Since August, volunteers have generously dedicated their time to<br />

produce what many consider to be the “gem” of all <strong>auction</strong>s in the<br />

Dayton area.<br />

This event, along with the annual fund, serve as the two vital<br />

sources of annual fundraising income. <strong>The</strong> success of this event is<br />

crucial. Your attendance, bids, purchases and excitement create<br />

the necessary funds that impact our students and faculty in every<br />

classroom, every day. <strong>The</strong> entire student body has created the<br />

inspiration for the evening. Parallel in spirit to the creation of the<br />

Outdoor Exploration Center, our students lead us with their vision,<br />

dreams and curiosity. This is evident in all aspects… down to the<br />

invitations which include artwork from the third grade class! ALL the<br />

<strong>auction</strong> committees are greatly appreciated!<br />

Oprah—<strong>The</strong> Final Season<br />

Oprah begins her final season after completing<br />

nearly twenty-five years on the air as the highest<br />

rated talk show host in television history.<br />

We have arranged for two adults to join Oprah<br />

for a live taping of the Oprah Winfrey Show<br />

at Harpo Studios on Chicago’s Westside. <strong>The</strong><br />

taping schedule varies from week to week and<br />

and New Years. Please make arrangements the show’s season usually runs from late August<br />

through the MVS Development Office within to November and January to May. <strong>The</strong> final<br />

thirty days of purchase. Opening Bid: $5000 taping is scheduled for September 9, 2011.<br />

1. Team up with a friend or family member in advance of the <strong>auction</strong> and bid on your favorite<br />

live <strong>auction</strong> package and share the offerings! Just let us know who your bidding partners are<br />

and leave the details to us. We’ll make sure the payment is handled appropriately.<br />

2. Sealed (anonymous) Bid: If you would like to have a proxy bid on your behalf in the live<br />

<strong>auction</strong> the night of the event, please place your sealed bid by noon on Friday, March 5<br />

to the Advancement Office with details of your maximum bid. A member of the <strong>auction</strong><br />

committee will bid on your behalf with details you have provided. You will be notified ASAP,<br />

if you were the winning bidder!<br />

3. Advance Bid: If you are unable to attend the <strong>auction</strong> and would like to bid on a silent <strong>auction</strong><br />

item, you may place an advance bid by noon on Friday, March 5 to the Advancement Office<br />

with appropriate payment. A member of the <strong>auction</strong> committee will bid on your behalf the<br />

night of the <strong>auction</strong> up to the dollar amount you indicated. You will be notified by the<br />

Advancement office on Monday, March 8th if you were the winning bidder.<br />

4. Express Checkout Bid Number: Register for express checkout via your reservation card<br />

or at the reception desk the night of the <strong>auction</strong> and receive a bid number to use when<br />

bidding in the silent <strong>auction</strong> and avoid checkout lines. See details below.*<br />

5. By Your Name: On the bid sheets in the silent <strong>auction</strong> just print your name and your<br />

bid amount and see the cashier at the end of the evening to make your payment using<br />

cash, check or credit card.<br />

*Present cashier with your credit card number and expiration date to receive an express<br />

check-out bid number allowing you to bid by number. At the end of the evening, the total of the<br />

items deemed to be yours will be applied to that credit card the following day. All receipts will be<br />

mailed or available for pickup at the school beginning March 8th, <strong>2010</strong>. You may take your items<br />

with you with authorization from a committee member<br />

(1) <strong>The</strong> Auction will begin promptly following dinner and continue without interruption until all<br />

items have been <strong>auction</strong>ed.<br />

(2) In order to enter a bid, bidder must raise his/her paddle and attract the attention of the<br />

<strong>auction</strong>eer. This must be repeated each time a bid is initiated or increased. Each bid legally<br />

obligates the bidder to pay his/her bid price in full if his/her bid is deemed the high bid<br />

at the fall of the <strong>auction</strong>eer’s hammer. <strong>The</strong> <strong>auction</strong> will be fast-paced so the bids must be<br />

made quickly.<br />

(3) ADVANCE BIDS/SEALED BIDS: If you are unable to personally attend the <strong>auction</strong>, you may<br />

submit an advance and/or sealed bid no later than12 :00 noon, Friday, March 5,<br />

<strong>2010</strong> and include check(s) to <strong>The</strong> <strong>Miami</strong> <strong>Valley</strong> <strong>School</strong> Auction for the full amount of your<br />

bid(s). If yours is a successful bid, you will be promptly notified. If yours is an unsuccessful<br />

bid, your check will be returned within five days. Please call the Advancement Office<br />

at 937-434-1848 for more details.<br />

(4) Payment by the successful bidder may be made immediately following sale of the item or at<br />

the end of the <strong>auction</strong> when all items may be paid for at one time. Payment may be made<br />

with cash, personal check, American Express, VISA, or Mastercard. Checks should be made<br />

payable to THE MIAMI VALLEY SCHOOL AUCTION. Payment in full on the evening of<br />

the event is mandatory.<br />

(5) Express Checkout is available via reservation card and at the registration desk upon arrival.<br />

Present cashier with your credit card number and expiration date and all items that are<br />

deemed to be yours at the end of the evening will be applied to that credit card the following<br />

day. All receipts will be mailed to you or will be available for pickup with the items in the<br />

Development Office at the school beginning the week of March 8, <strong>2010</strong>. In the case of<br />

large items arrangements can be made through the Advancement Office for delivery.<br />

(6) All sales are final. <strong>The</strong>re will be no exchanges or refunds on items by the donors or this<br />

institution except where specified, unless donor is unable to fulfill obligation as described.<br />

Please do not ask donors for exchanges or refunds.<br />

(7) <strong>The</strong> <strong>Miami</strong> <strong>Valley</strong> <strong>School</strong> has endeavored to <strong>catalog</strong>ue and describe the items and services<br />

correctly, but everything is sold “as is.” Certain <strong>auction</strong> items and/or services may have<br />

restrictive use or other qualifications which may affect value, application, or use thereof to<br />

bidder. Items are nontransferable and must be used within one year of the <strong>auction</strong>, unless<br />

otherwise specified. <strong>The</strong>se items may not be re-sold. Purchasers are bound by the precise<br />

restrictions specified by the donors. <strong>The</strong> terms are nonnegotiable. Please read the <strong>catalog</strong><br />

carefully for all specifications and limitations.<br />

(8) <strong>The</strong> <strong>Miami</strong> <strong>Valley</strong> <strong>School</strong> makes no expressed or implied warranties or representations of any kind<br />

or nature with respect to the property or services, and in no event shall it be responsible for<br />

the correctness of description, genuineness, authenticity, or condition of the property or<br />

services. No statement in the <strong>catalog</strong>ue or made at the sale or in the bill of sale or invoice or<br />

elsewhere shall be deemed such a warranty or representation or an assumption of liability.<br />

By his/her purchase, the buyer waives any claims for liability against either <strong>The</strong> <strong>Miami</strong> <strong>Valley</strong><br />

<strong>School</strong> or the donor of the property or services, and neither <strong>The</strong> <strong>Miami</strong> <strong>Valley</strong> <strong>School</strong> nor the<br />

donor is responsible for any personal injuries or damages to property that may result from the<br />

utilization of property or services sold.<br />

9) Items may be picked up at the claim area(s) by exhibiting a paid receipt. When an<br />

item has not been displayed, the purchaser will receive a certificate or a contract for the<br />

promised gift. Items may be removed only by exhibiting a paid receipt at the door at<br />

the time of departure or authorized by a committee member.<br />

(10) Any <strong>auction</strong> purchase is tax “deductible” only to the extent that the donation exceeds that<br />

of the stated value of the item on the contract given to the buyer upon purchasing an item.<br />

Any values stated or set regarding items being <strong>auction</strong>ed are donors’ estimates and are not<br />

warranted by the <strong>auction</strong> committee.<br />

(11) Unless otherwise specified, all <strong>auction</strong> items and services must be used within one year<br />

from the date of the <strong>auction</strong>. Unless otherwise specified, dates and times are to be<br />

arranged at the mutual convenience of, by, and between the donor and buyer. If questions<br />

arise, contact the Advancement Office. To avoid disappointment, please make all vacation<br />

reservations well in advance. Security and cleaning deposits, when required by the donor,<br />

must be paid directly to the donor and are not included in your bid.<br />

(12) All <strong>auction</strong> items must be removed from the premises Saturday evening, March 6, <strong>2010</strong>,<br />

at the purchaser’s own risk. <strong>The</strong> <strong>Miami</strong> <strong>Valley</strong> <strong>School</strong> cannot assume responsibility for items<br />

left after that time. Special arrangements for pickup or delivery of large items must be made<br />

at the time of payment.<br />

(13) On the fall of the <strong>auction</strong>eer’s hammer, title to the item and/or service will pass to the<br />

highest bidder who thereupon assumes full risk and responsibility thereof.<br />

(14) *Unless otherwise noted, airfare included with this item is restricted to “round” trip, economy<br />

airfare.<br />

S I L E N T A U C T I O N R U L E S<br />

(1) Each item in the Silent Auction has a bid sheet located on a table nearby. Persons desiring<br />

to bid may do so by writing in their legal names or bid number and the amount of their bids<br />

on the bid sheets.<br />

(2) <strong>The</strong> opening bid on each item must equal or exceed the “minimum bid” stated at the top<br />

of each bid sheet. Each new bid must be written on the next blank line available on the bid<br />

sheet. Each bid must be increased by no less than the increment noted on the bid sheet.<br />

Once a bid has been made, it cannot be changed or erased. Silent <strong>auction</strong> bids will be<br />

disqualified if the minimum bid and/or minimum raise are not sufficient.<br />

(3) Under no circumstances may an <strong>auction</strong> bid sheet be removed from the tables.<br />

(4) <strong>The</strong> Silent Auction tables will be open for bidding from 6:00 PM until 8:00 PM. Closing time<br />

for the silent tables will be announced publicly. <strong>The</strong> closing bid circled by the <strong>auction</strong> officials<br />

constitutes the winning bid.<br />

(5) In the event of a dispute, the <strong>auction</strong> official shall act as the final authority and shall<br />

determine the winning bidder. In the event that two bidders are in the process of bidding on<br />

the same item when the official attempts to circle the winning bid, the official may conduct<br />

a mini live <strong>auction</strong> between those bidders. He/she shall determine the winning bidder.<br />

His/her decision shall be final.<br />

(6) Unless otherwise specified, all <strong>auction</strong> items and services must be used within one year after<br />

the date of the <strong>auction</strong>. Items such as tickets or concerts or events are non-transferable.<br />
