<strong>Job</strong> Summary:<br />
This position will provide optimal customer service to all visitors to the Invoicing Office. This<br />
position encourages distribution of product information through emails, flat screen display and<br />
partner agency website. This position primarily prepares and reviews orders for pulling by<br />
Operations personnel. This position assists partner agencies, especially, in making the best use<br />
of available product in all categories for their programs. In addition, the Customer Service<br />
Coordinator will coordinate closely with Accounting, <strong>Food</strong> Resources and Operations to ensure<br />
an accurate inventory.<br />

Interacts with representatives of partner agencies in a courteous and polite manner.<br />
Duties include monitoring partner agency restrictions, enforcing the <strong>Food</strong> <strong>Bank</strong>'s<br />
shopping policies and procedures.<br />
This position will facilitate Shopping 101 sessions for new shoppers of partner agencies.<br />
Ensures shoppers list for all partner agencies are current.<br />
This position will update partner agency contact information in Primarius and Razor’s<br />
Edge.<br />
Creates and distributes weekly e-order notes to partner agencies.<br />
Maintains and updates content on Primarius On Line Landing Page.<br />
Maintains and updates content on flat screen display.<br />
Conducts daily audit of confirmed invoices.<br />
Provides coverage when Invoicing Clerk takes scheduled or unscheduled leave.<br />
Maintains a clean and hospitable invoicing office area. Includes coffee is available for<br />
visitors and samples of promotional food items are provided on a daily basis.<br />
Coordinates displays of information with program staff.<br />

Insures that all invoices are signed and the correct form of payment is remitted.<br />
Completing an accurate day-end reconciliation of all accounts including confirming all<br />
applicable invoices.<br />
This position provides additional assistance whenever necessary, and reporting issues to<br />
be addressed to all applicable food bank departments including <strong>Food</strong> Resources, Partner<br />
Relations and Operations.<br />
Monitoring and reporting discrepancies as they arise from the invoicing procedure.<br />
Coordinate and maintain delivery and distribution schedules.<br />
Provides training to volunteers as required.<br />
Provides support to Partner Relations staff especially in support of Metropolitan <strong>Area</strong><br />
Hunger Conference and Northern Virginia Hunger Summit.<br />
Other duties as assigned.<br />

Point and Outlook programs.<br />

Essential Physical Functions:<br />

Physical activities involve sitting for 90% of the work day.<br />
Occasionally lifts office supplies up to 20 pounds.<br />
Work Environment:<br />

Normal business office, with frequent tight deadlines<br />
Regular hours Monday – Friday from 8:00 am to 4:30 pm; Occasional Saturday and<br />
evening hours.<br />
