presented, as some<br />

parents expressed that they were happy with the current state<br />

of the school, and they did not see any need <strong>for</strong> significant<br />

change.<br />

The entire Board of Governors held a meeting in December<br />

of 2011. At this meeting, we were asked to reconsider some<br />

Key Decisions on the future of the school, and what type of<br />

institution it is to be. We already had a clear plan of where we wanted to go<br />

but the plan had never been properly funded, and could not be executed<br />

without this funding. It was recognized that it is the Board of Governors<br />

responsibility to ensure adequate financial resources to allow Administration<br />

to implement the Strategic Plan as instructed.<br />

The Board decided that the school should stay the course, and become an IB<br />

continuum university preparatory school, providing quality programmes at a<br />

reasonable cost, compared to similar schools.<br />

We determined that the value of our programmes, culture and nature of our<br />

school continue to be excellent. By all measures the school produces much<br />

better than average results at comparatively lower than average costs. It was<br />

recognized that <strong>Meadowridge</strong> needs to be the most effective school <strong>for</strong> our<br />

teachers to function in. High quality teaching is central to the outcomes of our<br />

students, and we need to ensure that teacher development is outstanding,<br />

and that teacher retention remains high. To support this we need to fully<br />

develop our facilities <strong>for</strong> curriculum excellence.<br />

Armed with the set of new Key Decisions, a strategic planning session was<br />

held in January of 2012. An updated Strategic Plan was developed by the<br />

Board of Governors in order to carry out the intents of the Vision that had<br />

been developed the previous year.<br />

The most notable result stemming from the January meeting was that the<br />

Board of Governors made a firm decision that we would move towards<br />

adequate funding of the Strategic Plan. It was realized that we could no<br />

longer continue to direct our Headmaster and his staff to implement the<br />

Strategic Plan without sufficient funding. The only three available streams<br />

<strong>for</strong> increased funding were identified as tuition, donations and increased<br />

enrollment.<br />

Our long-term Strategic Plan now calls <strong>for</strong> expansion and a Campus Master<br />

Plan to support the growth of enrollment to 800 students. In addition tuition<br />

levels were increased, which was subsequently announced in a letter to the<br />

parent body. A number of families contacted the Board of Governors with<br />

questions and concerns about, not only the tuition increase, but also about<br />

the fact that this announcement was made very close to the midline <strong>for</strong> reregistration.<br />

A parent meeting was held to answer concerns on January 18,<br />

2012 and was well attended. It was clear that the sudden increase in tuition<br />

fees was a significant cause of hardship <strong>for</strong> some parents. Many suggestions<br />

on alternative revenue streams were discussed.<br />

The Board of Governors acknowledged that this in<strong>for</strong>mation had been poorly<br />

communicated and also at a very late date.<br />

It was decided to develop and maintain a rolling five-year financial <strong>for</strong>ecast<br />

budget that would include tuition, and to establish a Board Communications<br />

Committee. These measures were implemented to ensure that our parents<br />

are well in<strong>for</strong>med and are provided with adequate in<strong>for</strong>mation <strong>for</strong> financial<br />

planning. Mr. Burke also met with a group of parents to consider alternate<br />

fundraising plans <strong>for</strong> the school.<br />

The Board of Governors met with members of the Administration <strong>for</strong> a<br />

strategic development workshop in April of 2012. This reaffirmed our goal<br />

to be stable, effective, and mission-driven. There was consensus that we are<br />

still driven by our Vision, and this has underlined the guiding principles of<br />

the 2012 Strategic Plan. The Board of Governors is confident that the 2012<br />

Strategic Plan will preserve the character and sustainability of our school.<br />

<strong>Meadowridge</strong> is doing very well on all fronts. We have been able to maintain<br />

our student numbers with a record low attrition of 9%, and a projected<br />

student count of 540 <strong>for</strong> next year. In addition, participation in our Annual<br />

Giving Campaign is now at 54%.<br />

The 2011-2012 Board of Governors term was the first year of <strong>Meadowridge</strong>’s<br />

second quarter century. It has been an exciting year and an honour to chair<br />

the Board of Governors.<br />

This year the Board of Governors welcomed three new members, Jessie Hill,<br />

Bob Gill and Roy Choi. All three have already made a significant contribution<br />

with their unique perspectives, talents, enthusiasm and energy. We are very<br />

grateful to have them on board.<br />

I would personally like to thank Susan Waugh, Secretary of the Board, <strong>for</strong> all<br />

the work that she has done over the last term. In spite of there being times<br />

when the workload must have exceeded her day job, she always managed to<br />

keep correspondence timely and thoughtful. I specifically would like to thank<br />

Gareth Mason (Vice Chair), John Becker (Past Chair) and Hugh Burke <strong>for</strong><br />

their support and mentorship during my first term and especially during my<br />

unexpected absence earlier in this year. I would also like to thank my fellow<br />

Board members <strong>for</strong> the significant time and ef<strong>for</strong>t they put in over the last<br />

year, often spending evenings and Saturdays in meetings.<br />

On behalf of the Board of Governors, and also as a <strong>Meadowridge</strong> parent,<br />

I would like to sincerely thank Hugh Burke and his administrative team <strong>for</strong><br />

providing our children with the best opportunity to thrive in life.<br />

Message from the<br />

HeADmAsteR of the sCHool<br />

In this report, I would like to consider three things:<br />

1. The educational programme of our school<br />

2. <strong>School</strong> finances<br />

3. Enrolment and expansion in our future<br />

1. The Educational Programme<br />

As of the 2012-2013 school year, <strong>Meadowridge</strong> is now an<br />

International Baccalaureate school with a full continuum<br />

from Junior Kindergarten through to Diploma (grade 12+).<br />

We are one of about 180 schools in the world that offer this<br />

continuum. There are many schools that offer one of the three<br />

programmes – PYP, MYP, or Diploma – as an option within a<br />

regular system, often as a <strong>for</strong>m of enrichment. The advantage<br />

to continuum schools such as <strong>Meadowridge</strong> is that the entire<br />

school is oriented toward the IB, and so students are fully<br />

prepared <strong>for</strong> each of the three programmes. The curriculum<br />

is continually enriched, and great attention is paid to the<br />

Learner Profile as the children grow as well-rounded people,<br />

international in their view, and fully prepared <strong>for</strong> whatever<br />

may come in the future.<br />

In order to offer these three programmes within one school,<br />

our teachers constantly attend professional development<br />

which is world-class. Remarkably, we now have a number of<br />

teachers who are authorized to offer these workshops, and<br />

even some who are on authorization teams which inspect<br />

other schools. Smaller classes in our school ensure that<br />

close attention is paid to each child. Specialist teachers have<br />

proven to provide a strong background <strong>for</strong> every child in a<br />

number of areas. Our school is continuously monitored by<br />

the International Baccalaureate organization to make sure<br />

that each area of our school is excellent. Our grading systems<br />

are monitored in Geneva, so that we can assure parents that<br />

the marks here are based on world standards. All of our<br />

students in grade twelve go on to university, and our alumni<br />

are succeeding in many careers.<br />

We also continuously monitor our programmes to ensure that<br />

every child can succeed. We use our own testing, classroom<br />

work, and standardized testing as a basis <strong>for</strong> programme<br />

assessment. For example, we constantly do well on FSA<br />

testing. Although this is very controversial in public schools,<br />

we find it a valuable resource to check the progress of our<br />

kids. This past year, we did very well again, except that four<br />

children in grade seven seemed to have difficulty in Math<br />

problem solving in the Foundation Skills Assessment (the<br />

only area that was close to an issue amongst all areas tested<br />

in grades four and seven). As a result, we have examined our<br />

Math programme closely from grades five through seven,<br />

and intend to ensure that every child succeeds. Last year<br />

may just have been an unusual testing time, or random error,<br />

but we constantly work to ensure that every piece of data is<br />

considered and acted upon. I was pleased to note that our<br />

aggregate scores on secondary school exams were the fourth<br />

strongest in the province. We will continue to aggressively<br />

monitor our programmes to ensure an excellent education.<br />

About 90% of our students are on the Honour Roll, even<br />

though we maintain high standards. As well, we also provide<br />

many options <strong>for</strong> co-curricular participation, leadership,<br />

and service. The Gryphon Pin is awarded when a child finds<br />

balanced success in these areas. We continue to build on<br />

success in the Duke of Edinburgh programme as well, and<br />

have doubled the number of students who get a Duke of<br />

Edinburgh pin in the last few years…and this will continue.<br />

However, to really build the best programmes possible,<br />

we will need to expand our student base, so that smaller<br />

programmes can have enough students in them to be<br />

af<strong>for</strong>dable.<br />

What all of this adds up to is the determination to provide<br />

our children with the best education possible. To do that, we<br />

welcome the ongoing collaboration with parents to help us<br />

reflect on our practices, and continuously improve.<br />

2. <strong>School</strong> Finances<br />

This year was challenging <strong>for</strong> our school, as we engaged<br />

in a large tuition increase. The school had <strong>for</strong>ecast a deficit<br />

budget <strong>for</strong> this year, and cost pressures meant that we had<br />

to either increase the tuition, lose money, cut programmes,<br />

or significantly increase class size. The choice made was to<br />

maintain the programmes, but increase tuition in order that<br />

the school could remain stable and provide appropriate<br />

resources. One thing that was determined was to <strong>for</strong>ecast


tuition <strong>for</strong> a five-year period on a rolling basis, so that families are not<br />

surprised, and so that everyone understands the pressures on the school. The<br />

Board has undertaken to mitigate future tuition increases while maintaining<br />

programme quality, and the only way to do that is to increase the school<br />

size. It is notable that our benchmarking puts our new tuition still significantly<br />

below the cost of comparable schools, but we would like to continue to<br />

offer very good value, and continue to provide outstanding programmes at<br />

reasonable costs, regardless of what other schools may do, or how high their<br />

tuitions may become.<br />

Some good news from this year was that we did not actually run the<br />

projected deficit, due to higher than <strong>for</strong>ecast enrolment and substantial<br />

contributions to the school through Annual Giving and the Golf Tournament.<br />

We always control our costs very tightly, and so our budget was stronger<br />

due mostly to increased revenue, although we also managed some savings<br />

in other areas. As well, we had a lower attrition this year than our average, so<br />

more students than ever came back, and our new registration has been very<br />

strong. We look <strong>for</strong>ward to next year on that basis. We will have waiting lists<br />

at a number of grades, but we do not have room to add any more classes.<br />

As well, within the PYP, the classroom space itself limits our class size to the<br />

current levels.<br />

Nonetheless, in order to keep tuition stable and predictable in future, we<br />

will need to increase our student population. As costs are spread over more<br />

students, the cost-per-pupil goes down. For example, had we not built a<br />

school expansion when we did, the tuition would have been higher at this<br />

time, since we would have been limited to about 460-470 students, and the<br />

same programme would have then cost more. Our increased revenue from<br />

the new building worked to keep our tuition lower than it would otherwise<br />

have been, even after capital costs are factored in. We intend to work hard<br />

to keep tuition reasonable, but that will mean more expansion so that we<br />

can take more students. The level that we have established at which we can<br />

get the best economies, and offer even better programmes, is about 800<br />

students from junior kindergarten to grade twelve (Diploma Programme).<br />

3. Enrolment and Expansion<br />

There are two reasons <strong>for</strong> expanding the student population. The first is so<br />

that we can offer more programmes, and boost our current programmes<br />

such as music, art, drama, athletics, and multiple course offerings. The second<br />

is to ensure that these programmes are offered at a reasonable tuition. As<br />

noted, the only reason that we did not run a deficit this year was because of<br />

growth, and that growth has also allowed us to offer more courses than we<br />

could have previously. The combination of more choice at contained costs<br />

means that we can offer greater value to families. If we do not grow, then<br />

tuition will grow more quickly than if we do grow. Expansion lowers tuition<br />

costs, as it has in the past.<br />

However, our current facility can only support one more class, and even that<br />

would be challenging. We are short of gym space as well, and need more<br />

practice areas <strong>for</strong> a variety of activities. If we build, we need to build in stages<br />

so that each is economic, and pays <strong>for</strong> itself through student growth. Any<br />

expansion will also require the approval of the Agricultural Land Commission,<br />

since the school is built on agricultural land. Currently, with the land that<br />

we have, we are capped at 600 students, so any expansion will mean<br />

acquiring more land as well. The land in Maple Ridge is relatively af<strong>for</strong>dable<br />

right now, but we do not think that it will stay that way. We know that 240th<br />

street will become busier and busier, and even now there are houses being<br />

built all around us, so more land will also serve to buffer the school from<br />

future community growth. Many schools are now surrounded by houses, or<br />

shopping centres, or other development, and have become very hemmed in,<br />

and so land purchase will help us to buffer the school, provide more space<br />

<strong>for</strong> the children and the means <strong>for</strong> school expansion in order to promote<br />

greater value. The Board is currently working on this land acquisition so as to<br />

secure the future of the school.<br />

Concurrently with acquiring more land, the Board has instructed the<br />

Administration to provide a plan <strong>for</strong> school expansion which is staged, and<br />

which provides strong cost triggers such that each stage of expansion has<br />

a strong return on investment, and so that a single generation of families<br />

does not bear the cost of any part of the expansion. That is, each stage of the<br />

expansion should pay <strong>for</strong> itself over time, and should mitigate tuition rather<br />

than increasing it. We are currently constructing such a plan, and aligning it<br />

with the strategic financial plan so that we can predict with some accuracy<br />

what the impact of each stage of expansion will be.<br />

In the end, we plan to expand our school, both in land and in facility, so as to<br />

offer better programmes at reasonable cost, both <strong>for</strong> now and <strong>for</strong> the future.<br />

Conclusion<br />

We have grown into a school which offers the best international programme<br />

available, with small classes and experienced teachers providing a closely<br />

monitored and excellent education. We need to move <strong>for</strong>ward so as to<br />

continue to offer very good value <strong>for</strong> these programmes, and that will mean<br />

that we grow our population of students. This expansion means that we need<br />

to purchase land, and build in such a way that costs are both contained and<br />

distributed across generations of students. In this way, we can provide our<br />

students with the best education possible at a reasonable cost, both now and<br />

in the future.<br />

ADvAnCement Committee<br />

As always it is the school community and our generous<br />

families and staff, with their dedication to our children and<br />

our school, that is the real motivator and whose ef<strong>for</strong>ts move<br />

us <strong>for</strong>ward. So please take a moment to celebrate with me, a<br />

few of our community’s many accomplishments:<br />

1. Our Diploma programme has been successfully<br />

accredited, making us a full IB Continuum World <strong>School</strong>, only<br />

one of 8 such schools in Canada. This milestone has meant<br />

stronger than ever interest in our school, from families locally,<br />

nationally and internationally.<br />

2. enrollment and re-enrollment are very strong. Our<br />

attrition rate this year was a record low 9%, and we project<br />

opening the 2012-2013 school year with a record high head<br />

count of 540.<br />

3. The desire to build <strong>Meadowridge</strong> into an outstanding<br />

school has also been reflected in participation rates in our<br />

critical Annual Giving Campaign. Overall participation is at<br />

54%, and a very strong 60% in the PYP. It is gratifying to see<br />

how many of our newly enrolled families, whose children will<br />

not start at the school until next year, are participating already<br />

in Annual Giving.<br />

4. Contributing to our fundraising success was a sellout Golf<br />

tournament, which reached its $65,000 target. Thank you to<br />

all our donors, <strong>your</strong> strong engagement with our school and<br />

community will allow us to continue to offer our children the<br />

best programmes we can.<br />

Some of our most important work this year has been to<br />

build on the results of last year’s Visioning Committee, and<br />

begin to shape the dreams and wishes we heard then, into<br />

concrete plans <strong>for</strong> future school development. As I write this<br />

at the end of June, our many Board Committees are giving<br />

our draft Strategic Plan a final review. Over the summer,<br />

Administration staff and Board members will work to develop<br />

the accompanying strategic financial plan, tactical plans, and<br />

key per<strong>for</strong>mance indicators. This is an exciting time to be part<br />

of the <strong>Meadowridge</strong> community and it will be thrilling to see<br />

the vision of a strong and expanded <strong>Meadowridge</strong> begin to<br />

take shape.<br />

It always bears repeating that the successful Advancement at<br />

our school would not happen without the commitment and<br />

generosity of our families. You give graciously of <strong>your</strong> time,<br />

talent and treasure. We are truly more than just a school,<br />

we are a community whose members understand that to<br />

be successful, and help our children, we must continue to<br />

expand our culture of giving. Thank you.<br />

Our 11th annual Golf Tournament was held on Saturday, June 9th at Swan-e-Set. Parents, alumni and staff all came out<br />

Report from the<br />

FACilities Committee<br />

The Facilities Committee of the Board was reappointed by<br />

the Board of Governors to work with Administration on a<br />

number of matters. These included the ongoing strategic<br />

mandate to acquire additional land when and where<br />

appropriate, committee oversight of the facilities component<br />

of the long term Vision Plan, and review of the evolving<br />

Campus Master Plan.<br />

On the operational side there were some significant facilities<br />

achievements during the past year, including; replacement of<br />

all the atrium skylights in the original facility, the completion<br />

of Gym C and the bouldering wall, classroom renovations<br />

to remove offices and increase useable space, renovations<br />

to the staff room and art gallery, and the development of a<br />

special purpose room <strong>for</strong> student interviews.<br />

The Strategic Plan has been recently reworked through a<br />

Board of Governor’s workshop and the facilities component<br />

delivers on the requirements <strong>for</strong> fiscal responsibility through<br />

economies of scale while at the same time ensuring we<br />

have the facilities to sustain and enhance programmes of<br />

international high quality.<br />

The Campus Master Plan was recently approved by the Board<br />

of Governors with a <strong>for</strong>mal community presentation planned<br />

<strong>for</strong> early Fall 2012. Dialogue with the school community will<br />

be ongoing. The Campus Master Plan components anticipate<br />

a phased schedule allowing quick positive responses to<br />

opportunities <strong>for</strong> grants or directed capital fundraising.<br />

New facilities are designed <strong>for</strong> maximum use and, where<br />

appropriate, extracurricular use. <strong>Meadowridge</strong> <strong>School</strong><br />

continues to look at partnerships with other institutions,<br />

government agencies and organizations not only to share<br />

costs of facility improvements but to enrich the learning<br />

environment through these additional inputs.<br />

As we move into the school term 2012-2013 the Strategic<br />

Financial Plan and the Campus Master Plan will come<br />

together. A business case will be made <strong>for</strong> each of the<br />

additional facilities and a very conservative capital budgeting<br />

plan will be prepared and introduced to the school<br />

community.<br />

Committee thanks go as well to the administrative and<br />

education teams who work together with the Board of<br />

Governors on design and programme enhancement and<br />

“best bang <strong>for</strong> the buck” principles on all of our facility<br />

initiatives.<br />

Report from the<br />

FinAnCe Committee<br />

The Committee was strengthened this fiscal year with the<br />

addition of Ron Batty, Craig Gunning, and Lance Leger.<br />

We regretfully said goodbye to Bruce Johnston and Jenny<br />

Meyer and would like to thank them <strong>for</strong> their service to the<br />

Committee. These members have been approved by the<br />

Board of Governors via the Nominating Committee.<br />

purpose<br />

The role of the Finance Committee is to provide professional<br />

expertise and oversight of the Annual Budget and Strategic<br />

Financial Plan, prepared by the Administration <strong>for</strong> the<br />

Treasurer and the Board of Governors. The Committee<br />

is focused on the long-term benefit to the school, in all<br />

financial matters, including property acquisition. They are<br />

also responsible <strong>for</strong> drafting financial policies <strong>for</strong> Board<br />

consideration and approval. The Finance Committee reviews<br />

insurance coverage to ensure the assets of the Society are<br />

adequately protected.<br />

Accomplishments<br />

In collaboration with the Administration and the Board of<br />

Governors, the Committee has participated in the following:<br />

• The Finance Committee and Administration has<br />

continued to monitor the school’s cash reserves.<br />

A segregated bank account is maintained to hold<br />

these reserves to provide specifically <strong>for</strong> future facility<br />

maintenance, <strong>Meadowridge</strong> Education Investment<br />

Deposit, debt reduction, and expansion projects or<br />

property acquisition.<br />

• Our financial comparatives to other Independent <strong>School</strong>s<br />

continue to be among the best in the country and are<br />

helping us to establish and maintain financial stability.<br />

During the year, the Committee and the Board reviewed<br />

comparative financial data from independent schools<br />

across Canada, provided as part of an annual survey<br />

done by CAIS, as well as comparatives with other ISA<br />

schools in BC.<br />

• The Finance Committee reviewed and proposed<br />

improvements to the Investment Policy, in conjunction<br />

with Harris Bank, to maximize returns and minimize risks<br />

in the deposit of reserve funds.<br />

• The Finance Committee made progress in developing a<br />

Foundation and Endowment as part of the Strategic Plan.<br />

• The Finance Committee reviewed the<br />

recommendations provided in the CESI review and<br />

approved implementation of many of the financial<br />

recommendations.<br />

• Revenues were in excess of expenses again this past<br />

fiscal year. This is attributed to an increase in participation<br />

rates from Annual Giving, fundraising proceeds from the<br />

Golf Tournament, increase in actual student count from<br />

budget, coupled with an increase in tuition fees and close<br />

control of expenditures.<br />

• The Committee made financial recommendations<br />

to purchase land adjacent to the school property. It<br />

is anticipated two of these purchases will close in<br />

September 2012.<br />

• The Finance Committee, in consultation with the Board<br />

and Administration, approved an 11.7% tuition increase<br />

<strong>for</strong> the school year 2012-2013, to cover the previous<br />

budget shortfall, the school’s basic operating costs, and<br />

keep pace with the increase in teaching salaries.<br />

goals<br />

• We will work with the Administration to consider ways<br />

to fund implementation of the initiatives identified in<br />

the Strategic Financial Plan. We will work closely with<br />

the Vision Committee to assess the cost and funding <strong>for</strong><br />

future initiatives identified, and the impact of these on<br />

future tuition increases.<br />

• We will continue to work with the Business Manager and<br />

the Administration, to develop improved reporting, to<br />

assist the Board and Committee members in financial<br />

decisions.<br />

• We will provide ongoing support and recommendations<br />

in conjunction with the Facilities Committee, with regard<br />

to the acquisition of neighbouring land and properties,<br />

and with planned maintenance to the facilities.<br />

• We will consider solutions to hedge the school from<br />

rising costs and inflation through investments and<br />

additional revenue sources. An ad-hoc Committee<br />

was authorized by the Board to discuss solutions in<br />

collaboration with parents and the Administration played<br />

an active role.<br />

• We will continue to prepare policy recommendations<br />

regarding the ongoing financial requirements, including<br />

cash reserves, signing authorizations, approvals <strong>for</strong><br />

variance levels, etc.<br />

• We will continue to review, with the Administration, the<br />

current accounting software and the school’s insurance<br />

coverage and risk procedures.<br />

Report from the<br />

goveRnAnCe Committee<br />

The Governance Committee is a standing Committee of the<br />

Board, and takes a role in ensuring the correct and healthy<br />

operation of the Board according to appropriate regulations<br />

and rules. Specific responsibilities include:<br />

• Facilitating a review of Board structure, Committee<br />

structure and mandates, including the examination of<br />

ways to include others in the work of the Board.<br />

• Facilitating discussion on the best method of governance<br />

to achieve the Board’s goals.<br />

• Advising the Board regarding constitutional and legal<br />

matters, using appropriate external legal resources as<br />

needed.<br />

• Carrying out the annual Board evaluation process.<br />

• Proposing <strong>for</strong> discussion, the policies relating to Board of<br />

Governors issues.<br />

The policy work is per<strong>for</strong>med largely in the Policy Sub-<br />

Committee, with responsibilities including:<br />

• Assisting the Board with understanding of different policy<br />

types, and on the differentiation between Board policies<br />

and <strong>School</strong> operating policies.<br />

• Undertaking project work to construct, or draft revisions<br />

to the Board Policy Manual, and bringing those policies<br />

to the Board <strong>for</strong> adoption.<br />

• Advising the Board on the process <strong>for</strong> drafting, reviewing<br />

and adopting new Policy, or changes to existing Policy;<br />

this includes advising on whether drafting can be done<br />

within the Policy Sub-Committee, or is best per<strong>for</strong>med by<br />

the specialist Committee.<br />

This year, the Governance Committee refined its mandate,<br />

and revised an annual calendar to pre-plan recurring<br />

governance activities. The Committee refreshed the overall<br />

Board Committee membership procedure, and worked<br />

on clarification of the distinct roles of the Governance,<br />

Executive and Nominations Committees in the evaluation and<br />

nomination processes.<br />

Supporting the overall strategic Board activities, the<br />

Governance Committee contributed to the review of the<br />

draft constitution and bylaws <strong>for</strong> the proposed foundation,<br />

and also reviewed from a governance perspective, the goals<br />

crafted in the draft Strategic Plan.<br />

The members of the Governance Committee are Gareth Mason (Committee Chair), Daniel<br />

Gouws, Hugh Burke, Jessie Hill, Bob Gill and Gordon MacIntyre. In the Policy Sub-Committee,<br />

we are grateful <strong>for</strong> the help of Steve Olah, and <strong>for</strong> the Administration’s ongoing work drafting<br />

school policy enhancements.

CommuniCAtions Committee<br />

The Communications Committee was <strong>for</strong>med in early 2012<br />

to support the Board of Governor’s internal and external<br />

communications while maintaining the Board’s strategic focus.<br />

The purpose and mandate of the Communications<br />

Committee is to:<br />

• Provide in<strong>for</strong>mation from the Board of Governors to the<br />

<strong>Meadowridge</strong> community regarding the health and wellbeing<br />

of the Society and <strong>School</strong>, especially in terms of<br />

planning and financial stability.<br />

• Communicate, advance, and support the implementation<br />

of the <strong>School</strong>’s vision (plans <strong>for</strong> the future).<br />

• Manifest the desire of the Board of Governors to<br />

communicate.<br />

• Promote knowledge, insight, understanding, inclusion<br />

and engagement of community members with the<br />

<strong>School</strong>’s vision.<br />

• Raise the profile of the Board of Governors as thoughtful,<br />

caring and respectful community members learning to<br />

live well, with and <strong>for</strong> others, in a just community.<br />

In the few months that we have been working together we<br />

have created a new letterhead and appearance <strong>for</strong> Board<br />

communications, developed a preliminary communications<br />

plan, and have undertaken to develop a more extensive<br />

communications package in the coming year.<br />

We have begun a quarterly letter to the community series<br />

and hope to highlight the roles and profile of the Board of<br />

Governors. We will be working to build awareness of the<br />

Board and the work that the Board and its committees do.<br />

Deborah Holbard memorial Award <strong>for</strong> excellence in Arts<br />

passport to education<br />

The Duke of Edinburgh is a challenging programme that<br />

has been designed in ascending standards of achievement:<br />

Bronze, Silver and Gold levels. The sections of which each<br />

participant must master are: Service, Expeditions and<br />

Explorations, Skills, Physical Recreation, and a Residential<br />

Project (<strong>for</strong> Gold Award participants). If a student attains<br />

Gold level status, they are given their award by Prince Phillip,<br />

the Duke of Edinburgh founder. All students in Grade 9 are<br />

encouraged to complete the Bronze level.<br />

This award is given to students who demonstrate originality, exceed expectations in art appreciation, technical skill, ef<strong>for</strong>t and<br />

The Passport to Education Scholarship is awarded to students in Grades 10 and 11 at $250 and to students in Grade 12 at<br />

$500. At least two-thirds of the weighting must be on course grades. Up to one-third of the weighting should be on ef<strong>for</strong>t, work<br />

Mick McLaughlin was a man who came to Canada without a nickel in his pocket and had the<br />

In 2010, Dr. Orser founded the Dr. Michael Orser Health Sciences Scholarship in the amount of<br />

$1,000 to be awarded annually to a grade 12 student accepted into a Canadian university <strong>for</strong><br />

the purpose of studying in a health related programme. Applicants will be assessed on their<br />

preparations <strong>for</strong> post-secondary studies in a health related field as well as on their initiative in<br />

preparing financially <strong>for</strong> post-secondary studies.<br />

Students must have a background in extra-curricular inter-scholastic competitive athletics at his/her<br />

remembers the late Mr. Arif Devraj, who lived with great passion and unlimited determination, taking<br />

on risks and facing new challenges. The $1,500 scholarship is awarded to up to three students annually.<br />

Recipients best demonstrate the qualities of “Learning to live well, with others and <strong>for</strong> others, in a just<br />
