REGISTRATION INFORMATION - Delta Sigma Theta Sorority. Inc.

Registration Information
1. All registration for the 50th National Convention will be
ONLINE. Individual sorors will be able to pre-register “anyplace
and anytime” on any Web connection through a fully
secured online system. Our National web site address is
www.deltasigmatheta.org.
2. Registration will open on Monday, April 5, 2010, 9:00
a.m., EST for all Delegates (sorors that are not Voting Delegates
will not be able to register before this date.)
Registration will close May 14, 2010, 12:00 Midnight,
EST.
3. Sorors must be financial for the
2010-2011 fiscal year (July 1,
2010 – June 30, 2011), through
a local chapter or as a member-atlarge,
in order to register and attend
the National Convention. Dues for
2010-2011 fiscal year are due and payable January 1
– March 31, 2010. As a quality control measure, the
National Headquarters staff will verify the financial
status of registrants before the convention packet is
mailed.
4. Sorors will need the following information to access the secured
website: User ID and Password created in the Sisters
Only Portal.
5. Once you have gained access you will need to enter the information
provided on the Checklist.

The registration fee entitles the family member to a badge,
unlimited entry into the Exhibit Trade Show and all public nonsubscription
events. The fee includes shuttle bus service.

Sorors may also purchase tickets for all subscription activities.

Tickets must be purchased at the same time you register for
the convention. You will not be able to log on and purchase
tickets only. Tickets for all subscription events/special activities
are non-refundable.
Tickets will be sold on-site based on availability. Tickets
sold on-site will cost an additional $10 per ticket,
per function. Special packages are not available.
9. PAYMENT
Sorors may pay their registration by credit card, (via our
secured web server online), cashiers check (no personal
checks), money order, or wire transfer.

Sorors paying by credit card will receive a confirmation
number. This confirmation number
will allow you to make housing reservations.
b. Cashier’s Check and Money Order Payments:
Sorors paying by cashier’s check or money order will receive
an acknowledgment number. Print your acknowledgment
receipt and send a copy along with your payment to:

c. Wire Transfer Payments:
Sorors paying by wire transfer will receive an acknowledgment
number. Print your acknowledgment receipt.
Complete the wire transfer form and take to your respective
bank for transaction. Mail a copy of your completed
wire transfer form and acknowledgment receipt to:

Your payment must be received within ten (10) business days to
hold your reservation and the tickets purchased. Your registration
will not be processed until the payment has been
received.

10. REGISTRATION CONFIRMATION
For sorors registering with a credit card, an official confirmation
will be e-mailed within five (5) to seven (7) business days of
submission. An e-mail address must be provided.
For sorors registering and paying by cashier’s check, money
order, or wire transfer, an official confirmation will be emailed
within ten to fourteen (10-14) business days, after receipt of
your payment.
The National Convention packet, which includes your Registration
Confirmation Card and instructions for registering, will be
mailed to each registered financial member on or before
June 30, 2010. The barcode on the bottom of your Registration
Confirmation Card will be scanned on site to print your
badge and tickets. The Registration Confirmation Card must
be signed by you and given to the registrar to receive your
convention materials.
Please be sure to review the
contents of the convention
packet carefully and promptly
upon receipt. Review for
correct spelling of your name
and chapter affiliation. If you
find an error, please return
the entire convention packet to the attention of Deborah
Somerville, Interim Director, Information Systems. Also, send
an email to conventionservices@deltasigmatheta.org, indicating
the date the convention packet was returned and the nature
of the error within the packet. A corrected convention packet
will be forwarded to you, if received and corrected by July 7,
2010. Otherwise, your convention packet will be available for
pickup at the onsite registration desk.
If you are registered and have not received this material by
July 7, 2010, please notify the Registrar at National Headquarters.
11. INCOMPLETE / INCORRECT REGISTRATION
Incomplete/incorrect registrations will not be processed and
will be returned.
12. TRANSFER OF REGISTRATION
Convention registration transfers will ONLY be accepted/
completed/processed on-site. Convention registration may be
transferred in full from one Delta to another provided the
transferee is financial for the 2010-2011 fiscal year.
In order to transfer a registration, the Delta to whom the
registration is being transferred must present the Registration
Confirmation Card and a letter signed by the soror whose fees
are being used.
This letter must clearly state that the bearer has authorization
for the transfer of the convention registration.
13. CANCELLATION POLICY
A portion of the Registration Fees paid in advance is refundable
upon the receipt of a written notification to National
Headquarters. Registration fees paid in advance are refundable
less a 50% cancellation fee, if written notice is received and
postmarked on or before June 30, 2010.
Any refund requests received postmarked on or after July 1,
2010 will not be honored. The cost for tickets for subscription
events/special activities is non-refundable.
Checks will be issued, approximately 120 days, after the National
Convention.
14. ON-SITE REGISTRATION PROCEDURES AND
FINANCIAL TRANSACTIONS
Please be advised that to insure that we have adequate materials
for those sorors who pre-register,
THE ON-SITE REGISTRATION DESK/COUNTER WILL
OPEN ON FRIDAY, JULY 30, 2010, AT 10:00 A.M.
The Registration desk for TRANSFERS/ADJUSTMENTS will
open, THURSDAY, JULY 29, 2010, at 9:00 a.m. for nonmonetary
transfers and adjustments. The Voting and
Alternate Delegate Certification Forms should be downloaded
by the Chapter President from the Convention Chapter mailing
in the restricted area. If you need to make transfers or
adjustments that require the payment of fees, you may do so
beginning, Friday, July 30, 2010, at 10:00 a.m.
The Voting and Alternate Delegate must present the Delegate
Certification Form properly completed with signatures.
Financial sorors, who are not the voting
and alternate delegate, and who pay the
registration fee may attend the convention
as a non-voting delegate and participate in
all the activities, except voting.
The confirmation card must be presented
to receive a badge holder, convention bag
and other materials.
Annual Dues/Grand Chapter dues are not
accepted at the convention site.
15. ONLINE REGISTRATION HELP DESK

Registration Information continued
The hours of operation for registration assistance are 8:30
a.m. to 5:30 p.m. EST, Monday – Friday.
• April 5 – April 9, 2010, the hours of operation will be
extended to 7:00 p.m., EST
• April 10, 2010, the hours of operation will be 10:00 a.m.
to 7:00 p.m., EST.
• April 12 – April 16, 2010, the hours of operation will be
extended to 7:00 p.m., EST
• April 17, 2010, the hours of operation will be 10:00 a.m.
to 7:00 p.m., EST.
• May 10 – May 14, 2010, the hours of operation will be
extended to 7:00 p.m., EST
16. HOUSING
Once you have registered for the convention you will be able
to link to the hotel bureau for housing. The hotel link for hotel
reservations is at the bottom of your Confirmation or Acknowledgment
Letter. Housing will open April 5, 2010 for All
Delegates. Housing will close on June 28, 2010. Rooms
have been blocked in sixteen hotels. Please refer to the hotel
information for more details. You must be registered for the
Convention in order to secure hotel accommodations. You will
need your confirmation or acknowledgement number in order
to secure hotel accommodations in Delta room blocks. Reservations
will be processed on a first come,
first served basis. Your hotel and room
selection will be confirmed before you
end the session online. Read all the hotel
information carefully. Pay particular attention
to refunds of deposits, changes and
cancellations. A deposit equal to the first
two nights’ room and tax will be required
to reserve a room. Deposits must be made
with a credit card only. One of the two
nights will be non-refundable; however, one
night may be refundable by the hotel if the
reservation is cancelled within the time specified by the hotel.
Major credit cards accepted are Master Card, Visa, American
Express, Discover and Diners Club.
After July 6, 2010, please contact Wyndham Jade Housing

(International), Monday – Friday, 8:00 a.m.–6:30 p.m. CST.
Customer service agents will assist with any changes to your
room reservations, cancellations or other questions regarding
your hotel assignment.
17. EXHIBIT TRADE SHOW
Admittance to the Trade Show is by badge and pass ONLY.
Admission to the Trade Show for non-registered guests and
friends is by pass. The cost of the pass is $30.
18. SHUTTLE TRANSPORTATION
A shuttle transportation system will be designed to operate
only from official convention hotels that are not within walking
distance of the convention center. Sorors will have to have
proof of housing at an official convention hotel in order to be
issued a bus pass. A bus pass/flash pass must be shown each
time you board the bus.
19. Transportation to the Convention
Information about the designated air carriers(s) will be provided
on the Online Convention site and the Members Only Section.
Avis, Budget, Enterprise and Hertz have been designated as
the official car rental companies for the 50th National Convention.

20. MOTORIZED SCOOTERS AND
WHEELCHAIRS
ScootAround, Inc. is providing scooter
and wheelchair rentals for the convention.
A toll free number is provided for your convenience
in placing orders. ScootAround
will take advance orders and will provide
confirmations via mail, fax or email. Sorors
availing themselves of this rental service will be solely responsible
for the scooters and wheelchairs. An individual contract
will be required with ScootAround. Payments for rentals are to
be made directly to ScootAround. (Information included)
21. ON-SITE INFORMATION CENTER
Sorors, it will be our pleasure to serve as your “One Stop
Shop” for all information pertaining to the 50th National Convention
during your stay in New Orleans. The On-Site Information
Center will assist you in moving around and functioning in
the Morial Convention Center and the city. We will be ready
to dispense all new information pertaining to the activities and
events of the convention, attractions and services in the city.
This will be your site to inquire about lost and found items and
to give and receive personal messages.
It is our goal to disseminate information to you accurately,
succinctly, timely, and in a sisterly manner. Enjoy your stay. À

22. MEDICAL SUPPORT AND FIRST AID
New Orleans is a very humid city and the summer days can be
quite hot. You will need to keep your body well hydrated. In
addition you should wear light clothing preferably of a cotton
blend. The use of sunscreen is also advisable. It is wise to carry
a wrap when entering the buildings. Be certain to bring your
medications along with a printed listing
of any relevant information pertinent
to your health. You are being encouraged
to keep this list and a day’s supply
of medication preferably on your
person or in your purse or convention
bag at all times. Don’t forget to eat a
good breakfast daily.

The Importance of Booking Your Room Through DELTA
Frequently Asked Questions Regarding Housing
I can find a lower rate on the Internet. Why should I book
a room through Delta
Negotiated hotels rates incorporate many benefits for you and Delta. Based on the
number of rooms in Delta’s block, the hotel provides complimentary or reduced rates for
meeting room rentals, staff accommodations, as well as food and beverage. In addition,
a percentage of sleeping room revenue is often rebated to Delta. The rebate is used to
cover audio/visual, electrical, and other meeting costs incurred at the hotel or convention
center.
If Delta is unable to achieve its room block commitment because attendees are making
reservations at other hotels or canceling/shortening their length of stay at the hotel, the
hotel charges Delta an attrition fee to make up for its lost sleeping room revenue. An increase in attrition fees
may lead to an increase in registration fees or other expenses related to the convention in the future. Anticipated
sleeping room pickup is Delta’s strongest tool when negotiating future sleeping room rates and meeting space.
What other benefits are there to reserving a room through Delta
Delta and our official housing company will work on your behalf to help resolve
any issues, if there is a dispute with the hotel, or if you are dissatisfied with your
accommodations. Transportation will only be provided from “Official Convention
Hotels.” When you factor in cab fares and travel time to an alternate hotel, you
may discover the benefits are not as great as you originally planned. Staying at an
official hotel allows you to better network with your peers and remain in the center
of the activity surrounding the meeting. In addition, Delta hotel contracts include
clauses that protect our attendees in a variety of areas. For example, if the hotel is
over sold and must relocate an attendee to another hotel, the hotel must provide
complimentary transportation to the alternate hotel and pay for one night of accommodations.
This benefit is only extended to attendees at the “Official Convention
Hotels.”
What is Delta doing to reduce its exposure to attrition fees
Delta has teamed up with a housing agency who tracks sleeping room reservations
and cancellations for each National Convention and works with future
hotels in adjusting sleeping room blocks to match current trends.
DELTA WILL ONLY PROVIDE TRANSPORTATION TO AND FROM THE OFFICIAL CONVENTION HOTELS
THAT ARE NOT WITHIN WALKING DISTANCE TO THE CONVENTION CENTER.
