Registration Information<br />
1. All registration for the 50th National Convention will be<br />
ONLINE. Individual sorors will be able to pre-register “anyplace<br />
and anytime” on any Web connection through a fully<br />
secured online system. Our National web site address is<br />
www.deltasigmatheta.org.<br />
2. Registration will open on Monday, April 5, 2010, 9:00<br />
a.m., EST for all Delegates (sorors that are not Voting Delegates<br />
will not be able to register before this date.)<br />
Registration will close May 14, 2010, 12:00 Midnight,<br />
EST.<br />
3. Sorors must be financial for the<br />
2010-2011 fiscal year (July 1,<br />
2010 – June 30, 2011), through<br />
a local chapter or as a member-atlarge,<br />
in order to register and attend<br />
the National Convention. Dues for<br />
2010-2011 fiscal year are due and payable January 1<br />
– March 31, 2010. As a quality control measure, the<br />
National Headquarters staff will verify the financial<br />
status of registrants before the convention packet is<br />
mailed.<br />
4. Sorors will need the following information to access the secured<br />
website: User ID and Password created in the Sisters<br />
Only Portal.<br />
5. Once you have gained access you will need to enter the information<br />
provided on the Checklist.<br />

The registration fee entitles the family member to a badge,<br />

Tickets must be purchased at the same time you register for<br />
the convention. You will not be able to log on and purchase<br />
tickets only. Tickets for all subscription events/special activities<br />
are non-refundable.<br />
Tickets will be sold on-site based on availability. Tickets<br />
sold on-site will cost an additional $10 per ticket,<br />
per function. Special packages are not available.<br />
9. PAYMENT<br />
Sorors may pay their registration by credit card, (via our<br />
secured web server online), cashiers check (no personal<br />
checks), money order, or wire transfer.<br />

Sorors paying by cashier’s check or money order will receive<br />
an acknowledgment number. Print your acknowledgment<br />
receipt and send a copy along with your payment to:<br />

Sorors paying by wire transfer will receive an acknowledgment<br />
number. Print your acknowledgment receipt.<br />

Your payment must be received within ten (10) business days to<br />
hold your reservation and the tickets purchased. Your registration<br />
will not be processed until the payment has been<br />

10. <strong>REGISTRATION</strong> CONFIRMATION<br />
For sorors registering with a credit card, an official confirmation<br />
will be e-mailed within five (5) to seven (7) business days of<br />
submission. An e-mail address must be provided.<br />
For sorors registering and paying by cashier’s check, money<br />
order, or wire transfer, an official confirmation will be emailed<br />
within ten to fourteen (10-14) business days, after receipt of<br />
your payment.<br />
The National Convention packet, which includes your Registration<br />
Confirmation Card and instructions for registering, will be<br />
mailed to each registered financial member on or before<br />
June 30, 2010. The barcode on the bottom of your Registration<br />
Confirmation Card will be scanned on site to print your<br />
badge and tickets. The Registration Confirmation Card must<br />
be signed by you and given to the registrar to receive your<br />
convention materials.<br />
Please be sure to review the<br />
contents of the convention<br />
packet carefully and promptly<br />
upon receipt. Review for<br />
correct spelling of your name<br />
and chapter affiliation. If you<br />
find an error, please return<br />
the entire convention packet to the attention of Deborah<br />
Somerville, Interim Director, Information Systems. Also, send<br />
an email to conventionservices@deltasigmatheta.org, indicating<br />
the date the convention packet was returned and the nature<br />
of the error within the packet. A corrected convention packet<br />
will be forwarded to you, if received and corrected by July 7,<br />
2010. Otherwise, your convention packet will be available for<br />
pickup at the onsite registration desk.<br />
If you are registered and have not received this material by<br />
July 7, 2010, please notify the Registrar at National Headquarters.<br />
11. INCOMPLETE / INCORRECT <strong>REGISTRATION</strong><br />
<strong>Inc</strong>omplete/incorrect registrations will not be processed and<br />
will be returned.<br />
12. TRANSFER OF <strong>REGISTRATION</strong><br />
Convention registration transfers will ONLY be accepted/<br />
completed/processed on-site. Convention registration may be<br />
transferred in full from one <strong>Delta</strong> to another provided the<br />
transferee is financial for the 2010-2011 fiscal year.<br />
In order to transfer a registration, the <strong>Delta</strong> to whom the<br />
registration is being transferred must present the Registration<br />
Confirmation Card and a letter signed by the soror whose fees<br />
are being used.<br />
This letter must clearly state that the bearer has authorization<br />
for the transfer of the convention registration.<br />
13. CANCELLATION POLICY<br />
A portion of the Registration Fees paid in advance is refundable<br />
upon the receipt of a written notification to National<br />
Headquarters. Registration fees paid in advance are refundable<br />
less a 50% cancellation fee, if written notice is received and<br />
postmarked on or before June 30, 2010.<br />
Any refund requests received postmarked on or after July 1,<br />
2010 will not be honored. The cost for tickets for subscription<br />
events/special activities is non-refundable.<br />
Checks will be issued, approximately 120 days, after the National<br />
Convention.<br />
14. ON-SITE <strong>REGISTRATION</strong> PROCEDURES AND<br />
FINANCIAL TRANSACTIONS<br />
Please be advised that to insure that we have adequate materials<br />
for those sorors who pre-register,<br />
THE ON-SITE <strong>REGISTRATION</strong> DESK/COUNTER WILL<br />
OPEN ON FRIDAY, JULY 30, 2010, AT 10:00 A.M.<br />
The Registration desk for TRANSFERS/ADJUSTMENTS will<br />
open, THURSDAY, JULY 29, 2010, at 9:00 a.m. for nonmonetary<br />
transfers and adjustments. The Voting and<br />
Alternate Delegate Certification Forms should be downloaded<br />
by the Chapter President from the Convention Chapter mailing<br />
in the restricted area. If you need to make transfers or<br />
adjustments that require the payment of fees, you may do so<br />
beginning, Friday, July 30, 2010, at 10:00 a.m.<br />
The Voting and Alternate Delegate must present the Delegate<br />
Certification Form properly completed with signatures.<br />
Financial sorors, who are not the voting<br />
and alternate delegate, and who pay the<br />
registration fee may attend the convention<br />
as a non-voting delegate and participate in<br />
all the activities, except voting.<br />
The confirmation card must be presented<br />
to receive a badge holder, convention bag<br />
and other materials.<br />
Annual Dues/Grand Chapter dues are not<br />
accepted at the convention site.<br />
15. ONLINE <strong>REGISTRATION</strong> HELP DESK<br />
If you experience problems while you are attempting to register,<br />

The hours of operation for registration assistance are 8:30<br />
a.m. to 5:30 p.m. EST, Monday – Friday.<br />
• April 5 – April 9, 2010, the hours of operation will be<br />
extended to 7:00 p.m., EST<br />
• April 10, 2010, the hours of operation will be 10:00 a.m.<br />
to 7:00 p.m., EST.<br />
• April 12 – April 16, 2010, the hours of operation will be<br />
extended to 7:00 p.m., EST<br />

16. HOUSING<br />
Once you have registered for the convention you will be able<br />
to link to the hotel bureau for housing. The hotel link for hotel<br />
reservations is at the bottom of your Confirmation or Acknowledgment<br />
Letter. Housing will open April 5, 2010 for All<br />
Delegates. Housing will close on June 28, 2010. Rooms<br />
have been blocked in sixteen hotels. Please refer to the hotel<br />
information for more details. You must be registered for the<br />
Convention in order to secure hotel accommodations. You will<br />
need your confirmation or acknowledgement number in order<br />
to secure hotel accommodations in <strong>Delta</strong> room blocks. Reservations<br />
will be processed on a first come,<br />
first served basis. Your hotel and room<br />
selection will be confirmed before you<br />
end the session online. Read all the hotel<br />
information carefully. Pay particular attention<br />
to refunds of deposits, changes and<br />
cancellations. A deposit equal to the first<br />
two nights’ room and tax will be required<br />
to reserve a room. Deposits must be made<br />
with a credit card only. One of the two<br />
nights will be non-refundable; however, one<br />
night may be refundable by the hotel if the<br />
reservation is cancelled within the time specified by the hotel.<br />
Major credit cards accepted are Master Card, Visa, American<br />
Express, Discover and Diners Club.<br />
After July 6, 2010, please contact Wyndham Jade Housing<br />
Service at 888-889-6405 (US/Canada), 972-349-7477<br />
(International), Monday – Friday, 8:00 a.m.–6:30 p.m. CST.<br />
Customer service agents will assist with any changes to your<br />
room reservations, cancellations or other questions regarding<br />
your hotel assignment.<br />
17. EXHIBIT TRADE SHOW<br />
Admittance to the Trade Show is by badge and pass ONLY.<br />
Admission to the Trade Show for non-registered guests and<br />
friends is by pass. The cost of the pass is $30.<br />
18. SHUTTLE TRANSPORTATION<br />
A shuttle transportation system will be designed to operate<br />
only from official convention hotels that are not within walking<br />
distance of the convention center. Sorors will have to have<br />
proof of housing at an official convention hotel in order to be<br />
issued a bus pass. A bus pass/flash pass must be shown each<br />
time you board the bus.<br />
19. Transportation to the Convention<br />
Information about the designated air carriers(s) will be provided<br />
on the Online Convention site and the Members Only Section.<br />
Avis, Budget, Enterprise and Hertz have been designated as<br />
the official car rental companies for the 50th National Convention.<br />

20. MOTORIZED SCOOTERS AND<br />
WHEELCHAIRS<br />
ScootAround, <strong>Inc</strong>. is providing scooter<br />
and wheelchair rentals for the convention.<br />
A toll free number is provided for your convenience<br />
in placing orders. ScootAround<br />
will take advance orders and will provide<br />
confirmations via mail, fax or email. Sorors<br />
availing themselves of this rental service will be solely responsible<br />
for the scooters and wheelchairs. An individual contract<br />
will be required with ScootAround. Payments for rentals are to<br />
be made directly to ScootAround. (Information included)<br />
21. ON-SITE <strong>INFORMATION</strong> CENTER<br />
Sorors, it will be our pleasure to serve as your “One Stop<br />
Shop” for all information pertaining to the 50th National Convention<br />
during your stay in New Orleans. The On-Site Information<br />
Center will assist you in moving around and functioning in<br />
the Morial Convention Center and the city. We will be ready<br />
to dispense all new information pertaining to the activities and<br />
events of the convention, attractions and services in the city.<br />
This will be your site to inquire about lost and found items and<br />
to give and receive personal messages.<br />
It is our goal to disseminate information to you accurately,<br />
succinctly, timely, and in a sisterly manner. Enjoy your stay. À<br />

22. MEDICAL SUPPORT AND FIRST AID<br />
New Orleans is a very humid city and the summer days can be<br />
quite hot. You will need to keep your body well hydrated. In<br />
addition you should wear light clothing preferably of a cotton<br />
blend. The use of sunscreen is also advisable. It is wise to carry<br />
a wrap when entering the buildings. Be certain to bring your<br />
medications along with a printed listing<br />
of any relevant information pertinent<br />
to your health. You are being encouraged<br />
to keep this list and a day’s supply<br />
of medication preferably on your<br />
person or in your purse or convention<br />
bag at all times. Don’t forget to eat a<br />
good breakfast daily.<br />

The Importance of Booking Your Room Through DELTA<br />
Frequently Asked Questions Regarding Housing<br />
I can find a lower rate on the Internet. Why should I book<br />
a room through <strong>Delta</strong><br />
Negotiated hotels rates incorporate many benefits for you and <strong>Delta</strong>. Based on the<br />
number of rooms in <strong>Delta</strong>’s block, the hotel provides complimentary or reduced rates for<br />
meeting room rentals, staff accommodations, as well as food and beverage. In addition,<br />
a percentage of sleeping room revenue is often rebated to <strong>Delta</strong>. The rebate is used to<br />
cover audio/visual, electrical, and other meeting costs incurred at the hotel or convention<br />
center.<br />
If <strong>Delta</strong> is unable to achieve its room block commitment because attendees are making<br />
reservations at other hotels or canceling/shortening their length of stay at the hotel, the<br />
hotel charges <strong>Delta</strong> an attrition fee to make up for its lost sleeping room revenue. An increase in attrition fees<br />
may lead to an increase in registration fees or other expenses related to the convention in the future. Anticipated<br />
sleeping room pickup is <strong>Delta</strong>’s strongest tool when negotiating future sleeping room rates and meeting space.<br />
What other benefits are there to reserving a room through <strong>Delta</strong><br />
<strong>Delta</strong> and our official housing company will work on your behalf to help resolve<br />
any issues, if there is a dispute with the hotel, or if you are dissatisfied with your<br />
accommodations. Transportation will only be provided from “Official Convention<br />
Hotels.” When you factor in cab fares and travel time to an alternate hotel, you<br />
may discover the benefits are not as great as you originally planned. Staying at an<br />
official hotel allows you to better network with your peers and remain in the center<br />
of the activity surrounding the meeting. In addition, <strong>Delta</strong> hotel contracts include<br />
clauses that protect our attendees in a variety of areas. For example, if the hotel is<br />
over sold and must relocate an attendee to another hotel, the hotel must provide<br />
complimentary transportation to the alternate hotel and pay for one night of accommodations.<br />
This benefit is only extended to attendees at the “Official Convention<br />
Hotels.”<br />
What is <strong>Delta</strong> doing to reduce its exposure to attrition fees<br />
<strong>Delta</strong> has teamed up with a housing agency who tracks sleeping room reservations<br />
and cancellations for each National Convention and works with future<br />
hotels in adjusting sleeping room blocks to match current trends.<br />
DELTA WILL ONLY PROVIDE TRANSPORTATION TO AND FROM THE OFFICIAL CONVENTION HOTELS<br />
THAT ARE NOT WITHIN WALKING DISTANCE TO THE CONVENTION CENTER.<br />
